1 WANTE Tech Tips Session Dec Welcome
2 This session covers a few of the basics for using the computers and services of WSD employees. We start with the novell logon and recognizing the correct logon screen. Next up is the description of the standard WSD desktop screen for Windows 7, identifying the different aspects of the Windows 7 desktop. We then look at the Start Menu and it s components. Now we create a Word document and save it to our Home Folder a Shared staff folder, failing any of those locations we can always save to My Documents on that computer. Proper filing and the description of the different Drives available based on your logon, different schools will have different Drive Mappings but everyone should have their own Home Folder or U:\ drive. After saving the document we now Print and look at choosing the correct printer. We take a look at the Devices and Printers windows to see what devices are installed on this computer and what printers are available for this computer AND for our particular logon. We then look at the Three different Web Browsers available in the current WSD Windows 7 Rollout. Next we look at , logging on and identifying the various components of OWA (Outlook Web Access) or more
3 This is your Windows/Novell Logon Screen
4 This is the logon screen for This Computer Only to get back to the Windows/Novell logon screen click the Novel Logon link above.
5 This is the Icon (Link) to your Local My Documents This is your Desktop Icons on the desktop will differ from school to school, but the basics will always be the same, such as : Computer and the Recycle bin The Task Bar with quick links to your favorite / most used programs. System Tray
6 The Start Menu: this has all the programs installed on this computer. This is also where you find your printers and quick links to other folders on this computer, ie: Pictures, Music, etc
7 By clicking on the All Programs at the bottom it changes the Start Menus listing from Large/Most used Icons to a complete list of All programs in a small icon form.
8 Devices and Printers clicking on this will show you a list of all the devices connected to this computer, such as scanners, webcams, phones, etc and it will show you a list of all the printers installed, both local (USB printers) and Networked printers (Copiers, Lab Printers, etc )
9 This is the Devices and Printers Page with Devices at the top and Printers below that, occasionally you might see a device in the third row, but you needn t worry about that. Devices Printers
10 Shortcuts to Word are on the Task Bar and on the Start Menu, and may even be on your desktop.
11 Here we see the program Microsoft Word open to a new blank document. Menu bar at the top, with the tool bar below that
12 Put in some text Then click File on the menu bar to save your file.
13 Clicking File on the Menu Bard Leads to this screen, from here you can save, print, start a new document or open an existing document
14 Here we select Save to save our new document to a location of our choice
15 Now we click the Browse button to open a dialogue box that will allow us to choose a location to save our document
16 Here we see the Dialogue Box that allows us to choose a location to save our file AND to Name our file, make sure you name it something descriptive and relevant, something you ll remember later, so it is easy to search for. Notice is says Save As and not save, well with Word it s the same with any new file, don t know why, it just is so don t sweat it.
17 On the left hand side of this dialogue box are listed all the Locations that you could possibly save a file to I always choose my Home Folder you might have to use the middle scroll bar to move down a bit to see these choices. Your Home Folder will always start with your Novel Logon name in my case that would be mlangtry So I click once on my name on the left, and then fill in the File Name. Then poke the Save button in the bottom right of this dialogue box.
18 Ok, so we have saved our file, and now we want to print it. I have already clicked on the File menu item and it brings us back here, this should be familiar now instead of saving, we will choose Print So here we see the Print Window
19 Now we choose the printer we want to print to, never assume, always choose Click the drop down menu you see on the right here and it will list all the Printers installed on this computer. Not all printers are equal The copiers we all know, Laser Printers are usually in the labs or classrooms, but listed here are also, Fax, MS XPS Document writer, Sent to One Note, Smart Notebook, and of course the PDF Creator Well on my list, only 3 will actually print out a piece of paper, the rest will print a file while I could explain where all the others print to, suffice to say, just don t choose any of these for now, choose a printer you know, such as the copier. Click on the printer you want to print to
20 So I ve chosen the printer I want this document to print to.. As you can see you can also choose a number of options here as well what pages to print (leave blank to print ALL the pages in your document ) Double sided, Orientation, paper size, Margins etc Play with these to see what comes out. Remember to Recycle your paper tho
21 Now when you have made all the choices and everything is set.. Click the big Print button and then the view will return to your document.
