4 Disclaimer Machine Specification Due to the frequency that both hardware and software changes, prior to implementing any new/updated software or hardware, please contact ISYS Group Support for assistance in the required area. ISYS Group Limited cannot and will not be held responsible for wasted time and non-usable systems due to not establishing the requirements prior to implementation. The specifications detailed in the Pre-Installation pack supplied at the point of sale should only be regarded as accurate at that moment in time. Licenses To install and configure the Intelligent Time system a registration license key is required. The key will be in the software manual supplied with the system at the time of installation. If you do not have this available, please contact ISYS Group Support who will reissue the license key. Please be aware that if you do not have a current valid maintenance contract, this will not be issued. Support Please be aware that ISYS Group will only support machines installed by qualified engineers at the time of installation and only to the maximum number of machines outlined at the point of sale. Post installation machines that are installed by internal IT may be covered dependent on the support and maintenance contract, but will always be at the discretion of ISYS Group Limited. Preparation Prior to starting the installation of software, please ensure the following: You have all required discs available and they are up to date You have read and understood fully the installation procedure You have the license information available You have checked the specifications of the machine(s) to be installed isys Group Limited Page 4 of 31

5 Checklist Prior to commencing the update, please print out the checklist below and enter your existing version in the box at the top. 6 Backing up your data Before upgrading your system, it is essential that you take a full backup of your data and your bespoke items. The procedure is in two stages: 1) Create backup of your data. This must be run within Management Studio. 2) Take a backup of your Tru-time subdirectory. This needs to be run to protect any bespoke items you may have loaded on your system Backing up your database Go to:. The Connect to Server window will appear. Check the Server Name and make sure it is correct (That it matches what it is in the DBX Config file in the Tru-Time directory). Enter your login password for SQL and click Connect Click on the + next to the server name to expand this section Click on the + next to Databases to expand this section Right click on the database name (intelligent) isys Group Limited Page 6 of 31

7 Click on Tasks Back Up Check the Destination path and name, to make sure it is backing up to the correct location, e.g. C:\Program Files\Microsoft SQL Server\MSSQL.1\MSSQL\Backup\Intelligent Click on Options in the left hand column isys Group Limited Page 7 of 31

8 We recommend you verify the backup when finished, so please tick this box. Click OK to run the backup. Shortly afterwards you should see the following message that confirms that the backup is complete: Backing up your Bespoke Items Once this is done, using Windows Explorer or My Computer, go to the C:\Program Files subdirectory from your server. Right click on the Tru-Time subdirectory and click on Copy from the menu. Go to your desktop and click Paste, to copy the entire directory to a safe place. isys Group Limited Page 8 of 31

9 Upgrading the database This part of the procedure updates the Intelligent Database, where all of your data is kept. The process involves running a number of SQL scripts. This chapter provides instructions for running the scripts, and details of what scripts need to be run and in which order. Where to Locate the Scripts Place the Intelligent Systems upgrade CD in your CD drive. If it attempts to install Intelligent Systems, take the option to cancel the installation at this point. The following guidelines are based on your CD drive being the D drive. If your CD Drive uses a drive letter other than D, please amend the paths accordingly. Go to Windows Explorer or My Computer and in the address bar type in the following: D:\Program Files\Tru-Time The majority of the required scripts can be found at the above address, however the Report script is in an alternative location (see below) D:\Program Files\Tru-Time\Data\Reports How to Run the Scripts Click on:. The Connect to Server window will appear. Check the Server Name and make sure it is correct (That it matches what it is in the DBX Config file in the Tru-Time directory). Enter your login password for SQL and click Connect. isys Group Limited Page 9 of 31

10 Click on the + next to the server name to expand the section. Click on the + next to Databases to expand the section. Click on the database name (intelligent). Click on the open folder icon. Using Windows Explorer or My Computer, go to D:\Program Files\Trutime(\Data\Reports), select the script and double click on it. This should automatically load the script into SQL Server Management Studio. The Connect to Server window will appear. Check the Server Name and make sure it is correct (That it matches what it is in the DBX Config file in the Tru-Time directory). Enter your login password for SQL and click Connect. In SQL Server Management Studio, there is a white box in the top left hand corner, click on the arrow on the right and change the name of the database from master to intelligent Click on Execute. The script will now run. At the bottom of the screen you will see this symbol as follows: This indicates that the script is running. Once this is complete, go back to the Tru-time subdirectory and run the following script and so on. isys Group Limited Page 10 of 31

