1 REPORT CENTER USER GUIDE Welcome to the Report Center user guide. The Report Center has been designed to meet all your functional reporting needs while providing a rich interactive experience. This guide* will help you take full advantage of the Report Center s capabilities and features. 3 GENERAL NAVIGATION Institutional Investor Passport (IIP): After logging into Passport you can access the Report Center by clicking on the Report Center tab. If this is the most common application that you use you should make this your start page by clicking on the Make this My Start Page link located at the bottom of the page. Wealth Passport (WP): After logging into Wealth Passport you can access the Report Center by clicking on Report Center from the Reports and Documents tab. If this is the most common application that you use you should make this your start page by clicking on the Make this my Start Page link located at the top right of the page Panel Expansion A panel can be expanded by clicking on the +/- icon in the panel header where available. By default the Reporting Tools and Viewing Panels will be expanded. northerntrust.com 3 of 35
4 Accordion Expansion An accordion can be expanded by clicking directly on the header. Examples of accordions include the individual libraries in the Libraries panel and the various configuration options of the report/folder edit detail page. View Expansion A view can be expanded/collapsed by clicking on the handle between the left and right panels denoted with the arrow. The direction of the arrow will dictate whether this is in an expanded or collapsed state. This interaction is also relevant in the Report view detail to see column details. northerntrust.com 4 of 35
5 Bread Crumbs Are displayed in relevant locations where a drill down into a lower level page has occurred. Clicking backward on the breadcrumb will move you back to the prior location. Navigation Panels On the Report Detail page you will find left and right navigation panels that allow you to navigate to the previous or next report within a folder. This navigation is also available at the folder level on the Folder Detail page. Drag and Drop A common use from the Report Center homepage is to drag and drop reports from the Master Report Library to the My Report Library to facilitate library setup. This can be done for single reports or from the lowest level folder contained within Master Report Library. You can also control click to select multiple reports to drag over. All default configurations will be maintained, as well as folder structure and order where applicable. northerntrust.com 5 of 35
6 Close and Back to Home A close button is available in the right corner on all required windows. Back to home and cancel are also available on some windows and provide similar navigation capabilities. LAYOUT Upon entering the Report Center you will notice several panels, views and bars. Specifically the application is split into the following high level components: 1) Report Center Application Header the application header denotes the application name, displays the Report Status bar, and provides a launch point to this reference guide. 2) Reporting Tools Panel this panel provides a launch point to all ancillary tools and applications that can assist you in meeting your reporting needs. 3) Report Libraries Panel this panel houses all of the reporting libraries to facilitate navigation, maintenance, and running of reports and folders. 4) Viewing Panel this panel houses a series of views that include the libraries, incorporates a Completed Reports view, extends out each of the library details and provides additional search capabilities. Each of these components will be described in more detail later in the guide. northerntrust.com 6 of 35
7 Report Status Bar The Report Status bar provides a handy way to access the details of any report that has been run during the present session. It is designed to complement the Completed Reports view which keeps a more comprehensive history, provides more details, and provides access to scheduled reports (or reports run outside of the interactive session). The Report Status bar provides the following features: Feedback when a report is run the bar will roll down to show that the request has commenced. While a report is running an action icon displays. Report Access - Upon completion the bar will roll down to present the completed report or provide error conditions. Errors If errors or no data situations are encountered, the bar will note this. Count A count of each request made during the session and the status of the requests is maintained. History All history is kept for the session that the user is in. Upon logoff the session restarts and the bar will be refreshed. Please note: when folders are run only the final consolidated report will be presented, along with the counts of the underlying templates. All of the individual report files can be picked up in the Completed Reports view. Edit Report Center Preferences The Edit icon in the application header provides a capability to edit the application specific preferences. The Edit icons found in the panel headers provide the capability to edit panel specific preferences. northerntrust.com 7 of 35
