1 eclaims - Progress Notes User Setup & Guide 1. FEATURE INFORMATION eclaims has introduced the ability to record progress notes for visiting patients. These Progress notes can be accessed from the Patient Record and Scheduler. Use of the Progress notes is controlled by the User Setup where doctors are given full access and general users can be provided limited access to patient clinical information. This guide will provide detailed information on how to manage patient data security through user setup and how to use the patient progress notes feature. 2. SYSTEM SETUP To enable patient progress notes go to Maintenance Menu->System Setup. Enter the System Password which is ADMIN, unless it has been changed. Verify that the T/Party Clinical tick box is unselected.
2 3. SECUIRTY AREA USER SETUP For access to the progress notes user accounts and access level must be configured and given the right permissions. Go to Maintenance->Security Area. Enter the System Password which is ADMIN, unless it has been changed. Select the Access Level tab and scroll down the list until the Progress Notes section is reached. Tick and un-tick by double clicking the relevant Progress Notes Access Level sub sections to configure what a user group can access or not. Next samples are provided for different user types. From within the Security Area select the User Setup Tab and either create a new user or edit and existing. Sample Reception User The important things to focus on are: Level: 5 (Limited Access) User Type: Admin Doctor No: 0 (indicates user is not a doctor with admin access) Note: Based on access level set in this example, this user can access all areas of eclaims and has read-only access to the patient progress notes.
3 Sample Admin Doctor User The important things to focus on are: Level: 1 (Full Access) User Type: Admin Doctor No: 1 (indicates user is doctor 1 in the system) Note: Based on access level set in this example, this user can access all areas of eclaims and has full access to the patient progress notes (add, edit, delete & print). Sample Doctor User (Doctor Desktop Limited Access) The important things to focus on are: Level: 1 (Restrictions based on software licence) User Type: Doctor (Doctor Desktop only) Doctor No: 2 (indicates user is doctor 2 in the system) Note: Based on access level set in this example, this user limited access to eclaims as specified by the Doctor Desktop license and has full access to the patient progress notes.
4 4. PROGRESS NOTES SCHEDULER & PATIENT RECORD There are various ways of accessing patient progress notes from within eclaims. The progress notes can be accessed from: Scheduler (New & Old) Patient Record Access through the Scheduler: Go to Patient Menu->Scheduler. The Scheduler (New or Old) will then display. Select the Patient who s progress notes is to be viewed or modified and then double click on the patient name. Access through the Patient Record: Go to Patient Menu->Patient Search. Locate and open the Patient Record who s progress notes is to be viewed or modified and then click on the Clinical button on the bottom of the screen.
5 The Progress Notes screen displays patient details as well as a Visit History of previously entered progress notes and selectable progress notes information for new entries. Navigate through historical notes by clicking through each entry on the Visit History list with the visit notes displayed in the text box below the list. Edit, Delete & Print individual visit notes: Right click on a Visit History entry to display a menu and select Edit, Delete or Print. Click Edit to display the Edit Progress Notes screen. This will append new notes related to the selected visit. Click Delete to remove the selected progress notes.
6 Click Print to display the Print Preview screen of the selected visit. Printing is performed from this screen Click the Red X on the top right hand side to either Close or Save the Progress Notes screen.
