3 Introdction 3 CHAPTER 1 Introdction We are pleased to welcome yo to the SASSI family! This gide is intended to assist individals sing SASSI compter programs. Or goal is to make the installation and operation of the varios programs go as smoothly as possible. Each of the programs is described separately to facilitate greater tility and ease of se. We ve inclded illstrations that depict many of the operations or featres in an easy-to-nderstand format. Yo may also want to refer to the FAQs docment that is inclded on the SASSI Installation CD for frther information on the operation of the SASSI program. To review the FAQs docment or this User s Gide at any time, first install the SASSI 4.0 program. Upon sccessfl installation, click on Start>Programs>SASSI>FAQ for SASSI 4.0 or Compter User s Gide 4.0. Yo can also review the FAQs docment and this User s Gild while in the SASSI program by clicking the Help btton on the Windows task bar. Technical Assistance The information in this gide was developed with the assmption that the ser has some basic operational knowledge of a personal compter systems. If compters are new to yo, it may be helpfl to become somewhat familiar with the operation and featres of yor system before installing and operating the SASSI program. (This incldes the setp and operation of yor printer.) If yo experience technical problems while installing or operating the SASSI program, be sre to review the appropriate section in this gide and to check that yor compter system is fnctioning properly. Althogh we have made every attempt to foresee potential problems, it s possible that yo may still experience installation or operating difficlties that are not discssed in this gide. If this is the case, please feel free to call s at for technical assistance. Technical Spport hors are Mon-Fri from 8 am to 5 pm EST. 4 4 Compter User s Gide 4.0 Clinical Assistance One of the benefits of the SASSI compter program is the availability of atomatic scoring and brief reports describing clinical information related to the SASSI scores. While these featres provide the clinician with accrate, qick and convenient access to SASSI reslts, sers often want to know more abot the scoring and/or the interpretation of SASSI reslts. The SASSI Institte provides a nmber of ways for yo to become more familiar with the administration, scoring and interpretation of the SASSI. Clinical Consltation Reslts can be reviewed with a SASSI clinical consltant by calling BY-SASSI ( ), Monday throgh Friday 9am to 5 pm. Or clinical staff can provide general clinical information concerning the administration, scoring and interpretation of the SASSI or answer specific qestions abot a particlar SASSI profile. SASSI User s Gides We highly encorage yo to review the Adlt SASSI-3 and Adolescent SASSI-A2 User s Gides which are qick references for administration and scoring. Each gide also incldes descriptions of the scales and examples of interpretations. 5 Installation and Start Up 5 CHAPTER 2 Installation and Start Up System Reqirements The SASSI software release 4.0 is a Windows based program that mst be installed on the hard drive of an IBM or compatible PC and operated within the Windows environment. The minimm system reqirements are: MHz or higher processor MB RAM MB free hard disk space 4. CD-ROM Drive 5. Windows XP or higher 6. Adobe Acrobat Reader (Download crrent version at Loading the SASSI Program Installation from the SASSI CD-ROM 1. Load the SASSI Installation CD into the CD-ROM drive of yor PC and follow the on-screen insrctions 2. If the installation does not begin atomatically, click on Start > Compter>D:SASSI> setp.exe 3. When the SASSI installation is complete, the Adobe Acrobat Reader installation can be initiated by clicking Next at the bottom of the screen. If yo already have Adobe Acrobat Reader installed on yor PC, yo can bypass the installation by clicking on the check box that ap-pears next to Install Adobe Acrobat. If yo do not have Adobe Acrobat, please download the crren tversion at before installing the software.

6 6 The SASSI Compter User s Gide 4.0 Helpfl Hints: 1. Be sre to read the SASSI Letter of Agreement and to click that yo accept the terms specified in the license agreement. Yo will not be permitted to contine with the SASSI program installation if yo click that yo do not accept the terms of the agreement. 2. At the Setp Type screen, do not change the defalt setting of Typical as this is the standard for the majority of installations. The Tech Spport setting shold only be sed when directed to do so by the SASSI Help Desk. Initial Program Activation At the end of the installation process, yo will be instrcted to call SASSI cstomer service at with the 12 digit nmber that appears on yor screen. The technician will give yo a corresponding nmber to enter, which will activate the nmber of tests yo originally ordered. Yo will not be able to change the nmber of qestionnaires yo activate as it is based on the amont that yo prchased. However, yo will be able to activate more qestionnaires when needed (see Activate More Qestionnaires in Chapter 6). Cstom Installation Use this featre to cstomize featres of yor SASSI program, sch as organization name and system password. To rn this option at any time, click Start>Programs>SASSI>Cstomize SASSI 4.0. Figre 1 Screen One (see Figre 1) 1. Enter yor organization s name and an initial system password into the corresponding fields. The password mst be exactly 5 characters in length, sch as SASSI or PLANE. Write down the password in a safe place that yo will easily remember as yo will need it to access test reslts and other featres in the program. To change yor password after initial installation, yo will need to se the Change Password featre at the main men.

