1 Meth.D.A User Guide 1 1 Welcome to Meth.D.A Congratulations on your choice to use Meth.D.A. Meth.D.A is a sophisticated and comprehensive software application that is also very easy to use. This help documentation is designed to assist new users with the information they might need to quickly get started with Meth.D.A. For more seasoned users, this help documentation provides information that will provide a more indepth understanding of the features and functions of Meth.D.A as well as a number of other details including tips and tricks to get the most value from Meth.D.A.

3 Meth.D.A User Guide 3 Patient - patient related functions Manage - general management functions such as managing lists of Pharmacists, Doctors and Medications Tools - functions relating to the operation of the application such as Database Backup and Options Reports - view reports Toolbar Content Window Docking Windows The toolbar contains buttons that will change depending on which Menu item you have selected. The content window will change depending on which toolbar button you have selected. The docking windows can be moved, shown and hidden as required. The following docking windows are avaialable: Still To Attend Today - displays a list of Patients still expected to attend today Attended Today - displays a list of Patients who have been supplied a dose today Alerts - displays general alerts The Patient File One of the main Content Windows is known as the Patient File as shown in the following diagram:

4 Meth.D.A User Guide 4 The Patient File incorporates a number of Tabs: Personal Details - for Patient details such as name and address. You can also set the Patient photo and Patient Signature from here Notes - access Patient notes Scripts - access Patient scripts Dispense - dispense Patient dose Account - manage the Patient accounts (payments) The Patient File window will reflect the details for the currently selected Patient - refer to Select Patient (Section 5.2) for more information about selecting a Patient. 2.3 Key Concepts Meth.D.A defines the following key entities: Patient Doctor Script Dose Pharmacist

5 Meth.D.A User Guide 5 The following diagram illustrates how these entities llisted above relate to each other: From the diagram above we can see that: The Pharmacist dispenses the dose to the Patient This means a Pharmacist must be added to Meth.D.A before they can dispense a dose - refer to Pharmacist Overview (Section 3) for more information Refer to Dispensing Overview (Section 5.6) for more information about how a Pharmacist dispenses a dose A Dose cannot be suplied unless there is a valid Script Refer to Add New Script (Section 5.5.1) for more information about how to add a Script to

6 Meth.D.A User Guide 6 Meth.D.A A Script cannot be entered unless: the prescribing Doctor has been added to Meth.D.A - refer to Doctor Overview (Section 4) for more information about how to add a Doctor to Meth.D.A the Pateint has been added to Meth.D.A - refer to Add New Patient (Section 5.1) for more information about how to add a Patient to Meth.D.A 2.4 Dispense Process Overview The most common activity you will perform with Meth.D.A is dispensing a dose to a patient. If all the data that is required has been previously entered, then the dispense process is relatively simple and straight forward. A dose can be supplied if the following data has been entered: Patient Doctor Script Pharmacist Refer to Key Concepts (Section 2.3) for more information about these entities and how they relate to each other. However, if all the required data has not been entered then you will need to add the information before you can supply the dose to the patient. The following diagram is designed to help you visualize these concepts by illustrating a typical dispensing process:

7 Meth.D.A User Guide 7 1. Press F10 to start the dispensing process - refer to Dispensing Todays Dose (Section 5.6.1) for more information. 2. If the patient name is in the list then select the patient name from the list If the patient name is not in the list, then you will need to cancel and add the patient before trying again - refer to Add New Patient (Section 5.1) for more information. 3. If the dose information is displayed then supply the dose as displayed If the dose information is not displayed, then you will need to add a Script - refer to Add New Script (Section 5.5.1) for more information 4. The pharmacist selects their name from the list on the Dispense screen and enters their password If the pharmacist's name is not in the list, then you will need to cancel and add the pharmacist details - refer to Add New Pharmacist (Section 3.1) for more information 5. Press OK on the Dispense screen to save the dose information

8 Meth.D.A User Guide 8 Users will refine the above process to match the way they work as they become more familiar with Meth.D.A. New users should find this a useful introduction to the dispensing process with Meth.D.A.

