1 Release Notes Minfos for Chemmart Welcome to Minfos This document provides an overview of the enhancements and support issue fixes in this Minfos release. Highlights of this release: Multiple Chemmart Rewards enhancements! Key staff: your account customers their statements there s a short user guide. Packing stores: Several enhancements to Medico foils : Print PRN, expiry date, and allergies! Minfos Cloud Backup, the new offsite Minfos data backup service. Keep an eye out for the flyer! And more dispensing and stock control improvements. Notes before you update: Your history of sales on hold at the till will be cleared once, when you update. Pharmacists: Now receiving an owing script doesn't cause the script number to change, but this means the Date of Supply also cannot be changed. Stock controllers: Our support team will no longer need to reflag your received orders, as you can now merge them when they have the same invoice number. If our support team has migrated your store to the tandem ESE database setup, you can still upgrade Minfos as you normally would. To view the upgrade instructions: 1. In your web browser, go to our Self Service portal at 2. In the User Name text box, enter your Minfos ID. 3. In the Password text box, enter your password. 4. Click Login. The Self Service Home page is loaded. 5. Click Knowledge Base. The Knowledge Base page is loaded. 6. Click the article titled Updating Minfos, to display the update instructions. 4 Enhancements This section provides details about the enhancements in this release. Loyalty: Mandatory fields clearly marked with an asterisk A red asterisk, *, is now shown next to the mandatory fields in the Add member and Edit member screens, which have also been visually rearranged to maximise the screen space. The mandatory fields are: Phone # Gender First Name Surname Street # 2014 Symbion Pty Ltd trading as Minfos Page 4 of 24

5 Street name Suburb P/Code (that is, postcode) DOB (that is, the customer s date of birth, in dd/mm/yyyy format) You can now leave non-mandatory fields blank Previously, if you'd entered non-mandatory member details then you couldn't remove these details. Now you can remove the details if they re not mandatory. If you miss a mandatory field, an improved error message is displayed: Loyalty: Built-in customer consent To ensure your store has asked the customer for their consent to collect information, this new prompt is displayed when you add a member: Loyalty: Finding a member: easier and more accurate There are a couple of enhancements that should help you to locate your Loyalty customers: Search by any Loyalty member detail List of member search results to choose from 2014 Symbion Pty Ltd trading as Minfos Page 5 of 24

6 Search by any Loyalty member detail You can now use all member details to search for a Loyalty member which is a huge leap from searching by only their card number, phone number, and address! This extended feature is available in the Find member and Replace card windows. List of member search results to choose from It's now clearer which customer to select and easier to select the correct customer because a list of matching results will display. Loyalty: Member s points balance shown at till A member's Chemmart Cash balance is now shown at the till as their Member's balance. Stock controllers: Ability to view only stocked products in Product Quick Fix Get a clean look at products in Product Quick Fix with this handy new filter! With the new Stocked Only check box, you can choose to show only the products you stock, which helps you to manage your stocked items more efficiently. With the new Stocked Only check box: By default, it's unchecked, so you see all products in your selected range. Check the Stocked Only check box, or press [Alt+S], to view only the stocked products in your selected category. Product Quick Fix lets you review a group of products and change their category or Stocked status. Stock controllers: Improvements to the MNPN Product Import Report After you import your MNPN updates, the report now shows additional information to help you to understand and action the products that have been updated Symbion Pty Ltd trading as Minfos Page 6 of 24

7 Previously, the report had three columns MNPN, Status, and Name and the MNPN column showed the product number, not the product's MNPN. Now, the report has five columns MNPN, Product Number, Barcode, Product Name, and Status in the update and the MNPN column correctly shows the product's MNPN. Stock controllers: Merge received orders for the one invoice Consolidating orders just got a lot easier! Now you can merge your received orders that match with the single hard copy invoice no workarounds needed. This helps when your received order is split into multiple orders for the one invoice. Two orders can be merged when they're both marked as Received, they have the same supplier, and they have the same invoice number. To merge received orders for the one invoice: Stock Manager icon > Order Maintenance icon > Click a received order > Z. Merge > Enter the order number of the other received order, then press [Tab] > If the same product appears in multiple orders with different unit costs, then Minfos recalculates the cost as an average for the orders; this also occurs with Created orders. Pharmacists: Claims continue to process, even when cancelled Some stores reported issues with their claim because they were cancelling a claim as it was processing, because it may have been taking longer to process than they'd anticipated. Now, your Minfos database will continue to process the claim if it's cancelled, so you won't encounter the same problem with cancelled claims. Cancelling an important Minfos process for example, a dispense import or a wholesaler update can harm your database. A Minfos process that s not responding may conclude processing after some time Symbion Pty Ltd trading as Minfos Page 7 of 24