8 Online Help Online help for Report Center can be launched by clicking on the? icons found throughout Report Center REPORTING TOOLS PANEL Panel and Edit The Reporting Tools panel provides a launch point to all tools and applications that assist you to meet your reporting needs. You can customize the panel to exclude items you do not utilize. Some options are considered required to facilitate overall usability of the application. These options will not be possible to de-select. northerntrust.com 8 of 35
9 Create a Report There are numerous ways to create a report in the Report Center, but the Create a Report, Query, or Interface link leads you through a wizard like approach to find, select, and configure the report(s) prior to saving or running. After clicking on Create a Report Query, or Interface link from Reporting Tools you will be presented with the selection page. 1) Select Library - choose whether you want to create a new report from the Master Report Library OR Copy a Report from My Report Library. Depending on which option is chosen the Select Library options will change to accommodate the next step. 2) Use Filters A number of filters are available to help you find the report you are looking for including: Type Choose from Report or Interface/Queries. Customization Choose from a Formatted template or a Customizable template. Category - choose to filter the reports on either Report Category or Report Sub Category. Show all Public Templates to expand the available reports to the full universe of public reports available. Search box - Use search, located in the Select Reports, Queries or Interfaces section to filter based on report specific name contextual search. 3) Once the report is located it can be selected by clicking on it OR - multiple reports can be selected by holding down the control key while clicking multiple reports. 4) After the report(s) has been chosen click the Continue button. northerntrust.com 9 of 35
10 5) The Edit Report Details page displays. Details on the Edit Report page can be found, in the Edit Report Details section of the guide. Edit Report Center Preferences As previously noted, there are two ways to update preferences. One is from the application header Edit button. The second is from the Edit Report Center Preferences option in Reporting Tools. Upon clicking you will be presented with the Report Center preferences page which will allow you to update the application preferences. This will be described in more detail in the Edit Report Center Preferences section of the guide. Edit Preferences This option provides a launch point to the Preferences page. This page allows you to manage all aspects of contacts, addresses and related options. Manage Secure Preferences This option provides direct access to the PGP login screen. Log in to PGP to: Read and create messages Choose and update your delivery method Change your Passphrase northerntrust.com 10 of 35
11 Before you can use a PGP Secure option, you need to create a secure setup. To do this: 1. From the Reporting Tools panel, click on Edit Preferences. 2. On the address page, enter your last name, first name, and address. 3. Ensure that the Enable checkbox is selected. 4. Click Save. 5. Click on the Send a Test Secure link located below the Address field 6. You will receive an notification about the encrypted message that includes a link to enrollment in the Secure program. Click the secure message link to begin enrolling in the Secure Program. Manage Data Filter Sets This option provides a launch point to the list page of all Data Filter Sets that have been created. Data Filter Sets provide the quickest method to set-up new reports. At this page you can delete data filter sets and modify the set that is configured as the default for new reports. Data Filter Sets will be discussed in more detail in the Edit Report and Folder Details and Data Filter Sets section of the guide. Manage Report Libraries This option allows you to easily manage multiple libraries at one time by providing a side by side accordion view of the Master Report Library and personal libraries. This side by side view facilitates copying folders and reports via drag and drop with the single pane views of these libraries, this view also allows you to perform actions such as creating new folders in personal libraries. northerntrust.com 11 of 35
12 Run Easy Answer Reports This tool provides an easy wizard like approach to identifying a report to answer a question 1. Select an area of interest. Options include: Account Activity Allocation and Exposure Limited Partnerships Portfolio Analysis Securities Lending Taxable Reporting Transitions and Restructuring 2. Select the question that most applies to your need. *Questions are applicable to the area of interest selected and will differ based on your selection. 3. Add the Account details 4. 13 REPORT LIBRARIES PANEL My Report Library This library provides the space for you to organize, setup, schedule and run reports based on your business needs. You can do the following within My Report Library: 1. Create New Folders by clicking on the folder icon you can create a new folder at whatever level you want within the library tree. 2. Perform Actions each folder and report can have actions performed on it. By clicking on the caret the applicable actions available for the report or folder will be enabled. When an action is not allowed based on the business rules, the action item will be disabled. Actions are described in more detail in the Actions section of the guide. A next to areport or folder indicates it is configured and ready to run. Clicking on the will run the report or folder. 3. Edit Report/Folder you can double click on any report or folder to get a partial screen edit to quickly edit and run any of the reports/folder in your library. Load Library you can utilize the viewing panel to drag and drop reports and folders from the Master Report Library in the viewing panel to facilitate set-up of your library. northerntrust.com 13 of 35