9 Meth.D.A User Guide 9 3 Pharmacist Overview A pharmacist details must be added to Meth.D.A before that pharmacist can use the system. The pharmacist must use their details (username and password) to complete certain transactions (such as supplying a dose to a patient). 3.1 Add New Pharmacist The following describes how to add a new pharmacist to the system: 1. Select the Manage menu 2. Press the Pharmacists toolbar button 3. Press the button 4. Select the New Pharmacist menu item 5. The Manager's Password (Section 8.4.2) dialog box is displayed 6. Enter the pharmacist details as described below 7. Press the OK button You should check to see if the Pharmacist already exists before adding a new pharmacist otherwise you risk creating a duplicate entry Pharmacist Dialog Box First Name Surname Registration Number The pharmacists first name The pharmacists surname The pharmacists registration number

10 Meth.D.A User Guide 10 Set Password New Password Confirm New Password Enabled Check this button to set the pharmacists password. If this button is not checked, then the pharmacists password is not set. The pharmacists new password The pharmacists new password If checked, the Pharmacist in enabled and can add entries into the system. When a Pharmacist is no longer working at the Pharmacy, it is a good idea to un-check Enabled. OK Cancel Press the OK button to save changes Press the Cancel button to cancel changes 3.2 Edit a Pharmacist The following describes how to edit a Pharmacists details: 1. Select the Manage menu 2. Press the Pharmacists toolbar button 3. Select the pharmacist name from the list (point and click on the pharmacist name in the list) 4. Press the button 5. Select the Edit Selected menu item 6. The Manager's Password (Section 8.4.2) dialog box is displayed 7. Edit details as required 8. Press the OK button You can also simply point and "double-click" on the Pharmacist name in the list to edit the details

11 Meth.D.A User Guide 11 4 Doctor Overview Doctors must be added to the system so that Scripts can be created. Each script entered must specify the details of the Doctor that has prescribed the medication. 4.1 Add New Doctor The following descrobes how to add a new Doctor to the system: 1. Select the Manage menu 2. Press the Doctors toolbar button 3. Press the button. 4. Enter the Doctors details as described below 5. Press the OK button to save the changes You should check to see if the Doctor already exists before adding a new doctor otherwise you risk creating a duplicate entry Doctor Dialog Box First Name Surname Surgery/Clinic Name Address The doctors first name The doctors surname The name of the Surgery/Clinic The Surgery/Clinic address

13 Meth.D.A User Guide 13 5 Patient Overview 5.1 Add New Patient The following describes how to add a new Patient: 1. Select the Patient menu 2. Press the Add New toolbar button 3. Enter the patient details as described below 4. Press the OK button to save the changes You should check to see if the Patient already exists before adding a new patient otherwise you risk creating a duplicate entry. Remember that the patient may have been disabled, so be sure to check enabled and disabled patients from the Select Patient dialog box! Patient Personal Details Dialog Box Patient Enabled If checked, the Patient is enabled. If un-checked, the Patient is disabled (you would typically disable a Patient if

14 Meth.D.A User Guide 14 they leave your program - you can always re-enable the Patient if they return) First Name Surname Date of Birth Gender Address Phone Number Phone Number 2 Customer ID Group The Patient's first name The Patient's surname The Patient's date of birth The Patient's gender The Patient's address The Patient's phone number The Patient's phone number This can be used to specify your own id for this customer if you have assigned an id external to Meth.D.A - you can configure the Patient Select dialog box to use this value to select on. In most cases, this would be left blank. You can optionally specify a Patient "group". This allows you to tag certain patients as belonging to a "group" which can be used as a filter for certain reports. For example, you may have a number of patients that have payments arranged through CentreLink. In this case you may choose to specify a "group" called CENTRELINK for each such patient. When you run the Payments Owing report you can filter on the group CENTRELINK so that you know which payments are owed from the CentreLink patients. OK Cancel Press the OK button to save the changes Press the Cancel button to close without saving changes 5.2 Select Patient The Select Patient Dialog Box

