1 Creating an Account Ad-ID codes are created at In order to create a code, you must first have a group, prefix and account set up and associated to each other. This document will provide instructions on creating an account. Accounts are used to deposit credits so that you can create prefixes and codes. 1. In the top navigation, click on Create a New Account. 2. If the company for which the account is being created is a 501(c)(3) non-profit, check the box and you will be directed to our website with more information on that process. If the company is not a 501(c)(3) non-profit, leave the box unchecked. 3. Enter the account name. This can be any label and is usually the advertiser name, agency name or combination of both to describe what the account is for. 4. The invoice memo allows users to enter in any data that is required to be on all invoices. This will be saved for the account and all invoices created against the account will include the memo on the invoice. For example, if a vendor # is required on each invoice, you could enter that here. This field is not required. Creating an Account Page 1 of 7
2 5. The billing information will populate based on your user profile and you can edit as needed. All fields are required. a. At least one must be provided to receive invoices and statements. Multiple addresses may be entered, separated by a comma. b. If you would like invoices for this account to also be ed to the user who made the purchase, check off the Also send invoices to purchaser option. 6. Next you can associate the account to existing groups and prefixes. It is not required to choose a group or prefix in order to create the account. a. Once a group is chosen, you can select from a list of prefixes that exist in that group to associate to the account. Use the control key to select or deselect multiple groups or prefixes. b. You must be an Administrator or User of the group/prefix in order to associate the item to the account. c. If you are not able to do the association, please contact Ad-ID Customer Relations Creating an Account Page 2 of 7
3 7. If a prefix is selected, the Parent company will be determined by the prefix chosen. a. If a Parent company is associated with the prefix selected, this information will be automatically populated and the same Parent will be associated to the locked account. This prefix can then only be used for the advertiser to which it is licensed. b. If an unlocked prefix is chosen, a Parent is not associated, and the prefix can be licensed to agents (ad agencies, distribution companies, etc.) and used for multiple advertisers that do not have a locked prefix. 4 8. If a prefix is not selected, you can create an unlocked account or use the Parent search or Look-up to find a Parent company. a. Locked accounts are associated to a Parent company and the account can be used only with prefixes associated to the same Parent. b. Unlocked accounts can be licensed to agents (ad agencies, distribution companies, etc.) and used for multiple advertisers that do not have a locked prefix. 9. To create an unlocked account, check the box. 10. To create a locked account, associate to a Parent company by using the Search or Look-up to find the appropriate Parent. a. The Search option allows you to search for values starting with the letters that are typed into the Search field. The system will show values that it finds based on what you ve typed in and if you find the correct one, just click on the option. If you want to change this information, you can click on the Reset button to do another search. Creating an Account Page 4 of 7
5 b. You can also click on the Look-up button to look for a value in any field. Type in the value and click on the Search button. There may be several pages of results, depending on the Look-up term. The results are sorted in alphabetical order by Parent. Once the correct item is found, click on the row that contains the desired values and the Parent company will populate. 11. Once completed, click Add New account. Creating an Account Page 5 of 7
6 12. Next you can make a purchase on the account. a. The account creation has already been completed and you are not required to deposit money at this time. If you do not want to deposit money, click Cancel. b. Otherwise, enter the amount you d like to deposit then click on the payment method of purchase order or credit card. If you choose purchase order an invoice is sent via . Enter the purchase order number or credit card information, depending on which option was chosen. c. The Invoice Note is not required. The Invoice Note is additional descriptive information to be displayed on the invoice for this purchase (e.g. Purchase covers one prefix and 2 codes). d. Please note the billing information and Invoice Note entered here will be the information shown on the invoice. Creating an Account Page 6 of 7
7 13. Click Next and you are brought to a confirmation screen to verify everything is correct. Click Confirm to complete the purchase or Back to make changes. 14. Next you are brought to the account home page confirming the account has been created and the credits have been purchased.