7 Installation and Start Up 7 2. Six miscellaneos fields are available to record spplemental client information, sch as Social Secrity Nmber or Birth Date. The data fields associated with each Misc. Field label are 10 characters in length. Type a label that best describes the data to be entered in the field. Field labels may be changed later by rernning the cstom installation program. However, doing so will case the existing data to be relabeled. To collect a new category of data, se a new, nsed Misc. Field. 3. When finished with entries, click Finish to save yor settings and exit the cstom installation program. If yo will be connecting a Scantron reader to yor PC, click Next and see the next section. Screen Two (Scantron Users Only) If yo will be connecting the SASSI software to a Scantron optical reader, se the drop down men at this screen to select the COM Port of yor PC that will be connected to the Scantron reader (typically this is COM 1 or COM 2). If yo are nsre, please refer to the operations manal that came with yor PC. Click Finish to save the cstomized settings or Back to retrn to the previos screen. Program Start Up The SASSI program is now flly installed and can be rn by clicking on: SASSI 4.xxx.lnk on yor desktop or by clicking: Start>Programs>SASSI>SASSI 4.0 To edit cstom installation settings at any time, click: Start>Programs>SASSI>Cstomize SASSI 4.0

8 8 The SASSI Compter User s Gide 4.0 System Navigation There are several ways to navigate throgh the SASSI program. Keyboard arrows. Tab key. Use the Tab key to move from field to field. Mose Point and Click. Hot keys. These are nderlined letters fond on bttons of certain screens. Press the letter key that is nderlined to activate the featre. Note: Some operations reqire pressing letter keys or the Enter key on the keyboard and cannot be activated by sing the mose bttons. Uninstalling the SASSI program (Yo may want to export or backp yor SASSI data prior to removing the SASSI program from yor PC. For frther instrctions, see Chapter 5 on Data Management.) If at any time yo wish to ninstall the SASSI program from yor PC: 1. Click Start>Settings>Control Panel>Add/Remove Programs. 2. Select SASSI 4.0 and click OK 3. At the Program Maintenance screen, click the btton next to the Remove option and click Next The SASSI program shold now be removed from yor system. Reinstalling the SASSI program If yo have a compter system failre and the SASSI program is inadvertently lost from yor hard drive, yo will have to se the SASSI installation CD to reinstall the software. In most cases, yo shold not need to call the SASSI help desk to reactivate the nmber of nsed qestion-naires yo had remaining on the SASSI program. However, if yo don t have a crrent backp file, yo will lose the database that contains yor client data. It is important that yo se the Data Managment option on the SASSI men to reglarly Backp the SASSI database file and store it somewhere other than yor C drive so that yo can se this file to Restore yor client data to the SASSI program in the event of a hard drive crash. See Chapter 5 on Data Management for frther information abot the Backp and Restore procedres.

9 Administering Tests 9 CHAPTER 3 Administering Tests Select Batch It is recommended that yo se this fnction to select a batch name for yor SASSI data files prior to entering any data, adminstering qestionnnaires or entering scale scores. Otherwise, data will be stored in a batch named DEFAULT. Each SASSI client record is stored in an active database file. Sbsets or batches of client records within this database file can be tagged or identified by selecting a batch name for each sbset (e.g., as the date of adminstration). In this way, batch names can be sed to label sbsets of client records with names that are more meaningfl and sefl. Batches can be backed p, archived or exported for analysis at a later time. (See Data Management in Chapter 5). Everytime the SASSI program starts, the batch name is atomatically set to DEFAULT. All client records entered after creating a new batch name will be labeled and stored in the program with the new name. There are several options beyond sing the DEFAULT batch label. Creating a new batch name Click on the Select Batch btton at the main men Click on New at the right side of the dialog box Type the name of the new batch (maximm of 15 characters) Press Enter or click on Select Selecting and reviewing a different batch Click on the Select Batch btton at the main men Use the Tab or Arrow keys or click on the desired batch Click Select Working with all batches simltaneosly Click on the Select Batch btton at the main men Click All

