1 Bring Your Own Salesian College Rupertswood The College has invested significantly in ICT infrastructure and processes to ensure our students are at the cutting edge of contemporary learning technology. Bring Your Own Device (BYOD) enables students to bring a learning device to school each day that will best assist their learning. The focus is on empowering students to take ownership of their learning and vlearn (Virtual Learning) enables this by giving all students access to the applications and resources they need 24/7. We aim to compliment face-to-face learning opportunities with the ability to stay connected beyond the classroom anywhere, anytime. BYOD and vlearn Guidelines BACKGROUND 1:1 YEAR 9 IPADS From Salesian College committed to a 1:1 ipad program starting at Year 9 in order to move towards a more contemporary teaching and learning experienced enhanced by technology. While the ipad devices played a major role in connecting classrooms to the internet and the capabilities of apps, the College has decided that it is time to move to a 1:1 device environment throughout the school. Rather than expanding on the existing ipad program we decided to introduce a Bring Your Own Device program to give families some more flexibility in choosing a device that will best suit their child s learning. EVOLUTION TO 1:1 BYOD PROGRAM BYOD refers to each student in Years 7-12 bringing a personally owned and fully charged learning device to school each day. The device must be a Windows or Apple Mac device with a keyboard as outlined in this document. The BYOD program underpinned by vlearn will enable students to access online teaching resources at school and at home including but not limited to: vlearn (Virtual Learning) Office 365 Learning Portal Daymap and Stile All students and parents/guardians are required to sign the Responsible Digital Citizen Agreement Students & Parents in order for a student to take part in the BYOD program. EQUITY WITH VLEARN The approved devices listed under the recommended devices vary in their speed, size and capacity. By using a Virtual Desktop Infrastructure (VDI) the College can provide a consistent platform for access to learning applications and performance speed without having to mandate that every student has the exact same device. TYPES OF DEVICES The types of recommended devices that are recommended for BYOD are Apple MacBook laptops and any laptop or hybrid devices running Windows. The College also accepts ipads with Bluetooth keyboards if families already own an ipad device. Mobile phones, android devices, Chromebooks, or any other types of tablets are not approved devices. 2 INTERNET ACCESS Whilst on College grounds it is expected that students will only access the internet via the College network connections. The use of mobile phones and hotspot is not permitted. DIGITAL CITIZENSHIP In moving to BYOD the College will continue to uphold all expectations as outlined in the Responsible Digital Citizen Agreement Students & Parents. This includes ethical behaviours, student responsibilities, teacher responsibilities, parent/guardian responsibilities and school responsibilities which all relate to the College BYOD program. DEVICE SECURITY Security of BYOD is the responsibility of parents and students. Student devices should have up-to-date antivirus software installed. It is advisable for parents to investigate insuring their child s BYOD device. The College will not take any responsibility for loss, damage or theft of BYOD devices. It is also advisable to purchase a protective bag for the BYOD device. TECHNICAL SUPPORT Support will be given to students that connect their device to the school wireless network and vlearn. The College will support students with using the vlearn software. Any hardware issues or software issues that fall outside of the software provided by the College will not be supported. Parents are encouraged to take advantage of extended warranties as repair of devices will be the responsibility of parents and students. SOFTWARE The College will provide software through vlearn ensuring minimal and in some cases no software expenses for families. This includes Microsoft Office 365 whereby each student is entitled to install Office applications such as Microsoft Word, PowerPoint and Excel on any 5 computer/laptop devices and any 5 tablets and any 5 smartphones. NETWORK STORAGE The College will provide secure, backed up network storage for student work via the H: Drive. It is strongly recommended that students make use of this storage to ensure their files are safe and secure. OneDrive is another safe place for students to save and back-up their work. LONG-TERM DEVICE LOAN A long-term device loan is for a period of time equivalent to a school term or greater. The purpose is to support families with challenging financial circumstances. These will be allocated on a priority basis and availability cannot be guaranteed. Parent permission is required with a signature of the long-term device loan agreement. SHORT-TERM DEVICE LOAN A short-term loan is for a period of two weeks. The purpose is to provide interim support to families while devices are fixed or if they have been left at home. Parent permission is not required with a signature as permission is obtained through the Responsible Digital Citizen Agreement Students & Parents. 