2 1. Introduction The epunch day-of-event coordinator is responsible for the following tasks: Prior to the meet: Communicate with Meet Director/Course Setter to determine epunch tent location at the event, and what optional accessories (tent, battery) are necessary; Collect necessary equipment from storage unit or previous epunch coordinator; If using battery power, recharge deep-cycle battery overnight; Contact (Ben Hall) to coordinate transfer of OE2003 files to the epunch computer. Day of the event: Transport equipment to meet site and set it up; Oversee and/or help run the equipment; Copy meet results file to storage media (thumb drive, CD-RW, etc); Collect and pack equipment at the end of the meet. Remember to turn off master (red) download station(s) with purple turn-off stick! Return equipment to storage unit or hand off to next epunch director; meet results file to Epunch coordinator. 2. Finding the Equipment Find out from the previous epunch director where the gear is located; it may be in someone s garage, or in the club s storage unit, or both. Determine what equipment you will need. Here are a few things to keep in mind: You might not need the tent if there is already covered storage allocated for epunch at the event site. you might not need the battery if there is power within reach of an extension cord. The 2 nd computer is only needed for large events WIOL events and A- meets are an example. Consult with other meet staff to determine. Decide which printers you will need (see section on printers ). 3 3. Gear Checklist Make a copy of this page and take it with you to the storage shed to check off gear as you collect it. You don t want to forget anything! If you don t know what any of these look like, consult the photographs on the following pages. brown plastic contractor s tool box containing miscellaneous epunch gear; An opaque plastic box with a blue top containing the printer and power strip; A black computer suitcase containing the primary computer, power supply, and mouse. The primary computer is manufactured by Dell. orange plastic boxes containing rental SI cards; a bundle of old-style control stands for start/finish controls; optional: a black computer suitcase containing the secondary computer, power supply, and mouse. The secondary computer is manufactured by Toshiba. optional: tent, consisting of 3 sets of metal poles, brown gym bag containing connectors, white tarp roof; optional: 2 white folding tables and 2 chairs in blue zippered bags; optional: deep cycle battery and battery charger. 7 4. Packing/unpacking the equipment The computer case(s) each contain a computer, its associated power supply, a mouse, and a mouse pad. The epunch master station, networking equipment, miscellaneous cables, and small printer are in the brown toolbox. To aid in unpacking/packing the brown toolbox, refer to the following photographs: Page 7 of 15

Unpack the Dell computer, computer power cable, and mouse from the black soft-sided computer suitcase. Attach the power cable to the computer. Connect the 4-port USB hub to the computer s 2 nd (bottom location is important!) USB port in the back of the computer. Connect the mouse to one of the USB hub s 4 ports. 2. Unpack the red SI Master Station from the black file box and connect it to the 1 st (top location is important!) USB port in the back of the computer. 3. Unpack the printer(s) and connect a USB cable from each printer s USB port to an available USB port on the USB Hub. 4. Connect the printer and computer AC power plugs to the surge suppressor strip and plug the strip into the power converter on top of the deep-cycle battery (or directly to AC power if it is available on-site); Page 11 of 15
12 5. If using the deep-cycle battery, turn on the power converter on top of the battery. You should hear a beep and the fan should engage; 6. Make sure the surge suppressor strip s on/off switch is set to on. Turn on the computer and printer. 7. If using the large printer, load paper in the top tray of the printer, and unfold the lower tray. If using the small printer, make sure it has a healthy roll of thermal paper loaded. 8. Locate the small cylindrical power-on magnet (Figure 3 -- it should be in the top outside compartment of the brown plastic tool box next to the purple SI card) and pass it over the top of the SI Master Station (Figure 4). The station s LEDs and beeper will go off when the station is powered on. 4 beeps indicates OK, approximately 16 times indicates a low SI Station Master battery. 13 Figure 8. Powering on the SI Master Station with the Magnet 6. Adding a 2 nd Computer Unpack the 2 nd computer, its power supply, and mouse from its suitcase. Connect the mouse and power supply to the computer. Locate the yellow Ethernet cable in the toolbox, and connect either end of it to the two computer s Ethernet jacks. Page 13 of 15

Adding 3 or more computers To network 3 or more computers, locate the wireless router, its power supply, and the necessary Ethernet cables (two gray ones are included with the router bring more, or use a wireless connection, for additional computers. Connect the router s power supply and run an Ethernet cable from the jacks in the back of the router to the Ethernet jacks on the computers. Do NOT use the WAN Ethernet jack in the back of the router. You should configure additional computers to use static IP addressing, starting with the first available network address and continuing upwards: , , , etc. For wireless connections, use an unsecured network connection. 8. Printer considerations You can use either, or both, printers. At a well-attended event, you might use the small printer to print splits, and the large printer to print results. If you want to minimize the amount of gear, you can use the small printer to print a result receipt for each competitor, which contains a finish time slip (suitable for stapling to a clothesline) together with the standard split printout. 15 receipts can be separated after printing. The large printer can be used alone to print both splits and results, but this carries a high cost in inkjet ink and is not recommended unless the small printer is unavailable. Figure 10.
