3 2 Introduction The module is designed for the evidence and evaluation of the non-conforming production. Using this program you can easily load and record the non-conforming products, but also evaluate them in terms of the defect types and their causes. It also serves for recording, managing and documenting the actions. The module meets the requirements of the Global 8D methodology. 2.1 Basic control The basic operations are described in the Basic manual PALSTAT CAQ and are identical for all modules PALSTAT CAQ. The basic controls include work with the list, creating, editing and deleting records, searching, creating preset databases, prints and other tasks. 2.2 Access rights to the program Setting up the login names and their permissions to individual modules of the PALSTAT CAQ system and the initial setting of the user password is done in a separate module User database, which is the part of the installation of PALSTAT CAQ and its operation is described in a separate manual. Overview of setting specific access rights for individual modules is clearly described in the next stand-alone manual. Page 3 of 30

4 3 Main program tabs After starting the program and login of the user a main program window appears, which is divided into several tabs. You can switch among these tabs at the bottom of the window by clicking the left mouse button on the appropriate tab. 3.1 Tab List Here is a list of all Stopcards in the database. In the grid are displayed the individual fields, which serve the basic information about registered Stopcards. At the top of the window is the information bar Types of registered Stopcards Stopcards in the list are coloured according to the state in which they are located. In the program setup you can change the color selection Data in the information bar In the information bar, located at the top of the window, there are the Stopcard number, status and the Part name. 5 3.2 Tab Detection In the tab Detection are shown all the important registration information. There is defined a concrete fault, which is not necessarily related to a particular product, including the emergency response and interim containment actions Entering the new Stopcard When entering a new Stopcard using the button New record from the toolbar, the program automatically switches to the tab Detection, where you must fill the relevant items. Marked in yellow are mandatory fillable. Excepting the automatically generated number of the Stopcard is necessary to fill at least one defect from the list of defects. Pressing the button Cancel you can cancel the entry and the program moves to the last entry in the list. Using the icon you can insert any draft Draft When you first click the left mouse button, an information displays that no draft has been inserted yet. Page 5 of 30

6 After clicking the right mouse button it displays a menu with the option to open the PalFoto graphic module to insert a new draft or to adjust the already inserted. Control and functions of the module PalFoto are described in a separate manual. When the draft is inserted, after clicking the left mouse button on the icon with the draft displays the appropriate draft in the image viewer. You can not edit the drafts here Stopcard adjustment By pressing the button for the record adjustment or by changing the value in the edit field you start to edit the information about the currently selected Stopcard. After editing the information into the desired shape you can save these changes by clicking the button Save changes or cancel them with the button Cancel Changes. Such changed records are kept and are accessible from the menu History of changes, but depending on the setup of monitoring the individual fields Deleting the actual record Using the button Delete record you can delete the currently selected Stopcards from the database. This action is irreversible, ie. once deleted information can not be recovered (only by their re-entry into the program) Description of the fields generally This section contains a header with specific information to the specific Stopcard. There are written several important information divided into three parts: Page 6 of 30

7 3.2.6 Basic information Stopcard number automatically generated number Stopcard source / Report / Reference serves for the closer determination of the fault type Part number / Change index / Part name for the selection from the part database Fields Info 1 and Info 2 - these fields are used to write any information to the Stopcard. These fields can be renamed and write information into them, according to your needs. Dose / Order can contain specific information to the Stopcard Company for the selection from the Contact database Item Part number The item Part can only be chosen from the Part database. Clicking the button displays a window with the selection. If you have already entered the part, it is needed to fill back the blank item, you must select in this box the function Delete. If the part has already been entered, its detail is available under the following button. Then it displays closer information about a specific part. If necessary, this part can be opened directly in the module Part database, whose operation is described in a separate manual. Page 7 of 30

