1 P a g e E & O E Payroll Upgrade Detailed Installation Procedures Opera II & Opera Please read these instructions carefully before carrying out your Payroll upgrade. These instructions are in a detailed format. You can install the Payroll Upgrade at any time before the Payroll Year End. Check which version of Opera you are running, you must be on Opera II or Opera 3 v or later. You can check which version you are running by logging in to Opera II, it tells you the Release Number on the login screen, alternatively you can select Help > About from the menu bar at the top of the screen. If you are not using Opera II v , Opera 3 v , please call the Profile SystemCare Helpdesk IMMEDIATELY on Before you install the upgrade TAKE A BACKUP not just the data EVERYTHING in the Opera Directory. Make sure no one is in the system before you start. If you have a server, check the tape backup was successful this will be fine. Also if you have XRL installed please ensure all users are logged out. Take a separate backup of your data you can do this by logging in to Opera selecting Administration > System > Utilities > Backup Make sure you select all companies (EXCEPT Company Z). The choice to include Additional Files is a User one, it will take longer if you include additional files. If you are happy that the standard network backup has been completed successfully and your Network Administrator has confirmed this, then you can un-select the Include Additional Files option If you are unsure in anyway, then we would strongly recommend that this option is left ticked. o NB This will increase the time need for the backup to complete. o NB Do not un-tick and then re-tick this option as this can cause the backup to fail.

2 2 P a g e E & O E Before running the Opera II v or Opera 3 v upgrade, please check to see if you have any Bespoke. For Opera II, Log in and select the select the Help option. For Opera 3, Firstly Log in and within System-Preferences switch Menu Style to Navigation Pane, then Re-log in and select the select the Help option. If you have any Bespoke on your system, there will be an option for Bespoke Activations if you have not received any updated bespoke please call the Profile SystemCare Helpdesk IMMEDIATELY on Ensure no users are logged in to Opera, XRL or Operations before starting the upgrade. IMPORTANT If you use Document Manager, Dashboards, Stocktake you will need to upgrade these modules they are on the upgrade CD If you use WebXchange you will need to upgrade this is on a separate CD If you use Scheduler you will need to upgrade this is on the upgrade CD.

3 3 P a g e E & O E IF YOU ARE ON A NETWORK : You MUST insert the CD in the SERVER. IF YOU RUN STAND ALONE: Insert the CD in your PC. If the launch window is not displayed automatically, click Start, and then click Run. In the Open box, type: d:launch.exe (where d is the letter that identifies your CD drive) and then click OK. A menu will load giving you the option of upgrading Opera II or Opera 3. From this menu Select Opera II or Opera 3 as appropriate You will be directed to another Menu select Install Opera II or Opera 3 as appropriate The installer window will appear. The system will check your current settings before the screen changes to say Upgrading the Installation of Pegasus Opera II Server or Upgrading the Installation of Pegasus Opera 3 Server. If it tells you this is an upgrade, keep clicking the next button until the upgrade starts. The upgrade takes a short while to complete.

4 4 P a g e E & O E The software upgrade will begin this may take a few minutes to install Once completed it will tell you it has been successful. Click Finish. You will be returned back to the main Menu. Click the X in the top right corner to close this screen.

5 5 P a g e E & O E Double click your Opera icon to log in, it will inform you the client version does not match the server version Click YES, then NEXT the system will now upgrade the client automatically. This must also be done on every workstation that uses Opera. Once the client has been upgraded, log in to Opera as normal. You will now get a message that tells you your Activation Key is incorrect. Click the OK button. Along with your CD you will have received a page that includes your Activation Details. Enter the details exactly as they appear on the sheet. Click the Activate button and you will go to the login screen.

6 6 P a g e E & O E Log in to Opera as ADMIN You will now need to run an Update Data Structures on ALL of your companies. From the Administration section select System Utilities Update Data Structures Select one company at a time. **See additional note for Opera 3 SQL included in pack. Remember to tick the box on this screen. This will update the PAYE / NI tables automatically for each company. Please also remember to tick Force Rebuilding and Run Unattended boxes. You do not need to change the location of the Audit File.

7 7 P a g e E & O E Once the Update Data Structures has been run on each individual company and has completed successfully, you can begin processing in the normal manner. If you get any errors during the Update Data Structures, make a note of the error and call the Profile SystemCare Helpdesk IMMEDIATELY on DO NOT CONTINUE If you are using Office 2016 and experience any problems please call support Document Management & Executive Dashboards Guides Installation Guides are available for both Document Management and Executive Dashboards. The guides are in the respective folders on the Opera II CD and can be accessed from the Opera II CD Installation Menu. A User guide is also available for Executive Dashboards. Help for Document Management is in the Opera II Help. Pegasus Scheduler & Stocktake for Opera 3 Installation guides are available for both the Scheduler and Stocktake. The guides are in the respective folders on the Opera II CD and can be accessed from the Opera II CD Installation Menu.

8 8 P a g e E & O E On the Upgrade CD there is a folder called Documents. There are a number of PDF files within this folder that cover the whole Installation / Payroll Year end in detail. You can copy these files off the CD on to your desktop for easy reference, or refer to the guides we have produced.