14 Master Report Library This library provides the space for you to view the universe of report templates available for your use. You can do the following within Master Report Library: 1. Perform Actions each folder and report can have actions performed on it. By clicking on the caret the applicable actions available for the report or folder will be enabled. When an action is not allowed based on the business rules, the action item will be disabled. Actions are described in more detail in the Actions section of the guide. 2. Edit Report/Folder you can double click on any report or folder to get a partial screen edit to quickly edit and run any of the reports/folder in your library. You can t save any of the changes in the Master Report Library; however, you can save as to your My Report Library for future use. northerntrust.com 14 of 35
15 Manage Report Libraries Manage Report Libraries is designed to help you easily manage multiple libraries at one time by providing a side by side accordion view of the Master Report Library and personal libraries. This side by side view facilitates copying folders and reports via drag and drop. As with the single pane views of these libraries, this view also allows you to create new folders in personal libraries and perform actions via the action menu. northerntrust.com 15 of 35
16 Actions Actions can be performed by clicking on the action caret that is displayed when hovered over a report or folder name. The following actions can be performed on each library item. Actions are described in more detail in the Actions section of the guide. Report Library/Action Action Description My Report Library & Scheduled Reports Run Clicking the Run action or the will run any report or folder that is fully configured (noted with a green checkbox). The report will be run based on the configuration settings applied. View Details Edit Copy Move Delete Rename New Folder Clicking the View Details action will move you to the view details page assigned for the report or folder; it provides more details about the report then are available in the libraries including images of the report and contents of the folder. Clicking the Edit action will move you to the full view edit details page assigned for the report or folder. Clicking the Copy action will move you to the copy page where you can choose the destination for where you want to copy the folder or report to, along with other details relevant for copying. Clicking the Move action will move you to the move page where you can choose the destination for where you want to move the folder or report to. Clicking the Delete action will present you with a safety confirmation page ensuring there are no accidental deletions. Clicking the Rename action will highlight the name of the report or folder to allow for an inline update of the text. Clicking the New Folder action will create a new folder under the tree node of the folder the action occurred on. This is not relevant for reports. Master Report Library Run View Details Edit Copy Clicking the Run action will run any report or folder that is fully configured (noted with a green checkbox). The report will be run based on the configuration settings applied, which would only be relevant in the Master Library when a default filter set was applied. Clicking the View Details action will move you to the view details page assigned for the report or folder; it provides more details about the report then are available in the libraries including images of the report and contents of the folder. Clicking the Edit action will move you to the full view edit details page assigned for the report or folder. Clicking the Copy action will move you to the copy page where you can choose the destination for where you want to copy the folder or report to, along with other details relevant for copying. northerntrust.com 16 of 35
17 VIEWING PANEL In addition to allowing you to organize, setup, schedule and run reports like the Library Panel, the Viewing Panel provides space for you to view additional report and template attributes not available in the Library Panel. There are four available views within the Viewing Panel. 1. My Report Library provides a space to organize, setup, schedule and run reports 2. Master Report Library displays the universe of report templates available for your use. You can drag and drop templates from this panel into My Report Library in the Libraries Panel 3. Completed Reports replaces the Inbox application for all reports delivered via Report Center. You can view details, edit and run these reports via the action menu in this view. Also houses reports that were not run directly in Report Center. 4. Scheduled Reports - displays Scheduled Report Requests. It is designed to facilitate better management of scheduled reports for optimal overnight delivery of desired reports. 18 List Modes There are three list modes available within the Viewing Panel to facilitate report management, review and retrieval. Expand/Collapse this list mode is the traditional expand all/collapse all view of libraries. Drilldown this allows you to expand only the folder that you want to see further details on. Breadcrumbs are provided to denote trail. Flat List this eliminates all folder level organization of the view and reflects the reports as a straight list. This can be good for finding reports irrespective of organization. Filters Filters provide a quick method to find reports. Clicking Save will apply the filter selected. After a filter has been applied it will be noted in the filter selection box. Clicking the reset will remove the filter and the list will return to an un-filtered state. Search Search provides another method to find reports. Typing characters into the search box will filter down the view to solely the items that meet the text criteria input. Clicking the X will remove the search criteria and revert back to nonfiltered view. northerntrust.com 18 of 35
