3 The Idea behind it 1 The Idea behind it 1.1 The COTI standard COTI was adopted by the Association of German Manufacturers of Authoring and Content Management Systems (DERCOM for short) and defines a common data exchange format between content management systems and translation memory systems. The idea is to create a standardized interface to start translation projects from content management systems and to make it possible to return finalized translations from CAT tools. There are three levels to the COTI standard: COTI Level 1: Defines a COTI package, or file, that can simply be manually exchanged between the content management system and CAT tool. The content management system creates the package, the CAT system imports it, and vice versa. COTI Level 2: Adds an automated step to the standard using exchange folders. The content management system places its COTI package in a specific exchange folder. This is monitored by the CAT tool, and as soon as a package is filed there, the CAT tool automatically creates a project. Once the project is complete, the CAT tool places the finished COTI package in the second exchange folder, which is monitored by the content management system. As soon as the finalized translation is present as a COTI package, the content management system automatically imports the translation. COTI Level 3: This level is still relatively vague in the specification. It is based on the hot integration on a standardized API. This means all CAT tools can communicate directly with all content management systems. To date this level has not yet been realized by any manufacturers and demonstrates there are still gaps in the specification. 1.2 The COTI Plugin The COTI-Plugin enables the exchange of COTI packages according to Level 1. COTI packages created in the content management system can be imported in Studio with the plugin and exported again after translation. An automatic exchange according to Level 2 can be carried out with the Kaleidoscope tool Connecting Content. 3 / 7

4 Installation 2 Installation 2.1 System Requirements In order to use the COTI Plugin, Trados Studio 2014 or Trados Studio 2015 must be installed on your computer. 2.2 Installation How to install the COTI-Plugin: ü In order to install the tool, you need to have administrator rights. a) Double click on the file Kaleidoscope.COTI.Setup.msi. b) Confirm that you want to execute the software. c) The set-up assistant opens. Click Next. d) Read the End User License Agreement. e) Check the box I accept the terms in the License Agreement and click Next. f) Choose between typical, custom or complete installation. The custom installation allows you to select the COTI plugin for Trados Studio 2014, 2015, or both. g) After having selected the desired components, click Install. h) You might be asked to insert your administrator password at this point. 5 How to use the COTI Plugin 3 How to use the COTI Plugin 3.1 First steps In your content management system a) In your content management system, export the content for translation as COTI package. If you are unsure how to proceed, confer the manual or contact the technical support of your content management system. b) Remember the location where you saved the COTI package In Studio a) Create a suitable project template which contains at least the desired source and target languages. b) Make sure that the file type for the file format of your content management system (usually XML) has been added and activated in the options. The file type needs to be included in the project template. c) Set all options in your project template as desired (e.g. translation memories, termbases, QA setting). NOTICE COTI does not replace the file type for the content management system in use. The relevant file type needs to be added to Studio and activated. 3.2 Import in Studio a) Open Studio b) Click on the tab Add-Ins. c) In the menu bar, click on Import package in the section COTI. d) A dialogue window opens: 5 / 7

6 How to use the COTI Plugin e) Select the previously created project template. f) Name, Description and Due Date are automatically filled in by the COTI file. However, you can make changes if needed. g) In Location, select the saving location for your Studio project. h) In Project Files, you can opt out particular files in case you don t want to import them into Studio. i) Click on Create Project. j) Now you can translate the project in Studio as usual, or you can create project packages for other translators in charge. Should you have questions concerning the translation process in Studio, please confer the Studio help or contact the support. 3.3 Export from Studio After having checked the translation and finalized the project in Studio (which means that target language XML files have been created), you can export the translation as COTI package. NOTICE During this process, the source package from your content management system is overwritten. In case you wish to keep it for documentary reasons, make sure to make a copy before exporting the translation. a) Change to the tab Projects and highlight the relevant project. b) Click on the tab Add-Ins. c) In the menu bar, click on Export package in the section COTI. 7 How to use the COTI Plugin d) Click on Browse and select the original COTI file, that had previously been imported in Studio. e) Click on Export files. f) The files are exported, and after that, the message Translation files successfully exported will appear. ð You can now re-import the COTI file into your content management system. 7 / 7