8 3.2.8 Item Company The item Customer can only be chosen from the Contact database. Clicking the button displays a window with the selection. If the customer has already been specified and it is needed to fill back the empty item, you must select in this box the function Delete. If the customer has already been entered, his detail is available under the following button. Then it displays the closer information about a specific contact. If necessary, this contact can be opened directly in the module Contact database, whose operation is described in a separate manual. Page 8 of 30

9 3.2.9 Emergency response action After finding the fault, you can enter an emergency action. From the preset database is necessary to select the appropriate emergency action, establish the action suggester, an employee who performs the action, and the date by which it shall be done. Upon completion of the action must be filled out the field Performed by and Validate. To each action is possible to record the costs and monitor the current state of compliance and subsequently also the evaluation of effectiveness are explained in separate paragraphs.. Both these functions Fault information Fault mandatory fillable item with the choice from the codelist of faults. The display is available either in the TreeView mode with the possibility to search (see the picture) or you can use the side-button to switch to the direct display, ie. the standard list of defects. 10 The number of defective pieces / General amount of the suspended dose / Unit Criticality here you can assign the stopcard into the specific criticality group. The criticality groups are defined in the preset databases Fault description serves for the closer text description of the concrete fault Interim containment action After finding a fault it is possible to make an entry of the interim containment action. The procedure is the same as by the emergency response action Further information Detected by / Detect date and time automatically is entered the logged user, who wrote down the stopcard, the date and the time is also generated automatically. Created by / Created / Recorded shift / Place detect / Critical date for the resolution is defined soever. The personal database is defined from the separate module User database Free text fields 1 and 2 can be renamed and write down the information, according to your needs. Page 10 of 30

11 Team This section serves to define the research team by selecting from the User database leader has full rights to edit all parts of the program in a particular stopcard.. The For other team members can be defined the access rights to the given stopcard only to a specific tab or for the possibility to switch the stopcard to a certain state. 3.3 Tab Causes In this section you can assign the causes, department and the offender to the detected fault. To this fault you can write down several causes (assignment from the central database of causes with the assignment of a cause name, offender and the proportion of the cause). Procedure of entering the causes: Page 11 of 30

12 After closing the entry window you can see the list of entered causes. At the bottom is a record of who and when carried out an examination of the fault cause, then the source and the escape point. If any of the fields Investigated by and Investigated is not filled, it is by the entry of the cause automatically filled by the actual user and date. 3.4 Tab Actions Actions overview In this tab is an overview of all specified actions to the Stopcard. At the bottom is the information who, when approved the proposed actions. The individual actions are graphically displayed by the type and state of the action fulfillment. If the action has the suggested term, then there is in the left column displayed the indication if it already has been performed or not. If no deadline is set, the field remains empty. If the term is not fulfilled, the line with the action is highlighted and this state is in the information bar described verbally. Page 12 of 30

13 3.4.2 Action suggestion Besides the already mentioned emergency response and interim containment actions that can be entered also from this place, you can enter here more corrective and preventive actions in a similar way as the cause. Here is determined the type of action. Standardly is offered the corrective action, but using the button you can select any type of action. As the suggester is automatically inserted the currently logged user, who may be changed for another user from the User database. Further Page 13 of 30

14 is also determined a worker who performs actions, and the date by which it shall be done. By the corrective and preventive actions you must specify the cause, without the cause you can not save the action. When selected the emergency response and interim containment action the cause is not displayed. This way you can enter any number of actions to a specific fault Action evaluation This window is used to evaluate the actions. The upper part is used for the continuous monitoring of how the action is evaluated. It is entered here, in what state is the action found to the specific date and the percentage status. At the bottom of the window is specified how the action was evaluated, when and how much percent has it been effective. By filling in the date is the evaluation considered as closed. After reviewing all the evaluations to the appropriate Stopcard, it is possible to evaluate the Stopcard Action costs In this window you can assign the costs to the action. To each action you can assign more costs. Page 14 of 30

