1 2007 ONLINE SCHEDULING INSTRUCTIONS You can access the start screen through links on our websites or To access from the Festivities Catering site, follow the instructions below: Click on Catering Staff The link will then go to this screen: Click on EMPLOYEE LOG IN 1
2 To access from the TK&A Custom Catering site: Click on EMPLOYEE LOG IN This screen will pop-up. This is the main login screen for all divisions. Step 1. Enter your address Step 2. Enter your password (the last 4 digits of your home number, if you do not have a land line, then it is the last 4 digits of your cell number). Click here to download a copy of the instruction packet. Step 3. Click on Staff Logon 2
3 HOW YOU SHARE YOUR AVAILABILITY The screen will show the current month. Days where there are shifts that match your specific skill types will give you the option to make yourself AVAILABLE, NOT AVAILABLE or PENDING. Use the month keys to move forward or backward in the calendar. 3
4 If you are available for a shift on a given day, you can mark yourself AVAILABLE. If you do mark that you are available, you may not change your status. Please contact the Staffing Office immediately if you have marked yourself AVAILABLE and are no longer able to work that day. If you do mark yourself AVAILABLE, a box will show on the bottom of the calendar allowing you to describe the times you are available on that particular day. Click the UPDATE box when finished. In the example above, that person is available to work beginning at 4pm. You are able to change/update this text at any time but you are not able to change your AVAILABLE status. 4
5 If you have selected Not Available and your plans change, you may make yourself Available. If you select Pending, you may make yourself Available or Not Available once your availability is solidified. HOW WE OFFER YOU A SHIFT!! If we have an event that matches your skill type and availability, you may receive an inviting you to work a shift. You have 24 hours to respond to this and mark whether or not you ACCEPT or DECLINE this shift. When you open this , please note the date. This is the date you are going to look at when you go to the online calendar. 5
6 HOW TO ACCEPT A SHIFT After you receive the , go to your calendar and look at the specific day mentioned in the message. Once again, you have 24 hours to respond to the shift offer. If you are having difficulties logging into the system, viewing your offer to work, or any other system difficulties, please contact the Staffing Office immediately x3175, 3191, or 3192 You will notice that on days you have been offered a shift, the text will change to Event Assignments. Click on Event Assignments to view the details of your offered shift. The shift you are being offered will appear at the top of the screen. 6
7 Name of Event Shift BEGIN and END times You will have the option to choose ACCEPT, DECLINE or PENDING. Remember, you have 24 hours to mark ACCEPT if you would like the shift. BE SURE TO CLICK UPDATE AFTER YOU CHOOSE ACCEPT, DECLINE OR PENDING!!! Address to the event If you are a Supervisor, Manager, Chef or driving/riding to the event in a company vehicle, this would be your start time at the warehouse. Description/ Job Title Information about a special uniform other than the standard, Festivities, TK&A or Picnic People uniform would be listed here. Click here to get DIRECTIONS to your event. 7
8 HOW TO GET DIRECTIONS TO YOUR EVENT When you click on the directions link from the previous screen, you will get this page. All directions are given from the warehouse. We suggest you check this page before your event (in case there are any last minute updates) and print it out to take with you to your event. CHANGES TO EVENT INFORMATION (TIMES, LOCATION, DIRECTIONS, ETC) We will attempt to notify you by if there are any changes to your event. Please remember to always check your often. However, your calendar will also reflect this change. Any changes to your shift time, uniform, etc., the date box will turn pink. It is your responsibility to check for any updates or changes. Please always check Online Staffing 24 hours prior to your shift. Box has turned PINK to indicate a change to the accepted shift. 8
9 The Start Time and End Time will reflect the updated times. Prev Start Time and Prev End Time will show your original schedule. If there is a dramatic change (i.e. cancellation, date change, etc.) to the event, a red square will appear requesting that you call the office. Please call ext. 3175, 3191, or 3192 for more information. 9
10 HOW TO ADD YOURSELF TO THE WAITLIST If you would like to make yourself available on a day in which there are scheduled events, but no shifts available, you can add yourself to the waitlist. If you select ADD TO WAITLIST the Staffing Office may contact you if a shift becomes available. Click Add to Waitlist if you are available and would like to work if a shift becomes available. If you click on ADD TO WAITLIST, a box will show on the bottom of the calendar allowing you to describe the times you are available on that particular day. Click the UPDATE box when finished. 10
11 HOW TO PRINT YOUR SCHEDULE If you would like to view all of your accepted shifts on one page, click on View or Print Schedule by Month. You will get the screen below. You can choose to use this screen as a rundown of your schedule or click on STAFF ASSIGNMENTS. Click on STAFF ASSIGNMENTS to get a more detailed and sortable schedule of your assigned events. 11
12 The screen below will load. This page allows you to sort your shifts by date, event or skill type. The page also gives you a description of the event and directions. You can print out the screen and information below by converting it to a PDF document. Click on the drop down menu, Select Format. Choose ACROBAT (PDF) FILE. You will need to have the latest version of Adobe Acrobat to view this document. Then click EXPORT. This will open in a new screen and is automatically formatted. You can just print from here.
