3 1 Aims Excelling Studio is a tool that helps preparing Excel files in a way that they can easily be translated with SDL Trados Studio. For this purpose, data are retrieved from Excel sheets, columns and lines following certain predefined rules and are passed on to Studio in a specific XML file. Excelling Studio consists of two components: Aims The desktop application serves to define and carry out tasks for the conversion from Excel to XML. A Studio plugin helps reading the XML files correctly and allows a length check based on characters or pixels. There are different options for preparing Excel files for translation and inserting the translation afterwards: Content can be translated to several target languages at the same time and be copied into different columns of the same file. Target languages can be copied to another column; the source text is not overwritten like in a regular Studio translation. You can merge several adjacent cells that belong together logically to one segment. You can carry out a lenght check for each cell or a merged segment, optionally based on characters or pixels. If the size restriction is exceeded, a warning is displayed in Studio. There are several options for the case that there are already translations present in the file: Existing translations can be exported and edited and can optionally be given a penalty. Depending on the configuration, the new translation can overwrite the old one or be copied to another column. Existing translations can be exported for reference, but be confirmed and locked. Using this function, bilingual Excel content can easily be imported into a translation memory. Lines with an existing translation can be skipped in the export. The export can be restricted to certain areas of the Excel sheet, e.g. to specific line numbers, font or background colour. Comments from the Excel file can also be displayed in Studio. Settings for Excel files of the same type are saved in so-called Tasks. You attribute a file name pattern to a task, based on which new files can be automatically asigned to the correct tasks. Via batch procesing, you can prepare several files at once for translation in Studio. The translation in Studio is done as usual. After finalizing the Studio project, Excelling Studio imports all target language XML files at once and copies the translations to the appropriate target column. 3 / 31

Restigration 2.1 Systemvoraussetzungen Desktop-Client.net framework 4.5 Windows 7 SP1 oder besser (32 or 64 Bit) Plugins SDL Trados Studio 2014, 2015 oder Setup The desktop application and the Studio plugin are installed separately. In order to install each component, execute the relevant installer. There are several setup options. Therefore, please click on Custom: Illustration 1: Setup Options Please select the Studio plugins you wish to instal. Please select a storage location for your task definition files. This may be located on a network drive in case you collaborate with collegues. Wählen Sie hier die zu installierenden Komponenten und betätigen Sie den Button Next. f) Betätigen Sie den Button Install. ð Die Installation der Applikation wird durchgeführt. g) Betätigen Sie den Button Finish. ð Die Applikation wurde auf Ihrem System installiert. 2.3 Restigration After setup and configuration, you need to restigrate Excelling Studio. For this, switch to the tab Settings and click Register Product. Excelling Studio can be implemented as free basic version or as professional version, optionally with a single-user or network license. Demo Version After the setup, Excelling Studio runs as trial version for 30 days. After that, you can either continue to use the basic version for free or purchase the professional version (ideally before the trial version expires). 5 / 31

6 Installation and Configuration Free Basic Version In the free trial version, you can only create one task and import a maximum of 5 languages. The Basic version has no expiration date. Professional Version In the Professional Version you can create and use arbitrarily many tasks. When purchasing Excelling Studio, you will receive a serial number which you can use to get access to the professional version. For this, please change to the tab Licensing and click Registrieren. Then, select Online and insert your serial number as well as you company name, country and address. Then, the license is activated online. Professional Version for Server Based License In case you wish to use a license server, please proceed as follows: ü You need a Kaleidoscope network license for the relevant number of clients. a) Install Excelling Studio on one of the computers or directly on the server. b) Copy the empty license file from the directory C:\ProgramData\Kaleidoscope_GesmbH\ExcellingStudio to a central network drive to which all future users have access. c) Edit the file ExcellingStudio.exe.config and enter the central storage location in the key licensepath (e.g. \\ \Lizenzen\licence.lic). d) Then register Excelling Studio. e) After that, apply the activation code that increases your number of clients. f) Now you have activated the network license. g) Pass on the edited config file to all clients. ð This way, all clients will be using the central license. Each time a new client is registered to this license, the client counter will increase by one. 7 Installation and Configuration In this dialog you see several options which are explained in detail in the section Settings:. Registration is done with the last item in the window. Here you see a list of available license files, typically one license file. By default a demo license is available. Select the license and click on Activate. Enter your company name and optionally a user name. In the last field, please enter your address. Activation The next step is the online activation of the license. Bei Fragen steht Ihnen der Kaleidoscope-Support gerne mit Hilfe zur Seite. f) Betätigen Sie den Button Weiter. ð Es öffnet sich der Dialog zur Eingabe der Lizenzierungsinformationen. 15 Installation and Configuration ð The "License Viewer" dialog box appears: b) Click on Transfer license. ð The deactivation dialog is now displayed. c) Click on "Deactivate now". ð The "Transfer License" dialog box appears. d) Click on "Next". ð The application will now connect with our licensing server and generate a new serial number. e) Please note down the new serial number (unfortunately it cannot be copied to the clipboard!). f) Close the current application. g) Use the new serial number to register the application on the new machine. Activation keys that have been applied are automatically transferred, too. 2.4 Einstellungen Configuration After the setup, several configuration steps are required: At first, you need to activate the Studio plugins. In order to do so, please open Studio, go to the section Filetypes in the Settings, then click Activate new filetype in the upper left: 15 / 31

