3 epubs Ordering Portal I. Overview The epubs Ordering Portal is the replacement system for the current Point & Click publications ordering system. This guide is intended to assist users in navigating the ordering system, and will include sections on the following: Access and Login Find Product (Product Search) Ordering Products Order History Account Management As the migration from Point & Click to epubs Ordering Portal is implemented, additional features will be activated in the system and added to this guide. These include: Account Information Update Catalog Browse Subscription and Initial Distribution The latest guide can always be found in the Contact Us section of the epubs Ordering Portal. 4 II. Ordering Portal Functionality Access and Login The epubs Ordering Portal may be accessed through the following URL: In order to access epubs Ordering Portal, users must have a valid DoD CAC. The epubs Ordering Portal follows a two-step login process. First, users will be asked to authenticate their identity using their CAC and PIN. Figure 1: Usage Policy Figure 2: CAC Login 2

5 Following successful authentication, users will reach the Ordering Portal login page. Figure 3: Ordering Portal Login Screen Users who have already established ordering accounts should use the same credentials to log in to Ordering Portal as were used to log in to Point & Click. If you do not have an ordering account provisioned, you may establish one by submitting a DA Form 12. An unsuccessful login will show an error screen. If you are unable to successfully log in to the system, contact APD-MDD Customer Service. Successful login will bring the user to the Address Verification page. The user should review their shipping address and POC information before continuing to the Ordering Portal homepage. If any of the account information is incorrect, the user should submit a DA Form 12 to update the account. Figure 4: Account Address Verification If the ordering account is frozen, the user will receive an advisory at the Address Verification page. To unfreeze the account, the user should contact Customer Service or submit a new DA Form 12 to update the account. 3

7 Find Product The epubs Ordering Portal allows users to search for printed products stocked by APD-MDD using the following fields: Pub/Form Number, Pub/Form Title, PIN, IDN, and Unit of Issue. Figure 6: Search Results The search results will contain product information, including the Pub/Form Number, PIN, IDN, Publication Date, Publication Title, and Unit of Issue. The Inventory Status column indicates if the user s account is authorized to order the publication. The site will show Not Authorized if the account is not coded to order a certain type of publication, such as classified documents or blank forms. 5

8 Figure 7: Not Authorized Clicking on the Inventory Status field will allow the user to view more product metadata. The Classified field will show YES if a publication is of any classification rating other than Unclassified. The Distribution Restriction field indicates the audience for which the distribution of the publication is approved. The user may add the product to their shopping cart, if authorized. 9 Once the user has located the desired product, s/he can add the product to their shopping cart. To order the base product, the user should click the Re-supply checkbox, and enter the desired quantity and sub-account (if applicable). To order All Changes associated with the base product, the user may click the All Changes checkbox. This will automatically select all changes. The user may also choose to select individual change items. 10 If the user is not authorized to order a product, the product cannot be added to the user s cart. If you believe this is in error, contact APD-MDD Customer Service. Figure 12: Product Details (Not Authorized) If the ordering account is frozen, the user will not be able to add products to the cart or submit any orders. 11 Order Product Once all desired products have been added to the Cart, navigate to the Cart by selecting the icon in the upper right. Figure 14: Shopping Cart Button The user should carefully review all order items and quantities. Selecting Delete will remove the item from the cart. To return to browsing for products, select Continue Ordering. Figure 15: Shopping Cart When ready, the user may send the order by pressing Submit Order. Note that orders may not be altered through the Ordering Portal once submitted. If an order is submitted in error, contact MDD Customer Service. 9

12 Once the order is submitted, the user will receive an order confirmation, which will contain the order information associated with each order item. Figure 16: Order Confirmation 10

13 Order History The user may view past orders and current subscriptions on the Order History page. Select the Orders / Subscriptions button to navigate to the Orders report or Subscription report. Figure 17: Order History The Order History page will contain information about past orders, as well as an order status. If an order has been shipped, a tracking number will be included. 14 Account Management Users may view their account information in the Account Management screen. Figure 19: Account Management If any of the account information is incorrect, users should contact MDD Customer service or submit a new DA Form