3 Choosing a Device The College has acquired the services of JB Education (JB Hi-Fi) to set up a JB Portal to make purchasing a device as easy and convenient as possible for families. It is completely optional whether families choose to use the JB Portal to purchase a device. The devices available on the JB Portal are all approved by the College to any parents considering purchasing a new device for their child. All devices are listed at education prices. Optional extras can be purchased such as insurance, extended warranties and accidental damage and theft protection services. The main considerations when identifying the best devices for students are: The battery life of the device so that it can last a full school day without needing to plug in and charge. The durability of the device so that it can handle trips to and from school in school bags as well as the day-to-day use in classrooms and around the College. The weight, size and portability of the device so that it is convenient to use in flexible learning spaces. The performance and functionality, operating system, speed, memory and storage so that the device meets students needs when accessing vlearn and also for personal use now and in future years including senior school. LAPTOP DEVICE Laptops are portable computers which have a permanent keyboard. They come in different sizes, weights and capabilities. When surveyed, laptops were the most highly recommended device from parents and teachers for students to use to support their learning. The College has found that laptops provide students with better file management options, access to a greater range of software, functionality and performance. Teacher and student feedback has told us that students often associate laptops as learning devices and are less likely to be distracted as they are not as suitable for easy access to gaming when compared with ipads. IS SALESIAN STILL USING IPADS? The Salesian College ipad program ran from and is now being gradually phased out as we implement our BYOD and vlearn program. The College has now adopted a number of new software programs, including vlearn, which have surpassed the learning and teaching capabilities of what the ipads were designed to do. The College strongly recommends any families purchasing a new device to choose a laptop or hybrid device with a keyboard. Families who already own an ipad can still use that as a BYOD device as long as it has a Bluetooth keyboard. Please note that for some ipad models, Bluetooth keyboards can be hard to source. DEVICE MINIMUM SPECIFICATIONS The device minimum specifications are to be used as a guide for families who might be choosing to buy a new device or wondering whether a device they already own will be suitable for their child to use as part of BYOD. 4 JB Portal Devices MACBOOKS AND LENOVO LAPTOPS The JB Portal features two different styles of devices which includes MacBook laptops and Lenovo laptop/hybrid devices which run Windows. The Lenovo laptops are designed and built for education making them quite tough and durable. The Lenovo 11e Yoga and 11e Yoga pen devices both have touch-screen functionality and can be used like a tablet. The Apple laptops including MacBook Air and MacBook Pro are great devices particularly for students studying visual arts, graphics and multimedia. The screen quality is often greater in laptop devices and the size of the screen should be strongly considered when purchasing a device that is right for your child. APPLE LAPTOPS MAC OS (OPERATING SYSTEM) MacBook Air and Pro FEATURES LENOVO LAPTOPS WINDOWS 11e, 11e Yoga, 11e Yoga Pen MacBook Air is lightweight with slim design. Mac Operating System. 5 Device Minimum Specifications Whether purchasing a new device or opting to use a device already owned for BYOD, the College fully supports devices that adhere to all of the device minimum specifications. If a device does not meet these standards then it will not be deemed suitable for BYOD. In the event that families cannot source a suitable device, it is recommended that they take out a long-term device loan from the College, at no charge, which will be in the form of an ipad with a Bluetooth keyboard. DEVICE MINIMUM SPECIFICATIONS TYPE Laptop or Hybrid devices with a keyboard ipads (with a Bluetooth keyboard) are accepted if families already own an ipad device BATTERY LIFE 6 hours minimum SCREEN SIZE 10 inch minimum Please only bring an ipad mini if you already own one as the screen size is less than 10 inches (7.9) OPERATING SYSTEMS Windows 7, 8 or 10 or Mac Operating System (up to date) No Android devices accepted WIRELESS Must have 5GHz ANTIVIRUS Installed and up to date Mobile phones, android devices, Chromebooks, or any other types of tablets are not approved devices. 7 BYOD FAQs 1. What is BYOD and why isn t everyone using the same device? The BYOD program at Salesian College involves each student bringing a personal device to school to use which will support their learning in the classroom. In 2016 we are phasing in BYOD and our guidelines around that have been designed to make BYOD as accessible to families as possible. 2. Who pays for the devices? These devices will be purchased by and remain the property of the family. 3. Are there any devices that the College recommends? If you are going to purchase a new device, the College recommends laptop and hybrid devices with keyboards. Families are encouraged to look at the devices offered on the JB Portal which includes Lenovo Windows devices and Apple MacBook devices. To access the JB Portal go to and the Salesian Access code is 2016SCS. The JB Portal is an optional service for families to use. 4. Do I have to purchase my child a new device if we already own one? Not necessarily. For 2016 the College has compiled a checklist of Device Minimum Specifications for you to check that your device is suitable as part of our BYOD program. The main reason for providing Device Minimum Specifications is so that families that already own a suitable device do not have to purchase another new device for the first year of the program. 