16 Installation and Configuration Illustration 9: New Studio filetype available Further options can be selected in Excelling Studio in the tab Settings: When checking the option Check for Updates at startup, Exceling Studio looks for updates automatically when starting the program. In the field Location of task files you can select a storage location for the created tasks. NOTICE Please note: If you change this storage location, tasks that were stored in the previous location are not visible in the task list anymore. Older tasks need to be copied to the new location manually. They will be visible in the list after restarting the program. NOTICE You need to open Excelling Studio as administrator in order to activate automatic updates or to change the storage location for tasks. The list of available languages can be customized here. For this purpose, select all languages that should be available when selecting source and target languages in a new task in the left column All cultures and copy them to the right column Used cultures by clicking the arrow button. If you wish to remove languages, select them in the column Used cultures and click on the left arrow button. You can select several languages at the same time by holding CTRL. After having selected the desired settings, click Save Configuration After the setup, several configuration steps are required: At first, you need to activate the Studio plugins. The verification dll should contain all the necessary logic, and cannot reference any 3rd party dlls, because the verification dll is embedded into the SDLXLIFF file. 19 How to use Excelling Studio 3 How to use Excelling Studio 3.1 Desktop-Client Aufgabenverwaltung Creating a Task Tasks can be created and edited in the tab Configuration. Creating a task is done in several steps: Creating a task based on an Excel file, optionally using a file name pattern Defining which worksheets should be converted Defining the working languages Defining the columns for the source and target languages Defining which content should be exported for translation and how. In the tab Configuration you can hide tasks currently not in use by highlighting them and clicking Hide task. In order to show hidden tasks, check the option Display hidden tasks. If this option is active, you can highlight a hidden (grey) task and unhide it by clicking Unhide. See also 2 Configuration [} 15] 2 Size Restriction [} 19] 2 Exporting Existing Translations [} 24] Size Restriction Check the option Size Restriction if a maximum text size in characters or pixels should be checked during translation. You can now specify how the length or height should be checked: Select whether the size should be measured in Characters, Pixels or based on an External DLL. An external DLL file can be used for instance to calculate the pixel size of the translation in a specific font in the target application. The calculated size is then checked against the specified size restriction and a warning is issued if needed. If you which to use an external DLL file for the length check, click External and browse the file in the field External verification DLL The DLL file will then be used in the filetype. NOTICE Please note that the DLL only contains the checking logic (character pixel conversion) and not the length restriction itself, since that may vary from translation to translation. The length restriction is defined in pixels. If you wish to use an external DLL, please confer the section --- FEHLENDER LINK --- Guideline for creating a DLL. 19 / 31

20 How to use Excelling Studio If you have merged lines or columns in the previous section, the option Restriction applies to appears here. Define whether the size restriction should apply to an Individual cell or the entire Joined segment. If the size restriction applies to a joined segment, please define which character should be counted as separator between the content of the different cells: Without separator Join with space Join with new line The selected separator will be taken into account when the text size in the target application is calculated. Length restriction and Height restriction: In these fields, the desired length or height restriction is inserted. Select fixed value for a fixed amount of characters or pixel that applies to all lines and columns. Select none if the length or height is not restricted (e.g., if only the width or the height is restricted in your application, but not both). Select a column name if the restriction for each line is specified in a column of your Excel file. If the column contains integers without any additional characters, Excelling Studio can process the entry directly. If a different format is used, e.g. 35char or 50x70, you can define that format in the text field to the right using regular expressions. For instance if the entry is 50x70 and 50 should be processed as length restriction, you can specify this with the expression (\d+)x\d+. Further information about the syntax of regular expressions can be found on the internet. Column for font family: You see this field if you selected pixel as measuring unit. Here you define which font the calculation of the text size should be based on. Select Default if the same setting applies to all lines. In that case, a menu Default font appears in which you can select the desired font. If the font may differ from line to line, please insert the column name in which the font name is specified for each line. Column for font size: You see this field if you selected pixel as measuring unit. Here you define which font size the calculation of the text size should be based on. Wrap text: With this option you define if automatic linebreaks in the target application should be in considered when calculating the text size. Example: You selected a length restriction of 20 characters and a height restriction of 3 characters. If Wrap text is deactivated, each line may contain a maximum of 20 characters. If this value is exceeded, a warning will be displayed. However, if you activate Wrap text, the size check only makes sure that a total of 20x3 = 60 is not exceeded, since the text can be wrapped at any position. ATTENTION: Wrap text can not be selected in every setup: - Wrap text cannot be selected if the fixed value 1 is set as height restriction, since no linebreak is possible if only one line is allowed. - in merged segments Wrap Text may be forced activated or deactivated for technical reasons, depending on the settings. 