3 ACH allows you to pay or collect money from individuals or companies. You might send a payroll file or collect monthly dues from your clients. To get started you need to create a batch. This serves as a template allowing you to utilize it on multiple occasions. Once the batch has been created you will then initiate, thus sending the information to Anchor Bank. The bank then originates the file. 4 3) Enter your AnchorLink Password and click Submit. TIP: If you forgot your AnchorLink password, please call AnchorLink Support as the reset password link is only for personal users and not business users. 4) Enter your Secure Access Token Code. 5) Click Submit. 6) Users who have enrolled in the ACH product will see the options as listed; users who have not enrolled will not see the tab. Contact a Cash Management Specialist at (952) to sign up for this service. 7) Click ACH tab. CREATE A BATCH There are a few ways a batch can be created. If you have software that is able to create NACHA formatted files, you can simply upload the batch. If not, you may use the manual feature and enter the information in. A third option is to import, which uses a combination of upload and manual. TIP: Deadlines Same-day delivery: Noon central time o Same-day is for credits, under $25,000, not SEC code IAT or ENR, or tax payments. All other delivery dates: 4:00 p.m. central time 4

5 NACHA FILE UPLOAD Various accounting software programs are able to create a NACHA formatted file, which is the only ACH file format that can be uploaded into AnchorLink. Before uploading to AnchorLink, the file must be saved to your computer. 1) Select Upload from the ACH tab. 2) Click Browse to locate the file. Using files with.txt file extension is recommended. 3) Click Upload. 4) Once uploaded, the batch appears on the batch listing page. 5) A generic batch name generates based on a sequence number. Optional: Modify the batch name by selecting Edit from the dropdown menu. NACHA FILE FORMAT Each record within a NACHA file is 94 characters in length. A NACHA File consists of blocks, each block consists of 10 lines or records. If a file has only 84 lines, six filler rows of all 9 s are added to make it an even block of 10. The first character in each record indicates what type of record it is. The different record types are as follows: NACHA FORMATTED FILE FIELD DESCRIPTION 1 Record - File Header Record This identifies the date and time the file was created along with the sending and receiving points of the entries within the file. 5 Record - Company Batch Header Record This identifies the originator of the file, (which customer of the bank) and a brief description of the purpose of the file (payroll, gas bill, etc.). 6 Record Entry Detail Record Contains information regarding the individual transactions. This includes the name of the account owner, their bank ABA #, account number, account type and transaction amount. 8 Record Batch Control Record Contains the counts, hash totals and dollar totals of the transactions within the batch. 5

6 9 Record File Control Record Contains the dollar, entry and hash totals of all the batch control records within the file. An ACH or NACHA file can contain multiple batches within a file. For example, you could originate transactions for each of your entities within a single file. Each batch would be separated by the 8 record, the 8 record would be the totals for that particular entity and the 9 record would be a total of all the 8 records. Most ACH or NACHA files only contain one batch, thus the 8 and 9 records contain the same information. It will indicate if the field is (M) Mandatory, (R) Required or (O) Optional. Only the Optional fields can be left blank in order for Anchor to accept the file. This is a sample file: (The first line in red is for the purpose of identifying the field locations) A094101Anchor Bank COMPANY NAME 5200COMPANY NAME PPDPAYROLL Employee Name COMPANY NAME The following is a breakdown of each line with a description of each field and if it is required or optional. The fields alternate between black and blue to differentiate the fields. The record highlighted in red below is the 1(one) record File Header Record and is broken down as follows: A094101Anchor Bank COMPANY NAME 1(ONE) RECORD FILE HEADER RECORD POSITION Position 01 Record Type Code Position Priority Code Position Immediate Destination Position Immediate Origin Position File Creation Date Position File Creation Time Position 34 File ID Modifier Position Record Size DESCRIPTION This is the 1 (one) record File Header Record. This will be 1 (one). Required Field This will be 01. Required Field This field contains the Routing Number of the receiving point to which the file is being sent, in your case, Anchor Bank. This field will be a blank space followed by Required Field This field contains the Routing Number of the sending point that is sending the ACH file, in your case, Anchor Bank. This field will be a blank space followed by Required Field The date the file was created in YYMMDD Format. Required Field The time the file was created in HHMM, 24-hour clock format. Optional Field This field will contain A. (must be a capital A) Required Field This indicates the number of characters contained in each record. This will be 094. Required Field 6