10 10 The SASSI Compter User s Gide 4.0 Helpfl Hints: If yo do not want to se the batch featre, leave the selected batch as DEFAULT, and all data will be written to that batch. The selected batch remains in effect ntil it is changed or pon exiting the program. At program initiation the batch is reset to DEFAULT. New tests are atomatically assigned the crrent batch name. The name of the crrent batch is displayed on the right side of the main screen jst nder the nmber of qestionnaires left (see Figre 2). If All batches are being viewed, the new test is assigned to the DEFAULT batch. When sing the Review Reslts fnction to retrieve test reslts, only those tests in the crrent batch will be retrieved. Select the All batch option in the batch dialog box to review the reslts of all tests. The batch to which a test is assigned can be changed by sing the Edit featre of the Review Tests fnction. Changing the batch assignment of a test can only be done when the All batch is being viewed. Administer Adlt Qestionniare Administer Adolescent Qestionniare On Types 1 and 3, this option allows fll keyboard administration and scale score entry of the Adlt SASSI-3 and Adolescent SASSI-A2 tests. Type 2 only permits scale score entry of previosly hand scored tests. The operating instrctions are identical for both the adlt and adolescent SASSI. Press the desired adlt or adolescent btton at the main men to administer a test. Selecting Administration Option (See Figre 2) (This featre may not apply to yor software configration) Fll keyboard administration If the client will complete the SASSI at the keyboard, press F on the keyboard. This featre cannot be activated by sing the mose btton. Scale Score Entry If yo will be entering scale scores from a previosly administered SASSI, press S on the keyboard. This featre cannot be activated by sing the mose. Figre 2

11 Administering Tests 11 Entering Additional Client Data At the next sceen, simply enter the appropriate data in each field. Instrctions for data entry in each field are displayed at the bottom of the screen. Data that are not available at the time of administration, sch as employment stats or total nmber of arrests, can be entered later sing the Review Reslts fnction (see Chapter 4, Reviewing Reslts). Time Frame for Freqency Items Yo mst select a time frame for the freqency items that reslt in the Face Valid Alcohol and Face Valid Other Drg scales on the SASSI. The time frame does not apply to the tre/false items. The data that were sed to norm the SASSI were gathered from people who were instrcted to respond to the freqency items on the basis of their lifetime experiences. However, in some cases yo may wish to administer the SASSI with instrctions to respond to the freqency items over a six-month period of time. Prior research on the adlt SASSI-1 sggests that se of a six-month time frame increases the rate of false negatives (i.e, people who have a sbstance se disorder bt are not identified by the SASSI). However there may be sitations in which the six-month time frame is sefl. For example: If yo are evalating a client who has completed a treatment program, yo may want to know abot the client s se since treatment If yor client is incarcerated, yo may want to know abot their sbstance se before detention If yor primary concern is acte care, yo may need to focs on recent sbstance se Click on the arrow next to the Time Frame for Face Valid Items box and move the crsor to the desired option. If yo select 1 for The Client s Entire Life or 2 for The Past Six Months, no frther inpt is reqired. If yo select 3 for The Six Months Before a Certain Date or 4 for The Six Months Since a Certain Date, yo will be reqired to enter a related event or experience in the text box that appears below (for example, the six months before the crrent incarceration or the six months since completing treatment) (see Figre 3). 12 12 The SASSI Compter User s Gide 4.0 Misc. Fields These optional fields can be labeled at the cstom installation screen. They shold only be completed if yo have given a specific name to the field, sch as Date of Birth or Social Secrity nmber, etc. (See Cstom Installation in Chapter 2 for more information.) Once data entry on this screen is complete, click Save on the bottom row of bttons to save the data. On Types 1 and 3, the next screen will be the first item of the test (SASSI-3 or SASSI-A2) or the screen for scale score entry of a previosly scored SASSI-3 or SASSI-A2, depending on the option yo selected (F or S). For Type 2, the next sreen will always be for scale score entry. Administering the Qestionnaire Tre/False Items Figre 4 Each SASSI item will be displayed one at a time starting with the tre/false items (see Figre 4). The client mst respond by pressing either T for Tre or F for False. No other character will be accepted. The screen will atomatically advance to the next item once the T or F is pressed. Be certain to advise clients that they will have an opportnity to review and change their responses at the end of the tre/false section. Note: When the option to review responses is selected, the program will cycle back to the the first tre/false item. Clients can advance throgh the items by pressing T, F or Enter. Freqency Items After the tre/false items are completed, the first freqency item will be displayed along with the time frame instrctions that were previosly selected. The client mst acknowledge reading the instrctions by clicking on OK before proceeding (see Figre 5). Clients mst respond by pressing the appropriate nmber from 0 to 3. No other characters or nmbers will be accepted. The screen will atomatically advance to the next item once a nmber from 0 to 3 is pressed. After the last freqency item, clients will have a chance to review and change their responses. Figre 5

