5 Preface As part of an effort to improve and enhance the performance and capabilities of its product line, EMC from time to time releases revisions of its hardware and software. If a product does not function properly or does not function as described in this manual, please contact your EMC representative. iewpoint Functionality Audience This document describes how to administer the various components that make up EMC iewpoint for SAP Special Ledger (CSL) Module. EMC s technology allows you to effectively manage your application data by providing the ability to define the access, retention, and service level requirements for any business transaction at each point in its lifecycle. This guide is part of the iewpoint documentation set, and is intended for use by anyone administering the iewpoint for SAP CSL Module. It is assumed that the installer has a working knowledge of SAP Basis, and has the appropriate levels of responsibilities to perform the tasks described. 12 Introducing iewpoint for SAP CSL Module Introduction The iewpoint modules are constructed in modular form and cover the application modules FI, SD, MM, CO, etc. with a special program package for exactly this application. You can easily see from the name which iewpoint module belongs to which SAP module: FI, SD, MM, CO, etc. All iewpoint modules have in common that they can be easily installed in the SAP R/3 system via the SAP transport utilities "tp" and "SAINT". Installation details of the iewpoint modules are in the EMC iewpoint for SAP Modules Installation Manual. This administration manual was written to make construction and administration of the iewpoint CSL Module as easy as possible. At first, data archiving with transaction SARA is discussed; the second topic is the iewpoint index construction from the SAP archive files. 13 Introducing iewpoint for SAP CSL Module Supplied menus A global area menu (/PBS/PBS) is supplied with the iewpoint Module for all products and utilities of iewpoint Software Suite as well as a special menu for the iewpoint CSL Module (/PBS/CSL). All programs described in this manual and the user transactions are contained in the menu. From these menus, you now have to generate activity groups (4.6B) or roles (from 4.6C) respectively, which can then be integrated into the user master. You can also create an activity group/role directly from the Easy Access menu, as shown in Figure 1-1, Creating your own role. Figure 1-1 Creating your own role You can freely define the name of the activity group/role; the name can also be within the iewpoint namespace. A iewpoint area menu is then transferred by pressing the function key 'Transfer menus from area menus' by indicating the corresponding iewpoint menu name. During the transfer, the system query for the explosion of the range menu should be answered with 'yes'. The role/activity group created in this way can now be integrated in the corresponding user master. Supplied menus 1-3

14 Introducing iewpoint for SAP CSL Module We recommend that you assign the global activity group/role /PBS/PBS to administrators and the special function menu /PBS/CSL to the end users, as shown in Figure 1-2, Assigning the role in the user profile. 15 Introducing iewpoint for SAP CSL Module Basic information about the iewpoint CSL Module The iewpoint CSL Module for Special Ledger is a package of ABAP/4 programs which enables the comfortable and performance display and evaluation of archived FI-SL line items in the R/3 online system. All transactions displaying archived data are based on the SAP transactions. This guarantees that the users can work immediately with the archive transactions without special training. The iewpoint CSL Module uses the archiving runs of the archiving objects: FI_SL_DATA totals and line items in FI-SL The SAP archiving program is carried out with transaction SARA. The construction and use of the iewpoint CSL Module always requires successful data archiving with SAP means and access to the archive file created in this way. From 4.0B, this access can also be realized with "Archive Link" via an optical archive system. In each case, the status of the archive file must be "Accessible". In order to display FI-SL line items and FI-SL totals records correctly via the iewpoint CSL Module, the deletion run of the SAP archiving must have been performed successfully. You can determine the status of the archive files for the various archiving runs via transaction SARA, as shown in Figure 1-3, Status of an archiving file. 16 Introducing iewpoint for SAP CSL Module The administrative task of the CSL module is to construct and activate the iewpoint archive and, in the event of problems, to analyze the archive with the tools that are shipped together with the software. In addition, the display programs and report groups must be generated. The generated SAP archiving runs are read and written into the file system of the iewpoint CSL Module by the iewpoint load program, as described in the EMC iewpoint for SAP Modules Installation Manual. During this process, secondary indices are created in the file system to enable efficient access. If a iewpoint archive already exists, the load program adds the new data from the SAP archive to this already existing archive, as shown in Figure 1-4, Construction of the iewpoint Module. To do this, please run transaction /PBS/CSLA. The line items of the iewpoint CSL Module can now be displayed with the generated display programs. Chapter 2, CSL Module Archiving, describes the programs for the construction and activation of the iewpoint CSL Module. 18 CSL Module Archiving Construction of the iewpoint CSL Module To archive the FI-SL totals records line items, first use the SAP archiving tool to remove the data from the R/3 database. Call up the tool via transaction SARA. The archiving is object-oriented. FI_SL_DATA is the archiving object for the FI-SL totals and line items. You must create a variant before archiving. By doing this, the amount of the data to be archived and various options for the archiving process are determined. For the settings you do not have to observe any restrictions with regard to iewpoint, as shown in Figure 2-1, Maintenance of the archiving job variant. 19 CSL Module Archiving The archived data is written to sequential files outside the database by the SAP archiving program, as shown in Figure 2-2, Detail overview of an SAP archiving run. Figure 2-2 Detail overview of an SAP archiving run The reorganized data can no longer be displayed easily using the standard transactions. The degree to which the load on the R/3 database is reduced can be measured using the iewpoint Database Analyzer PLUS. The SAP archives that are created can be written to the iewpoint CSL Module using the iewpoint index generation program. The index generation program reads the SAP archive files, creates secondary indices and stores this data in compressed form on magnetic disks outside the database. In this way, the archived FI-SL line items are available for online processing and can be evaluated easily using the iewpoint transactions and reports. The iewpoint transactions and reports correspond to the functionality of the SAP transactions and reports. However, they can read and display the resident data in the R/3 database as well as the archived data from the iewpoint CSL Module. Construction of the iewpoint CSL Module 2-3

