5 Version 1.0 Overview The release notes have been created to provide Newmarket International's users with a summary of late-breaking technical information to enhance ease of use, understanding of new features, changes since previous releases, and significant known issues. The following sections are included: Major Enhancements - For each product, we have supplied a summary of all major new features added to each product release. Changes since Last Version - For each product, we have supplied a list of changes from versions 7.1.x, 7.2, 8.0, 9.0, and the 9.1 releases. Technical tips - This section contains recommendations to enhance your use of the application. Known issues - For each product, we have provided a list of issues that were not addressed for the general release. We also note whether a hot fix exists for an issue. The Release Notes will be updated periodically on the Newmarket web site. Be sure to check for updates in Support on the Web under our Customer Resource section. See Downloading the Documentation, page 4 for details on locating and downloading the latest Release Notes. 1

6 Installation Procedures Installation Procedures Installation Process The Delphi products require installation by Newmarket International (NI). NI s PSG (Professional Services Group) provides on-site and/or remote installation support for all customers. Important Any changes by the customer to the SQL configurations or to the network, logon, or security settings after PSG has finished their activities can affect the stability and functionality of the Newmarket application, and the integrity of the data contained therein and remain solely the liability and responsibility of the customer. Any such changes are recognized to be done at the customer's own risk. Installation Status If you would like to check on the status of your installation contact your Project Manager. 2

7 Documentation Documentation User Guides User Guides for the products are available on the Documentation CD that is shipped with the product CD. The User Guides are PDF files, which can be viewed using Acrobat Reader. If you need to download Acrobat Reader, see Release Notes and Workstation Setup Documentation Overview Once the product is installed, PSG helps configures a few of your workstations. To run the product on additional workstations, you must run the workstation setup. The Workstation Setup utility installs MDAC 2.7, creates an ODBC data source, and automatically configures the workstation. As part of the workstation setup, you are instructed to map a drive to a folder on the database server and run the WSSetup.exe program. Documentation for the workstation setup is available on Newmarket s Support on the Web. The most updated release notes document for the products is also located on Support on the Web. Location The Workstation Setup or Release Notes documentation can be accessed by downloading the file(s) from the internet via Newmarket International s Support on the Web at Note To download the Workstation Installation documentation you need a Support on the Web account to access the download area. Creating a Support on the Web account. If you already have a Support on the Web account, you may proceed to downloading the PDF file. 1. To access Support on the Web, click access Newmarket International s web site at 2. Click the Support tab. This opens a support description page. 3. Click the Support on the Web link. 4. Select the Create a Case Manager Account - Web Support link. 5. Fill in the information boxes. 3

8 Documentation 6. Click the Submit button. Your login information will be ed to you within 2 business days. Downloading the Documentation 1. To access Support on the Web, click access Newmarket International s web site at 2. Click the Support tab. This opens a support description page. 3. Click the Support on the Web link. 4. Using your Support on the Web login information, enter your User Name, Password, Regional Setting and Time Zone. 5. Click the Submit button. This opens the Support on the Web welcome page. 6. Select the Customer Resources button and follow the links for Documentation until you locate the Delphi Suite Section: Workstation Setup.pdf file Release Notes.pdf file. 4

9 Major Enhancements - Delphi Global Sales Edition Major Enhancements - Delphi Global Sales Edition Sending Lead Referrals Using Link Type A new link type exists for sending referrals to properties. Using PDF Camp, when a referral is assigned the link type, non-linked Global sites can send lead referrals via , in addition to the existing E-Link, MeetingBroker, LightningFAX, and Manual methods. This feature requires that Windows 2000 or XP is installed on the workstation. Notification of Leads When a sales rep at Global Sales Edition sends a lead to a linked property, sales reps at the property can now receive notification of the lead. The property selects one or more sales rep with Director access to be notified of all incoming leads. When the lead is assigned to a sales manager by the Director, the sales manager can be notified by . This feature helps to decrease the time required to respond to a lead. You have the option of turning the notification feature on or off for each sales rep. Thus the sales reps at each property have the ability to manage their incoming leads and lead assignments based on user or property preference. Reporting on Secondary Database A new secondary database can be used to run the canned GRC Log report, Market Vision Reports, and Crystal reports. Currently when you run the canned GRC Log report, it takes longer to run because it uses more system resources than others. You can now run this report from a secondary database. The purpose of the secondary database is to minimize the impact of running the report on all users of the system. Note: The data is updated on the secondary database only once a day during a nightly task. When you run the GRC Log report, you can choose whether to run the report against the secondary reporting database or the primary application database. The default is the secondary reporting database. Note: If you are a want to use this feature, please contact Newmarket International s Sales Department. Sales Rep Address and Mobile Phone Fields When entering information for a sales rep in Setup, you can now add an address and mobile phone number for each sales rep. These new fields can be used when merging documents. The sales rep s information also appears in the contents when you use the new link type to send referrals. 5