13 Administering Tests 13 If Yes is selected, the screen will atomatically cycle back to the first freqency item. Once No is selected. a pop-p window informs the client that the test is complete and to contact the test administrator. Items B1-B6 (Adolescent SASSI-A2 only) Following the freqency items on the SASSI-A2, a series of items labeled B1 throgh B6 will be displayed one at a time. The client responds by clicking the btton in front of the desired answer for each item. The Next btton advances to the next item while the Back btton retrns to the previos item (see Figre 6). After the 6 items have been completed, click the Save btton to finish the administration. Entering Scale Scores (see Figre 7) If the client has completed the SASSI-3 or SASSI-A2 on a paper qestionnaire, enter the SASSI scale scores Figre 6 from the scored test in each of the appropriate fields on the screen (see the SASSI User s Gides for scoring instrctions). Use the Mose, Tab or Arrow keys to navigate between fields. When yo have completed the score entry, click Save at the bottom of the screen or Qit to retrn to the main men withot saving the data. After clicking Save, a prompt appears at the top right hand corner of the screen. If yo wish to save the scale scores for this record and contine, press the Y on the keyboard. If yo wish to modify any of the scores, press N on the keyboard. Yo mst press either the Y or N on the keyboard to contine. Clicking on the Y or N on the screen with the mose will not work. Figre 7 (When entering SASSI-A2 scores, after clicking Y, the next screen will display items B1 to B6 for completion. See Items B1- B6 above). Viewing/Printing/Saving the Reslts When prompted, enter the password that was selected dring the cstom installation. Yo will have three attempts to enter the correct password. If the password is entered incorrectly after this, yo may be transferred back to the main men. If this happens, click on the Review Reslts featre and enter sfficient identifying data to retireve the test yo were working with. Once the desired record is displayed, click the Report btton at the bottom of the data retrieval screen. Enter the correct password at the next screen and press Enter.

14 14 The SASSI Compter User s Gide 4.0 Note: If yo have forgotten yor password, please call the SASSI Help Desk at for assistance. The Adobe Acrobat Reader will open and display the report in PDF format. Use the tool bar or icons at the top of the screen to change view settings, save, or print the report. Saved reports can later be sent as attachments. Click Help on the tool bar for online assistance with the operation of the Acrobat Reader program. When yo are finished with the report, yo can either exit the Adobe Reader if yo will not be reviewing additional reports or simply leave it open to review other reslts.

15 Reviewing SASSI Reslts 15 CHAPTER 4 Reviewing Reslts Review Reslts Stored SASSI reslts can be retrieved, viewed, saved to a file and printed sing this option. Records can also be pdated with additional client information that was previosly navailable. Retrieving SASSI Records When retrieving SASSI reslts, it is important to remember that searches will only retrieve records from the crrently selected batch or batches. Be certain to select the appropriate batch for the data yo want to retrieve prior to condcting the records search. Enter the desired search criteria in any given field or combination of fields. The program will retrieve any record that meets ALL search criteria. For example: To retrieve all records in the DEFAULT batch that were initially entered on a certain date: 1. Press the Review Reslts btton on the main men 2. Select the DEFAULT batch 3. Enter the desired date in the date field (MM/DD/YYYY) 4. Click Search To retrieve all male records in a batch named CPS that were entered on a certain date (see Figre 8): 1. Press the Review Reslts btton on the main men 2. Select the CPS batch 3. Enter the desired date in the date field (MM/DD/ YYYY) 4. Enter M in the sex field 5. Click Search Figre 8