15 Meth.D.A User Guide 15 Select by Choose how to select Patient's: Name - select the Patient by their name Customer ID - select the Patient by their Customer ID (refer to Add New Patient (Section 5.1) for more information about the Customer ID) Name Show Enabled Patients Only Photo OK Cancel The list of Pateint names. You can select a Patient by typing a few characters of the Patients surname (and then the up/down arrow keys if required). Alternatively, point and click with the mouse on the Patient's name. If checked, only Patient's that are currently enabled will be shown in the list. If un-checked, then all Patients (enabled and disabled) Patients will be shown in the list. Please refer to Add New Patient (Section 5.1) for more information about how to enable or disable a Patient. If the selected Patient has a photo then it is displayed here. Refer to Patient Photo (Section 5.3.2) for more information about setting a Patient photo. Press the OK button to select the Patient Press the Cancel button to close the window without selecting a Patient 5.3 Personal Details

16 Meth.D.A User Guide Edit Patient Personal Details The following describes how to edit a Patient's personal details: 1. Press the F4 short-cut key to display the Patient Select Dialog Box or press the Select toolbar button on the Patients Menu 2. Select the patient name from the list - refer to Select Patient (Section 5.2) for more information 3. Select the Personal Details tab on the Patient File window 4. Press the button 5. Enter the details as required 6. Press the OK button save the changes Patient Photo The following describes how to attach a photo to a Patient file: 1. Press the F4 short-cut key to display the Patient Select Dialog Box or press the Select toolbar button on the Patients Tab 2. Select the patient name from the list - refer to Select Patient (Section 5.2) for more information 3. Select the Personal Details tab on the Patient File window 4. Press the button 5. Enter the details as required - see below for more information 6. Press the OK button save the changes Take photos in portrait mode for best results The Patient Photo Dialog Box

17 Meth.D.A User Guide 17 Open Clear Rotate Export Acquire OK Cancel Press the Open button to select a picture file stored on your computer. Press the Clear button to remove the picture from the Patient's file Press the Rotate button to rotate the image Press the Export button to save the Patient's photo to disk. Press the Acquire button to download a picture from your digital camera. The camera must be connected to your computer and the appropriate WIA drivers installed. Note: The Acquire button is for Windows XP only. For Windows Vista and Windows 7, the Open button can be used to locate a photo directly from a connected digitial camera as the camera storage will show up as a disk drive on the computer. Press the OK button to save the changes. Press the Cancel button to close the window without saving the changes Patient Signature 5.4 Notes Add Patient Note The following describes how to add a Patient Note: 1. Press the F4 short-cut key to display the Patient Select Dialog Box or press the Select toolbar button on the Patients Tab 2. Select the patient name from the list - refer to Select Patient (Section 5.2) for more information 3. Select the Notes tab on the Patient File window 4. Press the button 5. Enter the note details as described below 6. Press the OK button to save the note Patient Note Dialog Box

18 Meth.D.A User Guide 18 Date Note Alert OK Cancel The date the note was written (this is auto populated with the current system date/time) Enter the note here. If checked, then this note is automatically displayed as a pop-up window whenever a dose is supplied to this Patient. Press the OK button to save the changes Press the Cancel button to close the window without saving the changes Edit Patient Note The following describes how to edit a Patient Note: 1. Press the F4 short-cut key to display the Patient Select Dialog Box or press the Select toolbar button on the Patients Tab 2. Select the patient name from the list - refer to Select Patient (Section 5.2) for more information 3. Select the Notes tab on the Patient File window 4. Select the note that you want to edit by "pointing and clicking" on it 5. Press the button 6. Enter the note details as required 7. Press the OK button to save the changes Delete Patient Note The following describes how to delete a Patient Note:

