1 Document Management Upgrade Guide March 2014, Version 8.9 Minimum Requirements Ensure that your Document Management environment conforms to the following requirements. Document Management Image Server Requirements Minimum Processor Server-class, dual-core, 2.4 GHz Memory 2 GB RAM if SQL Server is run remotely 4 GB RAM if SQL Server is run locally Operating System Windows Server 2008 (32-bit) Standard with latest service pack Document Management.NET Framework 4.0 or 4.5 Enterprise with latest service pack Windows Server 2008 R2 (64-bit) Standard with latest service pack Enterprise with latest service pack If you have up to 25 providers and import to Document Management, the minimum requirement is SQL Server 2008 Express w/advanced Services. If you have more than 25 providers and do not import to Document Management, the minimum requirement is SQL Server 2008 Express w/advanced Services.* If you have 26 or more providers and import to Document Management, the minimum requirement is SQL Server 2008 Standard or Workgroup Edition. * Express version can be used when the number of providers is greater than 26, but only when you are not indexing into the DM database. 2 Prepare for Upgrade Additional Software Software PDF Reader Scanning Software Notes Install a PDF reader such as Adobe Reader or Foxit Reader. To create image files that DM can index, you must use software designed to manage the scanning process. Choose a third-party product with the following capabilities: Supports batch processing of multiple documents. Converts paper documents to acceptable file formats (.PDF,.TIFF, etc.). Automatically saves PDF files to a designated folder with a unique name. Scanner Choose a TWAIN compliant scanner that supports your scanning software and your organization's needs. Effect of Scanning on the Server Hard Drive Requirement In most cases, the required 300 GB server hard drive is large enough to store images from several years of scanning activity. Estimate your eventual need for additional storage based on the rate at which you fill your hard drive or based on the guideline that 30,000 scanned pages (8.5 x 11 inches, black and white, 150 dpi) require approximately 1 GB of hard drive space. Grayscale and color scanning require 4-10 times that amount. Prepare for Upgrade To prepare for a Document Management upgrade: 1 Back up the Document Management configuration file. a Start the Indexing Client and click Edit > Configuration. b On the General page of the Configuration Editor, look in the Network configuration file field. c Back up the file specified in that field. d After backing up the specified field, click OK or Cancel to close the Configuration Editor. e Exit the Indexing Client. 2 If you use the Kryptiq DM database, use SQL Management Studio to back up the DM database. On the lower-left corner of the Indexing Client, a "D" appears if you have configured the Kryptiq DM database. Place your mouse cursor over the "D" to determine the Kryptiq DM database name. You must close the Indexing Client before proceeding. Do not restart the Indexing Client until you are finished with the upgrade. 2

3 DM Upgrade Guide 3 Download the Document Management installer from the Customer Support website. a Go to and log in. If you do not have a customer support account, request one by clicking the Request link shown below: b Under Document Management, click Install and Upgrade, and then Document Management Installer and Documentation. c d At the bottom of the page, under Downloads, click the link for the upgrade executable (DMversion.exe). Click Save File and save the installer to your desktop or other convenient location. 4 Verify that you have installed the SQL Server for the DM database. Install the Microsoft SQL Server: Document Management versions 8.6 and higher now require the DM database. If you already have a Microsoft SQL Server setup on your network that you would like to use for the DM database, then skip to "Install and Configure the DM Database." Otherwise, refer to the "Document Management Preinstallation Guide" for instructions on installing the Microsoft SQL Server. 3

4 Install Windows Components Install Windows Components Verify that Microsoft.NET Framework 4 has been downloaded and installed on the Document Management Server. Perform Upgrade This section explains how to perform a Document Management upgrade. To perform a Document Management upgrade: 1 Verify your installation location since you must install the new files to the same location as the old files. To verify your install location: a Right-click the Indexing Client shortcut on the desktop and choose Properties. b Click Find Target to open the Indexing Client folder. c Find "VerCheck.xml" and double-click it to open in your default web browser. You can also open this file in most text editors. d This file contains the drive letter and directory path where version information is located. You must install the new files on the DM Server to the DocumentManagementInstall folder on the specified drive (for example, C:\DocumentManagementInstall\). 2 Double-click the Document Management executable file (DMversion.exe) to unpack the installation files and start the installer. 3 When prompted, enter the path to the DocumentManagementInstall folder that you found in step one (for example, C:\DocumentManagementInstall\). Choose Yes to All when asked if you want to overwrite existing files. 4 When the installer window opens, on the Main Menu, click 4. Perform upgrade steps to start the Document Management upgrade wizard. The wizard walks you through the upgrade process. Though you are given the opportunity to change your Document Management configuration settings, most customers complete the upgrade by accepting the defaults and continuing to the next step. On every page of the wizard, information windows are available to help you understand the process and make the right choices. You can click an information button ( ) at any time to display a Help window that guides you through the relevant step in the wizard. Read the instructions on each page of the wizard to ensure a smooth and error-free upgrade. These steps should complete your upgrade process, assuming you already have a DM database configured for your system. If, you do not have a DM database configured, continue to the next section, "Install and Configure a DM Database "Install and Configure a DM Database"." 4

5 DM Upgrade Guide Install and Configure a DM Database If you already have a DM database configured for your system, then you do not need to install a new DM database. Your existing DM database should have been updated by the Install Wizard when you installed your new Document Management software. The following instructions explain how to install a new DM database. After you do so, Indexing Clients will prompt users that a new license needs to be installed. From an Indexing Client, follow the "Request License" prompts to request a new DM license. Once a license is requested, Customer Support will process the request and send back a license within 48 hours. Without a license, you have access to use DM and the Indexing Clients for up to 30 days from the installation date. After 30 days, however, you will not be able to launch the Indexing Clients without a license. For this reason, it is highly recommended that you immediately request and install the new license and avoid any unnecessary downtime. To install and configure a new DM database: 1 Browse to the DocumentManagementInstall folder and run the Document Management installer wizard (Installer.exe). This program is usually located on the C: drive of the DocumentManagement Server. 2 Choose Option 4. Perform Upgrade Steps. 3 Under Specify the current configuration file, browse to or enter the UNC path where your DM.ini file is located. The next screen, which verifies the current database connections, will now have Document Management checked and grayed out since it is required. 4 Click Next to continue to the screen where you configure the DM database. The status at the top shows if SQL is installed on the DM server. 5

6 Install and Configure a DM Database 5 Type in the server name where SQL is installed or click the Refresh button and select the server from the dropdown list. 6 When the server name is displayed in the SQL server field, click the Create DB button to create the DM database. The configuration window appears for this instance of the SQL Server. 6

7 DM Upgrade Guide 7 Choose Use Window authentication and Create a new database. Then click Next. 8 For Database name enter the description you want to use, and then click Initialize. Do not change the username and password, as these are automatically entered from your default settings. 7

8 Install and Configure a DM Database 9 A Status message appear that reports on the process. When initialization is finished, click Exit to return to the previous Install Wizard screen. 10 Click the Test Connection button. 8

9 DM Upgrade Guide 11 When the "Successfully connected..." message appears, click OK to continue. If you do not see the "Successfully connected..." message, then the connection failed. Make sure the SQL server name and database name are correct and then test again. Do not change the default username and password. 9
