1 ACCOUNTS PAYABLE DIRECT DEPOSIT IMPLEMENTATION GUIDE INTRODUCTION The MSI-Accounts Payable System (MSI-AP) is capable of depositing vendor checks automatically into vendor bank accounts through an electronic data transfer. The system will create a NACHA file format to be transmitted to your host bank. This document will cover five areas, A. Setting Up System, B. Pre-note Processing, C. Direct Deposit Processing, D. NACHA File Layout, and E. Sample Reports. A. SETTING UP SYSTEM There are four main areas in the MSI-AP that need to be activated. These are: 1. Bank Maintenance 2. System Defaults 3. Vendor Maintenance (Screen 2) 4. Remittance Layout Setup 1.00 Bank Maintenance WHAT IS A BANK CODE? These codes represent bank definitions that are used during direct deposit of vendor checks. One bank code needs to be created for each different bank that vendors have. HOW DO I DEFINE MY BANK CODES? 2 The following fields are required to define your bank codes. After each field has been entered, press TAB to save your entry and proceed to the next field. Bank Code (User definable) - this field is alphanumeric and can be 1, 2 or 3 characters in length. Bank Name - identifies the name of bank this code will apply to. ABA Number - represents the first 8 characters of the bank s account number. NOTE: Each bank must have its own entry in the Bank Code Master File. Both the municipality s bank and each bank used by a vendor must be entered. The minimum number of entries is one bank code, and that would only be valid if the municipality and all vendors used the same bank. P:\Document\User Guides\Public GUI\AP Direct Deposit.doc 2
3 2.00 System Defaults WHAT IS SYSTEM DEFAULTS FOR DIRECT DEPOSIT? General Accounts Payable information informs the MSI Accounts Payable application that direct deposit is activated. HOW DO I ENTER SYSTEM DEFAULTS FOR DIRECT DEPOSIT INFORMATION? From the Accounts Payable System Main Menu, select Support > Direct Deposit Menu > System Defaults for Direct Deposits The following fields are required to activate direct deposit for AP. After each field has been entered, press tab to save your entry and proceed to the next field. Municipality s Name - Municipality s name that will be submitting the NACHA file. Address 1 and 2 - Municipality s address that will be submitted on the NACHA file. City - Municipality s city that will be submitted on the NACHA file. 4 State - Municipality s state that will be submitted on the NACHA file. Zip Code Municipality s zip code that will be submitted on the NACHA file. Origination Bank Code identifies the bank that will send the NACHA file to destination bank. (If your bank will be processing the NACHA file, the destination and origination bank codes will be the same.) Destination Bank Code - identifies the bank that will process the NACHA file. Bank Account Number - the municipality s account number at their bank Bank Account Type indicates whether the municipality s bank account number is a checking or savings account. NACHA Description - description on the municipality s bank statement to describe the deposit FEIN the Municipality s FEIN number NACHA Offset Record select this check box if your bank requires offset records in the NACHA File NACHA Records CR-LF select if your NACHA file format will be in a carriage return format, leave unselected if it should have a line feed format (aka word wrap) P:\Document\User Guides\Public GUI\AP Direct Deposit.doc 4
5 3.00 Vendor Maintenance Direct Deposit WHAT IS VENDOR MAINTENANCE? This program is where you will set up and maintain your vendor data. You can add new vendors or maintain information on your existing ones. HOW DO I MAINTAIN MY VENDORS FOR DIRECT DEPOSIT? From the Accounts Payable System Main Menu, select Maintenance > Vendor Maintenance From your Vendor Maintenance screen input the vendor number and press Tab to pull up that vendor s information. Click on the Card File icon from the toolbar to proceed with entry for their direct deposit information. The following fields need to be completed for the direct deposit to be active. 6 electronically, otherwise the system will generate a check for them. Bank Code - identifies the vendor s bank and is pre-defined in your bank code maintenance. Account Number - this field represents the vendor s account number at the bank Account Type select whether the account number entered is a checking or savings account. Send Remittances Select this if you want to notify your vendor by that payment has been sent Prenote Sent Originally this should be unchecked. You will need to send a prenote to the bank for this vendor to verify the bank information is correct. This is covered further down. After a prenote is sent, this field will automatically check itself off to indicate to you that a prenote file has been sent for this vendor Remittance Layout Setup WHAT IS REMITTANCE LAYOUT SETUP? The system is capable of ing your vendors when payment is made. This program is where you will set up and maintain how you want the s to your vendors to read. HOW DO I ENTER REMITTANCE LAYOUT INFORMATION? From the Accounts Payable System Main Menu, select Support > Direct Deposit Menu > Remittance Layout Setup and complete the Subject Line, Paragraph 1, and Paragraph 3 fields. 