Select the note that you want to delete by "pointing and clicking" on it 5. Press the button 6. Press the Yes button to confirm that you want to delete the note 5.5 Scripts Add New Script The following describes how to add a new Script for a Patient: 1. Press the F4 short-cut key to display the Patient Select Dialog Box or press the Select toolbar button on the Patients Tab 2. Select the patient name from the list - refer to Select Patient (Section 5.2) for more information 3. Select the Scripts tab on the Patient File window 4. Press the button 5. Select the type of script you want to create from the "New Script" menu 6. Enter the script details as described below 7. Press the OK button to save the changes The following Scripts can be created: Methadone Script (Section 5.5.5) for Methadone (Syrup) and Methadone (BIODONE) Subutex Script (Section 5.5.6) for Subutex tablets Suboxone Script (Section 5.5.7) for Subxone tablets and Suboxone FILM Supplemental Script (Section 5.5.8) for supplemental medications Edit Script The following describes how to edit an existing Script: 1. Press the F4 short-cut key to display the Patient Select Dialog Box or press the Select toolbar button on the Patients Tab 2. Select the patient name from the list - refer to Select Patient (Section 5.2) for more information 3. Select the Scripts tab on the Patient File window 4. Select the Script that you want to edit by "pointing and clicking" on it 5. Press the button 6. Enter the Script details as required 7. Press the OK button to save the changes

20 Meth.D.A User Guide Expire Script Why Expire a Script? There are a few common scenarios where you may want to Expire a Script: 1. The Patient has left your program 2. The Patient is on extended leave and won't be returning until after the current script is due to expire 3. The Patient has moved to a different medication and so the current script is no longer required, for example, the Patient moved from Methadone to Suboxone so you will want to Expire the current Methadone script so it does not show up anymore Do NOT Expire a Script if you are adding a new Script for the SAME medication because Meth.D.A will automatically expire the current script for you. This is because there can only be one active script for a given medication and Patient. The following describes how to Expire a Script: 1. Press the F4 short-cut key to display the Patient Select Dialog Box or press the Select toolbar button on the Patients Tab 2. Select the patient name from the list - refer to Select Patient (Section 5.2) for more information 3. Select the Scripts tab on the Patient File window 4. Select the Script that you want to Expire by "pointing and clicking" on it 5. Press the button 6. Select the Expire Selected Script menu item 7. Press the Yes button to confirm that you want to Expire the Script Delete Script Why delete a Script? The primary reason for deleting a Script is becuase the script was added in error (e.g. the Patient presented a Methadone script but you accidently added a Suboxone script). You cannot delete a Script if you have dispensed any medication againsit it - in this case you may want to Expire Script (Section 5.5.3) The following describes how to Delete a Script: 1. Press the F4 short-cut key to display the Patient Select Dialog Box or press the Select toolbar button on the Patients Tab 2. Select the patient name from the list - refer to Select Patient (Section 5.2) for more

21 Meth.D.A User Guide 21 information 3. Select the Scripts tab on the Patient File window 4. Select the Script that you want to Delete by "pointing and clicking" on it 5. Press the button 6. Select the Delete Selected Script menu item 7. Press the Yes button to confirm that you want to Delete the Script Methadone Script The Methadone Script Dialog Box The following sections describe the Methadone Script dialog box. Refer to Add New Script (Section 5.5.1) for information about how to display the Methadone Script dialog box. General Tab Patient Name Script Date The Patient's name - this is auto-populated by Meth.D.A Enter the date the script was written

