1 VisiTrack Client Setup Instructions For Computers with Windows 2000 and XP This document is a step by step guide on the setup of VisiTrack on workstation computers connected to a file server. A workstation computer is defined as a desktop computer which is used to connect to the VisiTrack file server over a local area network connection. A server is defined as any computer serving as the core installation of VisiTrack. In order to access VisiTrack in a networked environment, drive mapping is necessary for the proper setup of the VisiTrack program. Since all of the files necessary to run VisiTrack are located in the vtwin folder, it is extremely important to make sure that caution is exercised when accessing this folder. Accidental deletion of any file in this folder will cause the program to cease functioning. Who should use these instructions? These instructions are provided as a self help guide and are to be followed by Focal Point support staff or experienced I.T. professionals. Focal Point Systems cannot be held liable for accidental loss or destruction of user data due to negligence with respect to following these instructions. If you do not understand these instructions, call Focal Point Support at (626) for assistance. When should these instructions be used? 1. To set up a new desktop computer to use the VisiTrack program. 2. When a Directory Mismatch or Missing Shortcut message appears after attempting to log on to VisiTrack. 3. OR, If the VisiTrack icon (yellow V ) disappears from the desktop (main computer screen) Begin by right mouse-clicking the My Computer or the My Network Places icon. If you do not see either of these icons on the desktop, click on the Start menu and right click on the My Computer, or the My Network Places icon located there. After right clicking the icon, a tool bar will appear with several options on it. Click on the Map Network Drive option. See below.

2 Figure 1.0 Options drop down menu This toolbar will appear after right clicking the My Computer, or My Network Places icon. In this case click on the Map Network Drive option. Below is a sample screenshot of the Map Network Drive dialogue box. Figure 1.1 Opening the Map Network Drive dialogue box This dialogue box will appear after clicking the Map Network Drive option from the previous drop down menu. If this does not happen, go back and repeat the previous steps until it does.

3 Figure 1.2 Selecting the Drive mapping letter: IMPORTANT NOTE: Drive mapping for all workstations must follow the same path. For example, the Drive letter V: must be used for all workstation setups. Start by clicking the Drive: text box, and selecting V: from the list of letters shown there. Figure 1.3 Launching the Browse for Folder Dialogue Box: Now select the Folder by clicking on the Browse button to launch the Browse for Folder dialogue box (see below). Click on the (+) plus sign next to Microsoft Windows Network to display the list of workgroups. If you cannot see anything after clicking this, you will need to troubleshoot to find out why the server is not accessible through this dialogue box.

4 When searching for the VisiTrack folder, you ll need to know the location of the server computer on your network which contains the VisiTrack folder. If you do not know the name of the computer, you may need to click on several computer names to find the right folder. NOTE: The shared network folders on your network will have different names than those shown in this guide. Please continue to browse the contents in this dialogue box if the VisiTrack folder is not immediately apparent. Eventually it will appear as a sub-folder within one of these network folders. Figure 1.4 Browsing to the server After the <<your network >> location is opened, it reveals all of the shared folders contained within it. If not, then locate the directory containing the VTWIN folder. Click on the directory which contains the VisiTrack folder. It may be necessary to select browse through several computers on the network to find the right one. In this case the Programs folder contains the VTWIN folder. When the folder is highlighted the OK button will activate itself. Click to confirm selection of the highlighted folder to be mapped. The last step in the drive mapping process is to click the Finish button to close this dialogue box and finish the drive mapping connection to the VtWin folder. The drive mapping will appear in the form of \\<<Network Drive>>\<<Folder Name>>. For this example the network path is: \\Server001\VisiTrack. Figure 1.5 Selecting the VisiTrack Directory Click the VisiTrack folder to highlight Click the OK button to confirm the selection of the VisiTrack folder.

5 Figure 1.6 Map Network Drive Mapping Complete: NOTE: The path displayed in this example will be different than the one displayed here. Click the Finish button to complete the drive mapping portion of the VisiTrack setup. Setting up VisiTrack on a Workstation After the connection to the VisiTrack folder occurs, a new window with the vtwin folder will appear (See screenshot below). Double click on the vtwin folder to open it. Look for an icon titled ClientSteup.exe. Once this icon is found, double click on it and a new VisiTrack icon should appear on in place of the missing, or damaged icon. Be sure you have administrative rights to run this application in Windows. If you do not have administrative access you may be unable to do this. Figure 1.7 Contents of the VisiTrack Directory: IMPORTANT NOTE: DO NOT CHANGE OR DELETE ANY FILES CONTAINED IN THIS FOLDER!! If you are unable to understand and correctly follow these instructions, STOP and contact Focal Point Support. Open the VtWin folder After the VTWIN folder is opened, you will notice a large number of files, and folders in the contents view. (See the figure below)

6 In the vtwin folder look for a file titled ClientSetup.exe. This icon for this file looks like a computer with a software box next to it. Double click on this icon to run the Workstation setup. Figure 1.8 Contents of the vtwin Folder: Double click on the ClientSetup.exe to run the Workstation Setup. Figure 1.9 Workstation Setup has Completed: When the process completes, the Workstation Setup Completed message box will appear. Click OK to confirm successful placement of the icon on the desktop.