16 16 The SASSI Compter User s Gide 4.0 If the desired records are not retrieved, check the selected batch name and each of the data fields to ensre that the correct batch and search criteria have been entered. Editing SASSI Records Retrieved records can be reviewed by clicking the Next and Previos bttons at the bottom of the screen. The Next btton will become inactive (fade) when the last retrieved record is displayed. To go back throgh the records, click on the Previos btton Figre 9 To edit a SASSI record, click Edit. Each of the highlighted data fields can be pdated by clicking on the appropriate field and making the desired changes (see Figre 9). To save the changes, click Save. Deleting SASSI Records This featre shold be sed only when yo no longer wish to retain a client record in the active database. As a protection, records deleted sing this fnction are assigned to a batch named DELETED. The DELETED batch can be permanently eliminated from the active database by sing the Archive featre (see Chapter 5). Until permanently removed, the records in the DELETED batch can be accessed sing the Review Reslts option. Certain standard reports can also be rn sing the data in this batch (see Standard Reports in Chapter 5). 1. Retrieve the desired records sing the appropriate selection criteria. 2. Click Search 3. Click Delete 4. At the pop p window, click Delete to contine the operation or Cancel to discontine and retrn to the previos screen. Viewing/Printing/Saving Retrieved SASSI Reslts (See Chapter 3, Administering tests for frther information.) Batch Print This option generates reports in the Acrobat Reader for all tests in the crrent batch and date range entered. Use the Tab or Arrow keys to enter the desired date range. Tests reslts can be viewed or printed in the Acrobat Reader.

17 Data Management 17 CHAPTER 5 Data Management The Data Management featre provides a nmber of tools to manage the active database file or a selected batch or batches within the file. In addition, nsed activated administrations can be transferred between PCs and standard reports can be generated sing this modle. To activate this featre, click Data Management on the main men. To discontine any operation within this modle, click Cancel. Managing the Database File The active database file or selected batches can be backed p, archived, restored and exported in the Data Management option. Remember that a batch name is simply a tag or identifier that is associated with a set of client records. A batch allows the ser to readily identify sbsets within the entire client database. The database file is comprised of batches of records that the ser has named individally or of the single batch called DEFAULT. The data can be backed p or archived in a database format to another drive and/or directory. Archived client records can later be restored to the active database file in their original format. Another featre exports selected client data as a text file for analysis by other software applications. The backp, archive and export fnctions save data to a directory or folder that yo select. In order to minimize potential errors in data transmission, it is recommended that yo create a separate and niqe directory/ folder to se as a data storage site. This shold be done prior to sing any of these fnctions. The storage directory/folder can have any name other than SASSI 4.0 and can reside on any available drive. The files for each of these featres move or copy selected records to a file named according to the following format: Archive files: Backp files: Export files: Where: YYMMDDax.dbf YYMMDDbx.dbf YYMMDDex.txt YY stands for the last 2 digits of the crrent year MM stands for the nmeric month DD stands for the crrent day a=archive, b=backp, e=export, and X is a seqence nmber from 0 to 9, then a to z.

18 18 The SASSI Compter User s Gide 4.0 Create Backp (see Figre 8) Figre 8 Use this option to create a backp (i.e., dplicate copy) of the SASSI database file on another drive/directory of yor choosing. The Backp featre can also be sed to copy data to a SASSI to Go disk (see SASSI to Go on page 20). In order to protect against the loss of data de to hardware failres, etc, a back p shold be copied to some medim other than the hard drive of yor PC as freqently as possible, ideally jst prior to terminating the SASSI program whenever new data is entered. 1. Click on the Create Back Up option ntil it is highlighted 2. Click Select 3. Highlight the desired drive/directory to copy the data file to and click Select The SASSI data file shold now be copied on the drive/directory that was selected and renamed sing the format YYMMDDbx.dbf (e.g., b0.dbf). The Restore featre can be sed to copy this data file back to the SASSI program (see Restore). Archive (see Figre 9) This option will archive (move) individal batches of client records from the active database to a new Figre 9 drive/directory and delete those records from the SASSI program. Only data from selected batch or batches will be removed from the active SASSI database file and stored on the selected drive/directory. This featre can also be sed to move data files to a SASSI to Go disk (see SASSI to Go on page 20). 1. Click on the Archive option ntil it is highlighted 2. Click Select 3. At the pop p window, click OK to contine or Cancel to exit 4. Highlight the desired batch name and click Select=>. This will place the highlighted batch in the right-hand box for removal. Use the <=Unselect btton to remove a batch that yo do not want to archive. Click All=> to move all of the batches to a new directory.