20 CSL Module Archiving As the data in the iewpoint CSL Module is no longer changed, a regular data backup of the archive is not necessary. The SAP archive file that is created during the next reorganization of the database can be added to the existing iewpoint CSL Module using the index generation program. 2-4 EMC iewpoint for SAP CSL Module Administration Manual

21 CSL Module Archiving Load program Note: The coding for the load program (FI-SL line items) has to be generated before the first load run. For detailed information please see wwyxp310. The iewpoint CSL Module enables archived FI-SL line items and totals records from R/3 to remain available for online processing. The following description refers only to the line items. The totals records can be treated exactly in the same way. With the load program (transaction /PBS/CSLL) you can build the iewpoint CSL Module from the SALP archive files. 22 CSL Module Archiving Select manually With this option a popup window is opened by pressing the button "SAP archives". A list of the existing SAP archive files of archiving object FI_SL_DATA that were created on or after the date entered are displayed. Now select the SAP archive files that you would like to load into the iewpoint CSL Module. SAP archives that were already loaded in the main archive cannot be selected. It is not checked whether the SAP archive already exists in a secondary archive. Select automatically If this option is selected, all available SAP archive files that were created after the date indicated are processed automatically. It will be also checked whether the SAP archive has already been loaded in the main archive. Delete old run With the help of this option, a list of the SAP archive files that are currently stored in the iewpoint CSL Module is displayed after pressing the button "Run". In this list, the runs that are to be deleted from the iewpoint CSL Module can be selected. Process all line items If this option is selected, the SAP archive files that are selected automatically or manually are completely processed. Process line items: 1 to This option enables you to process exactly one manually selected SAP archive file in several runs. All FI-SL line items of the selected SAP archive file are "counted". Merge new CSL archive with active CSL archive With this option the new CSL archive will be merged with the currently active CSL archive. You can activate an archive with transaction /PBS/CSLA. If no CSL archive is active, the new archive is created without merging. Merge new CSL archive with last CSL archive If this option is selected, the new CSL archive will be merged with the last CSL archive. The last archive will be defined with table ADMI_RUN. If no CSL archive exists, the new archive is created without merging. Activate archive If you set this parameter, the archive is activated after the load process. If you intend to execute different load processes one after another, this parameter should be set only for the last process. If this 2-6 EMC iewpoint for SAP CSL Module Administration Manual

