2 Password Management Countrywide Effective April 13, 2015, when a password is going to expire in 14 days, a message will appear reminding the user about the expiration of the password. This message will appear every day until the user changes his or her password. The message will also state in how many days the password will expire. If a password needs to be changed, the log-on screen for Go Gateway or My Allstate Connection will display a message that says the password has expired. The log-on screen will have new fields to input the Old Password, New Password, and Confirm New Password. The EA, IA, and agency staff will need to complete all three fields and click on Set Password. Here are the new complexity rules for establishing the new password. New passwords created must have a minimum of 8 characters and contain 3 of the 4 following characteristics. An alphabetic upper case entry (A through Z) An alphabetic lower cast entry (a through z) A numeric entry (0 through 9) A special character entry # $ % ^ & * _ - + = ` \ ( ) { } [ ] : ; < >,.? / ) Messages will display if the 3 out of the 4 complexity rules are not met by a new password. The new method for Password Management will also be implemented on Outlook Web Access (OWA) for EAs only. If an EA and agency staff password has expired when they access OWA, the password will need to be changed. Old Password, New Password, and Confirm Password will display on the OWA log-on screen. The same complexity rules and messages on the log-on screen for Go Gateway will apply to OWA. Changing a password on OWA will also change the password used on the log-on screen for Go Gateway. OWA will not have a message that alerts the EAs and their staff that passwords will expire within 14 days. Please see the attached education package for more information. aspx?id=866 1
3 Gateway Introduced Changes Countrywide Gateway sessions time out after 30 minutes of inactivity. When the session timed out and the agent/staff went back to Household View to do something, error messages indicating unable to display information would be seen in multiple portlets i.e. Household Members, Customer Information, Customer Products. These error messages were causing calls into the ATSC because agents/staff had no way of knowing that their Gateway session was going to time out. In fact, this is one of the top 10 issues reported to the ATSC. Starting on April 14, 2015 Gateway was modified to notify agents/staff that their session is about to time out and/or had timed out. These changes also eliminate unable to display information within the portlets on Gateway. A warning message will display after 25 minutes of inactivity, within the Gateway session, informing the agent/staff that the session is about to time out. The warning message includes an option to refresh the Gateway session. If no action is taken on the warning message then at 30 minutes the message will be updated to display expiration verbiage. Clicking OK takes the agent/staff back to the Gateway Home page. 2
4 The timeout pop-up message will not be displayed on content pages (Home page) or pages that open in a separate window (Policy View, which is Alliance). The messages will appear on functional Gateway pages only, such as Household View. These messages and the timeout period only apply to the Gateway session. If multiple Gateway sessions exist, each session has a separate timeout period. The timeout will not impact an agent and or staff s connection to other applications accessed from Gateway such as Alliance, Connexus, etc. The Gateway timeout was previously set to 30 minutes to support application stability and user availability requirements. Based on feedback received, a technology team will be tasked with reviewing those requirements for the current environment. 3
5 Scheduled Personal Property Enhancement Countrywide Allstate is updating its policy packages to include the descriptions of each item of scheduled personal property for all new business, renewal, and endorsement transactions. See sample description below. Previously these descriptions were only displayed when Scheduled Personal Property coverage was added or changed at New Business or Endorsement. All other policy packages only displayed the overall category of scheduled personal property. This change will improve the customer experience by reminding customers of their scheduled personal property details so they can keep their insurance current and add or remove items accordingly. It can be used by agencies for coverage reviews and by Claims should there be questions from a customer about what items they had covered when they experience a claim. See the example below 4
6 Appropriate Agency Licenses and Appointments Required to Bind in Alliance - Countrywide Effective Monday, April 20, 2015 Agency Owners will not be able to bind an application if they do not have both an individual license and, if required, business entity license, and applicable appointments in the state they are doing business in. In addition, Licensed Sales Professionals (LSP) will not be able to bind an application if they do not have an individual license and appointment in the state they are doing business in and/or their agency owner does not have the appropriate licensing and appointments in place in the state the LSP is doing business in. LSP appointments can be reviewed on the Licensing and Appointment Information Tab in the Agency Staff Data Tool (ASDT). If an LSP holds a license but has not yet submitted it to the Allstate Licensing Department, the licensing information will not display in ASDT and they will not be able to bind in that state. If the appropriate licensing and appointments are not in place, Alliance will display the following message on the Bind Tab: "Producer (ID number) must be licensed and appointed to Bind.