15 3.4.5 Switching the Stopcard To solution At this stage is the Stopcard found in the state Drawn. After proposing the action before the solution is the Stopcard put into the state To Solution using the button. In the field Approved by you can select the user from the User database. The item editing the field approved has got the person with the right to switch into the state To solution, ie. a person with rights (Full access to the module, State change) or a person who is the team leader or team member with the right to switch the stopcard To solution. Without a choice from the User database is automatically added the user logged into the program. The stopcard cannot be switched to the state To solution, when it does not have at least one cause or action Stopcard release After performing all the proposed actions and filling the fields Approved by and Approved is the Stopcard initiated to the state Released using the button Release - see above. Then a window appears asking for any further actions. If so, it will automatically establish a new Stopcard. The Stopcard cannot be switched into the state Released if all the actions were not performed. Page 15 of 30

16 3.4.7 Stopcard evaluation After the evaluation of all actions can the Stopcard be switched using the button Evaluate. If not all the actions were evaluated, it is not possible to perform this function - see below. Here is the evaluation procedure of individual actions. In the following picture you can see the display of the evaluated Stopcard on the tab Actions. Page 16 of 30

17 3.5 Tab Further information Further information The upper part of the tab is used to write any information relating to the given Stopcard. Information can be written into the table with the information name and the description in the text field Team evaluation At the bottom is the possibility to write down the information to the point D8 Team evaluation according to G8D methodology. 19 4 Main menu 4.1 File Filter allows to filtrate records Print allows to print the actual selected Stopcards Copy allows to copy the Stopcard State allows to change the individual Stopcard states. The released Stopcard can be returned from here into the state To solution Records history shows the history of entering the data Exit finishes the work in the program Filter Using this window you can search the Stopcards according to the quantity of aspects. The upper part contains items from the tab Detection. At the bottom are placed the items from the tabs Causes, Actions and Evaluation. 20 4.1.2 Print Used for print the list of all records or print of one concrete record (one Stopcard) Copy Allows you to copy the whole Stopcard. After copying the stopcard will the stopcard automatically switch to the tab Detection State There are four states which the Stopcard may have. The states are changed by switching manually using the appropriate buttons on the tab Actions or from the menu File -> State. To each of these states can be assigned a different color in the settings, displayed in the tab List. Drawn automatically after establishing the Stopcard To solution switch using the button To solution after the determination of all actions Released the Stopcard can be completed only in case that all the actions are fulfilled. The completed Stopcard cannot be further edited, except the costs and evaluation. Evaluated the Stopcard can be evaluated only in case that all the actions are evaluated. You cannot perform any changes in the evaluated Stopcard. The detailed procedure is described in the description of the tab Actions History of records Displays an overview of the history of data entry depending on the items setting through the function Change field display labels - see below. 21 4.1.6 Exit Finishes the work in the program. 4.2 Tools Preset databases here you can define the preset databases and codelists 8D-steps displays the appropriate step in the G8D process in the separate window Currently logged users displays the information about users currently using the module Change field display labels switches the module into the mode, where the user can rename the fields Setting a window with the possibility to adjust the program settings Preset databases The purpose of the preset databases is primarily to accelerate the user experience in implementing the main program database. It runs in the top bar of the program, in the menu Tools -> Preset databases. Before starting the work in the module is advised to first fill the preset databases and codelists. Codelists are distinguished by an icon with an arrow. New records, edits, or interference is done with the control buttons, editing the elements takes place in the grid. Information from the preset databases and codelists can be printed or exported to Excel. Page 21 of 30

