3 TWC Overview TWC is responsible for overseeing the state s workforce development programs, administering the Unemployment Insurance program, and upholding Texas labor law, and maintaining Texas labor market statistical information 28 Workforce Development Boards & more than 240 Workforce Centers 3,525 boxes

4 Business Problem Aging hardware End-of-life version of Microsoft Exchange Data recovery and stability concerns Mailbox space limitations

5 The Solution Migrate Exchange Servers, mailboxes, personal.pst folders, and Blackberry devices from DCS to the Microsoft hosted solution, part of Office 365. Replace Message One failover with auto-failover at Microsoft datacenters. Move spam filtering and mailbox virus protection to the Microsoft hosted site.

6 The Solution (cont) Activities Retained by TWC o Mailbox administration o General exchange administration o Outlook client support Obtain DIR waiver to remove the TWC environment from DCS

7 Security Review Microsoft Data Centers are FISMA Certified o Toured facility o Physical security is phenomenal Redundancy o Data is mirrored in two geographically diverse data center locations o For all resources (e.g., electricity, cooling, backup, staffing, water) Multiple options o Public cloud o Private cloud

8 Benefits Increase services to staff o Increase mailbox size from 50 MB to 25 GB o Self-service recovery of deleted o Automatic backup Reduce costs o Cost savings ~ $160K per year o Eliminate support for Message One failover o Reduce DCS capital expenses

9 Benefits (cont) Eliminate hardware and maintenance risks o Migrate off 7 year old hardware o Migrate.pst files from local PC hard drives Instant failover for customers Seamless disaster recovery

10 Issues Encountered Upgrades required o Office 2007 sp2 on all agency computers o Deploy AD FS 2.0 on Windows 2008 server Single Sign-On not working o Configure so users didn t have a second sign-on o Require purchase of additional servers o Open ticket with Microsoft

11 Issues Encountered (cont) Office 365 does not support Blackberry devices o Switch agency supported devices to iphone o Very limited time for testing and problem solving Spam settings not as timely or strict Indexing issues for users with large.pst files

12 Issues Encountered (cont) Mailbox issues on Office 365 o Outlook rules should be turned off o Senders with read/receipt turned on receiving auto response that message was deleted unread o Historical s reappearing in batches o Meeting notices reappearing from several years ago o Limit for sending mass s at a time o Manual requirement to correct time zone in Office 365 Web Portal - no global setting

13 Next Steps Migrate remaining.pst files to Office 365 following PC Refresh Implement encrypted for select mailboxes Implement SharePoint via Office 365