19 Data Management 19 To contine, click OK. 5. At the next screen, click the desired drive/directory then click Select The archived batches shold now be stored in a file on the new drive/ directory that was selected. The archived file will be named according to the format YYMMDDaX.dbf (e.g., a0.dbf). Restore Use this featre to restore a previosly backed p or archived file to the SASSI program. By combining the Archive fnction on satellite stations with the Restore fnction on a network server or similar central station, SASSI data from varios data collection sites can be aggregated for frther analysis. The Restore option can also be sed to restore data from a SASSI to Go disk (see SASSI to Go on page 20). 1. Click the Restore option, then click Select 2. Find and click on the archive file (YYMMDDaX.dbf) then click OK 3. Highlight the desired batch name and click Select=>. This will place the highlighted batch in the right-hand box to be restored. Use the <=Unselect btton to remove a batch that yo do not want restored. Click All=> to restore all of the batches to the SASSI program. When ready to contine, click OK (see Figre 9) The backed p or archived data files shold now be restored to the SASSI program. Export This option is sed to export SASSI client data records to a comma delimited text file than can be stored on any drive/directory of yor choosing withot removing any data from the SASSI program. The exported text file is renamed in the format YYMMDDeX.txt, which can be imported into other software application for analysis. 1. Click the Export option, then click Select 2. At the next screen, click the desired batch name and click Select=>. This will place the highlighted batch in the right-hand box to be exported. Use the <=Unselect btton to remove a batch that yo do not want to export. Click All=> to export all of the batches to a text file. When ready to contine, click OK (see Figre 9) 3. Click Adlt or Adolescent 3. Click the desired drive/directory then click Select

20 20 The SASSI Compter User s Gide 4.0 The selected batch(es) shold now be stored in a text file (YYMMDDeX.txt) on the selected drive/directory. SASSI to Go Unsed administrations can be transferred from one PC to another by sing the SASSI to Go featre. This enables sers the flexibility of transporting nsed administrations between PCs that may be located at different sites, ths permitting added convenience for administration and operation of other program featres. In addition, any or all of the client data from the sorce PC can be moved or copied to other PCs. Note: The SASSI program mst be installed on each PC that will be sed prior to initiating the SASSI to Go procedre (see Chapter 2 for installation instrctions). Transferring from compter sing SASSI to Go featre 1. Click on Data Management at the main men, then SASSI to Go, then click Select. Yo can also click the SASSI to Go btton on the main men if this btton was previosly added. Figre Create folder on a removable media sch as a thmb drive or disc that is labeled SASSI To Go. This folder can also be located on a network drive. 3. Follow the on-screen instrctions Figre 10 Step 3 gives yo the option to Archive (move) or Backp (copy) active database files to the SASSI to Go folder (see Figre 10). To remove any or all batches of client records from the sorce PC to the SASSI to Go file for transfer to another PC: 1. Click Archive. 2. Select the batch or batches that yo want to transfer to the SASSI to Go folder and click Select. This will move the selected records to the SASSI to Go folder and delete these records from the SASSI program. To copy all client records withot removing them from the sorce PC: 1. Click Backp 2. Click Select at the next screen. If yor SASSI to Go folder is in a drive other than A: yo will need to change the directory to the letter that matches the location specified.

