2 Introduction 1. Application Summary The was created to provide a way to limit copy and print activity by using user codes on a Ricoh device. The application was created in the Java programming language. An administrator will be able to set limits to individual user codes. The administrator will also have the ability to Add, Reset, Modify, and delete users from the application. 2. Log into the as the Administrator Press the Other Functions button on the MFP. 3 Press the User Code button, enter the username admin and then press OK. Press the Login button. The default password is blank, press OK. If a password is set then press the password button, enter the password and select OK. Version 1.0 Page 3 of 18

Select the BW Limit button to set the BW limit value. The value can be set between 0 and 999999. Sets the limit default value for the application.

The default setting is 300. If 0 is selected, the timeout is disabled. 3. Set the Administrators Password The administrator password can be set by pressing the Admin Password button. 4. Set The Print Control The Print Control button allows the administrator to set how the application will react when the quota limit is reached. This procedure should not be used to add or delete existing users. Adding users via the.csv file prior to installation is helpful in large deployments.

13 Apendix 1. Upload a Batch User Code List using a.csv File A User Code list can be uploaded to the prior to installation. Upon installation, the application will read the quotalimit.csv file and import the user list into the application database. This procedure should not be used to add or delete existing users. Install the application normally as described in the Installation Guide. Troubleshooting a failed.csv upload. 15 In addition, a file named STARTUP.LOG is created in the installed path of the application (sdk/dsdk/xlet/ /) on the SD Card. This log describes errors in the content of quotalimit.csv. These errors need to be corrected as described below in order for the upload to succeed and the application to be accessed. An example of the contents of STARTUP.LOG is shown below. Failed upload: 26-May :47: MFP serial code: 3A Fail reason(s): Line number 7: field is not a number or is out of range Line number 9: duplicate user Line number 27: incorrect number of fields Line number 64: duplicate user Line number 501: number of user records exceeds 500 maximum Recovery from failed upload The administrator needs to do the following when recovering from a failed upload. - Stop the application (if it is not already stopped) - Power down the MFP. - Remove the Java SD card where the application is installed. (Note which slot the card is being removed from). - Insert the Java SD card into a card reader and navigate to the folder sdk/dsdk/xlet/ / - Read STARTUP.LOG to determine errors in quotalimit.csv. - Edit quotalimit.csv to and fix all errors - Insert card back into MFP (the same slot from which it was removed). - Power up the MFP and the application. - Enter the application. The login screen will appear if quotalimit.csv was uploaded without errors. Otherwise, the error message as described above will appear again and the recovery procedures will need to be repeated. 16 2. Limitations - A couple of pages may exceed the limit in the event that the last job has a greater number of pages then is left in the account. For example, User A has a 1,000 quota and already used 995. Although there are only 5 pages left, if User A places a 15-page document on the feeder or send a 15 page print job, approximately 7-8 pages will be printed since a couple of pages have already been printed at the time the device recognized it had reached User A's quota. - When Stop per Page setting in Print Control is configured and the print limit is reached, other waiting jobs may be removed. - User Account Limits application cannot coexist with accounting applications like Equitrac, ecopy. - Print / Copy from Document Server is unavailable. - The cannot integrate with device user authentication. - When printing/copying on a color MFP and the B&W limit has been reached, but there are still pages in the job to complete, the remaining counts are then taken from the available Color allowance. This is as designed. The printed pages are deducted from the color usage when BW limit has been reached. - While copying on a color MFP, and the Color limit has been reached. but B&W allowance remains, the user must logout and login to start a new copy job using the remaining B&W allowance. When this condition occurs, a message appears to the user as shown below. Version 1.0 Page 16 of 18

17 - Note that when the Limit (BW or Color) is set to a value lower or equal to the users Total (BW or Color), then the system resets the Total to equal the Limit. This means that the user has reached the allowance limit as a result of the admin decreasing the limit. (This change to the user s Total cannot be undone). 3. Terms Logs into the.
