1 SR-062 Assigning Enrollment Appointments in Batch 1. Begin by navigating to the Assign Appointments page. Click the Records and Enrollment link. 2. Click the Term Processing link. 3. Click the Appointments link. 4. Click the Assign Appointments link. 5. You can run this process by searching for an existing Run Control ID or you can add a new value. Creating a Run Control ID that is relevant to the process may help you remember it for future use. Click the Add a New Value link. 6. A Run Control ID is an identifier that, when paired with your User ID, uniquely identifies the process you are running. The Run Control ID defines parameters that are used when a process is run. This ensures that when a process runs in the background, the system does not prompt you for additional values. Enter the desired information into the Run Control ID field. Enter "Assign_Enrlmnt_Appt". 7. Click the Add button. 8. Use the Assign Appointments page to enter the request parameters. These parameters will be used to define the processing rules and data to be included when the process is run. 9. The system enters the Academic Institution value based on your user default settings. If the Academic Institution field does not default to UBFLO update this field. 10. Use the Look Up function (Magnifying Glass) to find Academic Career values. 2 12. Use the Look Up function (Magnifying Glass) to find Term values. Click the Look up Term (Alt+5) button. 13. Click in the Description field. 14. Enter the desired information into the Description field. Enter "Fall 2011". 15. Click the Look Up button. 16. Click the Fall 2011 link. 17. Ensure that the value in the Process Mode field is set to Add Appointments. 18. Click the Session list. 19. Click the Regular 15 Week Session list item. 20. Use the Look Up function (Magnifying Glass) to find Student Appointment Block values. Click the Look up Student Appointment Block (Alt+5) button. 21. Select the Student Appointment Block. Click the Honors Students link. 22. When you select the Use Program Term/Session Limit checkbox (the Appointment Type), the Appointment Limit ID field below will disappear. At this time UB is not using the functionality of the Appointment Limit ID field. Click the Use Program Term/Session Limit option. 23. Use the Look Up function (Magnifying Glass) to find value to select the population for whom the Appointment Block is to be created. Click the Look up Appointment Block (Alt+5) button. 24. Select the appropriate Appointment Block. Click the Undergraduate Honors Students link. Page 2 Date Created: 2/21/ :49:00 AM

3 25. Use the Find Appointment From link to select a start date and time from a preconfigured list of Enrollment Appointments. Click the Find Appointment From link. 26. Click the Fetch Appointments button. 27. In the Enrollment Appointments group box you will see a list of Enrollment Appointments associated with this group of students. Each Enrollment Appointment will include an Appointment Number (Appt Nbr), Start Date, Start Time, End Date, and End Time. Click the Select Appointment button next to the Enrollment Appointment that you want. Click the Select Appointment link. 28. Use the Find Appointment To link to select an end date and time from a preconfigured list of Enrollment Appointments. Click the Find Appointment To link. 29. Click the Fetch Appointments button. 30. In this example there is only one Enrollment Appointment associated with Honors. If there were more than one Enrollment Appointment, we would select the next appointment. The Start Date in the next Enrollment Appointment would also serve as the End Date of the previous appointment. Click the Select Appointment button. 31. To initiate the process click the Run button. Click the Run button. 32. Click the OK button. 33. Click the Process Monitor link. Date Created: 2/21/ :49:00 AM Page 3

4 34. You may have to click the Refresh button several times until the Run Status changes from Queued to Success. The Run Status link is located in Process List group box. Click the Refresh button. 35. Once the Run Status column indicates Success, click the Details link. Click the Details link. 36. In the s group box click the View Log/Trace link. Click the View Log/Trace link. 37. Under the File List group box, Name column, notice that there are two pdf reports (end in.pdf). 38. Click the srappt_01.pdf link to view the first output file that identifies the number of students who were assigned enrollment appointments. Click the srappt_01.pdf link. 39. On the Assign Appointments report notice the number of students who were assigned to this Enrollment Appointment. The number is next to Appointments assigned to. 40. When you clicked on the pdf file a new window was opened. Close that window by clicking the Close button (Red X) in the upper right hand corner of the screen. Click the Close button. 41. Click the srappt 02.pdf link to review details on the students' assigned appointment. Click the srappt_02.pdf link. 42. On the Assign Appointments report notice the students assigned to this Enrollment Appointment. They are listed below Appointment Type: Enrollment Appointment. We have masked the student's ID and last names for privacy reasons. 43. Close the window by clicking the Close button (Red X) in the upper right hand corner of the screen. Click the Close button.
