3 1.0 Introduction Introduction to Sage Intelligence for Sage X3 PU Impact of this release to existing software The software in this release is fully compatible with the previous release of Sage X3 Intelligence cloud solution. 1.2 Application Requirements A valid Sage ID sign in A basic knowledge of accounting Sage X3 PU Browser Compatibility The following browsers have been tested and the software stabilized on: Browser Internet Explorer (Windows Environment) Chrome (Windows Environment) Opera (Windows Environment) Firefox (Windows Environment) Safari (Mac Environment) Version Version 11 Edge Web kit version Available Languages English French (Helpfile in English only) Page 3 of 11

4 2.0 New Features 2.1 Importing and Exporting Reports Not only can you create reports, you are now able to Export / Import reports. This makes it possible to import reports into different user accounts. i.e. Create a report, download it then share the downloaded file with another user. You will be able to import the downloaded file 2.2 Flip Account Settings You will now have the ability to show/hide rows based on whether the account has a debit or credit balance as at a given period in the Online Report Designer. This allows for accurate Balance Sheet creation where a Current Asset account for example, can either be found under the Current Liabilities section and vice versa, based on the way your setup has been done and the balance value (debit or credit). In order to use this feature in a Balance Sheet for example, the same account row needs to be created under both the Asset and Liabilities sections. A new dropdown menu item, Include this row, has been added to the Row Properties screen. The default value of Always indicate that the balance will always be shown for this account. If a column value is Credit indicates that this row will only be visible in the run out Page 4 of 11

5 report should the balance be less than zero. If a column value is Debit indicates this will only be visible in the run out report if the balance is bigger than or equal to zero. Note: This feature is only available for account rows. The new menu items will not be available for other row options. Once the debit or credit display option has been setup, an additional menu item Column to check will be indicated. Here the user has to specify which of the existing column balances should be used to determine whether the balance is a debit or credit value. Note: Columns used in this setup cannot be deleted while referenced by a row property. Predefined rows and columns can also not be created with this setup present. Page 5 of 11

6 2.3 Debit and Credit Column Options The Column Property screen has been enhanced for the formulas Opening Balance and Closing Balance. This allows for debit and credit balance reporting required in Trial Balance reports. If your report is setup to use the Opening Balance or Closing Balance column formulas, you now have the option to indicate in the Balance to Show field (found under the Column Property screen), whether the balance should always show, show only when the balance is a debit (balance of 0 or higher) or show only if the balance is a credit (balance of less than 0). In order to use this feature in a Trial Balance for example, two Closing Balance columns for period 1 will need to be created. Select the first one and in the Column Property screen, rename this to Debit Closing Balance. Update the Balance to Show dropdown to only show debit balances. Select the second column and in the Column Property screen, rename this to Credit Closing Balance. Update the Balance to Show dropdown to only show credit balances. Note: All balances found under a column setup to only show credit balances will automatically be toggle switched in order for all balances to be displayed as positive values. Row toggle switch settings will override in this setup if also selected. 2.4 Data Load The data load functionality has been enhanced, allowing you to select which companies and years they would like your data to be loaded for. You have the ability to navigate in the system whilst you data load is processing. Note: While a data load is in progress, report setup options available will be based on data already loaded. You will however not be able to run a report until all data has been loaded as this may result in incomplete results been generated. The Data Load icon found in the top right corner of the Online Report Designer will appear blue while a data load is in progress and grey when this is complete. Page 6 of 11

7 Drag and drop functionality is available allowing you to also reorder the company list in priority of the data you would like to load. The system will remember your preferences for the next time you sign in and kick off a data load. Should additional company data be required that was not part of the initial data load, you are able to navigate back to the Data Load screen and initiate a data load for the additional data. Note: Company and year data already loaded will not be refreshed if already loaded and another load is initiated. Only new company and year data will be loaded. Page 7 of 11

8 3.0 Enhancements 3.1 Report Filter order has been updated The order of the report filters found when running a report have been updated to be more in line with the order that is found in Sage X Reporting Code can now cater for mathematical expressions The use of Reporting Codes has been enhanced to allow the use of mathematical expressions. Subtraction and summing of multiple reporting codes are allowed. It is important to note that balances returned are summary records. This means the debit or credit amounts for a single control account will not be used to return results, but rather all the control accounts. In the Row Properties screen, the Reporting Code field has been updated to a text field allowing you to type in the expression required. Debit levels RD0 to RD9 and credit levels RC0 to RC9 are available. You can use one of the following syntax methods for example: Debit level = Reporting Code: RCD0 = AE Credit level = Reporting Code: RCC0 = AE Calculations can then be done. To return the total balance for a level per code use the syntax Debit level = Reporting Code minus Credit level = Reporting Code: RCC1 = AE RCD1 = AE Note: You have to use spaces before and after minus - and plus + signs in order to ensure clear distinction of the start and end of your calculation values. 3.3 Ready to use financial report offering Seven new ready to use reports will replace the existing ready to use reports found in the system. Social Result (RESULTAT) Mgmt Intermediary Balances (SIG) Internal Financing Capacity (CAF) US balance Sheet US Income Statement BRI Balance Sheet BRI Profit and Loss Note: Users upgrading from PU10 to PU11 will still have access to the original ready to use reports. 9 4.0 Known Issues These are known issues that exist in the Sage Intelligence cloud solution Screen resizing When the window size is reduced, tile alignment is thrown off into a vertical alignment 4.2. Alphanumeric Account Numbers Alphanumeric account numbers are not supported in this version Space button becomes dysfunctional when deleted from the middle of Columns on "Add a set of Columns" In the add a set of columns screen, the space button will cease working, once columns are shuffled and a space is deleted Report changes lost if the system times out If the system has been inactive for 57 minutes, the session will expire. This is a security feature built into the software to ensure your data is kept safe and secure. When creating or editing a new report, if the system is left unattended for 57 minutes. Your changes will be lost. To avoid this, please ensure that you save your changes timeously Special character on Export / Import Please note if an exported report has special characters in the title (any character that is not alpha or numeric). It will be changed into a dash. If this is not suitable, please change the name of the report in the folder structure, or rename the report when you are in the import process Limitation on the size of the report that can be generated There are limitations on the size of the report that can be generated in the browser. Reports containing more than browser elements e.g. a report containing 12 columns and 800 rows, would warn you that the report will be slow to generate Export in Safari Should you be using Mac, we suggest making use of Chrome for Mac, as no limitations found here. Should you however be using Safari, please note that in order to export your report definitions or export your report to excel, the below process needs to be followed. In report screen, click on the Export button to export a report and select OK on the export notification popup. You will be prompted to the Save As window with the file name as Unknown Page 9 of 11

10 Insert your desired file name followed by.repdef. For example, BalanceSheet.repdef You will notice there is a Untitled tab on safari browser, this is normal Safari browser behavior. Please close this browser to continue with Sage Intelligence Reporting Cloud. Export of report to excel: To export to excel, click the Excel button in the run out online report. You will be prompted to the Save As window with the file name as Unknown Insert your desired file name followed by.xlsx. For example, BalanceSheet.xlsx You will notice there is a Untitled tab on safari browser, this is normal Safari browser behavior. 11 5.0 Removed or Replaced Features 5.1. Removal of Balance Type report filter The report filter, balance type has been removed Removal of Coming Soon folders All coming soon folders have been removed from the Sage Intelligence Home screen and the My Reports screen.