7 Position Blocking Factor Defines the number of physical records within a block (a block is 940 characters). This field will be 10. Required Field Position 40 - Format Code This field will be 1 (one). Required Field Position Immediate Destination Name The name of the institution receiving the ACH file. This field will be Anchor Bank. Optional Field Position Immediate Origin Name This field contains the name of the sending point that is sending the ACH file, in your case, your company name. Optional Field Position Reference Code This field can be left blank. Optional Field The next line is the 5 (five) record (Company/Batch Header Record) and is broken down as follows: COMPANY NAME PPDPAYROLL (FIVE) RECORD COMPANY/BATCH HEADER RECORD POSITION DESCRIPTION Position 01 Record Type Code This is the 5 record Company Batch Header Record. This will be 5 (five). (Required Field) Position Service Class Code This tells the bank what types of transactions are included in the file debits, credits or both. (Required Field) Position Company Name This is the name of the company that is originating the ACH transactions. This will be assigned to you from the bank for each entity that you are originating transactions for. In this example it is COMPANY NAME. The field is case sensitive and must match what the bank has established. Use COMPANY NAME in this field. (Required Field) Position Company Discretionary Data Anchor Bank does not require this field, leave this field blank. (Optional Field) Position Company Identification This is the identification number that is assigned by the bank or provided to the bank. Typically, it is 1 + the company s Tax ID number. In COMPANY NAME s case this would be (Required Field) Position Standard Entry Class Code This tells the bank what type of transactions you are originating. For payroll this will be PPD Pre-arranged Payments and Deposits. This could be different if you were originating transactions between businesses. (Required Field) Position Company Entry Description This is the description that is used to describe what the transaction is. In this example it is PAYROLL. Enter PAYROLL in this field. (Required Field) Position Company Descriptive Date This is used for descriptive purposes. In this example 12/15/03 was used. This field is optional. This field if used is in YYMMDD format. (Optional Field) Position Effective Entry Date This is the date that the transactions will settle. For payroll purposes this will be pay date. On this date the money will be deposited to the accounts in the file and COMPANY NAME s account will be charged. This field is in YYMMDD format. (Required Field) Position Settlement Date (Julian Format) This field is left blank. Position 79 Originator Status Code This field is used to identify what type of institution is originating the transactions financial institution or government entity. This will always be a 0 (zero). (Required Field) 7

8 Position Originating DFI Identification Position Batch Number This field is used to identify the financial institution originating the ACH transactions. This field will be (Required Field) This indicates the batch number. The batch numbers are sequential in order and begin with and continue to You will most likely only be originating one batch at a time, therefore enter into this field. This will be a 6 (six). (Required Field) This tells the bank what type of account it is and if it is a deposit or a withdrawal. The most common transaction codes are as follows: 22 Deposit to a checking account 32 Deposit to a savings account 27 Withdrawal from a checking account 37 Withdrawal from a savings account 23 Prenotification of a checking deposit (zero dollars) 33 Prenotification of a savings deposit (zero dollars) 28 Prenotification of a checking withdrawal (zero dollars) 38 Prenotification of a savings withdrawal (zero dollars) In this example there is a 22 Deposit to a checking and a 27 withdrawal from checking. (Required Field) This is the routing number of the receiving depository financial institution or the employee s bank. The first eight digits of the employee s bank routing number are entered here. (Required Field) This is the last number of the employee s bank routing number. (Required Field) The employee s account number is entered in this field. In the above example these are and (Required Field) This is the amount of the transaction for this employee. No decimal. (Required Field) If you use an identification number for employees, enter it here. Examples might be: employee number, social security number, etc. (Optional Field) The name of the employee or owner of the account. (Required Field) Leave this field blank. (Required Field) You will not be sending addenda records, so enter 0 (zero) here. (Required Field) The trace number uniquely identifies each individual transaction within a batch. The trace number contains the first eight digits of the originating banks routing number, in your case, The next 8

