2 SPEAKERS GUIDELINES Which session (s) am I participating in? Please check the online program for your session time. How much time do I have to present? All sessions, except for keynote and invited speaker presentations have been allocated a total of 30 minutes comprising: 20 minutes presentation 8 minutes Q&A 2 minutes change over time between sessions. Where do I send my presentation? We would prefer to receive your presentation prior to the event so that we can preload and check the presentation before your arrival on the day. Please forward your presentation before the Friday 9 th November 2018 to Jenny Ponter via jenny@appita.com. In the event that you are unable to send your presentation prior to the 9 th November 2018, please bring it with you on a USB on the day. How should my presentation be formatted? The AV technicians are running both PC & Mac computers with PowerPoint Some custom fonts may not be available. If you have a Prezi presentation, ensure it has been packaged as a portable file prior to the meeting. All presentations and videos should be saved to a USB with the following title: Date, Time, Surname, Presentation Name. Presentations can be designed in either 16:9 or 4:3 PowerPoint format. The data projectors will be set up to give the best possible image display, but successful image display also depends on your image / slide preparation. Videos, Photos & Images should be captured at the highest possible resolution / quality available. - Video Make sure that the video is in a.wmv,.mov or mp4 format. Please embed video clips and save the video as a separate file on your USB and bring it with you. - Photos High resolution, e.g minimum 150dpi, image size approximately 2MB or bigger. - Images - All should be inserted at true size and not compressed (images can be sized to fit within PowerPoint once inserted). Please ensure that you do not have compress file turned on in your advanced save options. If you are connecting to the internet live, ensure that you have a backup still image of the website you are connecting to, as not all internet connections are reliable when you want them. All presenter lectern positions will have access to cabled high speed internet.
3 What time do I need to arrive? We ask that all speakers arrive at 8.00 a.m. on the day of your session. When you arrive on the day, please go to the Appita registration desk and provide your presentation via USB if you have not already done so. One of the registration staff will accompany you to the speakers prep room to ensure that your presentation is uploaded in the correct room and time slot. A technician will be on duty to brief you on the AV equipment and assist you with any queries. Who should I contact if I am unable to arrive at the designated time? If you are unable to arrive at 8.00 a.m. on the day of your session, please inform Jenny Ponter via or phone at least ASAP. Jenny Ponter E: jenny@appita.com T: Where is the speakers prep room? The speakers prep room is located within the Distinction Hotel Conference Centre Kauri Room near the Appita Registration Desk. See venue map below. The speakers prep room is equipped with computers for speakers to check their presentations and do a quick run through with the technicians.
4 What AV will be available for my session? It is important to ensure your presentation is provided to Jenny Ponter (see above) or provided to staff at the registration desk on the day. Your presentation is sent to the session room by a network link from the speakers prep room. A room technician will be available to open it for you. Each session room will be equipped with the following audio-visual equipment: Data projector & screen PC laptops in all rooms, Mac laptop in speakers prep and plenary Remote slide clicker, laser pointer Internet connection Laptop sound connection Lectern & lectern microphone Lapel microphone Hand held microphone for questions from the floor Technician in room full time for plenary sessions, roving between rooms for breakout sessions Who will Chair the sessions? This is located at the end of the hotel leading straight into the conference centre. Entry points are from Fenton Street and Trigg Ave. There is also ample street parking on Trigg Ave and a small car park at the Sala Street entry. Drop Off/Disabled Access Drop off and disabled access to the conference centre is through the conference car park or at the reception entry off Trigg Ave. A disabled toilet is located in the conference centre. The Hotel also offers valet parking for any delegate. Taxi Rotorua Taxis: Delegates can book a taxi at the reception desk at the hotel.