11 Which Scripts Do I Need To Run? The scripts you need to run depend on which version of the software you are currently running. Check your current version by opening DBX Config within the C:\Program Files\Tru-Time folder this will tell you your database version. You will need to run these scripts in the following order, depending on which version of the database you are running: For all versions before o If the database is 2 tier (no companies table) run the script 3Tier_Migrate.sql Then run the most appropriate of the following sequences... 12 Upgrading the Intelligent Systems Software (Server Only) Uninstalling Intelligent Systems Prior to installing the new release of Intelligent Systems, you will need to remove your existing version from your server. First of all, shut down any Intelligent Systems software you are running on your server. This includes System Manager, Firmware Controller or Report Wizard/Scheduler. Go to: Uninstall a program. Search through the list for any program called Tru-Time, Intelligent Time or Intelligent Systems. (NOT Intelligent Timeweb). Select the program from the list and click on the Change/Remove button. The installshield will run. Click on Remove and click Next Confirm? Enter Yes This will remove the previous version from your server Make sure that any old versions are no longer listed in Add/Remove Programs. isys Group Limited Page 12 of 31

13 Uninstalling the Firmware Controller Service Version If your system is running the service version of the Firmware Controller, you may need to upgrade it to the latest version separately. To find out if you are running an older version of the service version, click on Click on Services. Scroll down the list of services to see if there is one called ISYS (or Tru-Time) Firmware Controller. If the service is listed, right click the mouse on the file and click on Stop. To uninstall it, use Windows Explorer or My Computer, go into your Tru-time subdirectory and locate a folder which contains the service application (usually in a subdirectory check with the helpdesk if you are unsure). Click on the UninstallService.bat file to remove it. V and later versions contain a new executable that will need to be run following installation. It is called Automanager.exe and handles automatic clocking, previously processed by the Firmware Controller. isys Group Limited Page 13 of 31

14 Installing Intelligent Systems Insert Intelligent Systems Installation CD. The CD will automatically run the install when inserted in the drive. Click Next You will be asked to confirm the directory this is usually C:\Program Files (x86)\tru-time. If you would prefer to install this to another location, click on the Browse button, enter the new path and click OK. Click Next. You will now be asked which components you would like to install. isys Group Limited Page 14 of 31

15 As default, all of the boxes are ticked. As this is a Server Installation, leave all boxes ticked. Click Next. Intelligent Systems will now be installed on your server. Click on Finish. Licencing the Software Contact the helpdesk and ask for the licence details. Once you have these, using My Computer or Windows Explorer, go to C:\Program Files\Tru-time and double click on the DBXConfig38 executable. The Database tab will be highlighted Enter the Engine as SQL Server Enter the Server Name (see note beneath). Under SQL 2012 you can find the Server Name under:. When you go into it you will see the name under Connect to Server. Enter the Database Name as intelligent. For Connection, click on the SQL Server Authentication (radio button). Enter the login name sa followed by the password you entered when installing SQL Server. isys Group Limited Page 15 of 31

16 Click on Test Connection should respond with Connection Succeeded This will be followed by Refresh Details From the Database? If you have an existing database, click Yes to this. The DBX Config details will be restored from before you upgraded and saves having to re-enter them Click on Save Connection Details at the bottom of the screen. Your database settings are now saved and you need to check the licence Click on the Licence tab In here enter the company name, number of employees, client seats and concurrent connections exactly as the details are provided from support. If you clicked on the Restore Details From the Database on the last tab, your licence details should have been restored and are now visible. If not, you will need to re-enter them Tick the relevant module boxes enter the correct expiry date (using the drop down option will produce a calendar to choose the dates). Once this is done enter the licence key (provided by support). Click on the Folders tab isys Group Limited Page 16 of 31