22 Meth.D.A User Guide 22 Prescribing Doctor First dose to be supplied Last dose to be supplied Initial Dose Edit Dose Schedule Special Instructions OK Cancel Select the doctor from the list. If the doctor is not in the list then you will need to cancel and add (Section 4.1) a new Doctor Enter the date that the first dose from this script will be supplied. If the last dose supplied on the current script was before today (or this is a new Patient), then you would set this to todays date (which is selected by default). Otherwise, set this to the day after the last dose already supplied. For example, if today was the 3rd of June, and I had already supplied todays dose plus a takeaway for the 4th of June, then I would set this value to be 5th of June. Enter the date that the last dose can be supplied for this script. Enter the initial dose as prescribed by the doctor Press Edit Dose Schedule to manage things like dose reductions. This is not needed if the dose remains constant for the life of the script. Refer to Edit Dose Schedule (Section 5.5.9) for more information. Enter any special instructions either provded by the Doctor or needed internally. This information is displayed on the Dispense (Section 5.6.3) screen. Press th OK button to save the changes Press the Cancel button to close the window without saving any changes Takeaway Tab

23 Meth.D.A User Guide 23 No takeaways permitted Takeaways permitted on these days only Takeaways permitted (number per week) Extra number of takeaways permitted each month Takeaways pemiteed on Public Holidays Maximum Consecutive Select this if the Patient is not authotised for any takeaways Select this option if the Patient is only permitted to have a takeaway for specified days. Select the days for whcih the Patient is authorised. Select this option if the Patient is authorised for discretionary takeaways. Enter the number of takeaways permitted per week. Sometimes in addition to the authorised takeaways, a Patient may be permitted to a designated number of "extra" takeaways per month. Enter the number of "extra" takeaways permitted oer month. If checked then the Patient is authorised for takeaways on Public holidays in addition to any takeaways authorised above. If checked then specify the number of consecutive takeaways that can be supplied at a time. Scan Script Tab

24 Meth.D.A User Guide 24 Open Clear Rotate Export Acquire View Press the Open button to select an image file of a scanned script. You would use this option if you have already scanned the script and save the image to disk. Press the Clear button to clear the current scanned script image. Press the Rotate button to rotate the image by 90 degress. Press the Export button to save the script image to disk. Press the Acquire button scan and save a script image using a flatbed scanner. This option is only available for Windows XP and requires the appropriate WIA drivers to be installed. Press the View button to view the script image in a larger window Subutex Script The Subutex Script Dialog Box The following sections describe the Subutex Script dialog box. Refer to Add New Script (Section 5.5.1) for information about how to display the Subutex Script dialog box.

This information is displayed on the Dispense (Section 5.6.4) screen. Press th OK button to save the changes Press the Cancel button to close the window without saving any changes Advanced Tab Patient can elect dose within the following range Min (mg) If checked, the Patient is permitted to elect their dose (within the specified range). When dosing the Patient, if you change the given amount from the default to a different value within the specified range, then Meth.D.A will not prompt you to confirm that the prescribed and given amounts are different. Enter the minimum dose that the Patient may elect to have

27 Meth.D.A User Guide 27 Max (mg) Patient can elect to be supplied a 2-day dose 2-day dose amount (mg) Patient can elect to be supplied a 3-day dose 3-day dose amount (mg) Enter the maximum dose that the Patient may elect to have If checked, the Patient may elect to have a 2-day dose. When a 2-day dose is supplied, then the Patient is not supplied a dose the next day. Enter the amount to be given to the Patient if they elect to have a 2-day dose. If checked, the Patient may elect to have a 3-day dose. When a 3-day dose is supplied, then the Patient is not supplied a dose for the next two days. Enter the amount to be given to the Patient if they elect to have a 3-day dose. Takeaway Tab No takeaways permitted Takeaways permitted on these days only Select this if the Patient is not authotised for any takeaways Select this option if the Patient is only permitted to have a takeaway for specified days. Select the days for whcih the Patient is authorised.

