1 avisor Installation avisor Quick Installation Guide The following instructions describe the default install on a local PC. In addition, the lines marked with the sign give you details of different steps that need to be taken if data is to be stored on the network. 1. Connect your chosen network path, e.g. \\Server1\Data\AvisorData to a drive letter on your PC (e.g. Z:\). 2. Insert the avisor CD into your CD drive. The installation program appears after a few seconds. 3. Please confirm all prompts with Yes or Next. Files are copied, the system is configured and the PC will be rebooted. 4. Following the reboot, please copy the avisor.mdb file from the BASF... folder on the CD into the installation s database directory, e.g. C:\Documents and Settings\All Users\Documents\avisor. 5. This step is followed by registration (see next page). 6. Start avisor and {Close} the demo window. Select Tools > Options from the main menu and go to the {Data Source} tab. Select {Modify Data Source} and change the path under Data Source = to your network path from C:\Documents and Settings\All Users\Documents\avisor to Z:\, for example. Once you click {Apply}, avisor restarts automatically and connects to the database. Before you can start entering your quantity take-offs (QTOs), you must now import your client s master data: First, the default bill of service (BOS; filename: Sxxxxxx.s1) Then the master agreement (filename: RVx.r1) Then the individual orders (filename: EAx.e1) As a last step, remove the CD and store it in a safe place. 2 Trial version and avisor registration After installing avisor, this release initially runs only as a trial version. Every time an unlicensed copy of avisor is run, a corresponding message is shown, stating that e.g. no printouts or exports are possible. This also applies to the demo version that can be downloaded from our website at To license the software, proceed as follows: 1. Call our product support hotline in Dormagen on +49 (0) Open the dialog box Help (?) > How To Register 3. Phone through your company details and the content of the Unlock query an. 4. We will then give you an Unlock code. Enter this code into the registration box and confirm your entry with {Unlock}. Page 2 awato Software GmbH Date: November 2014

3 Configuring data exchange via POP3 There are now a number of procedures available in avisor that you can use to carry out data exchange with your client. Alongside the traditional procedure, you also have the option of exchanging order and quantity take-off data in an automated fashion via . The precondition for automated data exchange is that your client also utilizes these features. Once your address is stored at the client, the orders for your company are exported cyclically (generally 1 2x* daily) and sent to your mail address as stored in the system. You can send quantity take-offs to your client s main address at any time. As a check on whether the quantity take-offs were imported as intended, you are mailed an import record containing all of the necessary details. This record may also be delivered in parallel to the order coordinator. To activate the automated transfer, you now need to enter the following data in avisor, using the appropriate menu items: 1. Tools > Options > Internet POP3 enter the name of the POP3 server, e.g. "pop.gmx.net" SMTP enter the name of the SMTP server, e.g. smtp.gmx.net" User enter the login name for the server Password and Confirm Password for the above user These 4 pieces of information (items a d) can be obtained from your system administrator or provider Directory enter a temporary storage path, e.g. c:\temp Date: September 2014 awato Software GmbH Page 3

4 Important note for SSL encryption: Due to the SSL encryption of each provider a separate account for avisor is compulsory. In avisor it is necessary to enter the TCP-port for the pop3 and smtp server directly after the server name. For example "pop.gmail.com:995" and/or "smtp.gmail.com:465". You can get the information about server name and port number from your provider. 2. Addresses > Client First, choose the Company that is the client to which you want to send the quantity take-offs. Data Exchange enter the recipient, e.g. avisor-beu@basf.com. 3. Addresses > Contractor First, select your Partner Number. > Data Exchange enter your sender address, e.g. example@contractor.de > User and here as well, e.g. example@contractor.de Alternatively, you can also use 2 addresses: For Data Exchange , use one that will be used exclusively for data exchange, and For User, use another address that will be used to send log record information. This alternative is also the preferred option. 5. Tools > Options > Transfer Export Format should be ZIP File with Attachments. Note that steps 2 to 5 can be completed in any order. 6. 8 Software update In avisor, you can update the application s files over the Internet. In contrast to a full install, avisor independently checks to see which parts of the program now have updated versions before downloading these from the Internet. The update is conditional on the PC staying online throughout. To perform a software update, proceed as follows: 1. Make sure that a temporary file path e.g. c:\temp has been entered in the Directory field under Tools > Options > Internet. 2. Open the dialog box Tools > Software update. avisor checks the existing files and then, in the following list, highlights all of the program files needing updating in blue. 3. Start the update with {Install}. The system displays a message to confirm the update was successful once it is complete. Page 8 awato Software GmbH Date: November 2014

9 User login for single-seat versions For single-seat versions without user management, user IDs and names can be specified for a maximum of 4 users. After avisor starts, users must then authenticate themselves with a password. Alongside protecting program access, this also enables per-user logging of actions performed. To set this up, perform the following steps: 1. Access Tools > Options > Login. 2. Once User Authentication Required, the text fields are unlocked for entering details for a maximum of 4 users. 3. Enter the Username and First/Last Name. 4. [OK] saves the data entered and closes the dialog window. The first user is the primary system user. Only this account is authorized to change any user settings. If an existing entry is modified, then the password for the user in question is reset to the default password of avisor. 10 Authentication in avisor: The Username is the user ID that must be entered to authenticate the user. The initial password is avisor (all lowercase) and must be changed after the first login.