5. Can my child continue to use their ipad at school? Yes. Students can continue to use their ipad at school but as of 2016 it is compulsory that ipads are accompanied by a Bluetooth keyboard. This will ensure students have the best possible experience when accessing vlearn. If families are purchasing a new device for their child, then the College recommends a laptop or hybrid device with a keyboard rather than purchasing a new ipad. 6. What is the JB Purchasing Portal? The College has acquired the services of JB Education (JB Hi-Fi) to set up a JB Purchasing Portal to make purchasing a device as easy as possible for families. The devices available to purchase are all strongly recommended by the College to any parents considering purchasing a new device for their child. All devices are listed at education prices. Optional extras can be purchased such as extended warranty for 2 or 3 years or accidental damage and theft protection for 2 or 3 years. 8 7. Are there any advantages of purchasing a device through the JB Purchasing Portal? Yes. In addition to getting education prices on devices that are highly recommended by the College, the after-sale service provided by JB helps ensure that your device is in good hands if something does go wrong. A brief overview is outlined below: Any device faults covered under warranty with Lenovo devices purchased through the JB Portal can be followed up by a technician who will come to the College. This will happen once the student or parent has logged the service job with JB. Any device faults covered under warranty with Apple MacBook devices can be followed up by a technician who will also attend the college once the job has been logged by the parent or student on the Apple website. Any device faults covered under warranty with Apple ipad devices need to be logged on the Apple website and an appointment booked at a genius bar at the Apple store. Any issues related to insurance such as accidental damage including broken or cracked screens, will be followed up by parents using 5 easy steps outlined by JB to have their device repaired or replaced if insurance has been purchased. This applies to Lenovo devices and Apple devices purchased through the JB Portal. The College recommends families strongly consider an extended warranty for 2 or 3 years or accidental damage and theft protection for 2 or 3 years. 8. What will be provided by the College? Secure, filtered access to the College network and internet. 24/7 access to vlearn which provides students with up-to-date software powered by the College servers to ensure a consistent experience across all devices. 9. What software will the College provide within vlearn? The software catalogue within vlearn will continue to evolve over time as new technologies become available. We currently have 31 applications available to all students at absolutely no charge. The most high profile applications include the Microsoft Office 365 suite consisting of Word, PowerPoint, Excel, Access, Publisher, OneNote and Outlook. We also have the Adobe Creative Suite featuring Photoshop and Premiere Pro among several other applications which we will continue to build upon. 10. How will theft, loss or damage of personally owned devices be handled by the College? The guidelines for the BYOD program specifically address the risk of students bringing their own devices to school. The school is not responsible for lost, stolen or damaged devices. The JB Purchasing Portal offers optional extras that can be purchased such as an extended warranty for 2 or 3 years or accidental damage and theft protection for 2 or 3 years. 9 11. How can 1:1 access improve learning? Technology can be used in classroom learning activities to focus on the higher order skills like creating, evaluating and analysing. Modern productivity tools allow students to create content much more readily, and it is now easier than ever for students to collaborate by working live within the same file. By peer evaluating each other s work students can gain a deeper understanding of themselves as learners and their peers. 12. What level of support will my child receive specific to their device in the classroom? Teachers will not be expected to be experts in the use of devices so the onus is on the student to master how to use their own device to support their learning. Teachers will have been trained in how to use vlearn and students are strongly encouraged to use vlearn applications when using their device. 13. Will technology be used in every lesson? No. Technology will only be used when it the teacher deems that it is appropriate and conducive to the aims and activities for a particular lesson. It is important that students develop as learners with and without the use of technology. 14. Who is responsible for safe internet use at home? Parents and guardians are responsible for any use of devices off the College network and outside of school grounds. 15. Can students use their own 3G or 4G internet connection at school? Students are required to use the College network for internet access at school which is filtered and monitored to maximise safety. Personal 3G and 4G internet connections via connections such as Hotspot cannot be used. This is outlined in the Responsible Digital Citizen Agreement. 