2 The Basics A one-time event with or withot a room reservation Examples: Center for Interfaith Engagement event, stdent life event, offices closed, academic break Login to 25Live Select either event wizard or create an event

3 The Basics Event Name- Do yo want the event to show p as on the web calendar Event Type not very important, except Hold (can se calendar annoncement or academic or whatever makes the most sense) Primary Organization for this event- Stdent Life, Department, etc.

4 The Basics Expected Headcont (Helps yo choose the right size room) Event Description- Add in descriptions of yor events- Yo can se bold etc. bt please don t go nts. Also yo can add photos if they are already on or website. (Copy and paste the image location)- if they are not on the website talk to marketing abot ptting them p.

5 The Basics Is this a repeating event? Choose no nless yo want the same description for every incidence of this event. (Examples: Open Gym, Faclty meeting)

6 The Basics When does this occr? (Set-p/tear down is important for HVAC)

7 The Basics Where will this take place? (For one-time events, yo can se a location and this serves as yor room reservation too)

8 The Basics Schedler/Reqestor--- Both get s. Schedler= Organizer Reqestor= Person making the reqest (admin asst, stdent worker etc.)

9 The Basics Categories! (NEW!!!!) Categories are going to greatly increase the fnctionality and seflness of or web calendar. It means more people will be able to find and know abot yor event.

10 The Basics Top 10 Categories (Academics-Stdent Life) will make yor event show p on the web calendar. Choose only ONE. Categories below Stdent Life (starting with Academic break) will allow yo to choose things yo might want to show p on an individal web calendar. (Example: Bible and Religion Dept lnches)- Yo can check mltiple categories below the Top 10 Skip this screen entirely if yo don t want yor event on the web

13 The Basics Event State Tentative ntil approved Check Details Save

14 After yo hit Save wait abot 30 mintes and then check em.ed/events (or yor individalized calendars) to see if yor event showed p. Unlike almost everything else on the web, this is not instantaneos pblishing.

15 Editing an Event Yo created an event earlier and now want to add it to the web calendar OR yo created an event and now want to add a description/photo/attachment, etc. Two ways to get there:

16 Editing an Event Find yor event and click on it

17 Editing an Event Click Edit This Event

18 Editing an Event Navigate to the part of the event yo want to change Either sing Next or left description Don t forget to save

19 More complicated than the basics Recrring events- Reserve the same room for events that wold have mltiple descriptions. Example: University Chapel, CAC Trivia Make the room reservation as one event and skip the description and categories sections. (jst like yo are sed to doing) Make each individal calendar event separately for the calendar with a description/category skip the Locations screen For events that don t have details yet add a generic description and then edit later. Be sre to add the location in the description Adding the individal events is important for the event calendar. Do at least a semester of recrring events at one time- even if they don t all have descriptions An event with no room- Example: Spring Break, Homecoming, Off-camps events Simply skip the location screen

Change is hard and I don t want to learn new things Better filtering--- people will be able to choose to see one category or many We will be able to add program/events calendars to yor webpages Sbscribe to a Calendar Add to Calendar--- click on events yo want to add to calendar For one-time events it will be one less step /Text reminders and pdates Here s what it looks like (It s not live yet)