9 seven fields are used to increment the transactions by one, etc. (Required Field) The next line is the 8 (eight) record Company Batch Control Record. This record contains summary information regarding the batch: number of entries, debit and credit totals (EIGHT) RECORD COMPANY BATCH CONTROL RECORD POSITION DESCRIPTION Position 01 Record Type Code This is the 8 (eight) record Company/Batch Control Record. Place an 8 (eight) in this field. (Required Field) Position Service Class Code This tells the bank what types of transactions are included in the file debits, credits or both. (Required Field) Position Entry/Addenda Count This is a tally of each entry detail record (6 record) and addenda record processed. You will not be using the addenda records, so your total will be the number of 6 records or entry detail records. (Required Field) Position Entry Hash The receiving DFI identification in each entry detail record (6 record) is summed to provide a check against inadvertent alteration of the data. The hash is the sum of the 8-digit routing numbers, if the sum exceeds 10 characters, the Entry Hash would be populated with the rightmost 10 characters. (Required Field) Position Total Debit Entry Dollar Amount This is the total of all debits included in the entry detail records (6 records) within the batch. (Required Field) Position Total Credit Entry Dollar Amount This is the total of all credits included in the entry detail records (6 records) within the batch. (Required Field) Position Company Identification This is the identification number that is assigned by the bank or provided to the bank. Typically, it is 1 + the company s Tax ID number. 10 Position 01 Record Type Code This is the 9 (nine) record Company/Batch Control Record. Place a 9 (nine) in this field. (Required Field) Position Batch Count The value in this field must be equal to the number of Company/Batch Header Records (5 records) in the file. This will most likely be 1 (one). (Required Field) Position Block Count This represents the number of physical blocks included in the file. A block consists of 940 characters or 10 lines of data. (Required Field) Position Entry/Addenda Count This is a tally of each entry detail record (6 record) and addenda record processed. You will not be using the addenda records, so your total will be the number of 6 records or entry detail records. There are six rows of data (one 1 record, one 5 record, two 6 records, one 8 record and one 9 record), there should be a block count equal to 10 rows of data, so four rows of 9s are entered to complete the block MANUAL CREATION Batch information can be entered directly into AnchorLink. You ll first create a batch header and then add any needed transactions. 1) From the main ACH page, select the company for which the batch is being created from the Create a new batch in the drop-down menu. 2) Enter batch header information. 3) Click Submit. BATCH HEADER INFORMATION FIELD Batch Name Batch DESCRIPTION Distinguishes batch for your benefit. Select the appropriate SEC code: PPD Prearranged Payments and Deposits (business to consumer transactions) CCD Cash Concentration and Disbursement (business to business transactions) 10

11 Company Company ID Discretionary Data Entry Description Restrict Batch CTX Corporate Trade Exchanges (business to business transactions that contain billing information) Pre-fills based on previous step. Identification number for the company. Usually the Tax ID number. Pre-fills based on previous step. Purpose of ACH batch for benefit of you and the bank. Pre-fills from previous step. This is not required and default can be changed. Purpose of ACH batch. Displays to recipient. Pre-fills based on company ID. This is required and default can be changed. Prevents cash users without Restricted Batch Access from viewing/working with batch. 4) Enter transaction information and click Submit. 5) If you have multiple items, click on the Add Multiple, enter transactions and click Submit. TRANSACTION INFORMATION FIELD Name ID Number Amount Prenote Addenda Type Addenda Routing Account Number Account Type Transaction Type Status DESCRIPTION Recipient of transaction. Identification of recipient (employee number, etc.). (not required) Dollar amount of transaction. Click this box to have system generate a separate prenote batch. Batch contains all transactions marked as prenote. If adding addenda to transaction, select correct type. Enter addenda information if needed. Receiving financial institution s routing number. Search option available. Enter recipient s account number. Select type of receiving account. Select whether transaction is a credit or debit. Select Active to include transaction in the batch or Hold to omit if from processing. TRANSACTION OPTIONS TRANSACTION Quick Add Add Multiple DESCRIPTION Saves transaction information and screen refreshes to allow for entry of another transaction. Directs you to a screen allowing you to enter up to 15 transactions at one time. Enter name, ID number, ABA, account number, checking or savings designation, amount, and debit or credit designation. If needed, add addenda information. 11

12 Import Transaction Submit Directs you to a new screen allowing you to bring in a transaction file. Saves transaction and screen refreshes to allow you to Edit or Delete Transaction. You can click Submit again to be directed back to the ACH Batch Listing page or Add Transaction. IMPORT OPTION The import feature gives you more flexibility with uploads. Import uses a combination of upload and manual entry. The batch header information is manually entered and then transaction are imported from a file. The following file types can be imported into Online Banking CSV, fixed position and tab-delimited. The file only contains transaction no header or trailer information. ESTABLISH IMPORT LAYOUT Unlike NACHA formatted files, which have a standard format, information within a CSV, fixed positon or tabdelimited files can vary. Before importing transactions, define where information is located within your file. CSV/Delimited Sample 1) Select Import Layout. 2) Select the type of file being imported (CSV, fixed position, tabdelimited) 3) Define where information is located within the file. 4) If the Transaction Code is not known, use Account Type and Transaction Type. 5) Enter how the Account Type and Transaction Type are defined in the file. 13 IMPORT TRANSACTIONS TO A NEW BATCH 1) From the main ACH page, select the company for which the batch is being created from the Create a new batch for drop-down menu. 2) Enter batch header information. 3) Select Import Record. 4) Click Submit. 5) Select file type and browse for file. 6) Click Import. 7) Once in an Uploaded status the batch appears on the batch list page. IMPORT TRANSACTION TO AN EXISTING BATCH 1) Select Import from the Select Option drop-down menu. 2) Select file type and browse for file. 3) Click Import. 4) Once in an Uploaded status, the transactions appear in the batch. INITIATE A BATCH TIP: Callbacks We will use best efforts to call the designated person at your company for any ACH requests exceeding $50,000 to ensure it is a valid transaction. 13