List The length of time that it takes to display the selection list when sending an to a Sales Rep has been shortened. Keylist Processing The amount of time that it takes to load the initial selection list values for all screens has been decreased. Examples of these values include Account Types, Market Segments, and most other setup values. Order of Account Manager List Entries The order of the entries in the Account Manager list has been modified so you will receive what you are looking for when a tab is selected. For example, the Activities tab now displays the most current entries first. GSE Client Memory Usage The amount of memory that a Delphi application consumes over time has been reduced. Optimizing Concurrent User Access The system has been optimized to better support concurrent user access. Areas that may show improvement include portions of leads, referrals, and meeting profiles. Loading Referrals The Lead Manager has been enhanced to load referrals only when they are needed. Reusing Resources Performance has been enhanced to allow the application to reuse existing resources. For example: 1. User A finishes working on Lead1. 2. User B opens Lead2 immediately after worker A has finished working with Lead1. The system processes User B s request more efficiently by taking advantage of the resources that were created for Lead1. Query Tuning Lead Search/Processing The amount of time that it takes to search for, and open, a lead has been decreased. Global Account Search 6

Clustered Indexes All primary indexes have been converted to clustered indexes. This eliminated many duplicate indexes and you will now see an improvement in the overall database performance. Account Manager Tabs The order in which information is displayed in each tab in the Account Manager has been modified so the information needed most often is at the top of the tab. This prevents the user from having to scroll down for the information. The information is displayed as follows: Tab Name Contacts Activity Bookings Details Meeting Profiles Leads Description The order has not changed since it is determined by your site. Outstanding activities are listed at the top of the activities list in order of current to future. Completed activities are listed after the outstanding activities from most recent to oldest. Bookings are grouped by status in the following order, and in each status bookings are listed in order of the farthest in the future to the nearest. Prospect Tentative Definite Cancel Turn Down Entries in this tab are not affected. The order has not changed since it is determined by your site. Leads are grouped by status in the following order, and in each status leads are listed in order of the farthest in the future to the nearest. Lead Prospect Tentative Definite Cancel Turn Down Activities All users across your network can now access attachments on activities as long as the attachments are in a shared location. Market Vision Reports Improvements have been made in the performance of the application while multiple users run Market Vision reports. For example, if several users are running Market Vision reports, the events area of the application will now run more quickly. 7

For example, if several users are running activity reports, the activity area of the application will now run more quickly. Zip Codes U.S. Zip codes have been updated with the latest available list. QA Pro Version of QA Pro is supported by Merging Account, Contact, and Referral merging has been enhanced to decrease the time needed to merge information from these areas. Multi-Character Searches You can now use multi-characters to find entries in list boxes. For example, if you want to select a Meeting Type of Symposium, pressing S brings you to the first Meeting Type that begins with S (i.e. Seminar). When you then type Y after the S, it brings you to the first Meeting Type that begins with SY (i.e. Symposium). Architecture/ Framework Enhancements Query on Demand Delphi now execute queries for only the tab you have selected. For example, the queries associated with the Activity tab on the Account Manager are only executed when the Activity tab is selected. Prior versions of Delphi loaded all of the queries when the Account Manager was opened. 8