16. What happens if we have limited or no internet access at home? If you do not have internet access from home then the vlearn applications will not be able to load as they rely on an internet connection from home. Students in this position are encouraged to download resources such as worksheets, ebook chapters and PowerPoint slides at school. Students can also install Microsoft Office applications locally on their device for free using their school address and password. This will ensure that Microsoft Word, Excel, PowerPoint and OneNote can be used without an internet connection. 17. Will my child be taught about esafety and digital literacy? Yes. Year 7-8 students will be required to take part in CyberPass accreditation programs in order to be part of the College BYOD program. CyberPass login information will also available to Year 7-8 parents. Year 9-12 students will take part in seminars, workshops and presentations on cyber-safety each year. 10 18. Where do students store devices when they are not being used? Every student has a locker and along with other personal items, students are expected to store their devices in lockers when not in use. Students are not to leave devices in lockers overnight. Students provide their own locker security through the use of a padlock except at the Year 9 campus where devices will be locked in the classroom. 19. Who is responsible for device security? Every student is responsible for their own device security. Your child should store their device in their locker when not in use, and should never leave it unsecured and unattended. Year 9 students will leave their device in their core classrooms which will be locked by the core teacher during recess and lunch times. 20. Are the devices insured by the College? No. As with all other personally owned items such as phones, blazers, bikes, etc. BYOD devices are not covered under the College insurance. For extra peace of mind the College strongly recommends families consider insuring their child s device. The JB Purchasing Portal offers optional extras that can be purchased such as an extended warranty for 2 or 3 years or accidental damage and theft protection for 2 or 3 years. See Q7 for more information. 21. Who is responsible for warranty and repairs? The College is not responsible for any warranties or repairs. All information on warranty and repairs should be sought by families when purchasing a device. For extra peace of mind the College strongly recommends families consider insuring their child s device. The JB Purchasing Portal offers optional extras that can be purchased such as an extended warranty for 2 or 3 years or accidental damage and theft protection for 2 or 3 years. See Q7 for more information. 22. Can my child use ebooks instead of text books if they have a device? Yes. Electronic textbooks are normally in the form of PDF files or can be web-based resources. Both of these are compatible with any device with internet access. Parents should check book lists carefully as text books do not always have an ebooks option. 23. Will my child be able to charge their device at school? It is expected that all students will bring their device to school fully charged before every school day. Battery life should be a top priority when choosing a device so that there is not a reliance on AC power. A device should get through a maximum of 4 x 75 minute lessons which is a total of 5 hours but we recommend a 6 hour battery life. There are several strategies and settings students can use to maximise the battery life of their device which can be discussed with members of ICT. 11 24. Will my child be able to print from their device at school? Yes. The College uses PaperCut MF Client which enables follow me printing. Students can print their work and collect it from any printer or photocopier around the school using their student ID card. In 2016 students will be able to print for the first time by using any application within vlearn. 25. What level of support will be offered by the College ICT department? The College ICT department will support your child with connecting to the wireless network and software applications provided by the College within vlearn. Any issues outside of this such as Spyware/Viruses or hardware related faults will not be supported. 26. What is a short-term device loan? A short-term loan is for a period of up to two weeks. The loan device will be in the form of a College laptop or an ipad with Bluetooth keyboard. The purpose is to provide interim support to families while devices are fixed. The College has a set number of devices set aside for short-term loans. Parent permission is not required as it will be sought with a signature obtained through the Responsible Digital Citizen Agreement Students & Parents. 27. What is a long-term device loan? A long-term device loan is for a period of time equivalent to a school term or greater. The loan device will be in the form of a College laptop or an ipad with Bluetooth keyboard. The purpose is to support families with challenging financial circumstances. These will be allocated on a priority basis and availability is not guaranteed. Parent permission is obtained by completing a Long-Term Device Loan Agreement. 28. Do I still need to provide my child with exercise books and stationary? Yes. Having 1:1 devices in the classroom will not make the College completely paperless. We strongly believe in the benefits of students developing their learning skills with and without technology. Pen and paper will still play a key role in the classroom and teachers will aim to strike a balance with how much students use technology each lesson.
