3 Logon to the Fidelity Life Adviser Centre Enter your logon details (agency number) and password here. To logon press the Logon button. Timing and Updating of Data The policy applications and client information are updated in real time. Arrears information is updated overnight. For Investment product fund balances, the Gold Medal balances are updated weekly, whilst the Bonds are updated quarterly. Commission statements are available on the web site the same day as they are produced at approximately 5.00pm each Wednesday. Do I need to log out? It is best-practice to log out once you have completed your session. If you don t log out then, for security reasons, you will automatically be logged out after 20 minutes of inactivity. You will also be automatically logged out if you close your web browser. 1

4 Once you have logged on, you will go directly to the home page below: The news tab will take you to the latest Adviser Alerts. This shortcut will take you to professional development tools and resources. Search your client portfolio online. View latest product information. Access LifeStyle Rewards This area shows the latest news items without having to navigate through the news area. Link to Konnect Any recent updates on your clients proposal progress will show here. Once you are in the home page, you can click on the left hand navigation bar to be taken through to other sections of the website. 2

5 Fidelity Updates News: The News page holds all the past Adviser Alerts. The Adviser Alerts include information on product development, important company information, changes to close-off times and general news from Fidelity Life. Investment Returns: The Investment Returns page shows the most recent Investment Returns updates. These are usually updated by the 20 th of each month. 3

6 Unit Prices: The Unit Prices are updated every working day. Click here to download a FULL list of KiwiSaver unit prices. The Unit Prices are listed by date order. Click here to view older unit prices. Click here to download a FULL list of Portfolio unit prices. Click on any of the portfolio names to view further information. When you click on a portfolio name, the following information will show on the screen: 4

7 Unit Price and Performance of fund updated on a weekly basis. Information on the fund including a summary of the fund and its objective. This will help you when explaining the fund to prospective clients. Click here to get the Unit Price history and performance graph. A graph shows the asset allocation of some of the funds. This is updated quarterly and will help you explain the allocation of assets within the fund to your clients. When you click on the above link to Get the unit price history for the fund, the following information will be displayed: Click here to download the unit price history of the fund. This graph shows you the Unit Price History of the fund. This is another great tool to show prospective clients the changes in the Unit Price of the fund. The graph has tools to allow you to: 1. Choose the time frame. 2. Display the graph only. 3. Display the graph and table. 4. Display a graph with the growth in value of different denominations Click on the Run Report button to view the options that you want. 5

8 Me and My Clients My details The My details page is separated into three separate tabs (Address, Phone/Fax and ) and you can update any of your contact details by simply selecting the appropriate tab. My details page Three separate tabs for Address, Phone/Fax and contact details. 6

9 Updating Address details The Address tab is integrated with Right Address software to make the address capture more efficient and user friendly. You can search for an address by entering the address in the Search Address field as shown below. As the address is being entered, a set of possible matches will be presented in a drop down list for your selection. Where an address is selected from the list presented, the address details will be populated to the address fields below: Where the mailing and physical/residential addresses are the same, you only need to enter it once. Selecting the Copy Mailing to Residential button will automatically copy the mailing address that you have entered across to the Residential/Physical address. You can enter/update the address using the individual address fields if the address you are searching for is not found or Right Address service is unavailable. The Residential/Physical address is optional and you can remove an existing residential/physical address by clearing the address details and clicking the Save Details button. However, the Mailing address is mandatory and cannot be removed. 7

10 Updating Phone/Fax details To update your phone/fax details, simply select the Phone/Fax tab as shown below: In addition to the work, mobile and fax number you can also enter a Toll Free number. You can nominate your preferred phone number by selecting the Preferred button beside the number on which you prefer to be contacted. If you wish to remove a phone number, you can do so by clearing the phone number and clicking the Save Details button. 8