19 Grid Features Column Selection You can select the desired columns to display in each view by clicking on the column selector icon located in the Name column. The column selector will display a list of available columns for each view and checking each box will enable that column for display. Each view has different columns available depending on the views purpose and use, and each view has different default columns enabled. These selections will persist as an application preference. Column Size Adjustment you can increase or decrease the size of a grid column by hovering over the intersection of a column header and the column divider. An indicator will display that you can pull either way to adjust the column size. Column Sort you can sort a column within the grid by clicking on the column header, an indicator will show denoting the sort value and the order ascending or descending. Additional clicks will resort ascending or descending. northerntrust.com 19 of 35
20 Column Reorder You can also reorder a column within a grid by dragging and dropping to the desired location. The column will switch places to the location it was dragged to. Actions Actions work the same in the Viewing panel as in the Libraries panel and can be performed by clicking on the action caret that is displayed when hovered over a report or folder name. 23 REPORT AND FOLDER EDIT DETAILS Report Edit Details The Report Edit Details page allows for edits to the report configuration, destinations, output formats, schedule info as well as other characteristics. 1. Change Report Name 2. Change Report Description 3. Save a Data Filter Set 4. Select an Alternative Data Filter Set 5. Modify Report Configuration details 6. Modify Destination and Output options 7. Modify report schedule options 8. Capability to Run the report if fully configured 9. Access the Report View Details page 10. Capability to Save any updates to a previously saved report 11. 24 The steps and details around configuring a report or folder are described below. If specified, defaults will be applied automatically for some of these fields, otherwise if required they will need to be added. Data Filters: After a report is chosen then the data filter information can be specified. Common data filters include: 1. Account Number: Select an account number or consolidation code. This information can be manually entered or looked up to qualify which account(s) the report will be run on. 2. Dates: Select an as of date or date range. Dates can be manually entered, smart dates can be looked up and applied, to qualify which date(s) the report will be run for. An Entered Date will remain consistent unless it is manually changed. A smart or quick date will automatically change based on the description (for example Previous Day will roll forward nightly, last month will roll forward monthly, etc.). Please note: the list of smart dates available can be configured in Report Center Preferences. This is discussed in more detail in this section. 3. Reporting Type*: Select a reporting type from the drop down list. A Daily reporting type will report information on the date it is entered into the system (entry date). A Periodic reporting type will report information on the date the transaction effectively impacted the portfolio (trade date). *The Reporting Type filter is only available to IIP users on screen. This information is handled within each WP report, and WP users do not have to make a selection. Please Note: the items above are the most common data filters. Each report may have different types of filters designed for unique report purposes. northerntrust.com 24 of 35
25 Destination After the data filter information has been specified then the destination for the report needs to be added. Common options include: Completed Reports Only will output the report to the Completed Reports view only; it will not output the report to the screen. This is the logical destination for scheduled or long running reports. Quick View will output the report to the screen immediately when generated. For convenience a copy will also be sent to the Completed Reports view for later retrieval if desired. Secure Attachments will allow the attachments to be sent to the requestor along with any of the Copy To contact groups selected for the request. This selection will enable the preferences display as described above and the ability to select contact groups. Northern Trust offers two secure options, TLS and PGP Universal. Please review the Manage Secure Preferences online help topic and the Secure FAQs prior to utilizing the secure delivery option. Notifications will allow a notification to be sent to the requestor only alerting them that reports are available in their Completed Reports and providing links