21 Data Management 21 To complete the transfer process withot moving or copying data files, click Finish. To add a SASSI to Go btton to yor main men screen for faster access to this featre, click Next and follow the instrctions on the next screen. Transferring from SASSI to Go disk to compter Figre 11 Figre Click on Data Management, then SASSI to Go, then Select. Yo can also click on the SASSI to Go btton at the main men if it has already been created 2. At the next screen, click the Get nsed tests from a SASSI to Go disk option (see Figre 11), and follow the on-screen instrctions If data were previosly moved or copied to the SASSI to Go folder, these records can be restored to the crrent PC by clicking the Restore btton. Yo will have the option to select and restore data in any previosly copied or archived file. Yo can also restore some or all of the batch files in the data file that yo select. 1. Click the Restore btton at the SASSI to Go screen (see Figre 12). 2. Select the data file that yo want to restore. If there is more than one file name listed and yo need help identifying the files, see page 17 for a list of file name formats 3. Choose the batch or batches that yo wish to restore and click Select. All files in the selected batch(es) shold now be restored to the SASSI program on yor PC. The nmber of records restored will briefly flash in the pper right hand corner of the SASSI screen.

22 22 The SASSI Compter User s Gide 4.0 Standard Reports In addition to the data management featres mentioned above, a nmber of standard reports can be created, displayed on screen, printed, copied or saved as a text file. To select a report: Click on Data Management, then the desired report, then Select. Once the report is on screen, scroll to review or select one of the following options: Print Copy to clipboard Save As Qit Batch Analysis -sends report to printer -copies report to clipboard -saves report to a file yo name -retrns to main men Use this featre to create a report that illstrates the percentage of client cases classified according to for categories based on the SASSI decision rles. Notice that category classifications for adlts are based on Sbstance Dependence Disorder while those for adolescents se the broader category of Sbstance Use Disorder. This is becase the Adlt SASSI-3 measres the likelihood of Sbstance Dependence while the Adolescent SASSI-A2 measres the likelihood of a Sbstance Use Disorder, inclding both Sbstance Abse and Sbstance Dependence (see the SASSI -3 and SASSI-A2 Manals and/or User s Gides for frther explanation of this difference). Category 4 = High Probability of Severe Sbstance Dependence (adlt) High Probability of Severe Sbstance Use Disorder (adolescent) Category 3 = High Probability of Sbstance Dependence (adlt) High Probability of Sbstance Use Disorder (adolescent) Category 2 = Low Probability of Sbstance Dependence, with Moderately Elevated Scale Scores; Consider Frther Evalation (adlt) Low Probability of Sbstance Use Disorder, with Moderately Elevated Scale Scores; Consider Frther Evalation (adoles) Category 1 = Low Probability of Sbstance Dependence (adlt) Low Probability of Sbstance Use Disorder (adolescent)

23 Data Management 23 For Scantron sers, an additional report field labeled Inconclsive, lists the percentage of cases where a Decision Rle classification cold not be determined de to missing or doble-marked items on the Scantron form (see Inconclsive Cases below for a related report option). The percentage of adlt SASSI-3 cases where the RAP score is greater than one and the percentage of adolescent SASSI-A2 cases where the VAL is greater than 4, is also listed in the Batch Analysis report. Percentages across the entire report are calclated separately for data in each selected batch as well as for all selected batches. The procedre for selecting batches to be inclded in the report is the same as other options in the Data Management featre (see, for example, Archive or Restore on p xx). Case #s by Category Use this option to create a report that lists each of the for categories followed by the client case nmbers associated with each of the categories. This report will retrieve all client records in the active database (all batches). Reports for individal batch files are not available at this time. Inconclsive Cases (Scantron Users Only) This option creates a report listing the client case nmbers in which the reslts are inconclsive de to missing or doble-marked items on the client s Scantron form that was scanned. These cases can also be eliminated from the active data base and saved to a batch named DE- LETED (see earlier section on pxx for information on deleting SASSI records). Elevated RAP or VAL cases To create a report listing adlt SASSI-3 client case nmbers where the RAP score was greater than 1 or adolescent SASSI-A2 client case nmbers where the VAL score was greater than 4, select this report.

