1 Information Technology Department - San Diego Unified School District Welcome to Active Directory Workstation User Experience Congratulations! Your site has been migrated to the new Active Directory (AD) network. This packet details important changes on how you use your district business computer in the new AD environment. Please refer to this packet for the following information: 1. Login Screen 9. Multi-user Workstations 2. Employee ID and Password 10. Workstation Synchronization 3. First Time Login 11. Working off the SDUSD network 4. Change Password Notification 12. Installing a local printer 5. Files Supported for Backup 6. Installing Software 7. Connecting to SDUSD network printers 8. Drive Mapping FIRST LOG IN / LOG OUT WARNING! The first time you login after your workstation has been migrated to AD will take some time! During this process, your login profile and My Documents folders are copied to the server into a secure directory that will be backed up on a routine basis. The first time you logout after your workstation has been migrated to AD will also take some time, as synchronization occurs back to the workstation from the server of your login profile and My Documents folders. This is to insure your workstation still has a copy in case of site server failure. RECYCLE BIN WARNING! The recycle bin works differently on AD. Any files or folders on your desktop or in your My Documents folder that are dragged to the Recycle bin will be DELETED IMMEDIATELY!

2 1. Login Screen This is what the AD login screen looks like: Screen 2 (after pressing Ctrl-Alt-Delete) displays the district s computer use notice: Screen 3 after clicking OK above: 2. Employee ID and Password The Employee ID and password that you currently use for PeopleSoft, and Zangle is now the way you log into AD. It is important to understand that although this now makes it easier for employees to remember fewer passwords, the same password now has access to your , personal information on PeopleSoft (paycheck, etc.), and sensitive student data. Do not give your password out to anyone for any reason in particular, never give your password to temporary employees or students. Temporary employees must use district procedures to obtain a Contractor ID, prior to logging into the District network. 3/12/2007 Page 2 of 8

3 3. First Time Login WARNING! (This information is repeated from Page 1) The first time you login after your workstation has been migrated to AD may take some time! During this process, your login profile and My Documents folders are copied to the server into a secure directory that will be backed up on a routine basis. Either of the following messages will be displayed on your computer during this process. Do not interrupt this process for any reason! You must allow your computer to come all the way up to displaying your desktop. 4. Change Password Notification AD will notify you when it is time to change your password you will have 14 days from the first notification. Remember, when you change your password in AD it changes for PeopleSoft, and Zangle. If you have forgotten your password, you may call the Help Desk to have them reset your password to the default. Your default password is Sdcsxxxx, (please note the capital S ) where xxxx represents the last 4 digits of your Social Security Number. You can then log into AD where you will be prompted to change the password. The password security format is the same for all district wide applications Must be a minimum 8 characters; Must contain at least one CAPITAL letter and one lowercase letter; Must contain at least one number (0-9); Cannot contain your first or last name or your employee ID. 5. Files Supported for Backup With AD and the new backup features for your My Documents, desktop and profile information, it is important to note that only district-related business data should be stored in these folders. Pictures, music and non-district business data should not be stored in your My Documents or desktop. Business pictures or music should be stored in your department s Public share. C:\Local Documents is also available for local, non-backed up storage. 6. Installing Software New security and support policies will not allow the standard SDUSD user to install software. This includes installations from CD s or other media, web downloads such as games, itunes, or desktop enhancing software, or printers other than those listed in the find menu. For business or educational software please have your site / department IT contact call in an AD Software Installation Request to the Help Desk. 3/12/2007 Page 3 of 8

4 7. Connecting to Printers Click the Start button, scroll to Settings, choose the Printers and Faxes option. Click on Add a printer Click Next 3 times. 3/12/2007 Page 4 of 8

5 Click on the Find Now button. The Find Printers box fills to show the name and location of the shared printers at your site. Double-click the printer you would like to add to your workstation. If this will be your Default printer Select Yes, otherwise click No. You can now close the Printers and Faxes window. 8. Drive Mapping C:\ is your local workstation / laptop hard drive. K:APPS\ is where the district applications reside. Do not store any data to this drive. L:DIST\ is where district wide distributions reside. Do not store any data to this drive. M:\PUBLIC\ is your sites shared drive for SDCS business data storage. This is where users at your site can share data. Only users from your site or other users with security access can see the data on this drive. 9. Multi-user Workstations A multi-user workstation is shared by more than one user. Under this scenario each user needs to login, execute work and logout. Documents saved under one users my documents folder will not be available to another user. A 20 minute security screen saver is also in force so if the screen locks, the user logged in at that point must reenter their password to unlock the computer. As noted earlier, do not share your ID / Password with other users. 3/12/2007 Page 5 of 8

6 10. Workstation Synchronization Each time you log in to or out of your workstation or laptop the files will be synchronized with your sites file server. This is all part of the backup and recovery process that is being implemented as part of the AD rollout. Warning: As previously noted, the first time your workstation synchronization runs, it may take a long time. Please allow it to complete! When synchronization completes it will display a window similar to the following: It is common for these types of warnings to be generated as not all file types are synchronized. IMPORTANT NOTE: Any workstation / laptop you log into will attempt to synchronize your desktop and my documents to that workstation / laptop. Unless that is a computer you consistently work on, click Stop and Close to interrupt the synchronization. IMPORTANT NOTE: The following file types are EXCLUDED from synchronization. This means these file types will not be available when your computer is running in off-line mode. DO NOT store these file types on your desktop or in you re My Documents folder to avoid this issue. If you have business files of these types that need to be shared or backed up, please store them in your department s Public share. Otherwise, store these file types on your workstation at C:\Local Documents. These files are excluded for performance reasons based on Microsoft recommendations. *.bak, *.bkp, *.dbf, *.tmp, *.exe, *.com, *.wav, *.mp3, *.mpg, *.wmv, *.m4a, *.m4p, *.bmp, *.jpeg, *.jpg, *.msi, *.gif, *.tif, *.mdb 3/12/2007 Page 6 of 8

7 11. Working when not connected to the SDUSD network (Off-Line files) When you are not connected to the SDUSD network for any reason the following balloon will display. As it says, work normally from home or whenever not connected and changes will synchronize the next time a connection is active. When you click on the button it will look something like this: When you return to the SDUSD network and log in, any changes or additions to files on your desktop or under you re my documents will be synchronized back to you site file server. 3/12/2007 Page 7 of 8

8 12. Installing a local printer A local a printer is a printer that is directly connected to your workstation or laptop and is not shared with anyone else. If the printer will be shared by other district personnel, please proceed with the Service Request process to have a new AD queue built for the printer. Key Note: To add a local printer you must have the print driver disk in hand or be ready to use a default printer driver provided by windows. You will not be able to go back and install a driver at another time. Please download the AD Local Printer Install guide posted on the Active Directory Information Site and follow the detailed instructions to complete a local printer installation.
