3 OVERVIEW It is so easy to use the Walkabout Express (WAExpress) Infrared Docking Station and Docking Station PC Host software from Dictaphone! Just insert your Walkabout Express digital portable into the Infrared Docking Station, and the Docking Station PC Host software will automatically upload voice files from the portable to your PC. This document explains how to install, setup, and operate the Walkabout Express Infrared Docking Station and the associated Docking Station PC Host software. Overview What s In The Box Check to make sure you received all of the following items with this document in the Infrared Docking Station shipping box: Infrared Docking Station (hereafter referred to as Docking Station). Docking Station cable. AC Power Adapter. Walkabout Express Docking Station PC Host software CD. System Requirements Your PC must meet the following minimum system requirements to support Docking Station and Docking Station PC Host software operations: Pentium II 266 processor or higher. Microsoft Windows 95, Windows 98, or Windows NT 4.0 workstation with NT Service Pack 3 or higher. Windows Multimedia component. 1

4 Overview 200 MB or higher of available hard disk space is recommended for temporary storage of voice files. 64 MB of RAM or higher. CD-ROM drive. VGA monitor adapter or higher. Dedicated Parallel Port configured for ECP mode. Network Adapter card or modem (to upload files to a network device). Microsoft Mouse or compatible pointing device. 2

5 WHERE TO GO FROM HERE If you are taking the Docking Station and Docking Station PC Host software out of the box for the first time, you will need to complete the following tasks before sending voice files for the first time. See the referenced pages for detailed instructions. 1. Configure the host PC (or workstation) that will be connected to the Docking Station unit by specifying a parallel port setting. See PC Setup Instructions on page Connect the Docking Station unit to the host PC and power source. See Installing the Docking Station on page Install the Docking Station PC Host software application from the CD-ROM onto the host PC. See Installing the Docking Station PC Host Software on page After installation, the host PC is ready to receive files. See Using the Docking Station To Upload Voice Files on page 27. If the Docking Station unit has been used before, see Using the Docking Station PC Host Software on page 18, and Using the Docking Station To Upload Voice Files on page 27 for instructions on sending voice files. To monitor the status of file transmission from the Docking Station to the host PC, see Checking the Status of the Docking Station on page 22 If you wish to change where the transmitted files are stored, which port is used, or whether the Docking Station PC Host application starts automatically when the PC is turned on, see Configuring the Docking Station PC Host Software on page 20. 7 PC SETUP INSTRUCTIONS You should make sure that your PC is configured to operate with the Docking Station as described in this section. Selecting a Parallel Port Setting For optimum file transfer performance, select the ECP mode for the parallel port setting on your PC. To change the parallel port setting, you must access your PC s BIOS (Basic Input/Output System). You can normally access BIOS Setup windows by restarting your PC. Check your PC owner s manual for instructions describing how to access these windows. You can also check the PC manufacturer s web site if you need further assistance. In most cases, you can use the following procedure to change the parallel port setting: 1. Restart your PC. 2. During startup, press F1 or F2 (or the Delete key on some PCs) to enter the Setup windows as indicated by a startup prompt. 3. Select the Advanced option (usually at the top of the first Setup window), then choose Peripheral Configuration. 4. When the Peripheral Configuration settings appear, go to Parallel Port Mode and set the mode to ECP. Note: Except for the EPP mode (which is not supported), all the other Parallel Port settings are supported, but provide slower upload speeds than the recommended ECP mode. 5. Press F10 to save your changes, and exit from the Setup windows. (The PC will continue its restart procedure.) PC Setup Instructions 5

8 PC Setup Instructions Setting the Transfer Protocol Docking Station PC Host software is configured to automatically select the optimal transfer protocol (i.e., AUTO is displayed in the Transfer Mode text box on the Configure Docking Station PC Host window). You should not need to set the transfer protocol. However, if necessary, parallel port transfer protocols can be specified (Compatible (Nibble), Bi-directional (BYTE), and Extended (ECP)). See Configuring the Docking Station PC Host Software on page 20 for how to change the transfer protocol. 6