22 So here we are back at our document editing screen now we will just close word as our document is already saved, IF for any reason you made more changes and close the document by accident, Word will always as if you want to save the changes before closing. So hit the red X to close Word
23 This is The WSD Home Page (Web Page) show in the web browser Internet Explorer You have three Web Browsers to choose from IE, Firefox and Chrome
24 The Address or URL URL=Uniform Resource Locator In IE or any other web browser just type in - .wsd1.org And hit enter and it will bring you to this page. IE = Internet Explorer This is the Logon Page for WSD , as viewed in IE, same username and password as your Novell Login.
25 Put in your username, you can leave off part as this is a WSD only server so it knows then put in your password. Notice this popup asking to save the password only say yes if NO ONE ELSE uses this computer
26 Folders Create new folders by Right Clicking on your name and select New Folder, then give it a name. These are the s in my InBox mine happen to be sorted by date, with the most recent on top This is the that is selected, to the left, and I have Preview selected in my options, so that I can quickly see my s without having to double click each one just to read it in another window, too slow.
27 This is a New E- Mail, when you click New this window pops up, fill in the To with the recipiants address (or look it up) then a subject, and finally the body of your message Notice that I have a Signature. Look in the Options to create your own
28 Click To Type the First name and then part of the last name then click the Magnifying glass to search for that persons address And that opens the WSD Address Book
29 Once you have found the person you are looking for, click once on their name, then click the To link below.. To insert their address into the To field, then click the Ok
30 Name is in Now click Ok
31 Now fill in a Subject Clicking ok, closes the Address Book and brings you back to your new . Put your message in the Body section Once you are all done typing in your message, click the Send button and you are done
32 If you need to send them a file along with the , click the Paperclip icon
33 Once you have clicked the Paperclip this dialogue box pops up to let you look for the file you want to attach. Double click the file you want to send My Home folder, my private drive for all my files look for your login name and that is your private Home Folder or U:\ dirve (in most cases, but the letter designation may be different.)
34 Now just click the Send button Here you see the completed , with the recipient s address, a subject, the message in the body and the attached file

36 Someone sent me an with a file Attached notice the paperclip Here s the and there is the file they sent, right click it and choose Save.. or Open
37 Once I ve clicked Save.. for the attachment, a dialogue box pops up and shows me where it saved it and even provides a handy link to that folder Click the link, in this case it is a link to the downloads folder.
38 So, I ve clicked the link and up pops the windows explorer window showing me the files in that folder and there is the attachment that I Saved from the I was sent.
39 I ve doubled clicked the file that was sent to me and Windows knows it is a Word file so it opens MS Word for me and opens the file in this instance (not always) it is a Read Only file meaning that I cannot edit it, just look at it and print it.
40 So, I ve clicked OK for the Read Only copy, and here it is now I can do what I want with it, print it out, I could File Save As give it a different name and then edit it if I choose, or not, your choice.
41 So here we are back at the Desktop I have closed my attachments and signed out of my webmail and closed that window as well Now we will look at Web Browsers We have 3 to choose from on the WSD standard Windows 7 computer Microsoft s built in IE (Internet Explorer) Mozilla s FireFox, and Google s Chrome
42 Three Web Browsers all open to the WSD home Page Just to show the similarities and differences, take a look at the top of each window
43 So I ve closed FireFox and Chrome and this is IE (Internet Explorer) As you can see I have right clicked here And then left clicked on the Menu Bar item in the drop down menu to Show it and now you see that I ve right clicked again and will click on the Bookmarks Toolbar to have it show up as well. I do this because that s the way I like to have my Browser configured as always you don t have to do this if you don t want. I like to see all my Bookmarks Toolbar because it makes it easy to go to the pages I use all the time
44 So, here I am in IE and I have searched for (on the google search page) and found the Winnipeg weather website and I m going to have to look at this page every day, so instead of searching for and clicking on the results to get here I m going to create a Bookmark to it so then it s only one click, I ll also create a Desktop Link to this page so I can get to it from my desktop directly.