17 Example Enter the Data Directory as the path to the data folder in the Intelligent Systems subdirectory (see note below) The Data Directory must begin with the server name rather than the drive name. The reason for this is that the workstations will also use this file to access the data folder, so by entering a drive letter, the workstations will look to their own drives for the data folder rather than on the server. Click on the Applications Tab Tick the boxes for Hide Left Employees and Show Report Filename In Saved Reports if required Enter the Shortcut as the path to the Report Wizard program (see note below) The Report Wizard shortcut must begin with the server name rather than the drive name if running the program from the server. The reason for this is that the workstations will also use this file to access the program, so by entering a drive letter, the workstations will look to their own drives for the program rather than on the server. However if running Report Wizard from the workstation, then enter the local drive path instead Enter the Shortcut as the path to the RSA Application if required isys Group Limited Page 17 of 31

18 Click on the Save Configuration Details button Check System Manager to make sure you can access it. If not, go back to DBXConfig38 and check that all details match what has been provided by support, make any changes, then Save and Exit again. Once you are able to run System Manager, you will need to start up the Firmware Controller to start processing the clocking and movements from the terminals. In addition you will need to start up the Automanager.exe, which is a function new to V1104 and handles automatic clocking. Installing the Firmware Controller Service Version When upgrading to the current release, you must install the new FMS system instead of using the Firmware Controller. Details of installing this are in the FMS Installation Guide manual. However there may be instances where you do need to install the Firmware Controller instead, details for this are below. If you are installing FMS, DO NOT install the Firmware Controller Service Version If you have been running the Firmware Controller Service version and you have followed the procedure to remove the existing one, you will need to reinstall. To do this go into your Tru-time subdirectory and double click on the InstallService.bat icon. Make sure you exit the screen correctly, and add the entry to your firewall as instructed. If you are unable to open the firewall, ask your IT department to do this for you. Once complete, locate the service by clicking on Start Control Panel Administrative Tools Services. Scroll down the list until you can locate the file ISYS Firmware Controller Service. Right click on the entry and click on Start. The service version will start to run in the background. Installing the Automanager Service Version If you are or have installed FMS, then DO NOT install the Automanager Service Version as this is part of FMS isys Group Limited Page 18 of 31

19 The Automanager function is new to V1104 and handles automatic clocking, previously processed by the Firmware Controller. To install this go into your Tru-time subdirectory and double click on the Install Isys Autoservice.bat icon. Make sure you exit the screen correctly, and add the entry to your firewall as instructed. If you are unable to open the firewall, ask your IT department to do this for you. Once complete, locate the service by clicking on Start Control Panel Administrative Tools Services. Scroll down the list until you can locate the file ISYS Firmware Controller Service. Right click on the entry and click on Start. The service version will start to run in the background. Updating Cyber Terminals (Time and Attendance) (Only if updating from or earlier) If upgrading Intelligent Systems from version or earlier, you must update all Cyber Terminals with the latest flash file. See instructions below to update your terminals. If you are unsure if you have any Cyber Terminals, go into the Firmware Controller, under Options click on Terminals, then double click on each terminal in the list in turn: Check the Terminal Type Settings, if the field displays Cyber, you need to upload the latest Flash file from the installation CD isys Group Limited Page 19 of 31

20 Click Cancel to close the Setup Screen, and click on Send Command. Enter SR00 in the box The terminal should respond by sending a message to the Firmware Controller. The Flash Version is the last seven digits in the data field, in the format XXXX/XXX If this is 6001/080 or higher then you do not need to update. In the example below, the version is 6001/082. However if you are using an older version, click on the Upload button. It will ask you where the file is that you want to load. With the Installation CD in the drive, go to this, then into Program Files/Tru-time/Data/ATS/Cyber/UCS. The Firmware Controller will be looking for DLD Files. Change the Files of Type: to UCS Flash Files (cfl) and click on the file named UCS082_1.CFL Click Open. The Flash file will now be downloaded to the terminal. This may take some time. The terminal will beep several times when complete and a message with a blue background will appear in the Firmware Controller when complete (see below) isys Group Limited Page 20 of 31

