3 2 Introduction 2.1 Audience This document is intended for ophthalmology practice Super Users and IT. 2.2 Remarks EyeMD EMR should only be updated by users familiar with the IT infrastructure of the organization and who are familiar with the setup of EyeMD EMR. WARNING: Organizations using Remote Desktop, Citrix, or Server Sync should only allow updates to be performed by IT staff qualified to support the environments. 3 Before you Begin If you are using Remote Desktop or Citrix, ensure that all users have closed EyeMD EMR on the server. Once the update is complete, a user with administrative privileges must update EyeMD EMR on the remote server before non-admin users can use the system. If a Database Update is required, all users must close EyeMD EMR before the update can commence. If a Library Update is required, a user with administrative privileges will need to log into each workstation and perform the Library Update before a non-admin user can use the system. If you are using Server Sync and a Database Update is needed, please be aware that you will not be able to update the subscriber servers until the database has been replicated from the publisher. Depending on the changes made to the database, and the current size of your database, this process can take several hours to complete. It is recommended to perform this update after hours. Call into the Emergency Support line if you encounter any problems. 4 EyeMD EMR Updater Tool EyeMD EMR is updated from an application called EyeMDEMRUpdater.exe. This application should be located on your database server. Typically: C:\EyeMDEMR\EyeMDEMRUpdater.exe If you cannot find this tool, you are either on the wrong server, or this tool was not installed during your initial installation. If you continue to have difficulties, please contact technical support. IMPORTANT NOTE: If you are using Server Sync, once the update is complete, you will need to perform the update again on all subscriber servers. If you do not know what this means, please contact customer service to schedule an update with an EyeMD EMR Server Sync engineer. Copyright: EyeMD EMR Healthcare Systems, Inc. Page 3 of 13

4 5 EyeMD EMR Server Update Instructions 1. Right click EyeMDEMRUpdater.exe, then click Run As Administrator 2. Click [Check for Updates]. 3. The Updater Tool will verify your support status and then check for any available updates. If an update for the updater is found, click [Yes] to update it. If you do not receive the prompt below, skip to Step Click [OK] to complete the Updater Update. 5. Click [Check for Updates] again. Copyright: EyeMD EMR Healthcare Systems, Inc. Page 4 of 13

5 6. Click [Yes] to continue. 5.1 Database Update 1. If a Database Update is required, you will receive a notification as shown below. If you do not receive a popup notification about a Database Update, you may skip to section 5.2 Database Backup. IMPORTANT NOTE: If a Database Update is required, you must perform this update after hours when no one is using the EyeMD EMR system. 5.2 Database Backup 1. A database backup will be performed every time you update. This backup will typically be saved in X:\EyeMD_Data\Archive\ Copyright: EyeMD EMR Healthcare Systems, Inc. Page 5 of 13

6 2. The update can take several minutes to complete. The interface may appear to not respond. This is normal as the SQL server does not provide any progress feedback. Please be patient and wait for this to complete. 5.3 Server Library Update 1. If a Library Update is found, it will be downloaded onto the server. If no Library Update is found, please skip ahead to section 5.4 Application Update. 2. The Server Library Update will start automatically and display its progress. 3. After the Libraries have been updated, a popup notification message will appear. Click [OK] to proceed to the Application Update. Copyright: EyeMD EMR Healthcare Systems, Inc. Page 6 of 13

7 5.4 Server Application Update 1. The update will back up the database. If an application update was downloaded, you will receive a notification that your application tables need to be re-linked. Click [OK] to begin the re-linking process. 2. You will be prompted to select your database. Click [Connect to Database] to proceed. Note: If your database configuration has changed since you last ran the EyeMD EMR Application, please adjust your SQL Server information before moving on to the next step. 3. The tables will be re-linked. You should see a status bar appear that will display the current progress. 4. Click [OK] when you receive the Tables Linked Successfully message. 8 5. Log in to the User Authentication screen when it appears. 6. If a Database Update is not required, simply close EyeMD EMR by clicking File, the Exit to continue the update Database Update 1. If you receive a notification that the EyeMD EMR Database needs to be updated, click [Yes] when prompted to update your database now. If you do not receive a notification, please skip ahead to section Application Update Continued. 2. The Database Update progress will be displayed in the lower left corner of EyeMD EMR. 9 3. Once the Database Update is complete, click [OK] to exit EyeMD EMR and allow the update to continue Server Application Update Continued 1. Once the Database is properly linked and the EyeMD EMR Application is closed, you will be returned to the EyeMD EMR Updater screen. The message will display Waiting for EyeMD EMR to close. 2. After EyeMD EMR closes and your system has been updated, the popup notification will display Update Completed Successfully. The server has now been updated, and all workstations will be updated the next time the user logs on to EyeMD EMR on the workstation. See section 6 Workstation Updates to update your workstations. 10 6 Workstation / Remote Desktop Server Update IMPORTANT NOTE: If using Remote Desktop or Citrix, please make sure all EyeMD EMR instances are completely closed on all profiles. After all updates are performed, immediately log into EyeMD EMR on the Remote Desktop/Citrix Server as an Administrator to update the client software. 6.1 Workstation Library Update IMPORTANT NOTE: If during Server Update, a Library Update was downloaded and installed, the Library Update will also need to be applied to the workstations. Library updates require that the user have Local Administrative rights in order to perform the library update. If your workstation users do not have Local Admin rights, you will need to log on with a user that does have Local Admin rights on all workstations. 1. If a Library Update was not downloaded and installed during the server update, you may skip ahead to section 6.2 Workstation Application Update. 2. Log into the workstation with Local Administrator rights, then startup EyeMD EMR. 3. If a Library Update is found, you will receive a popup notification similar to the one shown below. Click [Yes] to install the update on this workstation. Note: If using Windows XP or Server 2003, make sure you click [Run] on the Security Warning popup, then uncheck the box Run this program with restricted access on the Run As popup and click [OK]. 11 4. The Workstation Library Update will start automatically and display its progress. 5. After the Libraries have been updated, a popup notification message will appear. Click [OK] to proceed to the Workstation Application Update. 6.2 Workstation Application Update 1. If an Application Update is available, you will receive a popup notification similar to the one shown below. Click [Yes] to install the update on this workstation. IMPORTANT NOTE: Local Administrative rights are not required for this kind of update as long as the user has full access to the C:\EYEMDEMR\ folder. 2. After the Application Update has been completed, you will receive a notification message similar to the one shown below. The client application has now been updated on the workstation. 12 6 Troubleshooting EyeMD EMR could not locate the SQL Server Information If you receive an error below while attempting to update, please do the following: 1. Click [OK] on the error message. 2. Open EyeMD EMR and log in. 3. Click File then Select Different Database. 4. Check your connection settings, then click [Connect to Database].
