1 Release Notes Wellnomics Breaks & Exercises (WorkPace ) Version 5.0 Product Release Overview Product: Release Version: 5.0 Wellnomics WorkPace Date of Release: October 2014 Support Information: For more information or support, please visit our website or us at support@wellnomics.com. Introduction This document contains the release notes for Wellnomics WorkPace version 5.0. The following sections describe the release in detail and provide late-breaking or other information that supplements the main document. Installing and Upgrading Installation For a new installation on a stand-alone PC, double-click on the product installer executable to launch the installation application. Further instructions are given during the installation process. Please ensure that you select the Local installation option when prompted. For a new installation within a corporate networked environment, please see the IT Administrator s Guide for full details. Wellnomics and WorkPace are registered trademarks of Wellnomics Ltd 1
2 Upgrade Upgrading to this release from a previous build of Wellnomics WorkPace is only possible when the existing Wellnomics WorkPace installation is registered with a valid maintenance key, and that key is up to date. This version of the product will automatically detect and upgrade your existing stand-alone local installation of Wellnomics WorkPace to the new release. For upgrading the product within a corporate networked environment, please see the IT Administrator s Guide for full details. Manifest This release consists of the following items: Release notes (this file) Product installer executable IT Administrator Guide User Guide Minimum System Requirements PC with 1 gigahertz or higher processor 32-bit or 64-bit processor 1 GB RAM 110 MB of available hard disk space 1024 x 768 or higher-resolution video adapter and monitor Windows 8 (32/64 bit), Windows 7 (32/64 bit), Windows Vista (32/64 bit) with SP2 Actual system requirements may vary based on individual PC configurations, taking into account resources used by other applications that may already be installed. Additional hard disk space may be required if you are installing WorkPace over a network. Important Note Regarding Wellnomics WorkPace Maintenance Agreements and Registration Expiry You must have a valid Wellnomics registration key or maintenance agreement to be able to install this update. If after installation, Wellnomics WorkPace prompts that your registration has expired, please contact your supplier for a valid Wellnomics WorkPace Registration Key. If your supplier cannot provide you with a valid Registration Key, this may indicate that they are not an authorized Wellnomics WorkPace support agent. Only authorized Wellnomics WorkPace Resellers are able to renew Wellnomics WorkPace Maintenance Contracts. Please note that it is illegal to use Trial Expiry codes or Temporary Year Keys (Tijdelijke jaarsleutel) to continue using Wellnomics WorkPace without a valid Registration Key. Trial Expiry codes or Temporary keys are solely for the purpose of running short term trials, and do not constitute a valid license for Wellnomics WorkPace. 2
3 What s new in Version 5.0? The following new features, and enhancements to existing features, are included in this new release:- New Windows 8 Look and Feel The Wellnomics WorkPace user interface has been completely refreshed and updated to a modern look and feel matching the design styles of Microsoft Windows 8 and 8.1. (WPC-364). See examples below:- New Status Panel New Micropause Dialog New full screen exercises Designed to support high resolution HD displays and ensure exercises are easy to follow and read from a distance - for example, when a user is standing up away from their computer doing the exercise. Exercises can be displayed in either windowed or full screen mode. (WPC-344) 3
4 New Dashboard displays summary of your computer use and breaks WorkPace 5.0 introduces a simple "Dashboard" that is displayed by default instead of the WorkPace console. This dashboard shows a summary of your total computer use and mouse use for the day, as well as your Micropause and WorkPace Break compliance. Keep the smiley face's both happy and you'll be a healthy computer users. Other features include: Bars change colour if your computer use exceeds your recommended daily usage limit (defaults to 6 hours), showing at a glance if your computer use is high today. Mouse-over the smiley icons to see how many breaks you have taken or ignored. Quickly adjust settings at any time using the dropdown, See details on your current settings by clicking the expand button. Click Advanced Settings to view the full WorkPace Console and access other less used settings. New dashboard New dashboard with extended settings (WPC-336) 4
5 Content of Recent Releases Prior to Version 5.0 New Feature: Built in support for Wellnomics Risk Management User Sign Up (Version 4.4) If this feature is enabled then WorkPace will automatically prompt a new user to sign up into the Wellnomics Risk Management portal, validate the user's username/domain credentials and setup the synchronization with the server. To use this feature WorkPace needs to be specially configured and pre-packaged to point to the right Wellnomics Risk Management server that is being used. Once the user successfully signs up they will be able to access up-to-date risk reporting on their computer use through the "View My Risk Profile" links on the WorkPace Status Panel. Upgraded Exercise Videos (Version 4.4) The exercise videos in WorkPace have been upgraded from 400 x 400 to higher resolution 640 x 640 videos. The upgraded videos use mp4 