23 CSL Module Archiving parameter was not set, you can activate the archive with transaction /PBS/CSLA at any time. Delete previous run If you set this parameter, the data from the previous (merged) run will be deleted automatically after successful completion of the current load run. It often makes sense in the introduction stage that this parameter is not set and to keep the initial run for safety reasons. Older runs can then be deleted separately later on with transaction /PBS/CSLD. Execute consolidation for complete runs Sometimes the sort capacities in the SAP system are not sufficient for indexing many archive files. For this you can delimit the number of archive files during the automatic selection with the parameter max. number phys. files. In case you have many indexing runs it does not make sense to merge the created index with the stock index in each run. We recommend to execute the indexing run without merging and to consolidate the new archives after a defined number of runs. The consolidation is only executed in the batch. Load program 2-7

24 CSL Module Archiving Initial indexing process (initial construction) If all necessary entries were made in the selection screen of the index generation program, the selection screen can be stored as a selection variant for the initial construction of the iewpoint CSL Module and the report can be started as a background process. Note: The iewpoint CSL Module has to be constructed for each client. During run time, the program generates the iewpoint CSL Module from the archive files. When doing this, secondary indices are created from the documents from the SAP archive. The first run will not be merged. Note: It is recommended to perform a data backup of the created files after each construction of the iewpoint CSL Module, but basically this is not mandatory since the load program can be restarted. Job log After each index generation program run a statistical report is generated, which can look as follows. This statistic is also stored in the iewpoint CSL Module and can be displayed later using the transaction /PBS/CSLS, as shown in Figure 2-4, Document statistic of the load program. 26 CSL Module Archiving Activate archive After the iewpoint CSL Module has been constructed using the index generation program, the administration table has to be updated in the SAP R/3 system. By doing this, the iewpoint CSL Module is activated. The transaction /PBS/CSLA can be used to update the corresponding administration table. The request screen of the report is displayed, as shown in Figure 2-5, Request screen of the transaction /PBS/CSLA. Figure 2-5 Request screen of the transaction /PBS/CSLA Activate last run If you set this parameter, the last indexing run is activated as main archive. Activate main archive In the introductory and test stage it can make sense not to delete older indexing runs but to retain them. You can reactivate a previous run with this parameter at any time. 27 CSL Module Archiving Further load processes (merge runs) After the initial indexing process, a iewpoint CSL Module already exists from the last run. If the next SAP archive of FI-SL documents is to be indexed, this is done as described previously (initial construction). You can select the CSL archive to merge the new run in the selection screen. The option Merge new CSL archive with last CSL archive has the advantage that you do not have to activate the archive between two index generation runs. Start the index generation program again as a batch process. A new CSL archive is constructed from the selected CSL archive (stock) and the selected FI_SL_DATA archives (acquisition). After a merge run the selection statistic could be as shown in Figure 2-6, Document statistic of the load program. End-of-program 14:34:30 Figure 2-6 Document statistic of the load program Note: If the load process terminates with the message ABAP/4 run time error SYSTEM_NO_MORE_PAGING or EXTRACT_NO_MORE_PAGING this is due to the SAP paging file being too small. Solution: 1 - You can obtain an overview of the roll and paging memory occupancy by the active users and their transactions via transaction SM04, Goto -> Memory. Try to clarify whether there is another program and not the current program that requires so much memory. The transaction ST02 also displays the memory capacity. 2 - Check the two parameters rdisp/roll_maxfs and rdisp/pg_maxfs with the transaction RZ11 in the current instance profile. These values indicate the current block sizes for the roll or paging area (1 block = 8 kilo-bytes, 1 kilobyte = 1024 bytes). 3 - Compare the size of the common partition in the system for the roll and paging area with the values from transaction RZ11. If the converted value does not reach the size of the partition, the parameters rdisp/roll_maxfs and rdisp/pg_maxfs have to be adjusted according to the value of the provided partition. 4 - Restart your system. If the parameter has been modified, repeat the run after reloading the backup of the iewpoint CSL Module. Further load processes (merge runs) 2-13

