The PS NHM&E Data Tables (sometimes referred to simply as Data Tables ) are tables used by jurisdictional health departments to document the progress they have made toward their CDC-funded, HIV-prevention goals. The Data Tables are populated with the various HIV Testing and Partner Services data that are entered or uploaded into EvaluationWeb on an ongoing basis. 5 What kind of data does each table have? The Data Tables contain the data shown in the table below. Note: A tables are for Category A funding data, and B Tables are for Category B funding data. Table Name Data Description A-1 & B-1 Valid Test-Level HIV test events and valid newly diagnosed positive test events A-2 & B-2 Valid, newly diagnosed positive test events, stratified by Healthcare vs. Non-healthcare setting, with breakouts for: Linkage to HIV medical care Confirmed test events Interviews for Partner Services Referrals to Prevention Services A-3 & B-3 Valid, previously diagnosed positive test events, stratified by Healthcare vs. Non-healthcare setting, with breakouts for: Clients not in care Re-engagement in HIV medical care Interviews for Partner Services Referrals to Prevention Services A-4 & B-4 Valid newly diagnosed positive test events and valid previously diagnosed positive test events, broken out by site type A-5 & B-5 Valid newly diagnosed test events and valid previously diagnosed test events in Healthcare vs. Non-healthcare settings, stratified by: Gender Race HIV risk category A-6 & B-6 Aggregate-level test events and newly diagnosed positive aggregate-level test events, stratified by: PS funded vs. reimbursed test events Data submission period Note: Tables A-6 and B-6 are for data associated with testing events for which you cannot obtain test-level data. Staff with administrator accounts in EvaluationWeb can run the NHM&E Data Tables Report in EvaluationWeb to see their jurisdiction s Data Tables. Instructions for running this report are given later in this guide. Back to FAQs List Do Data Tables reports correspond to specific time periods? Yes. Each Data Tables report, for present and past reporting periods alike, displays data in half-year segments (January-June and July-December). There are also full-year versions of the report. 7 Do all Data Tables reports contain the same tables? Yes, for the most part, but some Data Tables reports from 2016 are smaller and only contain: Tables A-1 through A-5 B-1 through B-5 D-2 and D-3 However, each smaller report also has a full version, containing all the tables, in the list of archived Data Tables (see the next frequently-asked question). See Running & Printing the PS Data Tables Report for instructions. Back to FAQs List Where does the data in the Data Tables reports come from? Data in some of the tables is calculated from the required NHM&E HIVprevention data that you enter or upload into EvaluationWeb on an ongoing basis. This is true for tables: A-1 through A-5 A7 B-1 through B-5 B7 C1 Data in other tables is copied directly from data you enter manually into the Aggregate system in EvaluationWeb. This is true for tables: A-6, A-8, & A-9 B-6 & B-8 See Manual Data Entry for instructions on how to do manual data entry for these tables. Partner Services data tables are populated from your jurisdiction s Partner Services data when it is uploaded to EvaluationWeb. 8 Who does manual data entry? EvaluationWeb administrators at jurisdictional health departments perform the manual data entry. Back to FAQs List What algorithms are used to calculate the numbers I see in the reports? Click the Where do these numbers come from? link on the EvaluationWeb Aggregate System landing page to see the algorithms currently used to calculate the data you see in the Data Tables reports. Back to FAQs List What is E- Authentication and what is it for? E-Authentication is the process you complete with CDC to verify your identity so that you can have access to electronic systems such as EvaluationWeb that are used to report federal data. Details on E-Authentication are given in the section following the FAQs. Back to FAQs List How do I get an EvaluationWeb account? Before your EvaluationWeb account can be authorized and created, you must complete E-Authentication. After your E-Authentication is completed, contact the Luther Consulting Help Desk, who will verify your E- Authentication status and then authorize and create your EvaluationWeb account. 