24 24 The SASSI Compter User s Gide 4.0 CHAPTER 6 Misc. Featres Activate More Qestionnaires Allows on-site activation of additional qestionnaires. Yo mst call The SASSI Institte while the SASSI program is rnning in order to complete the activation of qestionnaires in yor program. If yo obtain a 12-digit nmber sing this featre, exit the SASSI program and later call for an activation code that matches this nmber, yo will be instrcted to restart the SASSI program, enter the activation modle, and obtain a different 12- digit nmber for activation. Note: Please have yor cstomer ID and the serial nmber of yor SASSI program (both printed on the Installation CD) prior to calling as yo will need these dring the activation process. 1. Click Activate More Qestionnaires at the main men. Click Finish at the next screen to contine. 2. At the next screen, enter the nmber of tests yo wold like to prchase and press Enter (see Figre 13). 25 to 50,000 tests may be prchased with a single activation. 3. Call the SASSI Institte at to reqest an activation code. Yo will need the 12- digit nmber that appears in this window to get an activation code. Figre Upon calling, yo will be asked for the 12-digit nmber on yor screen, yor cstomer ID and the serial nmber of yor program. Give this information to the technical spport person and press Enter. If yo press Enter before calling, the next screen will remind yo of the 12-digit nmber to se when calling. 5. At the next screen, enter the 12-digit activation code that is given to yo over the phone and press Enter (see Figre 14). If the incorrect nmber is entered, a message will appear on the screen verifying this. Figre 14

25 Misc. Featres 25 Inform the technical spport person of this and yo will be given frther instrctions. If entered correctly, a message on the screen will indicate the reqested nmber of qestionnaires have been activated. Change Password This option can be accessed at any time to change the SASSI password. Remember that yor new password mst be exactly 5 characters in length. Passwords of greater or lesser length will not be accepted. 1. Click Change Password at the main men. 2. Follow the on-screen instrctions and click OK. A message will appear in the pper right-hand corner of the screen indicating that the password was changed correctly or that an incorrect old password was sed. If yo cannot remember yor old password, please call technical spport at for frther instrctions. Don t forget to write down yor new password in a safe place that yo can easily remember. Erase Names Names can be deleted from client files withot changing or deleting any associated client data, inclding test reslts. This is a convenient way to protect client confidentiality when condcting data analysis that doesn t reqire client identification or when sharing data with otside sorces. If sing this option, yo may want to keep a separate listing of the names associated with the case nmber of each data file. 1. Click Erase Names at the main men 2. Enter the correct password at the prompt 3. Click Yes to erase all names or No to cancel the operation If Yes is selected, the message ALL NAMES ERASED will briefly flash in the pper right corner of the screen. If No is selected, the message NO NAMES ERASED, will appear in the same location. Qit Terminates the SASSI program.

26 26 The SASSI Compter User s Gide 4.0 CHAPTER 7 Scantron Most Scantron optical mark readers reqire a nll modem or crossover serial cable to connect to the COM port of yor PC. Please contact yor Scantron representative if yo reqire frther assistance with the set-p of yor scanner. Figre 15 Installation Instrctions Scantron installations are for the most part atomatic. However, one additional screen of ser inpt is reqired to complete the installation. For qestions and/or assistance dring installation of the SASSI software, please call SASSI technical spport at Initiate the Cstom Installation featre (see Chapter 2, Cstom Installation) and click Next at the bottom of the first screen 2. Use the drop down men to select which port yor scanner is connected to (see Figre 15) 3. Click Finish to save the setting and exit Cstom Installation Process Scantron Form(s) 1. To process SASSI Scantron forms throgh the scanner, click Process Scantron Form(s) at the main men. 2. Follow the on-screen instrctions. Note: Yo may want to review each form prior to scanning to ensre that all items have been completed. If yo find missing or doblemarked items on a test form, try to have the client complete the items prior to scanning.

27 Scantron The program will process all forms fed into the scanner and save them to the crrent batch. If yo want to save different grops of test forms to different batch names, be sre to arrange the forms according to batches and ensre that the forms fed into the scanner match the crrent batch selected in the software. Each time yo be gin to scan a new batch, yo will first need to change the batch name to match the grop of test forms yo are processing (see Select Batch in Chapter 3). 4. After all the forms have been scanned sccessflly, press the END key on the scanner. The program displays a screen smmary of those items which did not scan properly (one page per form). For each form with missing vales, yo may print the list, ACCEPT or REJECT the form. If yo choose REJECT, that form is not entered into the active database. If possible, have the client correct any nmarked or doble-marked items and rern the form throgh the scanner. To view, edit or print the reslts of scanned forms, click Review Reslts at the main men and enter the desired retrieval data at the next screen (see Review Reslts in Chapter 4). To print a grop or batch of reports at the same time, click Batch Print at the main men and follow the instrctions.