meaning they are higher quality yet not larger in size that the previous 400x400 videos. This improvement makes the videos much larger on HD resolution screens. WorkPace Ergonomic and keyboard shortcut tips now translated into additional languages (Version 4.4) All the new WorkPace ergonomic and keyboard shortcut tips have now been translated into Spanish, Swedish, Norwegian, Portuguese, Russian, Thai, Indonesian, Chinese, French, and Arabic. Static Cartoon style exercises replaced with high definition video stills (Version 4.4) Static exercise image alternatives to video exercises updated: Use of static exercise images can be chosen during the installation. This can be useful for remote environments like Citrix where videos might use too much bandwidth and cause performance problems. The previous cartoon style stills have now been updated to use photographs. Time on Standby added as a new statistic to the Historical Statistics > Usage tab (Version 4.4) The new statistic records the amount of time a user puts WorkPace onto Standby each day WorkPace Console interface simplified (Version 4.4) The WorkPace Console user interface has been simplified by replacing existing OK, Cancel and Apply buttons with just a single Apply button. Current Setting Options renamed (Version 4.4) The Current Settings options in the dropdown boxes have been renamed to make them clearer. New Quiet mode (Version 4.3) This is a special new mode in which WorkPace will continue to monitor break and micropauses, but will never show any break alerts on screen. 5
6 This mode is intended to provide an absolute minimum level of work disruption to users. Although users will never be interrupted with break alerts, they will still receive feedback on when they should take breaks, and on how many breaks they re taking, via the Status Panel, where the timers will continue to count down when a break should be due, and through the Break Compliance and Work Intensity indicators (displayed on both the Windows System Tray and WorkPace Status Panel). This mode is enabled for any break by choosing Low (no alerts) as the Enforcement Level in the Settings setup for that break. This mode is intended to be particularly useful when used with Wellnomics Risk Management, allowing a risk assessment on staff s work patterns to be conducted before any breaks are prompted. This then allows management to identify which staff are not taking sufficient breaks before turning on breaks for appropriate groups. If staff already appear to be taking sufficient breaks, then the Quiet mode preset or the Low (no alerts) Enforcement Level may be sufficient for many users. Support for Default settings values for new users (Version 4.3) In 4.3 support for specifying default settings for new users has been added. Previously it has only been possible to rely on inbuilt defaults that couldn t be edited. Management could set ranges, or lock settings to specific values (values that user s couldn t change), but couldn t change the defaults for new users. With 4.3 management can now specify default values for any setting in the WorkPace default.ini or Wellnomics Risk Management Settings.XML files, using the following syntax: MicropauseDuration=Default:8s See the WorkPace IT Admin Guide for more information on how to specify defaults for different settings. Support for Default settings Improvements to Remote Desktop Support (Version 4.3) Remote desktop support originally added in version 4.2 and subsequently improved in Version 4.3, and means that WorkPace can automatically suspend monitoring if it is being used in a remote desktop session. This avoids duplicate counting of computer use that would happen if the user had WorkPace installed both locally and on the remote computer. In some cases this feature may need to be disabled, for example, for users on a thin client terminal (e.g. Citrix). In this situation the thin client will be interpreted by WorkPace as a remote desktop and so WorkPace will not monitor unless this feature is disabled. In 4.2 this feature was disabled by default. In 4.3 it is enabled by default. In 4.2 this feature could only be controlled through the system settings (default.ini or Wellnomics Risk Management settings XML). In 4.3 this feature can now be enabled or disabled by the end user through Preferences > Options. Improved visibility of Setup Wizard (Version 4.3) The WorkPace Setup Wizard is the easiest way for user s to modify their settings. However, previously it wasn t easy to find, being on the bottom of one menu. 6
7 In WorkPace 4.3 the menus have been adjusted to put the Setup Wizard in a more prominent place. Additionally, a new Setup Wizard screen has been added (see screenshot below) that summarises the user s current settings and allows them to modify them again just by pressing the button. This screen is now the default screen displayed whenever the WorkPace Console is opened, once again making it very easy for new users to find it and adjust their settings. Drag support added onto Micropause window (Version 4.3) Sometimes the Micropause insist window may be blocking something the user wishes to read while taking a Micropause. In earlier versions it wasn t possible to shift the window out of the way with the mouse. In version 4.3 a title bar has been added back onto the Micropause window, meaning users can drag the window out of the way if they wish. 8 Improved support for Wellnomics Risk Management the ability to handle new users not yet loaded into the HR database (Version 4.3) When WorkPace is used with Wellnomics Risk Management, WorkPace receives information from the Wellnomics Risk Management