9 E-Authentication E-Authentication information E-Authentication is CDC's web-based identity verification process. All staff who access any federal data reporting system, including EvaluationWeb, are required to have their identity verified through E-Authentication. Staff who will be accessing EvaluationWeb and who have not yet done so should apply for E-Authentication as soon as possible since it involves several steps. To start the process, go to evaluationweb.com in your web browser, and then click the Request CDC eauthentication link. When you have completed E-Authentication, you will receive a confirmation . After you receive the , contact the Luther Consulting Help Desk, who will then authorize and create your EvaluationWeb account. If at any time you need to check the status of your E-Authentication application, contact Lourdes Gordillo (HKQ7@cdc.gov) at CDC. 10 The EvaluationWeb Aggregate Data Entry System Accessing the System Accessing Data Entry System The EvaluationWeb Aggregate data entry system allows you to enter data into EvaluationWeb manually for tables A-6, A-8, A-9, B-6, & B-8. Perform the steps in the table below to access the Aggregate system in EvaluationWeb. Note: You must have an administrator account in EvaluationWeb to access the Aggregate system. 12 Aggregate Data Entry System: Components & Navigation Components & navigation Section The table below describes the components of the Aggregate system in EvaluationWeb and provides instructions on how to navigate in the system. Description Landing page: navigation Bar Located at the top of most Aggregate system pages Has clickable links to open pages for three different Aggregate data categories: o Aggregate RRA o Aggregate Testing o Aggregate Interventions & Service Integration Has a home button to return to the Aggregate system landing page from most pages of the Aggregate system Landing page: navigation Tiles Three Aggregate data navigation tiles are located below the navigation bar. You can click the navigation tiles (or the navigation bar links) to open the Aggregate Testing or Aggregate Interventions & Service Integration pages. Note: The Aggregate RRA tile takes you to the Aggregate Risk Reduction windows in EvaluationWeb. Data entry instructions for this category are not part this user guide. 14 Overview Manual Data Entry Window Components This section provides a visual introduction to the data entry screens where you enter data manually for Tables A-6, B-6, A-8, B-8, and B-9. Category Description Aggregate Testing screen In the Aggregate Testing page, you can access the data entry windows for Tables A-6 and B-6. Notes: Tables A-6 and B-6 are identical except that Table A-6 is for Category A and Table B-6 is for Category B. 16 Data Entry Instructions Aggregate Testing Tables (A-6 & B-6) This section guides you through entering data into the Aggregate Testing page in the EvaluationWeb Aggregate system. It covers entering data into Tables A-6 and B-6. 17 Result: The Aggregate Testing page displays. 3 Click the desired reporting year in the menu near the top left corner of the window. 4 Click the half-year or wholeyear reporting period for the data you would like to enter. 19 6 Type the requested data into Tables A-6 and B-6. 7 Click save in the top or bottom right corner of the window when you finish typing data into both tables. It covers entering data into Tables A-8, A-9, and B-8. 25 Tip For Tables A-8 and A-9, use the add a row button if you need more rows when you have multiple target populations. During the first half-year reporting period, you may enter new populations. In the second half-year reporting period, these same population categories will appear again. However, to edit these selections, you will need to return to the year s first half-year report and make modifications there. 7 After you have finished entering data in the tables, click save in the top or bottom right corner of the window. 26 Running & Printing the NHM&E Data Tables Report Running & Printing the Report Perform the following steps to run and print the PS Data Tables report. Step Action 1 Log in to EvaluationWeb, and then click the Reports button in the menu on the main page. 27 Step Action 3 Click the Report Name dropdown arrow, and then click NHM&E Data Tables in the dropdown list. 4 Click the View Report button. Result: The report selection page displays. It is divided into 2 sections, one for Active Data Tables and one for Archived Data Tables. The Active Data Tables section is partitioned by year, PS NHM&E Data Tables: Data Entry and Reporting in EvaluationWeb Page 27 of 31

28 Step Action 5 Click the blue link in either section of the page for the report you want to run. Result: The selected report is downloaded to your computer. Note: The downloaded document box (redboxed in the screen shot above) may look different on your screen depending on how your system is set up or which browser you use.
