1 Phone Routing Phone Routing allows you to configure the phone number or application that callers are forwarded to when they dial an Ifbyphone number. This Jumpstart will guide you through the basics including: 1. Transferring a Phone Number to Another Number 2. Working with Multiple Phone Numbers 3. Configuring Selected Phone Numbers Follow these steps to begin: 1. Login to with your user ID and password. 2. Select Phone Routing from the Basic Services tab. 1. Transferring a Phone Number to Another Number Follow these steps to forward an Ifbyphone phone number to another phone number such as your main business line: On the Phone Number Routing page, click the Configure icon to the right of the phone number you d like to forward to another number. Upon selecting the Configure icon, the Phone Routing page opens where you will configure the following options for the selected number: 1
2 Select where the phone number (xxx) xxx-xxxx should route: From the dropdown menu, select Transfer Call. First Read This Text To Caller: In this optional field, type any message that you would like to play to callers before forwarding them to your number. If you just want to forward callers immediately to your phone number, simply leave this field blank. An example of a message might be: Thank you for calling the The Reid and Wright Learning Center. Please hold while we connect you. Transfer to Telephone Number: In this required field, input the phone number that you would like to forward callers to. Save Routing: Click this button to finalize the forwarding of your number. *Note: Refer to the section of this Jumpstart titled Configuring Selected Phone Numbers for more information on the additional options on the Phone Routing page. 2. Working with Multiple Numbers at Once Configuring Multiple Numbers at Once To configure the routing for multiple phone numbers simultaneously, select the checkboxes to the left of desired phone numbers and click the option in the top left to Change Routing for Select Numbers as illustrated in the image below. 2
3 Organizing Phone Numbers with Phone Number Groups Phone Number Groups help you organize related phone numbers such as numbers for a specific customer or a call tracking campaign. From the Phone Number Routing page, click the Add / Edit Phone Number Groups link in the gray bar at the bottom of the page to create Phone Number Groups or view and edit existing ones. Click the Create New Group button to add a new Phone Number Group. Give your new group a name and click the Save button to create it. To view or edit an existing group, select it from the Group drop-down list in the top left of the window. 3
4 All of your phone numbers are listed in the box on the right side of the window. You can re-order your phone numbers by clicking on the Phone Number or Label column headers. You can also filter for specific numbers or labels using the drop-down menus in the bottom of the window. Click the green plus button to the right of a phone number to add it to the selected group. Numbers that are already in the selected group are highlighted in green. The phone numbers in the selected Phone Number Group are listed in the box on the left side of the window. Click the red circle icon to the right of a phone number to remove it from the selected group. Filtering for Phone Numbers Filtering allows you to quickly and easily find the phone numbers you want to work with. On the Phone Number Routing page, select how you want to filter your numbers from the Filter By drop-down menu at the top of the page. Select one of the following: Phone Number: Filter by a specific area code or phone number. Phone Label: Filter based on the name that you assigned to phone numbers. Phone Group: Filter by a previously created Phone Number Group. Campaign: Filter by a previously created Campaign*. SourceTrak Set: Filter by a previously created SourceTrak Set*. *Note: Depending on your account type, you may not have access to these options. Reset: Click this button found in the top right of the page to remove a filter and view all of your phone numbers. 3. Configuring Selected Phone Numbers To configure the phone number or application that callers will forward to when dialing an Ifbyphone number, click the Configure icon to the right of the desired phone number. 4
5 To work with multiple phone numbers at once, select the checkboxes to the left of the numbers you want to configure and choose the option to Change Routing for Selected Numbers in the top left of the Phone Number Routing page. Specify the following settings on the Phone Routing page: Route this number based on a schedule: To forward your Ifbyphone number to the same phone number or application all the time, select No Schedule from this drop-down menu. If you d like to route your phone number differently based on time of day or day of the week, such as forwarding to your main business line during office hours and to a Voice Mailbox during non-business hours, select a previously created Schedule from the drop-down. After selecting a Schedule, the page will re-populate and you will be able to specify where the phone number will route for each mode (time period) of your Schedule. Note: Schedules can be created under the Utilities tab. Phone Label: Define an optional name for your phone number(s). Phone Labels are displayed in many places throughout the Ifbyphone portal including reporting to help you keep track of your phone numbers. 5
6 If you re working with multiple phone numbers, you must select the checkbox to change the label for all x numbers in order to define a label for the numbers. If you specify a phone label when configuring multiple numbers, it will overwrite any existing phone labels associated with the individual phone numbers. Perform Reverse Lookup: Select Yes from the drop-down to search for name and address information associated with the phone numbers of people who call your number(s). Lookup data can be reviewed via the Call Detail Report. Note that additional charges apply. Select where the phone number (xxx) xxx-xxxx should route: From the associated drop-down menu, select where callers will forward when calling the selected phone number(s). Select one of the following actions: Broadcast from Phone Call Distributor Find Me Phone Directory Play Audio Read Text Schedule Router Store Locator SurVo Transfer Call Transfer Call w/whisper Message Virtual Receptionist Voice Broadcast Opt Out Voice Mail Greeting VoteByPhone Event Note: Depending on your account type, you may not have access to all the applications described above. Refer to the FAQs in the Help Center tab found in the top right of the Ifbyphone portal for more information on these applications. Advanced Options for Google Analytics Integration: If you have configured a Google Analytics Integration, these options allow you to provide additional call tracking information to transmit to your Google Analytics account. Tag information such as source, term, and campaign. You can also specify if the phone number should be sent to all Google Integrations in your account or to one specific Google Integration. Save Routing: Click this button to finalize the configuration of the selected phone number(s). 6