31 CSL Module Archiving Creation of secondary archives The increasing number of FI-SL documents in the iewpoint archive causes longer runtimes for the index generation program. If the runtime is no longer acceptable for you (e.g. more than 15 h), you have the possibility to transform the current main archive into a so-called secondary archive with transaction /PBS/CSLA. For this purpose, use option "Transform into sec. archive". During the next indexing run you can start to construct a new main archive without merging. When creating the new main archive a CSL archive is created without merging as it was the case in the first indexing run. Please take care that the radio button "Merge new CSL archive with active CSL archive" is set in the index generation program and the field with the active CSL archive has to be empty (no main archive active). During the creation of the new CSL archive with the index generation program it is only checked whether the selected SAP archive files have already been processed with the active main archive. It is not checked whether the SAP archive files already exist in a secondary archive. The administrator has to take care that the SAP archives are not processed several times. In particular, when the SAP archives are to be automatically selected, he has to take special care. All CSL archives can be used as secondary archive. During the creation of a secondary archive it is not checked whether the archives are disjunctive. The current main archive and all active secondary archives are always taken into account during reading the archive. As the iewpoint archives are stored in the ADK format, you are able to transfer older secondary archives, that are no longer accessed very much, into an optical archive. In the following the parameters of transaction /PBS/CSLA that are relevant for creating secondary archives are described: Transform into secondary archive If you set this parameter, the main archive will be deactivated and at the same time the secondary archive will be activated. Activate secondary archive This parameter enables you to activate inactive iewpoint archives as secondary archives. If you select the button "Select list", you will get an overview on the available iewpoint archives for purchase Creation of secondary archives 2-15

33 CSL Module Archiving Archive tool The transaction /PBS/CSLS is available for the administration of the iewpoint CSL Module, as shown in Figure 2-7, Selection screen of the transaction /PBS/CSLS. Figure 2-7 Selection screen of the transaction /PBS/CSLS With the help of this program the secondary indices can be displayed directly from the iewpoint CSL Module. To do this, insert a line item table in the field 'Table' of the selection screen and insert the required secondary indices in the field 'Index'. Both fields have an F4 selection help. Therefore, you can select a table and an index from the archive without a problem. After starting the transaction using the F8 key, a basic list of the objects of the secondary index is displayed. The indices for the object can be displayed via the function button 'Select' or by double-clicking on an object. If you select "/PBS/CSL_ LOG" ("ZZSL_LOG") in the field 'Table', the runs of load programs already carried out are listed. From this list you can select by double-click the run for which the document statistic is to be displayed. The content of the run table is displayed when "/PBS/CSL_ LAUF" ("ZZSL_LAUF") is selected in the field 'Table'. With "/PBS/CSL_ IDXF" ("ZZSL_IDXF"), the indices available in the archive can be displayed with index fields. Archive tool 2-17

34 CSL Module Archiving If the parameter Read from secondary archive is active, you can select a secondary archive via the button Select list. Then only data of this secondary archive is displayed. 35 CSL Module Archiving Disk space requirement The iewpoint CSL Module is constructed in database-independent file systems. The system administrator s task here is to reserve free memory capacity for construction of the archive. The amount of disk space to be made available depends on the number of line items that are to be kept in the SAP archive. For each line item, different secondary indices are transferred into the iewpoint archive. The definition of the indices is copied from the database. If archive indices were once created for a line item table, they can no longer be changed. Therefore, the disk space requirement for a document can be calculated after the first indexing run. 36 CSL Module Archiving Path definition The iewpoint CSL Module contains index generation programs that are assigned to an archiving object. 4.x: /PBS/CSL iewpoint CSL Module Line items in FI-SL 4.x: /PBS/CSL_S iewpoint CSL Module Totals records in FI-SL A logical file name, which represents a physical data path, is assigned to the archiving objects in SAP Customizing. All archive files generated with the index generation program are stored in this patch. The archiving object of the iewpoint CSL Module will be delivered with the logical file name 'ARCHIE_DATA_FILE'. You have to change the logical file name in order to store the index files in another path. 37 CSL Module Archiving Generate coding for index generation program The CSL index generation programs are no longer delivered. The programs have to be generated in the customer system. Due to this process new coding and new archive indices are generated. Note: We strictly recommend to generate the index generation program after the initial installation of the iewpoint CSL Module and after having created or changed a ledger. The generation should be executed in the system in which you intend to use the iewpoint CSL Module. To start the generation of the index generation program, call transaction "/PBS/CSLG". Figure 2-9 Generate coding for index generation program Selecting option Create new index, new archive indices are created. The archive indices are transferred from the database indices of the document tables. This option should be selected if archive indices do not exist or if you wish to create new archive indices from the database. Selecting option Transfer index from run, archive indices are transferred from a CSL archive. This option should be selected if a CSL archive already exists and you wish to merge the new indexing runs. Select button Execute (F8) to start the generation. 40 CSL Module Utilities Generate coding for read routines Before you can use the display transactions of the iewpoint CSL Module, you have to generate the coding for the read routines. Due to this, the read routines are adapted to the corresponding system. Note: Carry out the generation of the read routines after the initial installation of the iewpoint CSL Module and after creating or changing a ledger. The generation should be executed in the system in which you intend to use the iewpoint CSL Module. If the generation is not carried out, syntax errors can occur in the display transactions. Read routine generation is called via transaction /PBS/CSLR. Figure 3-1 Coding to generate read routines Read archive data The coding for the access to data archived with archiving object FI_SL_DATA can be generated by selecting this parameter. During this process the coding in program /PBS/CSL_READ_GUSL is adapted to the FI-SL table structures in the system. Selection programs If you select this parameter, the selection programs /PBS/RGGD1300 and /PBS/RGGD2300 are generated. 41 CSL Module Utilities Generate display programs By using the iewpoint CSL Module you have the possibility to carry out reports which read the FI-SL line items or totals records from the archive and the database. But first, you have to generate the corresponding programs to the FI-SL tables to read the data. You can evaluate FI-SL line items or totals records of the database and those which were archived by using the new programs. The programs can be started directly via transaction SE38 or can be used as a drill-down of a totals report (report group) in the line item display. Please see next chapter for further information. The generation of the display programs is called via transaction /PBS/GAR9. Figure 3-2 Generate display programs Generate display programs 3-3