13 Major Enhancements - Delphi Multi-Property, Delphi Single-Property, and Delphi Select Edition Major Enhancements - Delphi Multi-Property, Delphi Single-Property, and Delphi Select Edition GRC Log Report The generation of a GRC Log report for Group business has been enhanced to run more quickly.c Integration Server Newmarket's NetXchange Integration Server (I-Server) is solution developed by Newmarket International to allow the integration between Newmarket International applications and third party applications. I-Server has been upgraded to version 1.5 and is compatible with The following services are support by I-Server 1.5 and 9.1.2: Revenue Management Integration - Opus TLP Reservations Integration - Serenata NetHotel Lead Integration - Property to Property Leads Beverage Tax You can now determine tax rates for beverage categories. BEO Tax Updates Power BEOs have been enhanced to allow you to more easily update Power BEO tax information. You can now change the beverage or resource tax rate percentage for selected beverage and resource categories, and you can select the BEOs that you want updated with modified tax values. When you update the tax values, the Power BEO menus and items are updated in setup. A new report, BEO Update Report, is generated with a list of all BEOs that were updated with the changes made in setup. ing BEOs When a user needs to a BEO to a customer they will have the ability to name the compiled file based on a user specific naming convention. This will make the file easier to reference and increase the users understanding of the contents without having to open the file. The user will also have the option to send BEOs via a zip file or as an executable based on the users preference. Having the option alleviates the current issue of programs that are not configured to or do not accept *.exe files. The solution also continues to support users that do not own an unzipping program. Notification of Incoming Leads When a linked property receives a lead from Global Sales Edition, sales reps at the property can now receive notification of the lead. The property selects one or more sales rep with Director access to be notified of all incoming leads. When the lead is assigned to a sales manager by the Director, the sales manager can be notified by . This feature helps to decrease the time required to respond to a lead. You have the option of turning the notification feature on or off for each sales rep. Thus the 9

Room Type Allocation For any prospect booking, you can now right-click in the Room Type Details window, and select Allocate Rooms. The application takes the rooms in Run of House and allocates them to each guestroom type, according to the room type allocation percentages added in Setup-->Guestrooms for each occupancy level. Reporting on Secondary Database A new secondary database can be used to run the canned GRC Log report, Market Vision Reports, and Crystal reports. Currently when you run the following reports, it takes longer to run them because they use more system resources than others. You can now run these reports from a secondary database. The purpose of the secondary database is to minimize the impact of running these reports on all users of the system. Note: The data is updated on the secondary database only once a day during a nightly task. EMS (Event Monitor System) Interface The performance of the EMS interface has been improved by reducing the frequency the EMS interface runs its query. It has been changed from running every 15 seconds to every 15 minutes. Note The EMS program files must be reinstalled in order for this enhancement to work. Please call Newmarket s support. Market Vision Reports Improvements have been made in the performance of the application while multiple users run Market Vision reports. For example, if several users are running Market Vision reports, the events area of the application will now run more quickly. Optimum Settings The new Optimum Setting interface has been updated from the 16 bit to the 32 bit version. Purge Utility Cleaning the Database If you have an access level of director, you can run the new Purge Utility located under Files--> Utilities-->Newmarket Tools. The Purge Utility allows you to purge selected bookings and/or accounts from the application database. This will help you manage the growth of your database. Recap Reports of Purged Accounts and Bookings 12

17 Major Enhancements - Delphi Multi-Property, Delphi Single-Property, and Delphi Select Edition You can print a recap for each booking and account that is purged from the database. There is also a new feature that allows you to export the recaps to HTML format so they are saved to a file rather than being sent to a printer. Note When you save a report, it does not take the name of the Account or Booking. Instead, it is assigned the tag line PurgeAcctRecap or PurgeBookRecap followed by a number, i.e. PurgeBookRecap 3. The summary tables are organized by product area. Details are available upon request from your Account Manager. For each change we provide the ID number for the version. If other ID numbers exist, those are provided as well. Note Refers to a linked scenario Note Sometimes the same ID number is used for every version of the application that contains the problem. In this case you see only the ID listed. Changes from 7.1.x Delphi Global Sales Edition Product Area ID Issue Description & Workaround Other CR IDs Setup If there are more than 500 Sales Reps in the application database, only the first 499 and the last one appear when you go to File/Setup/Sales Reps. Up to 1250 users can now be viewed in File/Setup/Sales Reps. was in 8.0 SP3.5 Changes from 7.1.x Delphi Multi-Property Edition, Delphi Single- Property Edition, and Delphi Select Edition Product Area ID Issue Description & Workaround Other CR IDs Bookings Market Vision When you add roomnites to a booking before its arrival date the Cut-Off date changes to the date you made the change (today s date). To reproduce: Open an existing booking and note its Cut-Off date Click on the Rooms Tab and scroll over to a day before the booking's Arrival Date Add a room in either Agreed, Blocked or Pickup and click Save and Stay. The Cut-Off date changes to today's date. The Cut-Off date no longer changes to today s date if you add roomnites before the booking s arrival date. When you create a Market Vision query that includes Other Sources (i.e. Other Source Last Name), some or all of the Other Sources do not appear on the report. All Other Sources and their attributes now appear on the report. was in 8.0SP3.5 14