8 B. PRE-NOTE PROCESSING WHAT IS A PRE-NOTIFICATION? A pre-notification allows you to send a zero dollar NACHA file to the bank to determine if the vendor s entered information is accurate this insures that when you are actually processing payment to this vendor that the money will flow through without issues. It will pull all vendors in the vendor file that have a direct deposit flag selected AND the prenote sent flag unchecked, into the NACHA file and once sent to the destination bank, a $0 pre-notification will occur in your vendor s accounts. Prenotes should be run at least a week before a pay run is processed to give the bank time to process the file and report back to you any issues they encounter. HOW DO I PROCESS A PRE-NOTIFICATION? In order to generate a direct deposit pre-notification file, you need to go to the Create NACHA File program off of Support > Direct Deposit Menu. Press the Generate Prenote File button. The program will check to see if any vendors have a direct deposit flag selected AND the prenote sent flag unchecked and will move those vendors into the APNACHA.DAT file. If there are no prenotes the program will reply back there are no direct deposits to be generated. If prenotes are found, you will be returned to the Create NACHA program. 9 Note: Once your APNACHA.DAT file has been created you must send this file to the bank. Some options of transmission include sending via , sending diskette via courier or sending via modem. You must discuss with your bank what options are acceptable and come to an agreement for transmission. Also, discuss with your bank how acceptance will get back to you. Most banks will only notify you if the pre-note was not received successfully. These items must be discussed and agreed upon before transmission can occur. Whichever method is used to send the pre-note should be followed when transmitting your actual direct deposit file. P:\Document\User Guides\Public GUI\AP Direct Deposit.doc 9

DIRECT DEPOSIT PROCESSING In order to generate a direct deposit through accounts payable, MSI-AP needs to be run through the normal invoice entry, accrual (if applicable), and check run process. There will be a few additional steps when processing direct deposits, those will be reviewed below. Print Direct Deposit Remittances During your Standard Check Processing, if you have vendors being paid by Direct Deposit, the system will prompt you with a message while you are printing checks that Direct Deposit Remittances will need to be run: When you receive this prompt simply take the option to Print Direct Deposit Remittances off the Standard Check Processing menu. This will print out detail onto plain paper that may be sent via regular mail to your vendors as proof of payment submitted. Update Files During your Standard Check Process, when you reach the end and select to Update Files this program will not do some new things behind the scenes that it didn t do before. Understanding what the program does will help you to understand the next steps you need to take in order to properly process the direct deposits. When the Standard Check run containing direct deposit payments is updated (Checks > Standard Check Processing > Update Files), two files will be created one called APDIRDEP.DAT and one called AP I.DAT. The APDIRDEP.DAT will be used by the system to create the APNACHA.DAT file that is transmitted to the bank. The AP I.DAT will be used to create the remittances. This option will also generate a report - an Audit Report that details the deposits the run contained. After you have checked the report for accuracy, and after accounts payable has been successfully updated, the NACHA file must be created. Create NACHA File Once your check run containing direct deposits is successfully updated, go to Support > Direct Deposit Menu > Create NACHA file so that the system can create the APNACHA.dat file that you will submit to your bank so that they may process the deposits. 11 The top half of the screen (labeled Display ) is static. It will default to the detail you have entered under your System Defaults for Direct Deposit screen. If an invalid bank code had been input to the System Defaults Screen there will be no bank name that displays. If this happens, system defaults maintenance needs to be re-done. The bottom half of the screen (labeled Entry ) needs to be input with the below information before you click OK to create the file: Transaction Description Date (optional) can be filled in with today s date, accounts payable check run date, or any other optional date. Transaction Effective Date (mandatory) the date entered will be the date the pre-notification is recorded on your vendor s accounts. The system will check to ensure a valid date has been entered. After the file has been created the number of direct deposits processed will display as well as the amount of cash required for the direct deposit check. MAKE NOTE OF THIS INFORMATION BEFORE YOU CLICK OK TO THE PROCESSING IS COMPLETE MESSAGE. Please compare this total to that found on the Audit Report and the last check in your check run. 12 Note: Once your APNACHA.DAT file has been created you must send this file to the bank. Some options of transmission include sending via , sending diskette via courier or sending via modem. When the option to Create NACHA File (Support > Direct Deposit Menu > Create NACHA File) is run, the program uses the APDIRDEP.DAT file that was generated during the check update to create the APNACHA.DAT. Once the NACHA file is generated, the APDIRDEP.DAT file is renamed APDIRDEP.001 and a new, empty APDIRDEP.DAT file is left on the network. This program also creates a backup of the AP I.DAT file called AP I.001. Send Remittances If any of your vendors are setup to receive their remittances by (rather than a printed copy) you need to run this process AFTER you create the APNACHA.dat file. Simply go to Support > Direct Deposit Menu > Send Remittances so that the system can read the AP I.DAT file that was generated when the check run was updated so that it can determine who to send s to. Once the s are completed the AP I.DAT file is emptied out so s cannot mistakenly be sent again. If the option to Send Remittances is taken before the option to Create NACHA File, then the NACHA program will not create a backup AP I.001.