24 How to use Excelling Studio 2 How to create a DLL file [} 17] 2 Creating a Task [} 19] Exporting Existing Translations If there are translations present in the Excel file, you can export them by checking the option Export existing translations and define settings for the export. Depending on the settings, the translation can be edited by the translators. Select Text changed or for review if segments have been changed since the last translation or ned to be reviewed. This has two effects: On the one hand, you can define a penalty for those segments, since they are no longer 100% matches. On the other hand, those segments are excluded in case you wish to lock translated segments in general (see next step Approve and lock translated segments). You have the following options. All segments the source text may have been changed in all source segments. In that case, the option Approve and lock translated segments is deactivated automatically since every segment is subject to editing. Colored text changed segments are highlighted in a specific font colour. Colored background changed segments are highlighted in a specific background colour. Selecting a column: If your Excel file contains a designated column in which changed lines are marked with a character (e.g. with an x ), select the column name and add the character in the field Value. Selecting a font or background colour: Select In source only if the source column should be checked for the defined colour. Select this setting if every target language may be subject to editing. Select Per language if the target column should be checked for the defined colour. Select this setting if only some target languages are subject to editing. Check the option Except for specific segment if you wish to add exceptions to the rule defined above (Example: All field with yellow background should be translated newly, except for fields that also contain red text). Select a Penalty for the changed segments (Percentage value from 1 to 100). Please note: If you select 0 as penalty Text changed or for review only has the effect that the relevant segments are not locked but may be edited. The option does not effect the match value in that case. Therefore, setting the penalty = 0 only makes sense if Approve and lock translated segments is active at the same time. Select Approve and lock translated segments if existing translations should be locked. They will be exported for reference, but cannot be edited. You can either lock all segments or make a selection based on font or background colour. Segments that have been marked as changed or for review are always exempted from locking. You have the following options. All segments all translated segment (except for changed or for review) are locked. Colored text only translated segments in a specific font colour are locked. Colored background only translated segments in a specific background colour are locked. Select In source only if the source column should be checked for the defined colour. NOTICE In general, existing translations are overwritten by new ones. In order to prevent this, you can select a different target column for the new translation than the one with the existing translations in the step Language Selection. Alternatively, you can activate Approve and lock translated segments when exporting existing translations. Then, the relevant segments are locked and cannot be edited any further. You can add several files at once by clicking while pressing Shift or CTRL. If several files are selected, the window Batch Export will open. Here you can assign a task to each file. If you defined a file name pattern for one or several tasks, the tasks is automatically assigned to files that correspond this pattern. If a file does not correspond to any file name pattern, the task that was last highlighted in the Export view is assigned to it by default. This default settings can be changed manually. Define a target folder for the exported XML files. Click on Export. The files are exported. In the target folder, a subfolder is created with the corresponding language abbreviation. Therefore, the task should only be changed manually in exceptional cases. Please note: - Excelling Studio recognizes a wrong task by the name of it s worksheets.. Therefore you can only use a task in which the same worksheet names are stored. If the names differ, no import is possible. - Excelling StudioExcelling Studio does not recognize if the column names in the task differ from those in the file. Please make sure that the target columns in the task are defined correctly, since otherwise, columns might accidentally be overwritten. - Make a safety copy of your files before the import. - A possible use case would be that columns are added to the source file during the ongoing translation so that the target columns are shifted, but you don t want to change the original task. NOTICE Renaming Files. Excelling Studio assigns the translated XML files to the Excel file based on the file name. Therefore, the Excel and XML files need to have the same names they had at export. Otherwise Excelling Studio cannot map the files. In the field Studio project folder, select the project folder of your Studio project in which the target language XMLs have been created. NOTICE Batch processing A batch import is only possible if all files were translated in the same Studio project. Therefore, only one Studio project can be selected for all files. Click on Import. Excelling Studio searches for the target XML files in the directory of the Studio project and imports them into the Excel file based on the specifications in the task definition. 29 How to use Excelling Studio 3.2 Studio-Plugin Using the Files in Studio How to use the exported files in Studio: Create a new project Select source and target language according to your export and click Next. Instead of adding single files, click Add folder and select the output folder with the exported files. Now you can see folders for the different languages in the project tree on the left. Finalize the project as usual. Switch to the view Files for translating the files. Please note that you first need to expand the output folder in the structure tree on the left. Below you can find the folder with the relevant target language. NOTICE Studio retrieves the information which file is to be translated to which target language from the XML file and only adds the file relevant for each target language to the project. 30 How to use Excelling Studio Length check in Studio The Excelling Studio plugin is displayed as filetype and automatically carries out a length check while editing. When exceeding the size restriction, a warning appears as soon as the segment status is set to translated. Translate a segment Change the segment status to translated (e.g. with CTRL + Enter). If the allowed text size is exceeded, a yellow warning sign ( )appears in the middle column. If additional lines have been added in merged segments, a red error sign ) appears in the middle column. You can show details by moving the mouse pointer over the symbol. You can also show details by opening the notification window in Studio.