9 INSTALLING THE DOCKING STATION Set up the Docking Station to work with your PC as follows: 1. Shut down the PC. 2. Connect the female end of the 25-pin Docking Station cable to the Parallel connector at the rear of the Docking Station as shown below. 3. If you are using a local printer that is attached directly to your PC, and the PC only has one parallel port (LPT1) shut down the printer and the printer software, then disconnect it from the parallel port. 4. If you are using a local printer, and your PC has more than one parallel port, connect the Docking Station cable to an available parallel port. 5. Connect the male end of the 25-pin Docking Station cable to the parallel port on your PC (Figure 1 on page 8). Note: The Docking Station should be the only device connected to the port. 6. Connect the smaller end of the AC adapter to the connector labeled Power at the rear of the Docking Station as shown in Figure 2 on page To power up the Docking Station, connect the electrical plug on the AC adapter to an outlet or power strip. Use the 4 LED indicator lights on the front of the Docking Station to monitor activity of the unit. When the Docking Station is powered up, these lights will alternate red-green, turn all red, turn all green, then turn solid amber. The Docking Station then issues a long beep. When the four LED indicators are amber, the unit is ready to have the Docking Station PC Host software installed. See the following section to continue the setup process that is, to install the Docking Station PC Host software. 8

12 Installing the Docking Station PC Host Software INSTALLING THE DOCKING STATION PC HOST SOFTWARE This section describes how to install the Walkabout Express Docking Station PC Host software. 1. Insert the Walkabout Express Docking Station PC Host software CD into the CD-ROM drive on your PC. Start the installation program: i. Click Start ( ) on the Windows System Tray area, and select Run. ii. If your CD-ROM is specified as drive D:\, then enter: D:\WAExpress Docking Station\Setup.exe (include the quotation marks). Select the OK button to begin installation. OR You can use the Browse button to locate the Setup.exe file on the CD-ROM, then select the OK button to begin installation. 2. The WAExpress Docking Station PC Host installation window (Figure 3) is displayed and is immediately followed by the Walkabout Express (WAExpress) Welcome window (Figure 4). Click or enter information as directed. 10

14 Installing the Docking Station PC Host Software ii. Use the scroll bar to read the entire License Agreement and click Yes to accept the terms of the agreement (Figure 5). At the Choose Destination Location window (Figure 6), click Next to accept the default destination folder for the Docking Station PC Host software. Dictaphone recommends that you accept the default destination folder. However, you can click Browse to find another folder and click Next to continue. Figure 6: Choose Destination Location Window

15 iv. Click Next to accept the default name for the Windows Program Folder that you will access to start up the Docking Station PC Host software (or type in a new folder name) and click Next. Figure 7: Select Program Folder Window v. At the Setup MailBox Directory window (Figure 8 on page 14) you can enter a different location or accept the default Mailbox Directory by clicking Next. The Mailbox Directory is where the files for each upload or download operation are stored on your PC or an attached network device. Note: You will be prompted to create a directory if the location you specify here does not exist. The location specified can be changed at any time. See Configuring the Docking Station PC Host Software on page 20. Installing the Docking Station PC Host Software 13

When the Setup Parallel Port window appears, click Next to accept the LPT1 default, or select the desired LPT port. Figure 9: Setup Parallel Port Window 14 vii. As Docking Station PC Host software files are copied to your PC, a progress meter is displayed, until all the appropriate files are copied (Figure 10).

Docking Station PC Host software should automatically start up, and the Docking Station PC Host icon should appear in the Windows System Tray area (see Figure 12). Types of PC Host icons are shown in Figure 13. 19 4. Downloading of the Docking Station application software to the Docking Station now begins automatically. LED indicators on the front of the station change from 4 blinking amber lights to 4 solid green lights when the download is complete. During subsequent power ups of the Docking Station, when the Docking Station PC Host software is not launched, the LED lights first strobe and blink through a sequence, then the Docking Station will beep twice. When the two right side LED indicators blink amber, the unit is ready for the Docking Station PC Host application to be started. Note: If the Docking Station PC Host icon is displayed as the ERROR icon (icon with a red X through it), refer to Verifying Docking Station Connections under Troubleshooting on page 33 to correct the problem. Installing the Docking Station PC Host Software Congratulations! You have successfully connected the Docking Station hardware to the host PC. See the following section to learn how to use the Docking Station PC Host software and begin sending voice files for transcription. 17