When dosing the Patient, if you change the given amount from the default to a different value within the specified range, then Meth.D.A will not prompt you to confirm that the prescribed and given amounts are different. Enter the minimum dose that the Patient may elect to have Enter the maximum dose that the Patient may elect to have If checked, the Patient may elect to have a 2-day dose. You would use this option if you have already scanned the script and save the image to disk. Press the Clear button to clear the current scanned script image. Press the Rotate button to rotate the image by 90 degress. Press the Export button to save the script image to disk. Press the Acquire button scan and save a script image using a flatbed scanner. This option is only available for Windows XP and requires the appropriate WIA drivers to be installed. If the Medication is not in the list, then you may need to add the Medication to the Medication list - see Add New Medication (Section 7.1) for more information. Total Quantity to Supply Daily Dose times per day Supply dose daily Enter the total number of tablets to be supplied. Enter the number of tablets to be provided per dose Enter the number of doses to be supplied per day Select this option if total daily supply is provided each day (e.g. the Patient presents once per day to pick up the medication). The total daily supply is equal to Daily Dose x times per day. For example, if a Patient is prescribed 1 tablet 2 times per day, then this option would

Supply X days at a time Select this option of the Patient is permitted to pick up more than one day's tablets per visit (this is like a takeaway where the Patient may not present every day). For example, if this value is set to 2 and the Patient has been prescribed 1 tablet 2 times per day, then the Patient will be permitted to pick up a total of 4 tablets to cover 2 days total dose. Supply on these days Select this option for customised supply schedule. For each day, you can specify which day the dose can be supplied. For example, if the Patient was to present only 3 times per week (e.g. Mon, Wed, Fri), you may set the following: Sundays dose to be supplied on Fri Mondays dose to be supplied on Mon Tuesdays dose to be supplied on Mon Wednesday dose to be supplied on Wed Thursdays dose to be supplied on Wed Fridays dose to be supplied on Fri Saturdays dose to be supplied on Fri OK Cancel Press the OK button to save the chanegs Press the Cancel button to close with window without saving any changes Edit Dose Schedule If the Doctor prescribes a constant daily dose for the life of a Script, then it is generally not necessary to use the Edit Dose Schedule function. The Edit Dose Schedule function allows you to customize the dose to be provided including the ability to: Predefine dose variations (reductions, increases, etc) Predefine dosing days, e.g. only dose Mon, Wed and Fri Specify Split Dose (Methadone only) The Edit Dose Schedule Dialog Box

37 Meth.D.A User Guide 37 Dose List Vary Dose Amount The dose list shows all the doses to be supplied and the amount (quantity) of the dose. "no dose" means the Patient should not receive a dose on that day. Press the Vary Dose Amount button to specify dose variations. You should select the first dose in the Dose List that will be "varied" before pressing this button. For example, using the abiove image as an example, if the first dose variation is to occur on Monday 14th, then you would select this dose (point and click) and then press the button. Refer to Vary Dose Amount (Section ) for more information. Set Alternate Days Press the Set Alternate Days button to specify alternate days to supply a dose. You should select the first dose in the Dose List that will be the start of the sequence before pressing this button. Refer to Alternate Dose (Section ) for more information. Split Dose Press the Split Dose button to specify split dose (Methadone ONLY). You should select the first dose in the Dose List that will be the start of the sequence before pressing this button. Refer to Split Dose (Section ) for more information. Show changes only If checked, only doses that have changed from the previous dose will be displayed. This is particularly useful for quickly identifying the days a dose will be

The Vary Dose Amount function is very flexible including the ability to: Specify regular dose reductions Specify regular dose invreases Hold the dose at a specified level The Vary Dose Dialog Box Variation Starts Type of Variation The variation starts on the date specified. This date will be based on the date of the dose that was selected in the Edit Dose Schedule (Section 5.5.9) dose list when the Vary Dose Amount button was pressed. Select the type of variation as follows: Regular Reductions - the dose is to be reduced Regular Increases - the dose is to be increased Hold Dose Steady - hold the dose at the specified amount Amount to... This function is useful when it is known in advance that a Patient should only attend on specific days (other than daily), for example: The Patient will attend on specific days of the week, e.g. Mon, Wed and Fri The Patient will attend every 2nd day The Alternate Dose Dialog Box