11 Updating details To update your details, simply select the tab as shown below: On this page, you are allowed to enter up to a maximum of two addresses: your main address and an alternate address. For each address there is an option to choose a format for your s. If you have more than one address, you can nominate your preferred address by selecting the Preferred button. If you wish to delete an address, you can do so by clearing the address and then clicking on Save Details. Saving contact details Once you have completed updating your contact details, you must click the Save Details button to save the changes to the database. You only need to click Save Details once, even if you may have updated multiple contact details e.g. address, phone and/or address. Cancel contact details If you do not wish to save any of the contact details you have entered, you can click the Cancel button to back out the updates and revert the information to what it was before editing. 9

12 Manage Passwords If you wish to change your password and/or commission password, you can do so by clicking the icon on the Manage Password section at the bottom of any of the three Address, Phone/Fax and s tabs to display the password fields. Enter your existing password/commission password followed by the new password/commission password. You will be required to re-enter your new password/commission password for confirmation. Selecting the Save Password/Commission Password shall save the new password/commission password to the database. Manage Subscriptions Similarly clicking the icon on the Manage Subscriptions section will enable you to view your existing subscription details and make any changes to your preferences. Selecting the Save preferences will save any changes to your subscriptions/ preferences to the database. You can change your subscriptions and/or preferences by selecting or unselecting the check box provided for each item. Selecting the Adviser or Alternate check box will result in the selected item to be sent to your main or alternate address (as specified in your contact details). 10

Statement Period (Month and year 3. Policy Number You can view a commission statement for a specified period or for a full financial year. Summary of the last 5 statements. Click here to find: 1. Policies with overdue premiums 2. Projected Renewal Commission 3. API data for the last 3 quarters View your general commission details Joe Bloggs View your commission sharing details Jane Doe The Risk API data for the last 4 quarters also enables you to check the Annual Premium you have inforce against any bonus payments which you may receive 11

14 My clients Download a list of policy owners with policy details, mail recipient details or portfolio details. Alternatively, search by policy attribute. Use these features to send bulk mail outs to clients on special offers or newsletters from you. See page 10 on how to do a mail merge using this function. Please note that the more you narrow down the criteria, the faster the query will run. There are three search options: Get Policy Details Enter a valid policy number. Policy Search Retrieve policy list based on search criteria. Client Search Retrieve client list based on a search criteria. 12

15 Click submit search to perform the search. Example 1 List all my In-force Gold Medal policies with Waiver of Premium. - Under Policy Search, select All Policies - Select Policy Status = In force - Select Policy Type = Gold Medal Plan -Select Benefit Type = Waiver of Premium -Click the Submit button Example 2 List all my In-force Just for Kids policies WITHOUT Protective Life Benefit Under Policy Search, select All Policies -Select Policy Status = In force -Select Policy Type = Just for Kids Plan - In the third column highlight all of the benefit types by holding down the shift key, and then deselect the Protective Life Benefit by holding down the alt key and clicking on it. - Click the Submit button Example 3 List all clients with name Smith Under Client Search, select Name (or part of name) Enter Smith (without the speech marks) Click on Submit button Once you have completed the search, the following screen will appear: Mr Joe Sam Bloggs 13

16 How to do a mail merge: Our website permits advisers to download policy and customer information into Excel. Follow the below steps to do a mail merge, and make the most out of your database: 1. Log onto the web site 2. Click on the My Clients button on the left hand navigation bar 3. Choose to download your full policy/mail recipient list in Microsoft Excel format 4. When the download box appears, press open 5. The full policy/mail recipient list will then appear in Microsoft Excel format 6. Save the list as you would normally do 7. Set up a letter using Microsoft Word 8. Go to the Mailings tab, click on the Start Mail Merge icon and then select Step by Step Mail Merge Wizard and follow the steps to do a mail merge 9. Insert mail merge fields into your letter 10. Run mail merge and print letters My KiwiSaver clients You can search for a member by entering the Kiwi Saver Membership ID. Alternatively, search for particular clients by a particular member attribute. *Please note that in the context of this training document we have used the words matured/maturing to refer to a member having become eligible to withdraw their KiwiSaver savings. 14

17 By clicking on Download KiwiSaver Member, a report of all KiwiSaver members and their details will open up in Excel. The Excel sheet will open up as below, please note the following definitions of FLA Join Date and KiwiSaver Join Date. FLA Join Date is the date that the member joined the Fidelity KiwiSaver Scheme. KiwiSaver Join Date is the date that the member first joined the KiwiSaver scheme (whether through Fidelity Life or another provider). 15

