1 QS Production Management System A USER GUIDE

2 This guide introduces you to the new QS Production Management System, which automates the workflow of Production jobs and provides tracking through to completion. It is internet based, so enables anyone with a user name, password, and access to the internet to raise a job at any time. Over the next few pages you will be shown the easy steps you will take to get any production job completed in time. Please enjoy the software. QS Production Team. QS Production Management System

3 To log-in to the QS Production Management System you will need to visit the following web address: Please bookmark the address in your browser so you only ever need to enter it once. Once on the site, you will be greeted by the following screen. Enter your user name and password in the appropriate fields. Click Sign In QS Production Management System

4 Once you have successfully signed in you will see the home page. This is where you can see where your job is in the production pipeline, which of our designers your job has been allocated to, it s current status and whether a proof has been uploaded for you to check. There are various filters to refine your display to your liking. The default filter is to sort the records by Deadline - earliest at the top. It is also where you start your journey to raising a new job on the system. QS Production Management System

5 Raising a new job On the left side of the screen you will see an icon to Add new record. Click it. You will be taken to the next screen QS Production Management System

6 This is where you will enter all the relevant information regarding your job. 1. Job Title: This is to enter the media and possibly a brief descriptor. 2. Product: Here is a drop-down list with all the products of QS, you must choose one. 3. Job Type: Here is a drop-down list with the various types of job you may raise. You must choose one. 4. Deadline Date: Here is a drop-down calendar for you to click the deadline date. You must enter a deadline date. 5. Job description: Here is an open field for you to write a brief for the job including dimensions, whether or not it needs bleed, logos to be included, schools list etc. 6. Link to Job ID: Here is a field where you can enter another job ID created on this new QS Production Management System that may be relevant to the current job. 7. Add new record button: Click the Add new record button at the bottom of the page. QS Production Management System

7 Once you have clicked the Add new record button you will be taken to the following screen. On the left side of the main window you will see all the information you just entered in the box titled Main details. In the centre of the screen you have the opportunity to upload any relevant files such as Word documents with copy, Exel documents with tables, and logos etc. You have successfully raised a job. Click on the View all Records icon to return to the home screen. Now all you have to do is sit back and wait for the next stage of the process QS Production Management System

8 Your job will be allocated to one of our designers, who will be notified via that they have responsibility for your job. At any point from the moment you raise the job through to completion and beyond, you can access the record to check on progress, see or add any notes. You need to find your job on the home screen via any of the filter functions or by searching specifically for the job number, and clicking on the magnifying glass icon next to the job. 9 If we need any further information or assets to begin work on your job, the designer will change the status of the job to Waiting. You will be sent an notification to tell you that has happened. The Designer will make a note on your Job Screen indicating what is needed. When the designer starts work on your job, they will change the status to In Production. You will be given an notification to tell you that has happened. The designer will make a proof for you to check and upload it to the QS Production Management System. You will be sent an notification that a proof is ready to be viewed, the status of the job will be changed to Proofing, and a green tick will appear on the home screen indicating a proof has been uploaded. Click on the magnifying glass icon next to your job and you will be taken to the Job screen. QS Production Management System

10 On the right hand side of the Job screen you will see the Proof details. To view the proof click on the Click here to view icon. Depending on what format your job is in, it will either be displayed in you browser window (.gif,.jpg), or you will be prompted to download it to your computer (.pdf,.tif,.eps). 11 Here is your opportunity to approve or disapprove the job. If you do not approve the job, choose No from the Sign Off Proof File drop-down list. Write a description of what needs to be changed in the Comments box. Click on the Add sign off button. An notification will be sent to the designer allocated to your job to let them know you have disapproved the job. The designer will then make changes as appropriate or write a note on the job as to why certain changes could not be made and upload another proof to the system. You will be sent an notification that a proof has been uploaded. QS Production Management System

12 When you are happy with your proof, choose Yes from the Sign Off Proof drop-down list. An notification will be sent to the designer letting them know you have approved the job. They will then change the status of the job to Completed and it will be removed from the Home screen. You will be able to access the job at any time in the future by searching for the job number using the filters on the Home screen. A convenience of this new QS Production Management System, is that you will now be able to copy the link to the final approved file, and it to your media partner. They will then be able to use the link to download the file, just as you did to approve the proof. Right mouse button click on the approved files link and select copy shortcut, then paste that in an and send it to your media partner. If the media partner needs changes made to the file, you can access the job from the Home screen, and change the Sign-off status to disapproved.