20 Using the Docking Station PC Host Software 18 USING THE DOCKING STATION PC HOST SOFTWARE Docking Station PC Host software is used to upload dictated voice files from a Walkabout Express portable to a PC, so Enterprise Voice Agent (EVA) software can send them into the Enterprise Express Voice System for translation. During each upload operation, the Docking Station PC Host software first uses an infrared transmission technique to transfer all the files on the Walkabout Express portable to internal memory in the Docking Station. The files are then uploaded from the Docking Station into an Inbox folder in the specified Mailbox Directory location on your PC (Inbox is automatically created the first time files are transferred, see Note below). During this process, the files may be renamed using the same basic numeric naming convention used by the Walkabout Express portable. Docking Station PC Host software is easy to use. Rightclick on the icon in the System Tray area and select one of four options (Figure 15): About Docking Station PC Host... Use to determine what version of Docking Station PC Host software is installed and running on your PC. Configure Docking Station PC Host... Opens the Configure Docking Station PC Host window. Docking Station Opens the WAExpress Docking Station Status window. This is the main window for the Docking Station PC Host software application. You can also open the WAExpress Docking Station Status window directly by clicking once on the icon. If the window does not appear, see page 33 to make sure that the station is properly connected. Exit Docking Station PC Host Use to stop the Docking Station PC Host software. This option

21 removes the icon from the System Tray area and exits the application. These same options are also available directly from the WAExpress Docking Station Status window (see Figure 17). The following sections describe how to use each option. Note: You will not be able to setup EVA s source folder until the Inbox is created. Right-click on the Docking Station PC Host icon to access this options menu Figure 15: How to Display the Docking Station PC Host Option Menu Using the Docking Station PC Host Software Starting and Stopping the Software Docking Station PC Host software automatically starts when you turn on your PC, unless you change the AutoRun setting described in Configuring the Docking Station PC Host Software (see next section). However, you can close the software at any time, and start it again later as described below. Close Docking Station PC Host 1. Right-click the Docking Station PC Host icon (Figure 15). 19

22 Using the Docking Station PC Host Software Select Exit Docking Station PC Host. The icon is removed from the Windows System Tray area and the application is closed. The Docking Station LED lights will change from 4 solid green to 2 blinking amber. Use the close button ( ) located in the upper right corner of every window to close application windows and leave Docking Station PC Host software running. Start/Restart Docking Station PC Host 1. Click on in the Windows System Tray area. 2. Select Programs from the Start menu. 3. Select Dictaphone, then WAExpress. 4. To start the Docking Station PC Host software, click on Docking Station. The Docking Station cycles and the Docking Station PC Host icon is displayed in the Windows System Tray area when the application is ready. Configuring the Docking Station PC Host Software After installation, Docking Station PC Host software is ready to transfer voice files using the configuration settings entered on the setup windows. However, you can change any of the settings used during normal software operations as follows: 1. Display the Configure Docking Station PC Host dialog box (Figure 16) by either: Right-clicking the Docking Station PC Host icon, and select the Configure Docking Station PC Host menu option, OR Selecting the Configure button from the WAExpress Docking Station Status window (see Figure 17).

Modify Docking Station PC Host configuration settings as follows: Mailbox Directory Enter the location of the directory where the files for each upload or download operation are stored on your PC or a connected network device. The setting displayed here is the same that was specified during installation (see Figure 8 on page 14). Port Select the same port that has the Docking Station cable connected to it. Transfer Mode Auto (default) lets the system select the optimal transfer protocol. Only when necessary should you select a specific parallel port transfer protocol from the drop-down list (Compatible (Nibble), Bidirectional (BYTE), and Extended (ECP)). When the Extended (ECP) option is selected, the radio buttons for Use frames for Using the Docking Station PC Host Software 21

