1 6.D - Preparing and animating a brainstorming session iobeya allows you to run creativity sessions in its collaborative environment. 1 Access the board...on which you would like to group your ideas. You may start with a blank board, or use one that already has content and background. 2 Start a brainstorming session Open the Meeting animation utility. Select Brainstorming. All participants in the room are notified that a brainstorming session is starting soon.
2 3 Configure and launch a brainstorming session The utility s interface allows you to: - Define the duration of the session. - Define the type of notes that the participants are able to use. The tools available are those that are already available in the board s dock, or a standard set (square yellow notes) that is available with every brainstorming session. - Assign a theme to the brainstorming session (optional). - Choose whether you participate or animate the meeting (this can be modified later). Finally, select Launch to begin the session. Meeting participants are automatically directed to the brainstorming interface. All users signed in to the room participate in the session. As a Room administrator, you can modify access rights. A brainstorming session can last between 1 and 90 minutes. 4 Animate a brainstorming session During the brainstorming session, the session animator s interface allows you to modify the duration of the session, or end it. You still have access to the utility. Any users that enter a room during an ongoing brainstorming session are directed to the brainstorming interface.
3 5 Participate in a brainstorming session Once the session has started, you may choose to participate as well by clicking on / tapping the Participate button in the Meeting animation utility. You are taken to an interface that is similar to that of the other participants. You maintain control of the session through the Meeting animation utility. From here, you can manipulate the Timer, end the session, or end your own participation. 6 End a brainstorming session Once the time has elapsed, you must stop the session. Ideas entered by the participants are displayed on the board, and organized by user, so that they can be handled in sequence. The ideas generated can be voted on, or they can be reorganized in a standard iobeya collaborative session.
4 6.E - Participating in a brainstorming session Have you been invited to participate in a brainstorming session? During the session, you are able to contribute your ideas individually. 5 2 Enter your ideas The brainstorming interface has been optimized for use on smartphones, to simplify the capturing of ideas onto sticky notes, and to give easy access to many team members at once. Once the session is launched by the meeting animator, it is your turn to capture your ideas. The interface is optimized to ease: - Idea entry. - Changing note type (note types are defined by the meeting animator). You can review your entries, edit them, or delete them, directly in the interface. The session theme is defined by the meeting animator. Joining from a smartphone The icon on the top-right of the screen indicates that you are participating in a brainstorming session. The time remaining in the session is also indicated. The notes that you fill out are only visible to you until the animator has ended the session. 3 End of a brainstorming session You receive a notification once the animator has ended the session. Ideas entered by the participants are displayed on the board, and organized by user, so that they can be handled in sequence.
6 If the room was in guided navigation before the brainstorming session started, the navigation continues after the session has ended. 6.F - Preparing and animating a voting session iobeya allows your team to vote on the elements on a board, or on ideas resulting from a brainstorming session. 1 Access the board on which you wish to launch a voting session. 2 Select the elements (optional) Use Multiple selection to select the elements that you want your team to vote on. By default, all of the elements on a board are eligible for voting.
7 3 Start a voting session Open the Meeting animation utility. Select Voting. All participants in the room are notified that a voting session is starting soon. 4 Configure and launch a voting session The utility s interface allows you to: - Define the duration of the session. - Define the number of tokens that each participant is given, so that they can vote on the selected elements. - Choose whether you participate or animate the meeting (this can be modified later). Finally, select Launch to begin the session. Meeting participants are automatically directed to the voting interface. All users signed in to the room participate in the session. As a Room administrator, you can modify access rights. A voting session can last between 1 and 90 minutes. There is a maximum of 50 tokens per user in a single voting session.
8 5 Animate a voting session During the voting session, the session animator s interface allows you to modify the duration of the session, or end it. You still have access to the utility. Any users that enter a room during an ongoing voting session are directed to the voting interface. 6 Participate in a voting session Once the session has started, you may choose to participate as well by clicking on / tapping Participate in the Meeting animation utility. You are taken to an interface that is similar to that of the other participants. You maintain control of the session through the Meeting animation utility. From here, you can manipulate the Timer, end the session, or end your own participation.
9 7 End a voting session Once the time has elapsed, you must stop the session. The results of the vote are displayed on the board. 8 Delete the votes To delete votes manually, select the utility, then click on / tap the Remove votes button.. All voting results displayed on the board will be removed. Voting session results are not cumulative. Results will therefore be removed if you launch a new voting session. To save your voting results, you can use the Import / Export data utility. You can start a new voting session at any time, but if the elements have already been voted on, the original votes are replaced.
10 6.G - Participating in a voting session Have you been invited to participate in a voting session? This specialized session allows team members to allocate tokens to a selection of iobeya elements in a controlled environment. You can participate using a large interactive display, computer, tablet, or smartphone. 1 Access the room while there is an ongoing voting session As soon as a team member starts configuring a voting session, all participants in the room are notified that a session is beginning soon. If the session started before you signed in to iobeya, any rooms with ongoing creative sessions are placed at the top of the list of rooms on the home page. 11 The voting interface has been optimized for use on smartphones, to simplify the voting process. Joining from a smartphone 2 Allocate your tokens tokens to a selection of elements. 12 The tokens that you allocate out are only visible to you until the animator has ended the session. 3 End of a voting session You receive a notification once the animator has ended the session. The results of the voting session (sum of tokens) are displayed on the board.