19 Issues Fixed from Previous Versions Product Area ID Issue Description & Workaround Other CR IDs Merge When using Word 2000, not all characters from the booking comment are merged into a merge document. This is a limitation of Word 2000, and has been fixed with Office2000 Service Pack 3. Power BEO/ WO You must install Office2000 Service Pack 3 in order for the merge of booking comments to work correctly. If you copy a booking and BEO multiple times, all but the final BEO have blank item quantities. Only the final BEO has the correct item quantities. When you copy a booking and BEOs, the item quantities are now correct. Setup If there are more than 500 Sales Reps in the application database, only the first 499 and the last one appear when you go to File/Setup/Sales Reps. Up to 1250 users can now be viewed in File/Setup/Sales Reps. was in 8.0 SP3.5 Changes from 8.0 Delphi Global Sales Edition Product Area ID Issue Description & Workaround Other CR IDs Profile Agency fields autopopulate if you minimize a profile, and open and close another account. Profiles Example: With the profile for Account A minimized, search for another account, Account B. Once you open Account B, and close it, Account B s data autopopulates the agency section of the original profile for Account A. Multiple Property Search A minimized profile is no longer autopopulated by a newly opened account. Intermittently, when you attempt to do a Multiple Property Search you get the following message, 23000(Microsoft)(ODBC SQL Server Driver)(SQL Server) Cannot insert the value NULL into column UKEY_ID table 'NSS_DATABASE.dbo.USERKEY"; Column does not allow nulls. Insert fails (515). As you OK the message, another appears. When you OK through all the errors, the data pulls as it should. The SQL errors no longer occur when you perform a multiple property search. 15

20 Issues Fixed from Previous Versions Changes from 8.0 Delphi Multi-Property Edition, Delphi Single-Property Edition, and Delphi Select Edition Product Area ID Issue Description & Workaround Other CR IDs Bookings Booking Bookings When working in the Deposit Details window, if you press the ESC key, it doesn t close the window and bring you to the previous window. Pressing ESC in the Deposits Details window now works correctly. In the Booking Evaluator, the Revenue PAR field will be zero sometimes even though there are values in the Rooms, Average Rate and Revenue fields. The Revenue PAR field values are now correct. In the Booking Manager, the Decision Due Date automatically changes back to the original system date when changes are made that effect the room pattern. For example: Create a booking today, 10/17/2002, for arrival 2/1/2003 with 12 rooms for three nights. The Decision Due Date autopopulates as 10/31/2002, as designed. Manually change the Decision Due Date to 12/31/2002. Save and close the booking. Go back into the booking and change the Arrival Date to 2/5/2003. The Decision Due Date changes back to 10/ 31/2002. The Decision Due Date no longer changes when it should not change. was in 8.0 SP3 was in 8.0 SP3.5 Booking Recap The Booking Recap report is missing the Business ID field. The Business ID (booking ID) field is now displayed on the Booking Recap report. was in 8.0SP3.5 Reports If your Newmarket database is not named NSS_DATABASE, when you run the Account Recap report for an agency account, the following error is generated: Error code: Error detected by database DLL. The error no longer occurs. Reports When viewing or printing a Booking Recap, BEO, Banquet Check, or GRC report users may receive the following error message, Error Code 567 page header or footer larger than the page. This error is caused by a defect within Seagate s Crystal Reports. The error no longer occurs. 16

