3 LOGGING ON TO SELF-SERVICE BANNER 1. From the University s website ( select Banner from the Fac/Staff/Admin link on the left side of the screen. 2. Select Self-Service Banner (SSB) Page 2 Last update: 10/17/10

4 3. Click Enter Secure Area to access Aggie Access. 4. Log into Aggie Access using your Banner ID and password. Forgot or Do Not Know Your Banner ID or PIN? If you do not know your Banner User ID or Pin, please go to the following site to retrieve it: o o Or search for Banner ID request from the NC A&T homepage, Search A&T button To reset you PIN online, from the Self-Service Banner login page (pictured above), click on the Forgot PIN? button. 5 First Time Logging Into Banner? If you have never logged into Banner before, the default User ID is your birthday, in the following format: MMDDYY. o When assigning a PIN for yourself: it must be 6 numerical digits, and cannot be your date of birth. Click Login to continue to security question. Security Question Type your New PIN number in the Please Confirm your Pin Enter Question and Answer and click Submit Page 4 Last update: 10/17/10

6 APPROVING OR ACKNOWLEDGING LEAVE AND/OR TIME From the Welcome screen, click on EMPLOYEE. Select Approve or Acknowledge Time. Click Select. Page 5 Last update: 10/17/10

7 On the Time Reporting screen, use the drop down box to identify the right Leave period. Click Select. Banner will display the Summary screen. You will see the names of your employees in leave status categories: Not started, in progress, and pending. Page 6 Last update: 10/17/10

8 Note: There are five STATUS categories under Pay Period and Status in which your employee(s) could be classified: 1. In Progress the employee has started their time sheet, but not submitted it for approval 2. Pending the employee has submitted their time sheet for approval 3. Completed the time sheet have been approved and sent to Payroll 4. Not Started the employee has not started the timesheet process 5. Returned for Correction there was a problem with the timesheet and it was returned to the employee to correct. Note that the Leave Records for employees in the Not Started, In Progress, Completed, and Returned for Correction status cannot be viewed. Their names are printed in BLACK. Those in Pending can be viewed. Their names are in BLUE. Page 7 Last update: 10/17/10

9 To review, a Leave Record, click on the employee s name. Note: o Change Selection Button - Displays the Approver Selection page. o o Select All, Approve or FYI Button- Refreshes the page and selects the Approve or Acknowledge check box for all time transactions at Pending status. The approver can then clear one or more check boxes if necessary. Reset Button- Refreshes the page and deletes any changes. Before these actions are taken, the following message is displayed: o Reset will delete any changes you have made, do you want to reset o This message is followed by an OK button and a Cancel button. The approver selects OK to delete changes and refresh the page. The approver selects Cancel to leave the page unchanged. o Save Button - Saves the time transactions that have been approved/acknowledged. These time transactions are then processed through the routing queue. If the user is the final approver in the queue, the transactions are set to Complete. Page 8 Last update: 10/17/10

10 Banner will display the employee s Leave Report summary with details of leave taken and balances. Note: o Approve Button - Check box indicating whether the approver approves or acknowledges the employee s leave report. The approver checks this field to approve or acknowledge the time transaction. o Return for Correction - Check box indicating whether the approver is returning the leave report for correction. The approver checks this field to return the leave report transaction for correction. o Change Record Button Allows edit and corrections to time sheet. o Add Comment Button- Displays the Comments page. The approver can enter freeform comments on this page. Page 9 Last update: 10/17/10

11 To approve the time sheet, select Approve on the Employee Detailed Information page. Note you will get a confirmation screen. Your employee will know the Leave Record was approved because the Leave Report Screen will indicate that for the month the Leave Record is Completed. Page 10 Last update: 10/17/10

12 If you are have questions about an employee s leave you may Return it for Correction. You should add Comments. Banner will display a Comments screen. Enter your comments and click SAVE. Page 11 Last update: 10/17/10

13 Then from the Employee Detailed Screen, click Return for Correction You will receive a message that the Leave Record was Returned for Correction. Page 12 Last update: 10/17/10

14 You may view employee comments from the Leave Report after it is resubmitted for approval In some cases, you may need to change the leave record. Click on CHANGE RECORD. In the following screen, make the changes in the Leave Record, and click SAVE. You will want to inform your employee of the changes that were made. Page 13 Last update: 10/17/10

15 APPROVE LEAVE RECORD AS A PROXY From the Time Reporting Selection screen, click on the Act as a Proxy radio button. From the drop down box, click on the correct supervisor and then Select. You can approve leave as a proxy the same as if you were the supervisor. Page 14 Last update: 10/17/10

16 CREATING A PROXY ***Note: Every Super User is required to have one (1) Proxy and every Supervisor(Approver) is required to have one (1) Proxy.*** A proxy can be set up to allow another person in the department to approve time if the Supervisor is not available. Login and select Time Sheet Click on Proxy Set Up at the bottom of the Time Sheet/Leave Request/Proxy page. Page 15 Last update: 10/17/10

17 The Proxy Set Up page will display. Select the drop down arrow to display a list of users available to be proxies. Scroll through the list until the name/user id of the proxy is found. Select the desired person. Check the Add box. Select Save. Page 16 Last update: 10/17/10

18 The Proxy name will display. REMOVING A PROXY From the Proxy Set Up page, check Remove next to the name of the person you wish to delete as a proxy. Select Save. Page 17 Last update: 10/17/10

19 ***IMPORTANT REMINDERS*** Employees must complete their Leave Report by Payroll deadlines. Supervisors must approve the Leave Report by Payroll deadlines. Leave Balances represent your accrued leave as of the last Payroll cycle. You must approve time and leave accurately. Log into Self-Service Banner several times a month to see if your employees are entering their leave and time. When returning a leave record for corrections, call or the employee and let them know in order that they need to make the appropriate changes. IMPORTANT: FAILURE TO MEET A DEADLINE CAN RESULT IN YOUR PAY BEING DEFERRED UNTIL THE NEXT PAY CYCLE! Page 18 Last update: 10/17/10
