1 User Manual Student Portfolio This document was created to help schools utilize the web-based applications offered by DMAC Solutions. 2 2 Using Student Portfolio Log in to DMAC Solutions at *Teacher passwords are automatically generated based on class roster uploads sent to DMAC. The DMAC District/Campus Administrators can create logins for other user roles. Click on Student Portfolio* under Student Plans *Note: If plans such as RtI, PGP-HS, PGP Intervention and SSI have been purchased, they can be accessed through Student Portfolio. Districts must subscribe to these plans for the current school year. Student Portfolio is a FREE component of DMAC Solutions that allows you to see a comprehensive view of a student's academic records. View historical data for a student from State Assessment, TEKScore and TPRI, along with the student's demographic/enrollment information and plans such as RtI, PGP-HS, PGP Intervention and SSI. Navigating > > The top of the screen displays Student Portfolio in the black bar even after entering the following applications: Student Portfolio, RtI, PGP-HS, PGP Intervention and SSI. > > For detailed instructions on using the plans listed above, please visit the training materials section online for additional handouts. > > The default screen for Student Portfolio is Student Search. Click the link (Search/ Students) on the top left to return to this screen at any time. District-level logins can establish settings for the applications by clicking the Settings drop-down list, or the settings icon on the right.
3 3 Searching for Students > > Narrow the list of students using the search parameters > > Teachers who login will only see the list of students attached to them from Utilities/Class Roster > > To the left of the screen, select a Campus and/or Grade and click Search > > Search for students by their first or last name (including partial names) > > Note: The tabs along the top will help guide a search for information, as well as the scale located at the bottom of the screen. The Portfolio button is the default view in Student Search and will show the student s Last Name, First Name, Grade and if they have an RtI, PGP-HS, PGP Intervention or SSI plan (denoted by a green check). Click on the green check icons to enter a student s plan.
4 4 Advanced Filters > > To filter the list of students, click the purple filter icon on the top right of the screen to select parameters such as demographics, assessment results or plan-specific information. > > Select the General, Tests, PGP-I, PGP-HS or RtI tabs to choose information for the search. Click apply to filter the list. Batch, Settings and Print > > District level user roles may click Settings in order to set the number or years that show in a student's portfolio > > Click Batch to add the same note to more than one student's portfolio at one time
5 5 > > Click Print to select and print pieces of a student's portfolio. This can also be done in a batch by choosing more than one student. A "grid only" feature is available for printing a filtered list Individual Student Portfolios > > To view a student s individual portfolio, click on the to the far right of the name on the Student Search page. Navigating Student Portfolio > > The student s name appears at the top left of the screen with gender, date of birth and age.
6 6 > > Use the icons along the top right or the tabs to navigate within the student s portfolio. Section Icon Description Charts View/print individual STAAR, TAKS or Local assessment (TEKScore) history in a chart. This is also the default tab when first viewing a student s profile Profile View student demographic information along with enrollment (class schedule) for the current year Data Plans Students Print View a student s complete historical state and local assessment data (TEKScore), including TELPAS results and TPRI/Tejas LEE View any plan (RtI, PGP-HS, PGP Intervention and SSI) initiated for a student Quickly identify another student from the search results while still in the individual student portfolio view Print comprehensive summaries of students historical data. Select items to print and choose to either print for all students, a selected group of students or one student at a time Charts > > The Charts tab displays a student s individual state and local assessment history (TEKScore) by subject area > > Use the check-boxes next to each subject to display chosen content areas on the chart > > Print chart allows for printing the chart as seen on the screen > > Utilize the slider along the bottom of the chart to select the number of years of data to be included > > Hover over plot points to see percentage and scale scores for individual tests
7 7 Profile > > The Profile tab displays the student s demographics and classes (for the current year) NOTE: This information comes from the Class Roster data submitted to DMAC. This information may be updated manually in Utilities. Data > > The Data tab gives you access to a student s complete state and local assessment (TEKScore) history > > Select the State, Local and TPRI/ TJL icons to view assessment data > > Click to view a detailed page with the student s performance from the selected assessment.
8 8 Plans > > The Plans tab displays individual plans created for a student by School Year, District and Campus > > Click to view the specific plan (RtI, PGP HS, PGP Intervention or SSI) Notes, Files, Forms and Audit > > Note: Districts must purchase these applications for access to add, modify or delete plans Notes > > To add a Note to a student s record, choose Notes and click. Select where to display the note by using the drop-down list. Type or paste the note and click save. Choose to print the note here or at a later time, in order for it to appear on a printed plan.
9 9 > > To view all of the notes attached to a student s record click. > > View who wrote the note (user), date and time, option to print, edit or delete. Edit individual notes by clicking or delete notes by clicking. > > NOTE: Only the author or a campus administrator may edit or delete a note. > > Click column headings to sort > > Include notes on printed plans by clicking. The green check mark will indicated that it will print. Click the Print column header to select all to print/not print. > > Select Add New to add a new note. Files > > Select Files to add or view an existing.pdf attachment. > > To add a file to a student s record, click. Select where the file is to be attached by using the drop-down option, select your file (must be saved as a.pdf), and click save. Option to rename the file before clicking save. > > To view all of the files attached to a student s record click. > > View who wrote the file (user), date and time, choice to print, edit or delete. Edit individual files by clicking, or delete files by clicking. > > NOTE: only the author or a campus administrator may edit or delete a note. > > Click column headings to sort. > > Include files on printed plans by clicking. The green check mark will indicated that it will print. Click the Print column header to select all to print/not print. > > Select Add New to add a new file.
10 10 Forms > > NOTE: Your school must purchase the FormWorks software to attach custom online forms that can be filled out for individual students. > > Select Forms to view or fill out a form for a student. > > To complete a form, click. Select and fill out the form to attach to the student s record and click save. > > To view any Forms attached to a student s record, click > > View who completed the form (user), date and time, option to print, edit or delete. NOTE: only the author or a campus administrator may edit or delete a form. > > Click column headings to sort > > Include notes on printed plans by clicking. The green check mark will indicated that it will print. Click the Print column header to select all to print/not print.
11 11 Audit > > Select Audit, to view all activity occurring in a student s portfolio and plans. > > Use the drop-down to view activity by application. > > Note: The Audit section is read-only. These are generated automatically; Click to view in more detail. Printing > > Click in the upper right hand corner at any time to print an individual student portfolio. Print for individual students, or a selected group of students at one time. Select the information to be printed on the document. > > To print a list of students, click print from the Student Search page and check Grid Only.