21 Once complete, you will need to upload the terminal s setup file. The terminal setup files can be found either on the installation CD or in the Intelligent Systems folder (Program Files/Tru-time/Data/ATS). If you are not sure which setup file you require for your terminal(s), please contact the helpdesk for assistance. The setup file can be loaded in the same way you loaded the Flash file, by clicking on Upload, then selecting the relevant DLD file from the list and clicking Open Once complete, you will need to load the employee data back into the terminal. To do this, click on the Build option located in the left hand sidebar in Firmware Controller: Click the mouse on Build T&A Files Only and click OK. Once complete, click on the Terminals icon, select the terminal you are updating from the list, and click Upload. The employee details will be written to the terminal. The terminal update is now complete. Repeat the process for the next Cyber terminal. Upgrading Maximus and Accutouch Terminals If your system uses Maximus or Accutouch Terminals, please make sure they are running the latest version of the firmware. Their existing version appears on screen during boot up. Check the current release, if it is a newer version, then install it to the terminal using a USB Flash Drive. Upgrading the Access Control Units (Access Control) Check all V2000 Door Controllers to make sure they are using the very latest firmware update. If not, you will need to upgrade all v2000 door controllers.. The file and instructions can be obtained from Isys Group Ltd. Upgrade the Config Files (Access Control) If upgrading from a version prior to V , you will need to make sure the config files are updated for each controller. isys Group Limited Page 21 of 31

22 To do this you will need to make sure all files in the data\hid\configs folder is up to date. Using Windows Explorer or My Computer, open the install disk (once again assuming drive D is your CD drive). Go to the following path: D:\program files\tru-time\data\hid\configs Select all files in this subdirectory with the right hand mouse button and click Copy. On your server, open the following subdirectory: C:\program files\tru-time\data\hid\configs Right click in this folder and click on Paste. You will be prompted to overwrite the existing files. Accept this. The Config files will be overwritten. Once this is complete, go to the Firmware Controller. Click on Terminals from the left hand bar and double click on the first door controller that appears on the list. Click on HID Settings tab isys Group Limited Page 22 of 31

24 Click OK to close. You may hear the terminal beep three times Using Windows Explorer or My Computer, go to the following subdirectory: C:\program files\tru-time\data\hid\configs Double click on the file called Eventlog. When prompted for an application to open it with, select Wordpad from the list. Locate the line that starts with the letter C. Change the IP address to that of your server. If you are not sure what your server IP address is, check with your IT Department. Click on File and Save from the Menu. isys Group Limited Page 24 of 31

25 Upgrading Intelligent Systems (Workstation Only) Uninstalling Intelligent Systems (Workstation) Prior to installing the new release of Intelligent Systems, you will need to remove your existing version from each workstation for which it is installed. Go to. Select Intelligent Systems from the list Click on Change/Remove Click on Remove and click Next This will remove the Intelligent Systems system from your workstation. isys Group Limited Page 25 of 31

26 Installing Intelligent Systems (Workstation) Insert Intelligent Systems Installation CD into the drive of the workstation. The CD will automatically run the install when inserted in the drive. Click Next You will be asked to confirm the directory this is usually C:\Program Files\Tru-time. If you would prefer to install this to another location, click on the Browse button, enter the new path and click OK. Click Next. You will now be asked which components you would like to install. isys Group Limited Page 26 of 31

27 As default all of the boxed are ticked. For installing on the workstation remove all ticks with the exception of System Manager and Report Wizard (see below). Click Next. Intelligent Systems will now be installed on your workstation. Click on Finish. If you are upgrading from a version number prior to the September 2007 release, you will notice the System Manager shortcut icon has changed from this to this. Right click on the shortcut, click on Properties and make sure Target contains the path to the Intelligent Systems installation on the server. Repeat this process for the Reports Wizard icon. If you are updating from a version prior to September 2007, you will also need to run the DBXConfig38 program. You will need to copy this from the install disk, and can be found under Program Files\Tru-time. Copy DBXConfig38 into the subdirectory where the client copy of System Manager is installed and double click to run it. The Database tab will be highlighted Enter the Engine as SQL Server. Enter the Server Name (see note beneath). The Server Name can be found by locating the icon at the bottom right hand corner of the server and double clicking on it (SQL Server 2000 only). Under SQL 2005 you can find the Server Name under: isys Group Limited Page 27 of 31

