2 How to: Send Blast Messages What is Blast? Blast is a one-way messaging application that allows your office to engage with multiple patients at one time via text messages, phone calls, s, or secure portal messages. Providers can broadcast messages to multiple patients at one time. Blast is not about communicating with one patient regarding their personal information. Instead it s a means of communicating with multiple patients at one time for a specific reason. You can use Blast to automatically send messages to patients with: Instructions for future appointments Follow-up information asking patients if they have any questions about their appointment/medications Office announcements, such as an early closing for inclement weather Birthday Wishes You can also use blast to generate revenue for your office by sending messages about: Annual physicals Sports physicals for athletes Notifications about seasonal health concerns and precautions Flu shots and other seasonal messages Immunizations Back-to-school checkups How to: Send Blast Messages Updated August, 2018 Page 2 of 24
3 What do I need to do first? Before you begin sending Blast messages, take the following items into consideration: Determine if your message will automatically repeat Blast messages can be set up to automatically repeat. Be aware of the day/time: Daily Blast messages will be sent at 9 a.m. each day. Weekly Blast messages will be sent on the same day each week at 9 a.m. it will be the day you set up your initial message. o Example: Tuesday of every week Monthly Blast messages will be sent on the same day each month at 9 a.m. it will be the day you set up your initial message. o Example: the 3 rd of every month Consider the time of day Consider the day and time that you set up your initial message to ensure repeating Blast messages are sent on the appropriate day. Gather Contact Information The outreach of your messages is only as good as the information on file so make sure you gather phone numbers and s for your patients. Include your contact information Blast is a one-way outbound messaging application. Patients cannot respond to your messages, so include your phone number for convenience. DO NOT include personal health information Only messages sent through the Updox patient portal are HIPAA compliant. If you send a text, , or phone Blast message, DO NOT include personal information. Set up templates for frequently used Blasts Set up Blast templates for frequently used Blast messages. This will save you time. Review How to: Use Blast Templates for more information. 4 How do I send Blast Messages? Follow these step-by-step instructions to begin sending any type of Blast message: How do I send Blast Messages? 1. From the Inbox, go to Menu. 2. Select Blast. 3. Select the type of Blast message you want to send: a. Blast b. Portal Blast c. Telephone Blast d. Text Blast NOTE: The Updox Patient Portal is required to send Portal Blast messages. This type of message might include asking patients how they are feeling or providing further information about staying healthy. Follow these step-by-step instructions to send Blast messages: How do I send Blast Messages? 1. Once you access Blast from the Menu, select Blast. 2. A new window will open. Since we are setting up an message, any patient that has a stated preference of text or phone will not be included in this list. 4. From the drop-down menu, choose who will receive your message. NOTE: There are several prebuilt choices. Be specific about which patients from your list receive your message by selecting Filter by Appointment. Choose from: a. Date range b. Calendar c. Appointment type NOTE: This is useful when sending different types of follow-up messages. NOTE: When the message is sent, the variables will be replaced with the appropriate information. For example, your message will say Lisa in place of the [firstname]. 10. For recorded telephone messages, a computerized voice will be used. This type of message may include fasting requirements, bringing insurance information, or even asking patients to arrive early. Follow these step-by-step instructions to send telephone Blast messages: How do I send Telephone Blast Messages? 1. Once you access Blast from the Menu, select Telephone Blast. 2. A secure portal Blast message is the ONLY type of Blast message that is HIPAA compliant.