45 To create a bookmark it is a simple as click, hold, drag and drop Left Click and Hold the Icon here And drag it to your bookmarks toolbar here And let go of the mouse
46 Ok, so I have created a Bookmark But now I want one on my Desktop and on my TaskBar it s the same process.. Click and hold and drag the webpage s icon to where you want the link to be.. here on the Desktop (be sure to drop it onto a blank spot and not on top of something else) Or here on the TaskBar Then let go of the mouse button To open it, Single-click the TaskBar icon, or Double-click the Desktop Icon and viola, your links opens your default Browser to that location, no fuss no muss.
47 Which Web Browser is this? Why it s FireFox The highlighted icon in the Taskbar gives it away
48 Double clicking the folder with your name on it OR the Computer icon will bring up a windows Explorer window. NOT to be confused with IE (Internet Explorer) All right, now we move on to managing our files. Finding files, opening files, deleting files are all done using the Windows 7 file management tool called, not surprisingly, Windows Explorer
49 Ok so here it the file browser window.. It s divided up into three main parts.. The Menu and tool bars at the top.. The left hand pane and the Right hand pane (as in window panes) On the left we see all the Locations available to us.. These locations are all local or on this computer, physically These locations are all Network drives, which all exist in Admin bldg. #2 on the servers there
50 All of these folders / locations are all actually on one physical drive.. The D: drive on this particular computer
51 This here Is my Home Folder. You can see that it is mine because it has my Novel Login name on it Mlangtry.. This is also referred to as My U:\ Drive because we match (or map) the Letter U to every users home folder this is for consistency. I ve just found out that Sub EA s will not have a Home Folder so you will have to save onto a memory stick or to a Staff Share
52 Ok, so I ve clicked on my Home Folder on the left and the Contents of my Home Folder or U:\ Drive are now shown on the Right hand side of the window, (in the right pane) You can see that I have created many folders for a wide variety of Schools, projects, personal stuff, etc I even have folders within folders within folders I have setup my Home Folder the way I want so that it is organized they way I think to make it easy for me to file and retrieve stuff every day. You can too Note: This is my drive/folder and is private. Only I can access it, and according to the Privacy laws, my boss has to have a very good reason to get access to it, and has to file a request with Information Systems and justify it to HR as to why they want to look at my files So don t go giving out your username/password to ANYONE. And don t walk away from a computer that you have logged on to, logoff or Lock it.
53 Ok, lets imagine that this is your Home Folder and there are no folders within it, and you want to start creating a filing system. So in the blank space, in the Right-Hand-Pane right-click your mouse this will bring up a popup menu with a bunch of choices move your mouse cursor down to New and another menu pops out now move your mouse OVER (gotta keep it over the new or it disappears) and then click on Folder Now. the menus all disappear and windows is waiting for you to type in a Name for this new folder Go ahead, just start typing, call it what you want. Use proper capitalization and spaces BUT leave out ALL punctuation marks such as periods, commas, etc.. As windows doesn t like those in folder names. Then hit the Enter Key, or click the mouse on any blank space and there you are a new folder with the name you wanted. Now you can save whatever you want in there to open that folder, just double click it.