server on the correct Settings Profiles and policy settings for each user. For example, when a new user uses WorkPace for the first time the software will first authenticate them with the Wellnomics Risk Management server, then download the correct settings profiles that are appropriate for that user. For this to work each user needs to be loaded into the Wellnomics Risk Management server in the HR Import. However, this relies on the HR data in Wellnomics Risk Management being updated whenever there are staffing changes, such as a new staff member joining. If there is a delay between a new staff member running WorkPace for the first time and their details being loaded into the Wellnomics Risk Management HR import then WorkPace will not recognise them to be able to provide the right settings. In this situation WorkPace will simply display an error message to the user and keep displaying this error until the user is loaded into Wellnomics Risk Management. In order to avoid this situation (which may be quite common in large organisations, and which may generate extra technical support) in version 4.3 a new feature has been added that will allow the user to start using WorkPace automatically providing them with default settings, until such time as the user is found to be loaded on the Wellnomics Risk Management server. This means new staff can immediately begin using WorkPace without any errors being displayed, even if it takes several weeks for them to be loaded onto the Wellnomics Risk Management server. Ergonomics and keyboard shortcut tips (Version 4.2) New keyboard shortcut tips. Cycles through a list of 45 of the most useful keyboard shortcuts for Windows users. List of ergonomics tips has been expanded to 42 different tips Tips (both ergonomics & keyboard shortcuts) are now also displayed in Micropause window (display of tips in Micropause can be disabled if wished so they only display on Rest Break) All tips, including both the ergonomics and keyboard shortcuts, can now be fully customized by the customer. Customer can edit, delete or add new tips centrally and they will be automatically updated for all users (if using central network folder). Remote Desktop support (Version 4.2) WorkPace will now automatically suspend when running through a Remote Desktop connection. This means that in the situation where WorkPace is installed and running on both the local computer and a remote computer, WorkPace will not (i) double record computer use, or (ii) provide breaks at the same time on both the local and remote computer. Instead, if WorkPace detects it is now running in a remote mode, it will automatically suspend for the duration of the remote access. Simple Pre-sets (Version 4.2) New simple settings pre-sets added to Setup Wizard. Designed to provide more options for users to choose settings with low disruption e.g. there is a Monitor Only option. 8
9 New bouncing icon Alert Style (Version 4.2) New alert style with bouncing icon to gain user attention, instead of the grey/orange/red flashing alert border. Older flashing border alert style is still available and supported and user can choose which option they prefer through Preferences > Options menu. Arabic Language support (Version 4.2) WorkPace now fully supports Arabic as a user interface language Updated Dutch help and user s guide (Version 4.2) Context sensitive help and User Guide are now available in Dutch as well as English. Dutch User Guide was not available in 4.0. Connect Now function now available from WorkPace icon in the Windows Tray area (Version 4.2) A new function is available when you right-click on the WorkPace icon, that will (if configured) connect to the Wellnomics Risk Management server to receive updates to the users settings. Enhanced support for Wellnomics Risk Management - the following features provide enhancements to customers who are using WorkPace with Wellnomics Risk Management Link to online Risk Profile (Version 4.2) View Risk Profile icon & link added to WorkPace Status Panel. This allows users to easily view their current risk profile (in Wellnomics Risk Management) with a single click. Ability to configure pre-defined domain name (Version 4.2) Support for setting a predefined domain-name. This is of interest for organizations who do not use standard Windows domain name management. For example, is using a Novell network. Domain name can be hardwired so communication with Wellnomics Risk Management server works successfully. Improved user interface (Version 4.0) The WorkPace user interface has been improved with the use of revised icons and re-styled dialogue windows HD Video Exercises to replace exercise diagrams (Version 4.0) The existing exercise diagrams have been replaced with high quality (High Definition) video exercises. Support for Windows 64bit Operating Systems (Version 4.0) WorkPace is able to operate in an accurate and stable manner in Windows 64-bit operating systems. 9
10 Translation of user interface into additional languages (Version 4.0) Additional languages include French, Spanish, Portuguese, Russian, Thai, Simplified Chinese and Indonesian Additional safeguards to prevent data corruption (Version 4.0) Additional safeguards to prevent data corruption when a user s Window s profile (and WorkPace files) is copied to a new PC and for some specific circumstances arising from hot-desking (Version 3.9.5) Link to View Risk Report (Version 4.0) WorkPace now includes a link option on the WorkPace console and on the Status Panel to allow the user to View Risk Report in Wellnomics Risk Management (only available where Wellnomics Risks Management licence is in use). --- END
