2 Create or open a telephone call encounter When a patient calls for medical advice or to refill a prescription over the phone, you document the call in a telephone or refill encounter. Calls from patients requesting a prescription refill are documented in refill encounters. Click Refill in the main toolbar to create one. Calls from patients asking for medical advice, information, or anything other than a prescription refill are documented in telephone encounters. Click Telephone Call to create one. Both telephone and refill encounters use the Call Intake activity to guide you through tasks. The Call Intake activity is similar to other activities you use during office visits, but the sections in the Call Intake activity are tailored to call-related tasks. Document call information Document information about incoming and outgoing calls in the Contacts section of the Call Intake activity. 1. Open the Contacts section. 2. Click Incoming Call, Outgoing Call, or Other. 3. Enter relevant information, including the name of the person calling or being called and her phone number. Click the appropriate buttons to quickly pull in information from the patient's chart, such as the name of a guardian or the caller's home phone number. 2
3 Document the reason for the call In a refill encounter, Medication Refill is automatically listed as the reason for the call. To document the reason for the call in a telephone encounter, follow these steps: 1. Open the Reason for Call section. 2. Enter the first few letters of the reason in the Reason field and press Enter. A list of matching reasons appears. Double-click a reason to select it. If you can't find the specific reason you're looking for, try selecting a more general reason and adding more information in the Comment field. For example, enter Migraine as the reason and enter more information about the type of migraine in your comments. Document additional information about the call Record additional comments about this call and any advice you gave to the patient in the Documentation sidebar tab. 1. In the Documentation sidebar tab, write your comments by typing or using SmartTools. 2. When you're finished, close the section to save your note. 3
4 Route a telephone call You can send telephone and refill encounters to other clinicians from the Routing section. For example, you might send a refill request to the patient's PCP. You can send messages through In Basket or by fax. 1. Open the Routing section. 2. To send an In Basket message, enter a clinician or group in the Recipient field. The message is sent when you close the patient's workspace. Refer to the What is an In Basket pool? topic of your In Basket Quick Start Guide for information on sending messages to groups, which are called pools in Epic. 3. To send a fax, click Add Fax and enter recipients in the Edit Fax Recipients window. 4. When you're done documenting the call, press Ctrl+W to close the workspace and send the message. 4