8 Pharmacists and dispense technicians: Select CTG customers faster with this shortcut A new keyboard shortcut for the CTG check box on the Dispensing screen is now available, [Alt+\], to select Close the Gap (CTG) customers. It s easier to find this shortcut and select it because the \ is shown next to the check box, and it's underlined when you press [Alt] and have a customer and drug selected. This shortcut doesn't replace the existing shortcut for the CTG checkbox, [Alt+F1] Symbion Pty Ltd trading as Minfos Page 8 of 24

9 Key staff: your account customers their statements Save yourself that trip to the post office by ing account customers their statements! This enhancement has the potential to transform the account customer billing processes at your store, or it can simply enhance your coverage of billing customers, if combined with printed statements. See the Minfos customer statements user guide for more details on using this enhancement. How it works 1. Set up statements: Enter your server settings, write your store's template, and enable statements. Customers icon > Maintenance menu > 5. Statement Configuration > Contact your internet service provider (ISP) or hardware vendor to request your store's server address and port number. 10 2. Set up account customers: Add an address and enable statements for their account. Customers, Till, or Dispense icon > > Customer Editing or Entry window > Accounts tab > 3. Send it: Run statements, them, then view the send result report. statements will not run automatically, through Neurallion. Customers icon > Reports menu > 2. Statements > 6. 11 Statements will only run for account customers that are set up for statements. > Packing stores: Several enhancements to Medico foils Medico foils have these three enhancements: One: New option to print when required (PRN) on Medico foils Two: Print the drug s expiry date on Medico foils Three: Print a customer s allergies on their Medico foil Tips: Accessing the label template and packing profiles Some of these enhancements require you to edit the Medico label template and packing profiles. To access the Medico label template editing function: Dispense > Maintenance menu > E. Label Options > Choose Label Type drop-down list > Medico Foil > Edit Label > 2014 Symbion Pty Ltd trading as Minfos Page 11 of 24

12 The Medico.lb Labels window is displayed, and shows the editable template for Medico packing labels. To access a Medico packing profile: Dispense > Dispense menu > A. Minfos Packing > Enter the Surname and press [Tab] > The profile must be active to be able to print it, denoted by a green tick,, in the Active column Symbion Pty Ltd trading as Minfos Page 12 of 24

13 One: New option to print when required (PRN) on Medico foils As some drugs should only be taken when the customer requires the drug, and not specifically every day or every second day, you can now record this scenario in a customer s Medico drug foil. This is known as a PRN or when required frequency, and now you can: Select the new option: When required Edit the label template for the PRN option Print the Medico foils for PRN drugs Only one drug can be attached to the profile, to select this new pack type option. Select the new option: When required When Medico is selected as the Label Type, a new option in the Pack Type drop-down list is available. If When required is selected in the Minfos Packing Detail Editing and Entry windows then these options are no longer enabled: All Headings in the Minfos Packing Detail Entry and Editing windows; they show When Required. The Use Default Headings check box. The Default Headings button. The Add button, when one drug is entered in the profile Symbion Pty Ltd trading as Minfos Page 13 of 24

14 When a drug is added to a PRN packing profile, in the Profile Medication Entry or Editing windows: The Frequency defaults to PRN. Only the Meal 1 text box is editable. Edit the label template for the PRN option To ensure that the when required option prints successfully, we recommend that you adjust the label template, and then test this new template s printing Symbion Pty Ltd trading as Minfos Page 14 of 24

15 To edit the label template for PRN option: 1. On the Medico label template, click the #Meal Heading# section on the template. The Text tab becomes editable for #Meal Heading#. 2. In the Style text box, enter text settings that allows When required to print. In this example, the meal heading size is 13 points, on multiple lines, and at that position. Print the Medico foils for PRN drugs In the label template of a When required foil, the: Meal headings print When required. Day strip prints nothing. Meal strip prints When required. 16 To print the Medico labels for PRN drugs: 1. On the Minfos Packing window with the Medico customer selected, click Label. The Medico Label Printing window is displayed, and shows the selected customer. 2. In the Label Options group box, click the Label Type drop-down list, then click Medico. 3. Click the Pack Type drop-down list, then click When Required. 4. Enter the Foil Name, and other details, as required. 5. Click OK, to print the Medico label. Two: Print the drug s expiry date on Medico foils You now have to ability to enter and print a drug s expiry date! Adding this safety measure to your Medico foils will likely please your nursing home customers. The default date for the drug s expiry is two months ahead of the Foil Start Date. The new Expiry Date is not the End Date Symbion Pty Ltd trading as Minfos Page 16 of 24