24 Using the Docking Station PC Host Software transfers, and Use DMA for transfers options are available for selection. AutoRun on Startup Click on this box to remove the check mark if you do not want Docking Station PC Host to start up automatically each time you turn on your PC (Not recommended!). OK button Exit from this window and keep the current changes. About button Check the current version of the Docking Station PC Host software. Cancel button Exit from this window and discard the current changes. Checking the Status of the Docking Station To check the status of the Docking Station connected to your PC, right-click on the Docking Station PC Host icon and select Docking Station 00 to display Figure 17 (or just click on the icon). 25 The following status information is provided at the top of the WAExpress Docking Station Status window: State Indicates if the Docking Station is Present, or if there is No Docking Station (refer to Troubleshooting on page 33 to verify that the station is powered up and properly connected to your PC). Mailbox Directory Specifies the location of the directory where the files for each upload or download operation are stored on your PC or a connected network device. The main display area of the WAExpress Docking Station Status window is divided into three sections: 1. Docking Station Provides summary statistics for all file transfer (i.e., upload and download) operations including: Authors Total number of file transfer operations. Files Uploaded Number of files uploaded to the PC. Files Downloaded Number of files downloaded from the PC to the Docking Station (not applicable to Version 1.x). Session Time Total elapsed time since Docking Station PC Host was activated. 2. Current Author Lists statistics for the current file transfer operation, including: ID ID of the last author programmed into the Walkabout Express portable (i.e., AUTHOR ID). Files Uploaded Sequentially counts up the number of files uploaded to the PC and displays a percentage total of the files uploaded. 26 Using the Docking Station PC Host Software 24 uploading the second of five files, 2 of 5 (40%) is displayed in the text box. Files Downloaded Provides the same type of statistics described in the previous paragraph for a download operation (not applicable to Version 1.x). Session Time Represents the total elapsed time for the file upload/download operation. 3. Current File Lists data for the last or current file that the Docking Station PC Host software transferred, including: On Transfer Station The ID of the file on the Docking Station (also represents the ID of the file on the Walkabout Express portable inserted into the Docking Station). On PC The ID assigned to the file on your PC or an attached network device. Directory The subdirectory in the Mailbox Directory specified at the top of the window, where the current file is stored on your PC or an attached network device. KBytes Transferred As the file is transferred, this statistic counts up the number and percentage of KBytes in the file transferred through the Docking Station. Session Time Represents the total elapsed time for the single file transfer operation. You can use the control buttons at the bottom of the WAExpress Docking Station Status window as follows: OK Close the window. You can also press the Alt and F4 keys or the close button ( ). About Check the current version of the Docking Station PC Host software.

27 Configure Open the Configure Docking Station PC Host window (Figure 16). Utility Opens the WAExpress Docking Station Utility window (Figure 18). Updating the Docking Station Firmware Software The Docking Station firmware software should only be updated when you receive a new version of Docking Station PC Host software. Perform the following steps to update the Docking Station only after completing the Docking Station PC Host software upgrade on the host PC (as directed in the update package). 1. Click on the icon to open the WAExpress Docking Station Status window (Figure 17). 2. Click on the Utility button to display the WAExpress Docking Station Utility window (Figure 18). 28 Using the Docking Station PC Host Software 3. Click on the Update button to reconfigure the Docking Station. You are prompted to confirm this action. Select Yes to continue (or No to cancel). 4. You can view the status of the upgrade in the Current File area of the WAExpress Docking Station Status window. When the update is completed, the Docking Station beeps, and a banner message is displayed (Figure 19). The update is now complete. 29 USING THE DOCKING STATION TO UPLOAD VOICE FILES Docking Station PC Host software uploads all the voice files that are saved as COMP or PCM on the portable to your PC as soon as you place the portable into the Docking Station (providing the LED lights are solid green and the portable is powered OFF, or at the Main menu). See your Walkabout Express Operating Instructions manual (L- 2411) for details on saving COMP and PCM voice files. How to Upload Files Follow these instructions to upload your voice files from the Walkabout Express portable to your host PC. 1. Power OFF the Walkabout Express portable, or have it set to the Main menu. At the Main menu, the portable should display the total number of files currently in memory (for example, TOTAL FLS:07). 2. Check to see that the 4 LED indicator lights on the Docking Station are all on green (steady, solid, no strobing). The 4 LED indicator lights on the Docking Station are used to monitor the status and transmission activity of the unit. When the lights are: Solid green - indicates the PC connection is established; the Docking Station is ready to receive Walkabout Express files, and the host PC is ready to receive data transmission. Strobing green - indicates the Docking Station is transmitting data. Flashing red - means the unit is either not ready, or a transmission/connection problem has occurred (see Troubleshooting on page 33). Using the Docking Station to Upload Voice Files 27

30 Using the Docking Station to Upload Voice Files 3. Insert the Walkabout Express portable into the Docking Station (Figure 20) to begin the transfer process. During the file transfer operation: i. Observe the LED indicators on the front of the Docking Station. The LED Indicators turn red and strobe in sequence from left to right as the files are transferred from the portable to the Docking Station. When Docking Station PC Host software begins to upload the files to your PC, the LED Indicators on the Docking Station turn green and strobe in sequence from left to right. 28 After all the files are uploaded, the LED Indicators on the Docking Station remain green and stop strobing.

