1 Page 1 COMMUNITY SETUP WIZARD CREATING A COMMUNITY Users can add a community from one of two places: 1) Menu > Portfolio > Communities. From the actions menu, select Add Community : 2) Menu > Admin. Scroll down to the communities panel and click + ADD :

2 Page 2 After saving the community, the application will re-direct to the new community setup wizard: While the community set up remains incomplete, you cannot navigate to certain sections of the applications (AR, AP, GL, Reports, etc.) without changing the current community via the selector. Additionally, any incomplete communities will have an icon next to the community name: SETUP WIZARD The wizard contains 6 steps: Accounting, Accounts, Banks, Codes, Properties, and Owners. There is then a final review step before the process is complete. Steps can be revisited before finishing setup.

3 Page 3 ACCOUNTING ACCOUNTING DETAILS Fiscal Start Date The beginning of the community s fiscal year Accounting Period Frequency Choose between monthly or quarterly Accounting Method Choose between Cash, Accrual, and Modified Accrual ACCOUNT RANGES

4 Page 4 Manually set up the GL account ranges by clicking Create Ranges : Click Import to upload a.csv file with a list of account ranges. To see an example of valid file, click the link labeled AccountRanges.csv. This file can be edited and imported, or used as a guideline when creating a file from previous software ACCOUNTS Set up your specific chart of accounts as well as beginning balances. Assign GL accounts to the required accounts

5 Page 5 ACCOUNTS & BEGINNING BALANCES Use Default Values Gives you a list of a starter accounts. Additional accounts can be added after setup is complete Import - Upload a.csv file with a list of Gl accounts and beginning balance (if applicable). To see an example of valid file, click the link labeled AccountsAndBalances.csv. This file can be edited and imported, or used as a guideline when creating a file from previous software.

6 Page 6 REQUIRED ACCOUNTS BANKS Assign GL accounts to the required accounts listed. If the default list was used, the wizard will autopopulate with the appropriate fields. Accounts can be searched by account type, name, or number Select/create a bank and create a bank account for the new community CHOOSE YOUR BANK

7 Page 7 Select a Bank to assign the community bank account to. If this is your first community, clicking the + button will allow you to create a bank: BANK ACCOUNT DETAILS Account Name Name of the bank account General Ledger Cash Account The GL account associated with this bank account Account Number The bank account number Lockbox ID Routing Number The routing number for this bank account Starting Check Number Check number that will print out on the first check after setup

8 Page 8 After adding the bank account, you will have the option to add another, or continue to the next step: CODES Codes are not limited to the ones listed, but these are required before setup is complete

9 Page 9 IMPORT CHARGE CODES Use Default Values Implements a list of a generic codes. Additional codes can be added after setup is complete. Import - Upload a.csv file with a list of codes and their associated GL accounts. To see an example of a valid file, click the link labeled Codes.csv. This file can be edited and imported, or used as a guideline when creating a file from previous software.

10 Page 10 REQUIRED CODES Enter the appropriate income and receivable accounts and click the + button to add that code. If Use Default Codes was selected above, then the wizard will automatically assign the accounts PROPERTIES +ADD Manually add a property. Note: This does not create an associated owner. When manually adding properties, the next step will all for adding owners Import - Upload a.csv file with a list of properties and owners. To see an example of a valid file, click the link labeled Properties.csv. This file can be edited and imported, or used as a guideline when creating a file from previous software. This file import is for both properties AND owners. There is not a separate owners import function

11 Page 11 OWNERS Manually add in owners and import owner balances or history ADD OWNERS +ADD Manually add owners. This is only necessary if you did not import properties during the previous step OWNER BALANCE & HISTORY Import Balance - Upload a.csv file with a list of owner balances broken down by charge code. To see an example of a valid file, click the link labeled OwnerBalances.csv. This file can be edited and imported, or used as a guideline when creating a file from previous software. Import History - Upload a.csv file with a list of owner histories broken down by individual charges and payments. To see an example of a valid file, click the link labeled OwnerBalances.csv. This file can be edited and imported, or used as a guideline when creating a file from previous software. These transactions are view only and cannot be edited or adjusted in any way. The balance is a single figure under the Beginning Balance code.