28 . When you go into it you will see the name under Connect to Server. Enter the Database Name as intelligent. For Connection, click on the SQL Server Authentication (radio button). Enter the login name sa followed by the password you entered when installing SQL Server. Click on Test Connection should respond with Connection Succeeded This will be followed by Refresh Details From the Database? Click Yes to this and it will restore the details from the Server. Click on Save Connection Details at the bottom of the screen. Your database settings are now saved and you need to check the licence Click on the Licence tab, make sure all licence details are entered, check Folders and Report Wizard as well, making sure that the paths are entered correctly. Do not click on Save All, as this will overwrite the DBX Config program on the server. Simply click on File and Exit. Provided you have clicked on Save Connection Details, all of the licence details will have been saved to the registry. Delete the DBX Config program from the Client PC it will not be required again. Repeat this process for each workstation that is using the Intelligent Systems software. isys Group Limited Page 28 of 31

29 Timeweb Upgrade If you have Timeweb installed on your system this needs to be upgraded separately from Intelligent Systems by replacing it with the new Timeweb 2 software In the Timeweb upgrade package, there is a script that needs to be run prior to upgrading. The guidelines for running this are in the chapter Upgrading the Database Once this is done, you need to copy a file prior to running. Using Windows Explorer or My Computer, go to the following directory: C:\Inetpub\wwwroot\timeweb Right click on the file called appsettings.config and from the menu click on Copy. Right click on your desktop and click Paste. The config file will be copied to your desktop. The next step is to uninstall Timeweb from your system. From the Start button go to Control Panel Add or Remove Programs Prior to uninstalling Timeweb, have you copied the appsettings.config to a safe place? Scroll down the list for Timeweb and click on the Remove button. Timeweb will be uninstalled. Timeweb 2 installation can only be performed by the Isys Support Team. Please call them when you are ready to install this, and let them know where the appsettings.config file is so that they can transfer the connection details to the new system. isys Group Limited Page 29 of 31

30 Troubleshooting After updating the system, the icons in System Manager Folder Items have disappeared This is due to a display problem in Windows. To solve this you will need to download a patch from Microsoft at the following location: If the following messages appear during the Intelligent Systems installation: Error 1904.Module C:\Windows\system32\XImgEdit30.ocx failed to register. HRESULT Contact your support personnel. This is due to a non-essential register update and will not cause a problem with the upgrade. Invalid Licence Number. Please call your system provider. This happens when running System Manager. Go into DBXConfig (found in the Tru-time folder on the hard disk, click on the Licence tab and check that the licence details exactly match the information provided by the helpdesk. DDFPath setting is missing or empty This happens when running System Manager. Go into DBXConfig (found in the Tru-time folder on the hard disk, click on the Folders tab, and make sure you have the correct path to the Tru-time subdirectory entered in your Data Directory field and C:\ entered in the Log File Directory. Click on Save, then File Exit. Unable to connect to database This happens when running System Manager. Go into DBXConfig (found in the Tru-time folder on the hard disk), click on the Database Tab, then click on Test Connection if it does not come up with Connection Succeeded, check your Intelligent Systems and Connection settings under the same tab. Database Access Error. Please ensure that your database format is correct for this version of the software and apply updates if necessary This happens when running System Manager. Go into DBXConfig (found in the Tru-time folder on the hard disk and click on the Database Tab. Check the database name (usually called intelligent) is this correct? isys Group Limited Page 30 of 31

31 Database Error, please contact your system administrator. A network-related or instance-specific error occurred while establishing a connection to SQL Server. The server was not found or was not accessible. Verify that the instance name is correct and that SQL Server is configured to allow remote connections. (provider: Named Pipes Provider, error:40 Could not open a connection to SQL Server) This error occurs when trying to log into Timeweb. What this means is that when you upgraded Timeweb, you didn t copy the appsettings.config file back into the Timeweb folder correctly, and the software is looking at the wrong instance/database. Check to make sure this has been copied back in correctly. If the original file has been overwritten, you will need to contact the helpdesk for the file to be set up again. isys Group Limited Page 31 of 31