to those reports. A link is also available to edit the e- mail address preference of the requestor if a change is desired. Please Note: all reports when run interactively during a session will have their activity logged to the Report Status bar to monitor status and allow for convenient pickup of report output. Format: After the destination information has been specified then the desired format that the report should be generated in needs to be added. Common options include: Acrobat format - will output the report results as a pdf Tab delimited - will output the report results as tab delimited file Spreadsheet (All Data) - will output the report results in.xls format with all data information required to display the report Please Note: the items above are the most common formats. Each report may have different formats available for unique report purposes or based on request (other potential options include: export as seen, HTML, XML, RPT, and RTF). You can select more than one format to be sent to Completed Reports. If quick view is chosen only PDF will be presented to the screen, but all options selected will be sent to Completed Reports. northerntrust.com 25 of 35
26 Schedule: After the other information has been specified, the report schedule information can be added if desired. You can select more than one format to be sent to Completed Reports. Scheduled reports are automatically run at the specified time. Before it is run, a scheduled report is listed in Completed Reports with a pending status. After the report has run, the report appears in Completed Reports with the run date and time. Common frequency options include: One Time - will run the report for the single date specified Intra-day - will run the report for the time of day specified Daily - will run the report every day Weekly - will run the report for the day of the week specified Monthly - will run the report on the run date specified Quarterly - will run the report on the specific business or calendar date specified Please Note: Reports in Completed Reports are purged according to the following schedule: Immediate Requests 18 hours from when the report was run Scheduled One time 30 days from when the report was last modified or viewed Daily Each day Intra-day Each day Weekly Each week Monthly Each month Quarterly Each Quarter northerntrust.com 26 of 35
27 Folder Edit Details The Folder Edit Details page allows for edits to the folder configuration, destinations, output formats, schedule info as well as other characteristics. 1. Change Folder Name 2. Change Folder Description 3. Modify Folder Configuration details 4. Modify Destination and Output options 5. Modify Folder schedule options 6. Capability to Run the folder if fully configured 7. Capability to Save the folder to another location 8. Capability to Save any updates to a previously saved folder 9. Capability to Delete the folder if the folder is in My Report Library The steps and details around configuring a folder are described in the Report Edit Details section. A folder s data configuration is a combination of all of the underlying templates associated with it. northerntrust.com 27 of 35
28 Actions Copy - Clicking the Copy action will redirect you to the copy page where you can choose the destination to copy the folder or report to. After selecting the desired folder to copy to, the Copy button will be enabled to complete the action. If you no longer want to complete this action, then selecting the Cancel button will return you to the prior window. There is also the option to copy the schedule associated with a request where applicable. Move - Clicking the Move action will redirect you to the Move page where you can choose the destination to move the folder or report to. After selecting the desired folder to move to, the Move button will be enabled to complete the action. If you no longer want to complete this action then selecting the Cancel button will return you to the prior window. Please Note: Move can also be accomplished via drag and drop. northerntrust.com 28 of 35
29 Delete - Clicking the Delete action will present you with a safety confirmation page ensuring there are no accidental deletions. If you click the Delete button the delete will be processed. If you no longer want to complete this action then selecting the Cancel button will return you to the prior window. Please Note: Deleting cannot be performed within the Master Report Library. Rename - Selecting Rename from the Action menu will highlight the name of the report or folder to allow for an inline update of the text. Renames can only be performed from the My Report Library. Renames can also be done from the edit folder details and edit report details pages respectively. northerntrust.com 29 of 35
30 REPORT CENTER PREFERENCES Report Center Personalization Smart Date Data Stream - Allows you to override the timing of smart date rolls for specific templates Smart Dates - Allows you to select the smart dates available in the report/folder edit window. This list can be large given the numerous permutations of options required in reporting. By limiting the list to solely the ones you are most concerned with it makes report configuration easier. The Smart Dates Selector can be clicked on to choose which date options are desirable for your reporting situation. northerntrust.com 30 of 35