The Primary Key Violation no longer occurs. When joining accounts or contacts through the Join utility, a Dr. Watson error may occur. The error no longer occurs. was in 8.0 Changes from 8.0 Delphi Global Sales Edition, Delphi Multi-Property Edition, Delphi Single-Property Edition, and Delphi Select Edition Product Area ID Issue Description & Workaround Other CR IDs Crystal Reports If you build a simple Crystal report using the booking dictionary, and add ONLY account-level fields to the report (no booking info), blank or bogus account records appear on the report. If you add any booking fields, the problem is resolved via the table links. Blank or bogus account records no longer appear. Changes from 8.0 Delphi Multi-Property Edition Product Area ID Issue Description & Workaround Other CR IDs Bookings Even though the GRC shows rooms available for a particular date, when you create a booking for that date and change the booking status to Definite, the following message appears, Group room allotment has been exceeded by X rooms. This is a random occurrence. Merge The error no longer occurs. When in the Account Manager, if you click the merge button to merge with an account merge document, an ODBC SQL Server Driver error appears. Changes from 9.1 Delphi Global Sales Edition Product Area ID Issue Description & Workaround Other CR IDs Activities When you view an activity from the Key Account Activity grid, the previous and next buttons at the bottom are inconsistent. In some cases, only one is active, in others, none are active. The Previous and Next buttons now work consistently. Profiles When you click the Contact Search button in a Meeting Profile, once the list of contacts appears in the search window, clicking the Name column header sorts the names in a random order. The names are now sorted correctly. Referrals Reports If you create a lead, and retire a contact in the lead, you can still send a referral for that lead to a property without receiving a message that the contact is retired. A message now appears indicating the contact is retired. When you generate the Property Recap report, not all sales reps are included in the report. The report is only including those sales reps located at the property you select, and is not including those sales reps with access to the property. Reports and All sales reps with access to the property are now included in the Property Recap report. If there are more than 500 sales reps in your database, your application may hang if you select either the R/N Rev Production or Referral Productivity Report from Reports/ Performance, and click the large red check mark to deselect all of the Referred By sales reps. The application no longer hangs in the scenario described above. Reports The Account Listing report does not include global accounts. Only property accounts are included. The Account Listing report now includes global and property accounts. 18

Changes from 9.1 Delphi Multi-Property Edition, Delphi Single-Property Edition, and Delphi Select Edition Product Area ID Issue Description & Workaround Other CR IDs Activities When you click the yellow bar in the Activity tab to open a letter activity from within a booking, the Merge button in the letter activity window is grayed out. You must close the window and reopen the letter activity in order for the Merge button to be available. The Merge button is now available. Activities Activities You can only delete 20 activities at a time from the Activities tab of the Account Manager. You can now delete as many activities as you select. When you change a booking s status to Definite, the automatic traces (activities) that get generated when a booking turns definite do not appear on the Activities tab right away. Automatic traces (activities) now appear on the Activities tab as soon as a booking is changed to Definite. Activity Planner In the Activity Planner, you can delete public notes sent from the global property. You can no longer delete public notes sent from the global property. Bookings In the Quick Booking window, if you click the event grid, the application automatically enters a 1 in the Day# column. If you then enter another number, it gets added to the 1 rather than replacing it. For example, you may type 2 expecting it to replace the 1. Instead, 12 appears in the column. The entering of numbers in the Day# column now works correctly. 19

24 Issues Fixed from Previous Versions Product Area ID Issue Description & Workaround Other CR IDs If using International Regional Options for currency the comma and decimal separators are reversed. Therefore currency entries cannot be saved without receiving a SQL error. With DMPE and Single-Property 9.0 on Windows 2000, the SQL errors occur when attempting to save a booking with package plan information using the Euro currency format. Bookings With DMPE 9.1 on Windows 2000, the SQL errors do not occur. All appears to work OK unless you attempt to manually enter the decimal separator. For example: If you enter 5000, and click OK, the figure is correctly saved as "5.000,00_". However, if you enter 5000,95, and click OK, you expect to see "5.000,95_" but the value is incorrectly saved as " ,00_" Booking- Quick Booking Booking- Quick Booking The comma and decimal separators are no longer reversed. The Post and Move options are not selected by default when an event is created through Quick Book. However, these options are selected by default if you create the event by another means, such as via the Event Manager. The Post and Move options are now selected by default. Events created using Quick Book save correctly when using DD/MM/YY as the shortdate regional option if the event happens before the 12th of the month. After the 12th the events are saved using MM/DD/YY. In effect a Quick Book entry using an event range of January 12 and 13th would be entered as 12/01/02-13/01/02 it would saved as 01/12/02 and 02/12/02. Events that are to occur after the 12th of the month are now saved with the correct date format. Contacts When you try to change the order of contacts in the Contact tab of the Account Manager, the application may change focus from the contact you are moving to a different contact. This causes the wrong contact to be moved. This happens in both linked and non-linked sites. If the site is linked, it may affect the order of global contacts. The focus of the contact windows now works correctly. Contacts In the Contacts tab of the Account Manager, if you click the column header for the Contact Name the contacts are sorted by the first name instead of the last name. Contacts are now sorted correctly. 20

