2 2 Journey Group Leaders Seraphim Training Seraphim is a Church Management System designed to help you keep track of group members, save time and create efficiencies between leaders and the back office administrators. Seraphim is chock full of features that can really make your life easier and possibly increase the growth and effectiveness of your group. Starting up Seraphim Using IE, Firefox or Safari (for Mac), type into your browser. Seraphim uses a plug in called Silverlight and will soon be switching to pure HTML5. If you look at the end of this document, you will find helps and troubleshooting for this if needed. How it works Seraphim is managed by the back office of Journey, but dozens of smaller Journey Groups are created to create a private, more intimate environment for each group. Everyone is working on the same data, it s not duplicated and this creates huge efficiencies in both tracking and reporting. In short, Seraphim keeps everyone on the same page. If you add someone to your group, they are automatically added to the overall Journey church group. Likewise, the back office can align a person into your group. New people can also sign up through the church web site using a Group Finder. If they sign up through the web site, you, as a group leader, will receive an expressing the seeker s interest. You can click a link right in the to add them to your group. You can do this as they come in, or wait until they show up and add them later it s a process and policy that you chose. 3 3 When a person clicks Sign up, Seraphim will look to see if we already have them in the system, if so, it will send you an telling you who is trying to join and a link to connect them to your group. If we can t find them, you ll need to add them as a new person. If you think they are already in the system, the back office administer can align them to your group as well. Adding a New Family Go to the Administration Menu and click the Directory Tile. Click New Family in the top tool bar. Fill out the information for the last name and first name. Even though this tool works with families, you can use this for single people as well, or for people where the family unit is not well understood at the time of entry. If you click the Outreach Tab, you can set the Campus they go to there. Once you have filled out the form, click Save. The person and their family unit is built for you automatically. This helps the back office as well. Sending to your Group Members Managing a changing distribution group for can be frustrating. Seraphim makes this super easy. Just follow the steps below to send an

4 4 Navigate to Distribution Lists by logging in at startseraphim.com > Administration > Directory> Distribution Lists Select the group that you are sending the message out to. Select the method of communication you are sending (Preferred , Personal , Other , Mobile Phone, Home Phone). Click on the names of the individuals who you would like to send communication to. You can use the Click All and Click None buttons for your own convenience. Once you have selected all of the names that you would like to send communication to. Click the Distribution List button. This loads the phone numbers or addresses into the queue and gets them ready to send your message. This is also a good time to review your list. Click the method buttons at the bottom of the page. If you are sending an , click the allow message box that pops up within Seraphim after selecting that option. If you are going to send a text or call select that button, then on the screen that will fly in, select the call or text option at the top. Type in your message and hit send when you are ready. Sending an SMS/Text to your Group Members Sending a Text Message is as simple as sending an . Text messages need to be less than 160 characters (and Seraphim will help you know where you are in this limitation as your type). Creating an Event to take Attendance You can t take attendance until you have an event. All the Community events are localized, but have the added advantage of being composited on the main Journey Calendar. Here s the steps to take to add an event we ll do a recurring event to make this easy. Under Administration, Click the Event Tile. It s going to be easiest to do this under the Day view, so Make sure you click the Day view on the left menu bar. Click New Event, you ll see a screen like this: Select Community for Event Type and give the event a memorable name, like Community Group or <your group name> Group. Set the Start Date and Start and ending Times. For a recurring event, click Repeats and select the day of week. Don t forget to set the end date to the end of the repeating series. Don t set up recurring events for large spans of time (years).

Taking Attendance One of the coolest things about Seraphim is that you can take attendance from anywhere on any device. Here s the simplest way to do this.

Below are a couple troubleshooting steps to take to make sure Seraphim Software can run effectively on your Mac. 1 The first thing to check is to make sure that Silverlight is installed. You can check this by going to and if you don t have it installed you will see the image below: If you don t have it installed, please click the install button and run through the prompts to install. Most likely after you install you will need to close and quit your browser before you try and pull it up again. 2 Make sure that you have the most up-to-date version of Silverlight. In the library folder open Internet Plug-Ins folder. Find Silverlight.plugin and delete.