31 Note: If you want, you can remove the Walkabout Express portable from the Docking Station as soon as the LED Indicators turn from red to green. ii. Observe the following sequence of messages displayed on the Walkabout Express portable: a. XFER STATION ACKNOWLEDGED The portable is acknowledging the presence of the Docking Station. b. SETTING PATH TO PC The software is setting the upload path from the Docking Station to the configured mailbox directory. For example, C:\DICTAPHONE\MAILBOX. c. SENDING FILE 01 (02, etc.) Appears as each file is uploaded to the Docking Station. Numbering may not be sequential. d. NN FILES SENT TO PC Indicates the specific number of files that were uploaded (where NN is the total number). e. POWERING DOWN IRDA The software is completing the file upload operation. 5. After the last file is transferred, the Walkabout Express portable displays the Main menu (Figure 21) for 20 seconds before repeating Step 4. The portable display reads Total FLS:00 indicating that all completed files have been successfully transferred and deleted from the portable (see Important Note on page 30). 6. Remove the Walkabout Express portable from the Docking Station, and turn it off by pressing the On/ Off button. The portable can also be removed at any time after Step i (when the four Docking Station LED Indicators begin to blink green). Using the Docking Station to Upload Voice Files 29

32 Using the Docking Station to Upload Voice Files Be sure to remove the Walkabout Express portable from the Docking Station when the transfer is completed because the transfer process automatically begins again in 20 seconds. Figure 21: Walkabout Express Portable Main Menu (Step 5) Important Note: By default, all voice files are deleted from the Walkabout Express portable after the transfer has been completed (Delete Files option on the portable is set to ON). However, if the Delete Files option is set to OFF, then files are not automatically deleted from the portable after the transfer. In this case, if the portable is not removed from the Docking Station, or it is reinserted without deleting sent (old) files, then duplicate files are transferred. 33 Also, note that if you begin dictation and leave the dictated job open (unattended) on the portable, after 10 minutes the job will automatically be placed into the completed status. This file will be transferred even though the dictation was incomplete. Managing Voice Files on the Host PC After Uploading You do not need to be concerned with managing files on the host PC. When operating (and configured to Enable Auto Send), Enterprise Voice Agent (EVA) software automatically transfers the files from your PC to the Enterprise Express Voice system for use (Figure 12). Recovering From Interrupted Transmissions Once the Walkabout Express is placed into the Docking Station, it tries to send all files (except incompeted ones, INC), even after you have interrupted the transfer by removing the portable from the Docking Station. Press the thumbwheel at any time after removing the portable in the middle of a transfer to stop the transfer cycle, and return to the Main menu. Using the Docking Station to Upload Voice Files For Example: If you remove the portable during the file transfer, the portable tries to finish sending the file. Eventually, the portable beeps three times, displays an ERROR SENDING FILE message, and then tries to send the next file. The sequence continues until the portable attempts to send the last file. The portable displays the number of files that were successfully transferred to the PC, then returns to the Main menu. 31

34 Using the Docking Station to Upload Voice Files After interrupting a transfer sequence, you can place the Walkabout Express portable back into the Docking Station after the portable LCD displays the Main menu (Figure 21), and the Docking Station LED indicator lights have returned to solid green. If you want to stop the transfer of files from the Walkabout Express portable to your host PC: 1. Remove the portable from the Docking Station at any time during the transfer. 2. Press the thumbwheel. Two messages are displayed before the portable returns to the Main menu (i.e., ABORT IRDA OPERATION, POWERING DOWN IRDA). 32

35 TROUBLESHOOTING Verifying Docking Station Connections Perform the following steps if the ERROR icon is displayed in the Windows System Tray area (Docking ERROR Icon Station PC Host icon with a red X through it), OR if the two LED indicators on the right front of the Docking Station are amber (or orange) and blinking. 1. If the LED Indicators on the front of the Docking Station are not illuminated, make sure that the smaller end of the AC power adapter is connected to the rear of the Docking Station, and the power adapter s electrical plug is connected to a power source. Plugging in the unit (apply power), clears the ERROR icon. 2. Verify that the female end of the 25-pin Docking Station cable is securely connected to the rear of the Docking Station. 3. Verify that the male end of the 25-pin Docking Station cable is securely connected to the LPT parallel port on your PC. 4. If the ERROR icon is still displayed, perform the steps in the next section. Troubleshooting Troubleshooting the Docking Station PC Host Software If you completed the steps described in the previous section and the Docking Station PC Host icon still has a red X through it (ERROR icon), perform the following procedure to change the software configuration data. 1. Click the on the ERROR icon to display the Configure Docking Station PC Host window (Figure 16 on page 21). 33

36 Troubleshooting 2. In the Port section of the configure window, make sure that the proper LPT port is selected. 3. Click OK to exit from the Configure Docking Station PC Host window. 4. Right-click on the ERROR icon and select the Exit Docking Station PC Host option to exit from the software. 5. Restart the software using procedures described on page 20.
