1 EPIC 2015 UPGRADE: Workflow Changes EpicCare Ambulatory and Specialty Applications Version 2015 **This is intended to be a high-level overview of EPIC 2015 upgrade changes that are likely to affect the workflows of staff and providers in your clinic. This is provided to encourage managers, staff and providers to discuss these high level changes and plan ahead for new workflows when applicable. It is NOT intended to be a comprehensive training document. The complete EPIC Upgrade Bulletin will be sent by prior to the v2015 Upgrade on May 14, 2016.** Triage Encounters: Triage is now a chunky button Triage navigators are now horizontal and not vertical; click on topics (such as Contacts, Medications) to view or document relevant patient information instead of scrolling Triage notes are in the right sidebar; triage notes can be collapsed so look for the carrot mid-field to re-open a collapsed note A wrench is available to allow customization of the navigator sections for improved efficiency Sign Visit has replaced Close Encounter When routing, the Priority and Add My List buttons have moved When routing, the Send and Close Workspace button replaces the Close button
2 In Basket: The Triage folder in In Basket has been retired. All Triage and Telephone Encounters will now flow to Pt Calls/Routing folder. On May 14 th, end users will likely have old Triage messages in a visible Triage folder. When these old messages are completed, the Triage folder will disappear. All new messages will flow to Pt Calls/Routing. The In Basket toolbar buttons can be rearranged by selecting Configure Buttons after clicking on the toolbar wrench, use left click and drag to rearrange these buttons In split-pane view, In Basket toolbars will now be on the right-side of the screen to allow the end user to quickly view and act on results/messages Providers can now view and respond to Telephone and Triage Encounters using a mobile device with Haiku or Canto! Tip sheet will be provided as part of the Upgrade Bulletin on April 29, 2016.
3 Chart Review: Use the Encounter tab instead of the Notes tab to view details of a phone, office, or MHC encounter. Reports are cleaner and more compact. There are new automatic filters that allow for filtering by the last user encounter and the last department encounter. Cards containing relevant encounter details will be present on the right side of the report. Patient Visit Encounters: The Medications activity in the Rooming Tab should still be used for Medication Reconciliation but the clinician or staff will need to hover to flag a medication for removal or add comments to a medication Allergic reaction types (rash, anaphylaxis) can now be viewed by hovering over allergies in the patient banner The History Activity has a new look and now includes an option for No known problems The Apply Macro button was replaced by a list of personal Macro icons for providers who have Macros built
4 All provider office notes will be open to patient viewing on the AVS (if encounter is closed at time of printing) and on MHC. To opt-out an individual note from Open Notes, the clinician will need to deselect Shared with Patient in the Notes tab. When a prescription is signed in the Medications and Orders activity, a window will pop-up in the lower half of the screen to show where the prescription was sent. There is a new Sign Orders feature at the bottom of the Visit Encounter screen that allows providers to sign orders without being in the Plan tab or in the Meds and Orders section. A new section called OB/Gyn Status, found under the Rooming tab, will be used to document LMP, OB/Gyn status and lactation status. This may be important to all clinical users as this will be the way to turn off Drug- Lactation or other best practice alerts if a patient is known NOT to be breastfeeding or pregnant.
5 Logon screen: When logging on to EPIC, there will be a change to the Department Login screen. The end users will see an option to change their Print Profile. This will only need to be used if printing Patient Lists in the ambulatory setting. This should not be used or changed to print the multi-provider schedule or other ambulatory items.