31 Export Columns Allows you to decide how column headers are incorporated upon report export output. This can be selectively applied to Immediate Requests, Scheduled Report Requests or both. Excluding headers in an export file can be helpful when the file is imported into another system. Report Sharing Allows you to choose whether to share your Report Library with others. File Open Method - Allows you to choose a default method for opening Report Files in an application such as Acrobat, or Excel or in a web browser. northerntrust.com 31 of 35
32 Data Filter Sets Data filter sets allow for a quick way to set up reports by defaulting or applying all the required input criteria for a report (for instance Account, Dates, and Reporting Type). By assigning a default filter set you can run reports directly from the Master Report Library without editing or saving. If desired you can save directly from the Master Report Library without making any additional edits. By applying a defined data filter set you can quickly over write an existing report/folder configuration for running, copying, etc. Creating a Data Filter Set 1. At any spot where you would normally edit report data filters (for instance create a report or edit report detail) you would fill out the individual data filter criteria as desired). 2. After the data filter criteria has been set as desired click on the Save As Data Filter Set button. You will be presented with a dialog box where you can name the data filter set and the option to set it as the default. Selecting a Data Filter Set 1. At any spot where you would normally edit report data filters (for instance create a report or edit report detail) you would click the Select Data Filter Set button. 2. After you click the Select Data Filter Set button you will be presented with a window where you can select any data filter set that has been previously created. You can also use this selector to set the selection as the default or to move to the Manage Data Filter set window. northerntrust.com 32 of 35
33 Default Data Filter Set - Allows you to select or remove the default data filter set assigned in the application. Default data filter sets allow for a quick way to set up reports by automatically updating all the required input criteria for a report (for instance Account, Dates, and Reporting Type). By assigning a default data filter set, you can run reports directly from the Master Report Library without editing or saving. If desired you can save directly from the Master Report Library without making any additional edits. You can assign a Default Data Filter Set in the report Edit page and on the Edit Report Center Preferences page. On the Edit Report Center Preferences page The Remove button will remove any assigned default data filter set. The data filter set selector can be clicked to choose from the available data filter sets set-up. The default can also be reset when saving a new data filter set or within the Manage Data Filter Sets list page. Please see the section on Data Filter Sets for more information on this feature. Manage Data Filter Sets Manage Data Filter Sets page lists all the data filter sets that have been created and reflects the properties of each data filter set. It also allows updates to select the default, delete and remove as a default and can be launched from: 1) Reporting Tools 2) Data Filter Set Selector 3) Default Data Filter Set option in Report Center Preferences northerntrust.com 33 of 35
34 MISCELLANEOUS Visual Cues There are several visual cues provided within the application to help you better understand the flow. Indicator Description Ready Indicator report is ready to run or has completed successfully. Clicking on this will run the report or folder. Alert indicates a report has run or has completed, but no data was found for the report. Clock scheduled report Optional Indicator optional report component Defaults Applied Indicator defaults applied (exclusive of default filter sets Incomplete Indicator represents a required field that does not have all its required inputs fulfilled. It is usually accompanied by an error icon which when hovered over produces a message describing the issue Processing activity is occurring Error Situation Usually accompanied by error text when hovered over Drag and Drop Indicator is reflected in selectors that allow drag and drop OR selection. Clicking on it will add to the selected list or you can use it as a handle to drag the highlighted items to the selected items box Action Menu caret clicking on the caret will display the action menu. Help Icon indicates that online help is available Column Selector Clicking on the icon displays a list of available columns in that view of the Viewing Panel. Available columns differ with each view. Custody/Accounting Reports - indicates the report is generated from a Custody or Accounting data source Asset Management Reports - Indicates the report is generated from the Asset Management data source Sharing/Privacy Indicator user s My Report Library is not available to view or copy from northerntrust.com 34 of 35
35 Technical Details The Report Center is built in the Adobe Flex technology and requires the Adobe Flash Player to run. Due to some of the complex interactions it requires Flash Player version 10 or above to maintain optimal performance. If no flash version or a version less than 10.0 is encountered a message will be presented noting the issue and confirming whether the requestor would like to download flash. If confirmed the flash download will start and upon completion the user will be able to successfully utilize the Report Center.
