1 Overview Introduction Overview components of OnDataSuite - OnPoint, OnPar, OnView Log in URL, Login & password provided by your ODS Admin Chrome/Firefox preferred browsers My Account Click the three horizontal bars (Hamburger menu) located on top right of black menu bar. Select My Account. Your Profile (To change your password.) Roles and Responsibilities (Select areas of interest for training. Becomes a listserv.) 1
2 File Center link (Black menu bar) Data Sources o PEIMS load data anytime/multiple times o TEA Cohort o Pearson files- STAAR/TAKS/TELPAS o ACT/College board o CRDC Dashboards tab-district and Campus- multi year Fall Dashboard- student counts from PEIMS Snapshot data (last Friday in October) o 2
3 o View student profile/dashboard Select a student ID or View Profile from any student list Use Search tab (blue menu bar) ashboard-total number of days in membership, present, absent Summer Dashboard-total number of days in membership, present, absent 3
4 Academic Dashboard Tab o Attendance percentage by reporting periods o Disciplinary incidents by reporting periods o Disciplinary incidents by reporting periods o o STAAR, TAKS, and TELPAS assessment data o STAAR, TAKS, and TELPAS assessment data 4
5 Operational Dashboard Tab o Staff experience and retention percentages available by district and campus o Master schedule available by campus only Basic Report Building (Ad Hoc) Ad hoc reports may be created for student, assessment, staff, or finance (depending on your access) using PEIMS and/or student assessment data. Instructions for Creating Ad Hoc Reports? Help option to explain the data source and description for each record in the Student Report Center Select a Record from Report Center Select a data element(s) from the Criteria: drop down box(es) Select Filter (located on the right) list of codes for the data element o Choose the code or codes to include on your report. (search feature) o Leave the boxes blank & all codes, with a value, will be on the report. Click Create Report 5
6 Example: Fall Enrollment -Select year(s) for the report- if none are selected, all of the available years of data will pull Select the Criteria: 1 -a data element from drop down box. Example: Grade Level o To further refine your report, select Filter (located on the right) This will produce a list of all codes for the data element. Choose the code or codes to include on your report or leave the boxes blank and all codes with a value will be included. Continue to Select Criteria: for additional data elements and filters as needed Select the Create Report button Select Print - to create a hard copy (top left corner, black menu bar) Use Report Options with your ad hoc report (Located in upper right corner of the report) Graph Control (Pie, line or bar graph can be created.) Heatmap On/Off (Makes it easier to see high and low points in the data.) Export to Excel creates data in a spreadsheet. After generating, select download link in bottom left corner to open report. Bookmark (To save the parameters of the report or to share your report with other ODS users) Display Percent s for each of the columns To Generate a list of students/staff, click any number in any row or column. They are linked to the list that make up the count. Sort the list by selecting the arrows on any column heading See Tools available to use with your list. 6
7 Use Column Options - (Located above the Local Student ID column in the gray bar.) o To add a column of data to a student/staff list o Change the appearance or the report. To add a column of data to the list Select a Data Type Select a Record Select a Criteria Select a Year Click the Load Changes and Add Column button To Hide a column (Check the box in Hide column and Load Changes. Column will not display in list.) To change the Display of the data in the column (You can choose to display the data Description or the PEIMS Code or both by making selection in the box in the Display column.) To Remove a column of data, click the red no sign. To change the Order of columns (Click blue arrow in Order column and move arrow up or down and Load Changes.) Click Load Changes. Available Reports- Validation & Custom Reports Simply open the folders in Student, Assessment, Staff, or Finance and click on desired report. Use Tools to export to Excel, Book mark or see more information on the report. 7
8 Accountability-Reports to provide Federal and State Compliance and Accountability data, plus a Performance Based Monitoring Section complete with all the Indicator and Validation Reports. NOTE: Each report adheres to the rules in the most updated, published manuals and documentation. Support link Ticket System- Enter a question, problem, or feature request.
