1 Hydra Swimming Lessons Parent Portal Initial Setup Active Luton Customer Guides Guide for Customers Active Luton Card Holder with Online Booking Account The following instructions are designed to guide customers through the process of setting up the online Parent Portal. The Parent Portal will allow parents/legal guardians to view their children s progress and achievements from their Hydra swimming and/or diving lessons. The process is broken down into the following 3 steps Step 1: Step 2: Step 3: Create a new group. Add members to the new group. Accepting, rejecting, requesting change and paying for next terms course. Step 1: Creating a new group. At the online bookings portal home page you will see some grouped menu items down the left hand side of the page. One of the groups is headed Sports Courses, the options under this heading allow you to view any courses you personally are enrolled on. It also allows you to create a group and add your children into that group so you can view the courses that they are enrolled on to. Please select the View My Groups button as shown below: You will now be presented with the My Groups page, please select the Click here to create a new group button as shown below: Issue 1 September 2015 DRAFT Page 1 of 11

2 You will now be asked to enter a group name and description. Please enter a name and a brief description. Once you have done so then please click the Create Group button as shown below: You will now see that the group has been created and you now have the option to view members or add members as shown below: Issue 1 September 2015 DRAFT Page 2 of 11

4 Step 2: Add members to the new group. Please select the Add Members button as shown below: The Add Group Members pop up will now be visible at the top of your screen. You will need to enter the membership number or barcode number (8 digit number below the barcode on the child s yellow membership card) and click check as shown below: NOTE: if you do not know the membership number or barcode number then please visit reception at the centre where your courses take place and they will be able to issue these to you. You will then be asked to enter two pieces of random information about the person you are trying to add. Both of these pieces of information will need to match the information we hold on our records in order to allow the addition of this person to your group for security purposes. 5 Enter both pieces of information and click OK as shown below: Active Luton Customer Guides Once the information has been correctly entered you will be taken back to the My Groups page with a confirmation that the member has been successfully added to your group. Now click on the View Members button to view the member you have just added. As shown in the screen below: You will now be shown a list of members that have been added to this group. From here you can now view their courses and their achievements by pressing the respective buttons. Issue 1 September 2015 DRAFT Page 5 of 11

6 Step 3: Accepting, rejecting, requesting change and paying for next terms course. During the re-enrolment process you may be sent an informing you that you have been enrolled on a course for next term. If you do then there will be a link in the to pay, which will take you through to a payments portal where you can confirm, reject or request a new day and/or time for your course. You can also use the Parent Portal to complete this process as listed in the steps below: While at the view members screen in my group associate with my children s swimming lessons click on the View Courses button as shown in the screen below: You will now see a list or courses for that member, the current course (this term) will be shown first, then the provisional re-enrolment for next term will be next in the list. Then underneath those there will be any previous courses. Under the Provisional Re-enrolments section there will be a button labelled Accept, reject or request change please click this button as shown in the screen below: Issue 1 September 2015 DRAFT Page 6 of 11

7 You will now be taken through to the Propose New Course screen. If you are happy with the course, day and time you have been allocated then please select the option in green labelled Yes, please re-enrol me as shown on the screen below: Issue 1 September 2015 DRAFT Page 7 of 11

8 You will now be presented with confirm, re-enrol and pay screen. Please select the Re-enrol and Pay button as shown on the screen below. Issue 1 September 2015 DRAFT Page 8 of 11

9 You will now be presented with the Billing Centre screen, where if you click on the Pay this bill button then you will be taken through to the card payment portal to pay as shown below: If you would like to request a change in day and/or time of your course for next term then at the Propose New Course screen you will need to select the orange option labelled Re-enrol me on a different course as shown below: You will now be presented with a preferred dates or times box, please enter into this box your preferred day and/or time for your next term course. Please also provide a secondary preferred date in case your most preferred isn t available. You will need to pay for the current course you have been allocated to reserve your space for next term. 10 about your preferred day and times has been entered then please click the Pay to hold place and request alternate course button as shown below: You will now be taken through to the Billing Centre page where you can pay for the current course as detailed above. If you will not be returning for the next term courses and do not wish to re-enrol, then at the Propose New Course screen you will need to select the red option labelled No, please don t re-enrol me as shown below: Issue 1 September 2015 DRAFT Page 10 of 11

11 You will now be presented with a confirmation screen asking you to confirm you do not wish to re-enrol for next term. Please click the button labelled Do not re-enrol as shown below: NOTE: By choosing this option you will be un-enrolled from your allocated course and lose your space on the next terms courses. Whichever option you have chosen from the above re-enrolment, whether you have accepted you re-enrolment, requested a change or chosen to not re-enrol for next term. You have now completed the re-enrolment process. You will need to complete this process for each child. Issue 1 September 2015 DRAFT Page 11 of 11