22 4.2.2 Preset databases The data by the preset database serves only to accelerate the record registration, the data can be freely edited and deleted, regardless of their usage in the program Codelists The codelists are different. The item in the module is bound to the data in the codelist. If the description in the codelist changes, changes also the information in the program. In the case of deleting the record from the codelist, which is already in use, the user is alerted and deleting the record will be blocked, or the information in the module will be erased. The detailed description of working with preset databases can be found in the Basic Manual PALSTAT CAQ. You also can not delete the used type of the cost. If the department is deleted, or completely removed the person from the staff database in the central setting of the preset databases in the Launcher, this record will also be removed from the module Stopcards Possibility to print the user reports in the preset databases In the preset databases by the items: Source, Info 1, Info 2, Places and in the codelists by the items: Criticality, Shifts, Cost type, Documentation type is it possible to suggest own print reports. By the items Faults, Causes and Actions is the standard print in the tabbed display D steps Shows the appropriate step in the G8D process in a separate window. Starting this offer is also in the toolbar using the icon. Page 22 of 30

23 4.2.6 Currently logged users Displays the information about users currently logged into the program Change field display labels Switches the module into the mode, in which the user can change the labels and set the fields Program settings In the program toolbar, the menu Tools and Settings is the possibility to adapt the program to your needs. Settings are divided into three parts: local, global and attachment settings Local settings This setting can change the user itself and it appears only by this user. Show action list after login - after selecting this option a window with the not performed actions will automatically be displayed for the user currently logged into the program. Page 23 of 30

24 Global settings This setting can change the user with the right Access to the program settings and affects all users. Stopcard states - allows you to change the color of Stopcards in the tab List, according to the defined states Enabled attachments This setting can change the user with the right Access to the program settings and affects all users. In this section you can choose which attachments will be offered in the program when establishing a new attachment. Page 24 of 30

26 5 Toolbar Except the basic control elements are in this bar also the special function of the module G8D Stopcards. Highlighted features are already described in the preceding text: Filter link to the paragraph Filter Print link to the paragraph Print 8D steps link to the paragraph 8D steps 5.1 Switching the language items Items from the codelist that allow to insert the multi-lingual names can now be displayed in the program. The change happens by switching the language on the language button on the main bar of the program. 5.2 Attachments To each Stopcard can be assigned the attachment in the form of the saved or linked file, image, text notes, or a link to another program PALSTAT CAQ. The detailed description of work with the attachments can be found in the Basic Manual PALSTAT CAQ. Page 26 of 30

27 5.3 Action list The window action list allows an overview of all actions. Using the control elements of the database grid you can here sort, organize them, etc. In the upper part there are any additional display options. On the one hand the choice of all non performed actions or after the deadline and on the other of all performed actions or after the deadline or before the deadline. Further also by the action type, which shall be or not shall be displayed in the list: Page 27 of 30

28 For the selection of actions can be selected the actions from all the stopcards contained in the evidence or only from the currently selected in tab List. Press the button with the filtering image to display only the actions to the Stopcards currently selected in the Stopcard list. It is also possible to select according to the person who proposed the action, is responsible for it or performed it. It is always possible to choose a specific user or action from all users. If in the program settings is checked the option Show action list after login, this window will automatically appear when you start the program. Individual lines with actions are coloured according to settings in the menu Tools / Settings. 5.4 Trend monitoring In the window for displaying the trends are predefined individual options for monitoring the trends according to selected categories. Press the button with the filtering image to display only the actions to the Stopcards currently selected in the Stopcard list. The picture also shows the graph display options. Page 28 of 30

29 5.5 Reporting This functionality is used for defining any query from the database. For example, to display the different Pareto analysis defined for the module G8D Report. The result are the generated data in the table, eventually a graph. Page 29 of 30

30 The module Reporting is a part of some other modules, but can function independently. For this reason is its operation explained in a separate manual. 5.6 Task list Using the button on the main program bar it is possible to enter any number of tasks in the module Tasks management to the Stopcard. When it is pressed, a dialog window appears with a list of already assigned tasks to the given action. If necessary, you can enter any additional tasks. The internal communication system using the module Tasks management is described in a separate manual. 5.7 Export to MS Excel Export of the current stopcard list, as seen on the tab List is done by clicking the button on the picture. The transfer condition is that on the computer has been installed MS Excel. Page 30 of 30