42 CSL Module Utilities After calling the transaction "/PBS/GAR9" you are in the display mode. All available line item tables and totals records tables for your ledgers with the display programs already generated are displayed. To regenerate a program, you have to change to the change mode via button "Display/Change". Enter the name of the program which you want to generate for a specific FI-SL table. The program name has to start with Z or Y. Then press button "Save". Figure 3-3 Generate option for report generation In a popup window you have the option to only generate the program that was added or to regenerate all programs. The new programs for the FI-SL tables are then generated. The new objects are entered in the change request. 43 CSL Module Utilities Totals reports You can create your own reports/report groups on totals information from the FI-SL with the report-writer/painter. Those reports select the data you have selected in the database and display them in the form you have chosen. Besides, two standard report writer reports are automatically created by the SAP System in case you create a ledger. The standard reports represent a comparison between the actual and plan total values. Convert report group The report groups can be converted via transaction /PBS/CSL_RGC. This enables to read totals records from the database and/or the CSL archive. The conversion has to be executed in each system, in which you want to execute the report group. You can start the converted report groups with transaction /PBS/CSL_RGEX. Report/report interface The report/report interface allows you to call line item reports from the iewpoint CSL Module when displaying your totals reports. You can display the line items for a certain row via totals data in a report. It does not matter whether the line items are in the archive or in the database. As receiver report in the report/report interface you can use all generated line item programs from the iewpoint CSL Module (see previous chapter). If you call a generated line item program from the iewpoint CSL Module as receiver report of a report group and if you want to display the line items for the totals exported in a report, please proceed as follows: 1. Execute transaction GR52. You get to the screen Change Report Group: Initial screen. 2. Enter in field report group the name of your report group and then press enter. You get to the screen Change Report Group: Header. 3. Then press button Configure in the report/report interface. You get to the popup window Assign reports. 4. To enter a receiver report for the report/report interface, select Insert row. You get to the popup window Selection of a report writer report. Totals reports 3-5

44 CSL Module Utilities 5. Select Other Report Type. A list of possible report types is displayed. 6. Mark the type RT ABAP report and confirm the selection with enter. You get to the popup window Add ABAP/4 Reports. 7. Enter your generated line item program from the iewpoint CSL Module and confirm with F8. 8. Then the description of the program is displayed in the popup window Assign Reports. 9. Select Save. Now you can call the line item report assigned as a receiver report from the totals report of a report group. Proceed as follows: 1. Enter the selection criteria in the selection screen of the totals report and start the selection. The report is displayed. 2. Mark one part of the report data to display the corresponding line items. 3. If you select Goto Other Report, a popup window is displayed with a list of all reports defined as receiver report in the report group. 4. Select the generated line item program from the iewpoint CSL Module. 5. The line item program is started by the selection criteria of the totals report.