14 SINGLE BATCH COMPANIES THAT REQUIRE A BALANCED BATCH 1) Select Initiate from the drop-down menu on the page. Initiate is only available if the batch is balanced. 2) Select the effective date from the drop-down menu (only available dates display). 3) Click Initiate. 4) If you selected same-day effective date, you will receive a confirmation box to confirm sameday origination. Click OK. COMPANIES THAT REQUIRE AN OFFSET ACCOUNT 1) Select Initiate from the drop-down menu on the batch list page. Initiate is only available if the batch has debits only or credits only. 2) Select the effective date from the drop-down menu (only available dates display). 3) Select the offset account number. 4) Click Initiate. 5) If you selected same-day effective date, you will receive a confirmation box to confirm sameday origination. Click OK. 14

15 MULTIPLE BATCHES COMPANIES THAT REQUIRE A BALANCED BATCH 1) Check the box for each batch to be initiated on the batch listing page. 2) Click Initiate Selected. 3) Select effective date for each batch. If desired, the same effective date can be applied for all batches. 4) Click Initiate. 5) If you selected same-day effective date, you will receive a confirmation box to confirm same-day origination. Click OK. COMPANIES THAT REQUIRE AN OFFSET ACCOUNT 1) Check the box for each batch to be initiated on the batch listing page. 2) Click Initiate Selected. 15

16 3) Select effective date for each batch. If desired, the same effective date can be applied for all batches. 4) Select offset account number. 5) Click Initiate. 6) If you selected same-day effective date, you will receive a confirmation box to confirm same-day origination. Click OK. RECURRING BATCH An ACH batch can be set to initiate and process based on a selected frequency. The frequency options include weekly, bi-weekly, monthly, semi-monthly, quarterly, annually and semi-annually. The recurring option is not available for same-day ACH transactions. TIP: If a recurring date falls on a weekend or holiday, a credit will be processed the prior business day and a credit on the first following business day. 1) From the batch list page, select Initiate from the drop-down menu for the deisred batch. 2) Select frequency, start date, expiriation date and offset account (if necessary). 3) Click Initiate. BATCH APPROVAL The ACH entitlement Full ACH Control determines whether dual control is required when creating and initiating a batch. If you have the Full ACH Control option, you are able to initiate a batch that you created. If you do not have Full ACH Control, a second user must initiate batches you uploaded/entered. 16

17 1) To send a batch for approval, simply select This batch is ready for approval. This field is found on both the Edit and Quick Edit screens. 2) Batches awaiting approval appear in the batch list with a yellow highlight and an Approval Pending status. 3) Once the batch has been selected for Pending Approval, an alert generates and is sent to all users that have opted to receive the ACH Batch Pending Approval alert. 4) A user with initiate capabilities can log in to AnchorLink and initiate the batch. PRENOTE TRANSACTIONS A prenote transaction allows you to send a test transaction to verify the recipient s account information is correct before ending the actual credit or debit transaction. With NACHA, prenote transactions have specific transaction code requirements. Therefore, a normal zero dollar amount transaction cannot be sent. In AnchorLink, a prenote is created by adding the transaction to the batch that will ultimately include the transaction. That transaction is then flagged for prenote and in turn, AnchorLink creates a separate batch containing the actual prenote transaction. TIP: Financial institutions are not required to respond to a prenote. CREATE PRENOTE TRANSACTION 1) Select Edit from the drop-down menu for the batch that will ultimately contain the transaction. 2) Select Add Transaction. 3) Complete the transaction. 17