The order is not saved when you click the save button. Events When you change the order of contacts, the new order is now saved when you click the Save button. If you create an event with no attendance numbers, you may have problems editing the Room Rental field. 1. Create an event with no attendance and no event type specified. 2. Save the event, If prompted, chose No to applying the default room rental. 3. At this point you can edit the Room Rental from the event grid or in the Event Manager. It saves OK. 4. When you then assign an event type to the event, the room rental that you entered changes to '.00' 5. You cannot edit this field any further was in 9.1 GRC Market Vision The Room Rental field is now editable after you have assigned an event type to the event. When in the GRC, if the display is set to By Bkg Market Seg, you see all bookings for that period until you apply a filter and then change the display. For example, if you select a particular Market Segment from the drop-down box in the GRC, only bookings with that market segment are displayed. This is working correctly. However, if you then change the GRC display to By Bkg Market Seg Alloc, bookings for all market segments appear even though only one market segment is selected. This also occurs if you switch the display from By Bkg Market Seg Alloc to By Bkg Market Seg. The correct bookings now appear when you display By Bkg Market Seg Alloc. When building a query in Market Vision on the booking platform, Booking Type and Booking Type Abbrev are missing under the booking object. Also, the attributes are no longer in the same order as they were in version 9.0. The Booking Type and Booking Type Abbrev are now available under the booking object. 21

When you then save the BEO, the new sort order is saved and should not be saved. Profiles The Setup Type field in the Meeting Profile s Events tab does not allow you to use multiple characters. For example, if you want to select RND8, pressing R brings you to the first setup type that begins with R (i.e. RND5), then when you press N, it brings you to a setup type that begins with N instead of RN. Note: This applies to all pick lists in a spreadsheet format. You can now enter multiple characters to select the Setup Type. 22

Other Income now appears correctly on the report. Reports Other Income items are not calculated correctly in the Booking Function Short Form report. Other Income Items coded to Resource, Room Rental, Food, and Beverage are reported in Other F&B Revenue. The Other Income revenue should be reported in the proper revenue category. Other income revenue is now reported in the correct category. Reports In the Guestroom Type Summary section of the Booking Recap, rates are displayed for each day and for each Occupancy Level regardless if there are guest rooms associated with the Room Date. Rates are now displayed only where there are guestrooms associated with the room date. Reports If the Option field for an event is set to anything other than zero, when you run a Booking Recap report, you may receive a number of errors. Once you have clicked OK through the errors, a blank booking recap report appears. Utilities Note The Booking Recap now runs without error and contains the correct data. In an event, if you enter less than the minimum of Agreed attendees required for the selected function room, when you run File/Utilities/Event Conflict, the capacity conflict does not appear in the report. Capacity conflicts now appear in the report even if you enter less than the minimum number of Agreed users for the function room. Refers to a linked scenario was in

29 Technical Tips Technical Tips Changes to Sales Reps When you make a change to a sales rep (i.e. changing the sales rep s name in File\Setup\Sales Rep), you must restart the application in order to see the sales rep s name in any drop down list. MS Word Security If you use Office 2000 or XP, the security level for using macros in Word must be not be set higher than Medium (a security level of High disables the merge feature in the Delphi product). MS Word Versions Newmarket recommends that you use the same version of MS Word on all of your workstations and install them in the same location. This makes troubleshooting easier for you. However, this is not a requirement and you may use version 2000 or 2002 (part of the Office XP suite) Word in different locations if you wish. MS Word XP and Detail Sets If you have Word XP, saving a detail set in a Word document can be performed as follows: Highlight the detail set table only and click Save. Note If you use Select All or Ctrl-A to highlight the table, formats other than those in the table are highlighted and the table format doesn t get saved. Client Workstation Support The following clients are supported by the products: NT, W2K, and XP.
