1 This guide provides detailed instructions for setting up a secure account to access your personal information through HR/Payroll Connection. Beginning Tuesday, January 31, your secure account must be set up in order for you to access your pay statement, W-2 form, direct deposit information and other pay or tax information on HR/Payroll Connection. If you have questions about the instructions, please contact the HR/Payroll Connection Support Center at Support Center Representatives are available Monday through Friday from 8 a.m. to 8 p.m. Eastern Time. A change is being made from Single-Sign-On Authentication to Direct Authentication whereby CHI employees must create a new account on the PaperlessEmployee.com system (where your pay information is stored). Single-Sign-On allows you to log into InsideCHI and then click through to your pay information without additional user names or passwords. Direct Authentication requires that you log in with a user ID and password each time you view your pay information. Creating this new account is a one-time operation that uses a Trusted Contact security option. Trusted Contacts are derived from each employees contact information stored in Workday consisting of their work address, work phone number and personal phone number. A file will be sent from Workday on a daily basis to the PaperlessEmployee.com system containing records with each employees ID and their three contact fields. This file, combined with employee demographic information already stored on the system will be used to create and maintain employee accounts. The Trusted Contact method of account creation is designed so that employees can securely set up their accounts using computer accounts or telephones under their exclusive control. The following sections demonstrates the process. Access the PaperlessEmployee.com website through links in the HR Payroll Connection pages located on the InsideCHI Portal. Clicking on the View my Pay or related links will load this page: From the main page click the Create Account button.
2 Note: You must be an employee with a valid record in Workday in order to create an account. New hire and modified employee records from Workday take at least one day to be updated in the PaperlessEmployee.com system. Enter your Employee ID, Social Security Number and Date of Birth in the appropriate fields. Make sure that you use the mm-dd-yyyy format for the Date of Birth field, for example Click the Show buttons by each field to display the information in plain text. The button label changes to Hide, clicking it again will mask the information with asterisks. Click in the box next to the I am not a robot sentence, this process ensures that an automated program does not attempt to create an account in your name. You will be presented with an interactive screen where you must match pictures to a phrase. In this example you are being asked to select images with trees. Clicking in the squares will check those squares. After making the appropriate selections click the VERIFY button in the lower right corner of the box. The three icons in the lower left corner of the box can be used to select a new phrase and images, elect to use an audio cue instead of pictures and display help text respectively. If the selections you made are correct you will see a check mark next to the I am not a robot sentence and you will be able to
3 click the Authenticate & Create Account button. If your selections did not match the phrase you will be presented with another phrase and set of pictures and can make another attempt at selecting the correct pictures. After successfully negotiating the authentication process you will be presented with a series of screens where you will create your account. On the next screen you will be required to enter your first and last name along with the user ID and password that will be used to access this account. The middle initial is optional. Additionally, you will select the trusted account you want to use verify your identity. Your User ID can be your employee ID or any combination of numbers and letters you choose that meets the User ID requirements. Your password must meet the minimum requirements outlined on this page. A password strength graph will aid you in creating a strong password. Per CHI Policy, always keep your user ID s and passwords safe and secure. Additionally, please do not use the same user ID or password that you have for your CHI sign on credentials. The Receive a Verification Code section is where you select your Trusted Contact method. The selections are partially masked with asterisks so that they will be known to you but not to someone else. This section will only display contact information that has been previously set up in your Workday account. If you do not have a work phone number and/or personal phone number set up there, only your work address will be presented here. In this example the employee only had their work address and a personal telephone number set up in Workday. Click to circle to the left of your selection and
4 then click the Verify button. Note: work phone numbers must be direct dial, no extensions. After clicking the Verify button, a pop-up box appears prompting you to enter a Verification Code. This code will be sent to your account if that is what you selected. If you selected a telephone number you will receive an automated voice phone call to that number with the code. Enter the code number that you receive into the Verification Code field and click the Submit button. You will have 15 minutes to enter the code before it becomes invalid and the verification process will need to be restarted. Below is an example of the that is sent to you (left) and its code being entered into the Verification Code field (right). If your verification code is accepted you will then be able to complete your account creation by filling in additional security questions and contact information. These three security questions are required. They are used if you have forgotten your account password and need to reset it. Each question has a drop down selection box where you choose from a list of questions
5 and then provide the answer that is specific to you. Set up contact information that can also be used for password resets. The primary address is required and must be verified by clicking the Verify button. If you use an address already associated with your account it will immediately verify, otherwise you will receive an with verification instructions. In addition to using security questions or an address for password resets you can optionally enter a phone number that is capable of receiving text messages. If you elect to set up a number here, it must be verified. The verification process will send a text to you. Enter this code in the pop-up box that appears and click the Submit button Your phone number will now be shown as verified.
6 Once all of your account information has been verified, scroll to the bottom of the screen. You ll need to answer a few more questions relating to delivery of your documents. After you ve answered the questions, click on the Save Notification Option Settings button. Your account setup is now complete and will not require you to use or a phone to log in to view your pay information. However, each time you access the site to view your information you will be required to log in using the user ID and password you created here. Please note that each time you log into the system you will receive an notifying you that your account was accessed. This is normal and is an additional safeguard. An example of that notification is below.