17 To print a drug expiry date on Medico foils: 1. Manually add the Expiry Date field to the Medico label template: a. In the Medico label template, add a new text field, then check the Attach Database Field check box. b. Click the new #Expiry date# field option. The text box now shows #Expiry date# ; this prints in the format: dd/mm/yy Symbion Pty Ltd trading as Minfos Page 17 of 24

18 c. Adjust the text, as required. In this example, we ve entered 2700 in the Angle text box, to change the orientation of the text box to run along the long side of the foil. 2. Edit and print the expiry date for a Medico profile: On the Minfos Packing Detail Editing window, click Print. The Medico Label Printing window is displayed, and shows the new Expiry Date text box Symbion Pty Ltd trading as Minfos Page 18 of 24

20 Three: Print a customer s allergies on their Medico foil As an extra precaution, you can set up your Medico foils to print any listed allergies. To print a patient's allergies on their Medico foil: 1. Record a customer's allergies: Set up allergies in the Customer Editing window, on the Medical tab, in the Generic Interactions Table (Allergy List) group box: 2. Manually add the Allergies field to the Medico label template: a. In the Medico label template, add a new text field, then check the Attach Database Field check box. b. Click the new #Allergies# database field. The text box now shows #Allergies# Symbion Pty Ltd trading as Minfos Page 20 of 24

21 c. Adjust the text box, in order for the list of allergies to print; for example: In the Angle text box, enter 2700, to change the orientation of the text box to run along the long side of the foil. Check the Multiline check box, to allow the allergies to print on multiple lines. In the W and H text boxes, enter greater values, to expand the text box's height and width. This allows for a longer list of allergies. In this example, I changed the height from -200 to Print the allergies: When the new #Allergies# database field is used, the customer's recorded allergies print as a list under a default heading Allergies:. When no allergies are listed in the customer s Generic Interactions Table (Allergy List) group box, the #Allergies# text box will print No known allergies Symbion Pty Ltd trading as Minfos Page 21 of 24

22 Support issues resolved This section provides details about support issues resolved in this release. Chemmart ecommerce Deleting or merging a product no longer affects the Chemmart Online Newly Available Products report Previously, when you deleted or merged a product that s available online, it appeared in the Chemmart Newly Available Products report with a blank product name. Now, products that no longer exist won t show on the report and newly-merged products correctly show. Dispense Receiving an owing script no longer changes the script number Some stores reported that the script number changed after they'd received an owing script. Now, the script number doesn't change and the Date of Supply is no longer editable, to prevent the script number from changing. When receiving an owing script, the script date can still be edited to the date that the script was written. Receiving an owing for a customer no longer causes discrepancies in their Safety Net balance If you noticed some discrepancies in your customers' Safety Net thresholds, this was due to owing scripts creating calculation errors. Owing scripts are now correctly calculating towards a customer's Safety Net threshold. If your store was affected, the recent history of discrepancies has also been balanced Symbion Pty Ltd trading as Minfos Page 22 of 24

23 Now you're notified when deleting a script that was charged to an account If a script has been invoiced to an account, when you go to delete the script, Minfos will tell you that the script charges may need to be reversed afterwards. Multistore Option in Product Quick Fix restored In Minfos version 3.6.1, some stores reported that the option Remove Supplier Details from Discontinued Products was missing in the Product Quick Fix Options window, under the Quick Fix drop-down list. That option is now available again. Packing When charging to a Pill Box, the similar product prompt now displays for each similar item When more than one similar item is added to a Pill Box, Minfos now notifies you of each item that is similar to items already in the Pill Box. It's no longer the year 2000 when you change the default dose matrix frequency The current date is retained when you check and then uncheck the Default Dose Matrix check box from the Profile Medication Editing window, instead of changing to the year to Till When retrieving a discountable Private script from hold, a sale's discount is correctly not applied The discount on the products in a sale is now correctly retained when you retrieve a script from being on hold, and it's Private and marked as Discountable Symbion Pty Ltd trading as Minfos Page 23 of 24

24 A Department button recalls the correct product when its associated product's barcode matches another product's PDE Before, if a Department button was associated with a product with the same number for a pre-existing main wholesaler PDE, then the incorrect product was recalled on the till. Now, Department buttons on the Minfos Touch Screen Till correctly link to their associated products. Extending a hire and cash out no longer causes a Major Balance Error (MBE) The Till Summary report no longer shows an MBE when you've performed an EFTPOS cash out during a sale in which a hire period is extended. Customers When account statements span two pages, the last payment on page one is now shown Previously, when an account customer's statement spanned two pages, the last transaction on the first page didn't show the payment amounts.