54 Ok, now I ll show you how to change they way files are Displayed within each Folder (yes, you can customize each and every folder s view) Here we have one of my folders with a lot of files in it I know that they are Photos/Pictures because of the Icon associated with the file The red icon here is a squashed cat, which is the Icon for the program IrfanView. I have told windows to associate all picture files (jpg, png, gif etc) with IrfanView But looking at Icons and File names, especially sequentially numbered files names from a camera or scanner means nothing to me, so I want to see the pictures themselves, but that would mean double clicking each one in turn, there is an easier way Thumbnails Click here On the little black down arrow and a popup menu appears, giving us the choice of how we want the files in this folder displayed
55 So here is the popup menu giving me the choice to change the View I m going to click on the top one Extra Large Icons because my eyes are old
56 Well, now I can see the contents of this folder in a view that allows me to see what each file is, what picture is what file the filename is still at the bottom of each file, but if I wanted to print a particular one, or e- mail it to my sister, now it s easy pickings, as it were.. Hehe. The two scroll bars Allow you to scroll up and down to see all the folders (on the left) or all the files (on the right)
57 Ok, so here we are again at the Windows Explorer window I have clicked (once) on the Computer listing on the left, and on the right it shows all the Drives/Locations I have available to me (as dictated by my logon and the rights assigned to me by InfoSystems) Now I want to find a file I worked on months ago, I kinda remember the name, and that it was a picture, so I m going to select Where I think the file might be (My Computer is too broad a location and a search here might take a very long time) so I ll narrow it down by choosing my Home-Folder Then I ll type in the name of the file I am looking for up in the top righ corner of this window is the search bar.. Type in the name and hit Enter. The results will show up in the Right-Hand-Pane of this window.
58 Ok, so I searched my entire computer, and all the network drives (I forgot to narrow the search and it too forever), for a file that I think was called Ziggy Error And if we look at the next slide
59 Well, the search for Ziggy Error took a very long time and came up with nothing, so I changed the search to ziggy* notice the lowercase z and I dropped the second word and added the * instead and this yielded the results I was looking for. Windows is kinda picky when it s looking for things, and the * (asterix) acts like a Joker... It is called a wildcard and it tells windows to Find everything that starts with Ziggy, but not limited to just that, as you can see from the results on the right here.
60 This is MS Lync (Aka Skype for WSD) it is an instant Messenger for WSD (and will only work within WSD), you can see the Icon in the Task Bar below I ve added people to my Favorites by searching for their name and then selecting Add to Favorites now I just right click their name, select IM and we can chat
61 BYOD Bring your own Device WSD is embarking on a plan to have ubicutous Wifi access in all it s locations, where staff and students can connect to the WSD-STAFF or WSD-STUDENT wifi using their own Devices This is a long term project and NOT ALL schools have it installed yet, and no we don t know when you school will be finished. The High Schools are all done, with the K-9 s and Elementary schools being done now. Devices include: Smart Phones, Tablets, Laptops, etc anything that can connect to a secure Wifi Network No, your 15 year old flip phone will not work, so don t ask. Just buy a new phone will ya. AAR, lets start by connecting to the WSD Provided WSD-STAFF Wifi Open your phone and go to the Settings Wifi you shoud see it listed there (WSD-STAFF) if it is not try refreshing (swipe down) or restarting your phone (androids and apple are both bad for losing the wifi and restarting usually fixes it.) failing all that, it probably means that your school does NOT YET HAVE WSD-STAFF BYOD so you can stop there. If you do See - WSD-STAFF listed as one of the choices, tap it and then fill in your Novell Credentials (your username and password) do not put in your address just your username: as in mlangtry or jtrudeau and then your password in the space below, and then poke connect if all goes well you should now be connected. Next we will connect your WSD account to your phone so you can get all that annoying from the boss, as well as the important ones from your buddies sending cat pics lol onward..

63 Choose the first one Microsoft Exchange Because that how we roll in WSD. Then when the next screen comes up just fill in your full address, ie: And then your password (sometimes they make you put in your password twice, like it s not hard enough on those tiny little keys ) And that should be it.. If not, Google it, and watch one of the 3 million videos on how to get on my phone.
64 This is the typical Android Settings screen, for a Samsung no they are not all identical, so a little effort on your part to find the settings on your own phone will be required AAR tap the Add Account
65 Android users must also choose Microsoft Exchange, and of course it has to named different from ios so here we have Microsoft Exchange ActiveSync Poke that.
66 Now fill in your full address, Then put in your password. Poke the Next button And that should be it. Happy ing
