1 Changing your RoomWizard device root password with RoomWizard Administrative Console (RWAC) 1.3 RWAC 1.3 improves the visibility of RoomWizard devices which are still using the factory default root password (which can be a security issue) and facilitates changing the password. You can change the root password for individual devices or for groups of devices, which is the best practice. If you have not already changed your RoomWizard devices root password, the best practice is to update all RoomWizard devices to the latest available firmware, version 4.6, before changing the default root password. Passwords entered using RWAC version 1.3 are required to pass a Complexity test, as follows: Must be at least 6 characters long Must contain at least one Capital Letter Must contain at least one Lowercase Letter Must contain at least one Numerical character Special characters including but not limited to!@#$%^&*()_-+={}[]: ;<>,.?~/\ are no longer allowed in the root password. Whenever you change the root password for any RoomWizard device, it is highly recommended that you make note of the new password and keep it safe. Losing this password could potentially render the RoomWizard device inaccessible to both yourself and the Steelcase Tech Support team. Starting RWAC 1.3 After installing RWAC 1.3, restore the RoomWizard device list from your saved file, if available, or scan the network for your RoomWizard devices. For larger installations (500+ RoomWizard devices) allow minutes for RWAC to find and communicate with the RoomWizard devices before beginning to update device passwords. Failure to allow sufficient time may result in the RWAC becoming unresponsive until the network communication is complete. During this process, you may use your machine to complete other tasks. 1

2 Visibility of devices with default root passwords To draw attention to RoomWizard devices that still use the factory default root password, RWAC 1.3 displays beside the device name in the left panel of the RWAC window. If the device s root password has been changed, then a check mark appears instead. The icon indicates that the device s password status is uncertain. This could occur simply because communication to the RoomWizard device was interrupted or failed during the password check. Typically, you can Left Click (select) the RoomWizard device in question and RWAC will individually update the properties, configuration, and status, including password status. 2

3 Changing the root password on an individual RoomWizard device Configuration values for a selected RoomWizard device appear in the right-hand column of the RWAC window. To change the root password of one device, click the device name in the left column to select it, type a new password beside Root Login PW, and press OK. RWAC 1.3 tests the proposed new password for minimum complexity, as described above. Assuming the new password passes this test, a dialog requests you to confirm the password by re-typing it. Re-type the new password exactly. Click the PW button to view (for 5 seconds) the new password to ensure it is what you expected. Click OK to proceed. 3

4 Changing the root password on a selected set of RoomWizard devices RWAC enables you to change the root password on multiple RoomWizard devices simultaneously. To do so, press Control and click to select multiple devices or groups in the left panel of the RWAC window. With multiple devices selected, right-click on any of the selected devices. Choose Set Root Password from the drop-down menu. Enter a proposed new root password and re-type it for confirmation. Cues to help construct the new password appear as you type. These cues will turn from red to green as each complexity criteria is met. Click the PW button to view (for 5 seconds) the new password so that you can ensure it is what you expected. When the new password passes the complexity tests and the re-typed password is confirmed, the OK button becomes enabled. Press OK to start the password update on all selected RoomWizard devices. A progress bar enables you to monitor progress and a final success/failure message informs you when the process is complete. 4

5 Potential Unusual Circumstances RWAC does not know the root password of an individual RoomWizard device Although the RWAC stores the passwords associated with each RoomWizard device, there is the possibility that: 1) A RoomWizard device root password could have been changed outside of the RWAC. 2) Due to file corruption or loss, the RWAC may not have the password properly stored. In either case, if RWAC needs a device s root password to proceed but none of the passwords stored by RWAC will work, you will be presented with the following dialog. If you know the proper root password for the RoomWizard device, enter it. Subsequent access by RWAC should now have the proper password stored and this user interaction will no longer be necessary. Selecting too many devices for the Set Root Password command Do not attempt to change the root password of an extremely large number of devices simultaneously. Limit updates to approximately 100 or fewer devices. To update the root password of 100 devices will require 1-2 minutes. If too many devices are selected, it can lead to unreasonable progress stoppages or even application failure. When you first start RWAC on an existing RoomWizard installation When you first launch RWAC for an existing RoomWizard installation, it automatically updates the status and configuration of the RoomWizard devices and displays them in the left panel. Wait until the RWAC has completed the status update before proceeding. Attempting to undertake many operations, including changing the root password, can be negatively impacted during this time. 5