This date will be based on the date of the dose that was selected in the Edit Dose Schedule (Section 5.5.9) dose list when the Set Alternate Days button was pressed. Select this option to supply on specified days of the week. Check the days that a dose is to be supplied. Any un-checked days are considered "no-dose". Enter the amount next to each day - this allows you to change the dose for different days if required. Note that Day 1 is based on the Starting date. For example, if the Starting date is a Tuesday (as in the above diagram), then Day 1 is a Tuesday, and Day 2 is Wednesday and Day 7 is Monday. Supply Dose Every X Day Select this option to supply every Xth day, for example, when you need to supply a dose every 2nd day. Specify X which is the number of days. Specify the amount to supply. Duration Select how long the sequence should occur - examples include: 1 Day - the sequence runs for 1 day

A "split dose" is a dose that is provided in 2 parts. For example, the Doctor might want the patient to have a 10mg dose each day, with 5mg to be supplied in the morning, and 5mg in the afternoon. The following rules apply to Split Dose: You cannot supply split dose 2 until you have supplied split dose 1 You can only supply dose 2 on the same day as you supply dose 1 You cannot un-supply split dose 1 if split dose 2 has been supplied (you will need to un-supply split dose 2 if you want to un-supply split dose 1) Charge for split dose 2 is $0.00 If dose 1 is supplied as a T/A then there is no split dose If dose 2 is a T/A then this does not contribute to the weekly T/A count At this time, Split Dose is only available for Methadone and Biodone The Edit Split Dose Dialog Box

Dispense the Additional Dose Create the Additional Dose To create an Additional Dose: Press the F4 short-cut key Select the patient name from the list - refer to Select Patient (Section 5.2) for more information Select the Dispense tab on the Patient File window Click on the Additional Dose link as shown circled in red in the following image: The Additional Dose dialog box is displayed and allows you to specify the details of the Additional Dose - see the section below for more information Dispense the Addtional Dose After you have created the Additional Dose (per above), you will see the new Additional Dose displayed next to the original dose. This is the amount that Supplemental doses are charged. The maximum credit limit for the Patient, after which no dose should be supplied until payment is made. It is the name "pre-paid" that often causes this confusion because actual payment may or may not occur when adding a "pre-paid" to the system. Therefore it can be helpful to think of "pre-paid" more like a "pre-purchase", where the Patient is pre-purchasing a number of doses for a specified cost, e.g. 7 doses for $ Payment may happen at the same time (in which case the doses have actually been pre-paid). However it is possible to add a prepaid without receiving payment from the Patient. In this case, the Patient receives the credit for the number of doses they have purchased and their account is debited by the cost specified. Yet in this case the pre-purchase of doses has not been paid for and that is where the confusion often lies. Methsof intends to re-design this feature in a future version of Meth.D.A.

64 Meth.D.A User Guide 64 6 Stock Control Overview Stock Control allows you to account for stock movements that are not necessarily related to supplying a dose to a Patient. The most common example is receiving stock from a Supplier, but there are others transaction types as described below. It is important to manage your Stock Control so that the calculated register balances are correct and match the actual balance on hand. Receive From Supplier You use the Receive from Supplier functions to record stock you receive in from Suppliers. Stock Adjustment You use the Stock Adjustment to make miscellaneous stock adjustments (up or down) when you need to record a stock movement that is not handled by the other Stock Control functions (or by dispensing to Patients). For example, if you accidently spilled a dose as you were supplying to a Patient then you might want to record this using a Stock Adjustment. Reconcile You use the Reconcile function to record the result of a physical stock count. It is important to regularly perform a Reconcile to ensure the calculated balances match the actual stock on hand.