18 By searching for members by member attributes (such as below); the following information will show on the screen: Confirmation of your search selections. Download your search results into excel. Mr Joe Bloggs As well as member name and ID, you are also able to view: -Maturity Date -FLA Join Date -Status (either In Force, Exited or Cancelled) Please note that when searching for members who have already matured, an additional (M) next to their status to indicates that they have matured. Mr Joe Bloggs An (M) next to the status indicates that the member has matured. 16

19 By clicking on a particular member ID will open up a new page showing the members details screen. Clicking on a on a particular Member ID will open up a new member details page as shown below. Mr Joe Bloggs Mr Joe Bloggs 101 Testing Road Maturity indicator shows that the member has matured. This will not show if the member has not matured. 17

20 Overdues and lapses Search in this section: 1. Policies which are overdue, lapsed or dishonoured 2. Overdue Policies 3. Lapses Policies 4. Direct Debit dishonours Proposal Progress Click the policy number to view full information on the client and their policy. information , Joe Bloggs 18

By clicking here you will be able to see if there are any payments in suspense for the policy. Renewals and CPI Click the policy number to view full information on the client and their policy. information Joe Bloggs 19

22 This function shows you the renewal schedule for you clients whose policies are coming up for renewal in the next month. There are three columns: 1. Sum Assured and Premium if no CPI option has been nominated 2. Sum Assured and Premium if CPI option has been nominated 3. Sum Assured and Premium with 10% increase offer (if applicable) It is recommended that you look at this on a regular basis so you are aware of the changes to the premiums of your clients. It is also a good tool to use to contact clients and reassess their insurance and savings needs. Special Offers We offer some clients the chance to increase their premiums on Power Saver policies by 10%. There is criteria that has to be met to offer this and your Business Development Manager can explain this to you in further detail. This section of the website shows those clients who have accepted the offer and a breakdown of the new premium that they will be paying By clicking here you can look to see which clients have accepted the offer in the past. 20

23 Product Information The product information is split into two sections: 1. Risk Products 2. Investment Products By clicking on a particular product and you will be taken to a page displaying its policy wordings and fact sheet. Risk products are split into two categories; Platinum Plus and Group. Here you will find documents such as policy wordings and fact sheets. Under Investment products you will find the General tab which includes a number of statutory documents. All information on KiwiSaver is kept under the Fidelity KiwiSaver Scheme section, including fact sheets, statutory documents, stationery items, compliance, adviser tools, client info and useful links. There is also an accreditation tab under KiwiSaver, which takes you to the Fidelity KiwiSaver Scheme Product Accreditation Test. There are also tabs on Life Bonds and Savings, Gold Medal and Pension Transfers which hold all information specific to these products for example under Life Bonds and Savings you will find policy wordings, fact sheets, statutory documents and adviser tools. 21

24 Resources Promotions: This section includes generic promotional materials such as telemarketing scripts, lead letter template, Level Term Comparator and Policy Conversion Advice. Company Information: All generic company information is kept in this section. This includes copies of the Annual Report, Corporate Profile and the quarterly Focus newsletter. All information in this section can be downloaded and printed to give to clients and prospects. Forms and Templates: This section holds all forms and templates that are not specific to an individual product. This includes new business, underwriting and client services forms. There are also lead letters, adviser tools and agency documents in this section. Software: This section holds all of the available downloads for our current software applications. R Stationery Orders: If you would like to order stationery from Fidelity Life it has to be ordered via the Premier Print stationery Website. Click on Stationery Orders and then click on the link: Premier Print stationery website - follow directions as per Website. You can expect to receive your stationery within two to three days. Lending Library: The Adviser Library is designed as a useful resource for professional and committed advisers. It contains a number of books and resources such as MDRT proceedings chosen for their likely interest to advisers. We are continually adding to the collection. Professional Development: This section provides a number of tools which can be used to aid professional development and includes best practice documents, engagement letters and agreements, needs analysis and so on.