18 TIP: AnchorLink does not allow zero dollar transactions. A dollar amount must always be entered. It is recommended to enter $ ) Select Prenote. 5) Select Hold for the Status field. When Hold is selected, this transaction is not included in the batch if it is initiated. 6) Click Submit. The transaction is added to the batch but not included in the totals. 7) On the batch list, a new batch that begins with PNT appears. This label indicates it is the prenote batch that was created by AnchorLink. Initiate this batch to send the actual prenote transaction. SEND LIVE TRANSACTION When ready to send the actual transaction, release the hold status and edit the dollar amount. 1) Select Quick Edit for the batch containing the original transaction from the drop-down menu. 2) Change the dollar amount and uncheck the Hold option. 3) Modify the dollar amount of the offset transaction if a balanced batch is required. 4) Modify the dollar amount of the offset transaction if a balanced batch is required. 5) If you want the Financial Electronic Data Interchange (EDI) to be submitted with the transactions, then click the Show Addenda link. If you don t want it to be transmitted, then click Hide Addenda. 18

19 DOWNLOAD A BATCH The download option in the drop-down menu allows you to copy batch information into a PDF file or NACHA formatted file. 1) Download the batch into a PDF to maintain a printed or electronic record of initiated batches. 2) Downloading batch information into a NACHA formatted file can also be very beneficial, especially if you manually created a batch. If a user accidentally deletes a batch, there is not a way to recover the file. The batch information would have to be reentered; however, if you have the file saved in a NACHA format, you can upload that NACHA file back into AnchorLink. COPY A BATCH There might come a time when you need to create a new batch but most of the information needed is already contained in another batch. For example, you may want to give your employees a bonus. Everyone receiving the bonus is already set up within your payroll batch. The copy feature gives you the ability to duplicate batch information into a new batch. This way, you would not 19

20 have to change the amount information in your payroll file. DELETE A BATCH An ACH batch serves as a template. If you ve created a payroll batch, instead of having to create a new batch every two weeks, you can simply modify the template and initiate when needed. Regularly used batches are not automatically purged from AnchorLink. If a batch is no longer needed, it must be deleted. Use caution when deleting files. Once a file is deleted, it cannot be recovered. If a batch is deleted by accident, it must be reuploaded or re-entered manually. TIP: It is recommended that the delete functionality be limited to those users that really need it. To delete a batch either: 1) Select Delete from the Select Option drop-down menu. 2) Confirm on the second screen. OR 1) Select multiple batches, and then click Delete Selected. 2) Confirm on the second screen. TAX PAYMENTS Federal and/or state taxes may be sent via ACH. Your company must already be registered with the Electronic Federal Tax Payment System (EFTPS) to use this option. FEDERAL TAX PAYMENT 1) Select Tax Payment from the main ACH tab. 2) Complete needed fields, and then click Submit. The tax payment displays in your ACH batch list as Tax FD (batch name). 3) From the batch list page, click Initiate from the drop-down menu for the desired batch. 20

Dollar amount of payment. Select the account to debit for the offset transaction. If your company is set up to initiate balanced batches only, select from the accounts you have access to. If your company is set up to initiate batches by selecting an offset account, select from available offset accounts. Amount designated for Social Security. This is an optional field. Amount designated for Medicare. This is an optional field. Amount designated for Withholding. This is an optional field. STATE TAX PAYMENT 1) Select Tax Payment from the main ACH tab. 2) Complete needed fields, and then click Submit. The tax payment displays in your ACH batch list as Tax MN (batch name). 3) From the batch list page, click Initiate from the drop-down menu for the desired batch. STATE TAX PAYMENT FIELDS FIELD Pay to Batch Receiving Institution Company Name Tax Period Tax Code Taxpayer ID Amount Type Code Payment Amount Pay from Account DESCRIPTION Minnesota is the only state available. Name to distinguish batch. Click Lookup to select financial institution receiving payment. ACH company payment is for. Month and year. Click Lookup to select the type of tax payment. EIN/TIN number. If your company is set up to initiate balanced batches only, select from the accounts you have access to. 22 HISTORY Batch information displays in the Activity tab once it has been initiated and processed. To view a list of transactions included within the batch, click the View link. SECURITY OPTIONS The following fraud protection tools are available to help reduce the risk of any unauthorized use of ACH Origination. The AnchorLink Administrator will set up the User to perform the functions needed for your company. DUAL CONTROL 1) User One can only upload, create or edit the ACH batch. 2) User Two can only initiate the batch. ACCESS LIMITATIONS 1) All access except Initiate User is not able to initiate a batch. 2) Initiate access only User can only Initiate a batch. 22
